4 Overview As the entire industry is shifting toward Cloud, SaaS becomes the new modern foundation for business applications Microsoft Office 365 is one of the many popular SaaS applications It has the convenience of accessing the business data in a flexible way however, it also brings some challenges related the today s end user s workspace. 5 Office 365 ProPlus Office 365 ProPlus includes a combination of online-based applications that are accessed from anywhere via a web browser, in addition to the latest traditional, locally installed version of Microsoft Office Included with Office 365 ProPlus Business Premium is an online account that has 50 GB of mail storage and 1 TB of file storage per user licensed for OneDrive for Business but due to user, application and business requirements, there is often a requirement for a locally installed version of the Office applications in addition to the online versions. There are two main reasons for locally installed versions: Require full application functionality that may not be available with the online version Line-of-business applications installed locally have a dependency on locally installed versions of an Office application Historically, Microsoft Office is one of the most common applications delivered via Citrix XenApp

8 Exchange Online - Cached Exchange Mode on XenApp / VDI The cache file can be located on a network drive if the following three criteria are met: high bandwidth/low latency network connection is used There is single client access per file (one Outlook client per.pst or.ost) Either Windows Server 2008 R2 or later Remote Desktop Session Host (e.g. XenApp), or Windows 7 or later virtual desktop infrastructure (e.g. XenDesktop VDI) is used to run Outlook remotely IMPORTANT: Although Microsoft supports a network mapped cache file, Microsoft may not agree to troubleshoot performance-related issues in this configuration

9 Challenge - Cached Exchange Mode on XenApp / VDI Logon Performance: The user profile might become large due to the Outlook cache file will be copied on logon slow logins If the OST file is located on a File share, depending on the Network, Outlook can be slow Best practice (before UPM 7.18) Configure UPM to store Outlook folder outside of the universal profile folder, it is not copied to and from the RDS and VDI instances. Outlook connects to the cache file directly, across the network

10 New Outlook OST and Search roaming In the Citrix Profile Management 7.18 release, Citrix introduced a user-based search index container. This container solution is designed to optimize your Office 365 Outlook experience and it could easily be extended to broader use case scenarios feature releases The feature aims to solve two challenges: Outlook launch or logon delay: With Outlook 365 delivered from the cloud, Outlook cached exchange mode provides the best experience for the end user. However, the Outlook cache (OST file) will easily grow to a large file size. Poor initial search experience: Outlook s work like a database. The index helps you find your s quickly. Roaming the search index database with your profile is crucial in delivering a native Outlook search experience

11 How it works The approach Citrix took is a profile container, a Microsoft VHDX virtual disk, which is mounted on the fly during a user login, with all the s and search indexed objects. The container will roam with the user whichever virtual desktop or virtual application server the user logs in to. The feature is part of Citrix Profile Management; there is no additional license requirement. It is available with all XenApp and XenDesktop editions. There is only one setting to turn on, Enable search index roaming for Outlook, in your Citrix Profile Management policy. Once enabled, Citrix Profile Management will create and maintain the VHDX containers automatically, and mount them as you log into to your virtual apps and virtual desktops

17 Citrix Profile Manager Profile Types The following profile types exist: Local A profile that is created and re-used on a single machine. Roaming A profile that is stored on a file server and loaded to the actual machine a user logs on to (Client / VDA). Temporary Used only in error conditions to provide the user with a profile at all no changes are saved on logoff. Mandatory A type of pre-configured roaming profile where administrators specify settings for users. Changes are not written back when the user logs off. 18 Citrix Profile Manager Prerequisites Software installation On any system that the users profiles should be managed on The Citrix Profile Management agent installation is included with the VDA install Create a user store on a location reachable by the managed systems Enable / configure with Group Policies Enable Profile Management to start processing user profiles Configure Profile Management for the user store Enable via Citrix Policies Internal Client User Store GP O VD A File Server

19 Citrix Profile Manager User Store Set required permissions to the user store on a file server Plan for redundancy Variables from the following providers can be used: System (%username%) Active Directory (#department#) UPM (!ctx_osname!)

20 Citrix Profile Manager Folder Redirection Use folder redirection to enable simultaneous access to common folders. Example: 1. User starts a session with a random, non-persistent desktop, the profile is loaded from the Win10 store. 2. User opens published app from a different VDA, the profile is loaded from the Server2016 store. 3. User uses browser on virtual desktop to save a document from the Internet to the redirected documents folder. 4. User opens the saved document in the published app from the redirected documents folder

22 Citrix Profile Manager Active Write Back Enable the Active Write Back feature to save some profile contents back prior to logging off. Changed files are written back to a special folder within the profile directory on the file server (pending) Files are written back every 5 minutes to save bandwidth

23 Citrix Profile Manager Profile Streaming Enable Profile Streaming to create placeholder entries for files from the user profile files will be loaded on access only. 1. User starts session to a VDA, the profile is loaded, but only placeholder files are created on the VDA. 2. User opens a file from his profile using an application on the VDA. Citrix Profile Management downloads the actual file from the user store path and replaces the placeholder. 3. The file now resides locally on the VDA and can be manipulated. 4. On logoff, the file is saved back to the user store path

24 Citrix Profile Manager Profile Protection Profile Management provides profile protection by enhancing the way it handles profiles. Profile Management maintains a last known good backup of the NTUSER.DAT file. If Profile Management detects corruption, it uses the last known good backup copy to recover the profile
