Verify Shipment and Parts First things first - make sure you have what you ordered. 1 Device & parts: Part Name Photo Ingenico ISC480 Interface/Power Cable Power Cord (2 pieces) Double check your billing statement(s) to verify you have received the correct number of each ordered item. Each Ingenico ISC480 device should come with one (1) interface/power cable and one (1) power cord (the power cord has two parts-the power supply which connects to the device and the power cord that plugs into the outlet.) Check directions for any optional equipment ordered to verify all required parts have been included. Choice University 4
If you have NOT received something that you ordered, OR, parts are missing from your shipment, please contact Spencer Technologies at , option 4. Have the reference number available (see below) Ethernet Switch Your chip-card device must be connected to an ethernet port. If you do not have enough open ethernet ports for your device(s), you may need to purchase an ethernet switch with enough open ports for each chip-card device. An example is pictured below. This part can NOT be purchased through Spencer. Refer to the ethernet switch bulletin on ChoiceCentral.com for more details. Choice University 5
Schedule Installation with Spencer Technologies Now that you know you have all the necessary parts, it is time to schedule your installation appointment with Spencer Technologies. (For Economy brands moving to Shift 4 as of August 2017: only need appointment for installation of 1st device; additional devices can be set up and configured without a Spencer representative.) 1 Go to choicehotels.spencertechonline.com and select the Schedule an Appointment option. 2 Complete the Authorization form, select the box to agree to the Terms and Conditions, then click the Submit button. 3 When the new page displays, be sure to click the Schedule Your Chip-Card Remote Setup Appointment button. Complete the information on this page to set your installation time. NOTE: You may connect your devices prior to the installation date, but they WILL NOT be usable until the software installation, done during the appointment with Spencer Technologies, is successfully completed. The Spencer rep will install the software and be on the phone to assist in the set up of your new chip-card devices for the duration of your appointment period. Again, this is a remote installation, so no representatives or technicians will be dispatched to your hotel on the install date. Choice University 6
Prepare for Installation Once you have scheduled your installation with Spencer Technologies, there are a few things you can do to help ensure the installation goes smoothly. Review the installation guide so that you are familiar with the process and can identify, and resolve, any issues specific to your hotel. Review the Network Best Practices on pages 25 and 26 of this guide. Verify that you have a power outlet available for each device. Verify that you have available ethernet ports to allow each device to connect to your hotel s front desk network. The devices will need to connect to your network (router, swtich, modem), NOT to individual workstations. If you DO NOT have enough ethernet ports for each of your devices, you may need to purchase an ethernet switch (see pg. 4) so that your devices are able to connect to your network. Make sure the browser(s) on each of your workstations are configured properly so that the devices can complete chip-card transactions once they are connnected and configured. If you have not done this yet, please see page 27 in the Appendix for directions regarding IE, Chrome, and Firefox. Identify which workstation has the Jedi software installed. Day of Installation Appointment with Spencer We know you re excited to get your devices set up and ready to go, but just a few reminders about the installation appointment first: The Spencer Representative will be working with you over the phone. No one from Choice or Spencer Technologies will be coming to your hotel. The Spencer Representative has a limited window with which to complete the software installation and assist, as possible, with connecting your device(s). If you need assistance after your call with Spencer has ended, please contact Property Support. ( ). Be sure that someone with administrative access to the front desk computers is at the hotel at the selected time. Installing the software and configuring the workstation and network settings will require administrative access. If this information is not available during the appointment time it could result in having to reschedule the installation. Choice University 7
Software Installation with Spencer Technologies NOTE: You may wish to connect your devices prior to your scheduled appointment. Doing so, while not required, could help your installation process go more smoothly while the Spencer Representative is on the phone. For directions to connect your device(s), please see pg Have device(s) ready for installation (if not already connected, at least have them out and ready to connect). MAKE SURE YOU ARE READY TO START ON TIME! ANSWER THE CALL! If you miss the call with Spencer Technologies, there could be a delay in connecting your devices as you will need to reschedule your appointment through the Spencer website. NOTE: If you wish to cancel or reschedule your appointment with Spencer Technologies you must do so at least 24 hours in advance of your appointment. If you do not cancel or reschedule at least 24 hours in advance, and do not answer the call at your appointed time, Spencer Technologies will charge a no-show fee to the credit card provided during the scheduling process. Please refer to the Spencer Technologies scheduling site for more information. Assist the Spencer Technologies representative with downloading and installing the TeamViewer application, which allows them to do their work on your computer remotely. Again, installation of this application will require administrative access to the workstation. The Spencer representative will request that the application be installed on your Jedi workstation. While the chip-card software is not in any way connected with the Jedi software, having this on the same workstation allows for easier access should troubleshooting need to be done at a later date. Once the Spencer representative has access to your workstation, they will complete the installation of the chip-card software (UTG - Universal Transaction Gateway). This is what allows the device(s) to process chip-card transactions. The installation process will take between 20 and 30 minutes. DURING THIS TIME THE WORKSTA- TION WILL NOT BE AVAILABLE FOR USE BY THE HOTEL. If you need to stop the rep during this process it will delay your installation. What to do while the Spencer Technologies representative completes the software installation: If you have not done so already, connect your device(s). See pg. 9 If your devices are connected, please review the next steps. See pg. 12. Choice University 8
Placement and Connection Once you know you have all the parts, you may connect your devices at any time. However, the devices will not be operational until Spencer Technologies completes the software installation and the devices are fully configured. Please review pages 6-8 to be sure you are ready for the remote software installation. 1 Determine where you would like the device(s) placed. Locate the device name printed on the back of each device. Place the device labeled FD1 nearest to the front desk workstation designated as the #1 workstation. Then continue placing the devices nearest to their associated workstation (FD2 near workstation #2 and so on). This is a recommendation to make it easier for agents working at the front desk to identify the device guests will use when processing a transaction. However, the devices do NOT connect to a particular workstation, and any chip-card device may be used to process a payment from any front desk workstation. Choice University 9
Placement and Connection 2 Connect the interface/power cable to the back of the device. 3 Connect the power supply to the splitter on the power/interface cable. 4 Insert the power cable into the power supply, then plug the other end of the power cord into the nearest available outlet. NOTE: If possible, use of a wall outlet is recommended. Plugging into a powerstrip could leave your chip-card device vulnerable should there be an issue with the power strip. Choice University 10
Placement and Connection 5 Connect the ethernet end of the interface/power cable to an open ethernet port. 6 After connecting the power and ethernet, the device will flash through several configuration and start up screens. When the device displays the IP Address screen STOP and wait for information from your Spencer Technologies representative. 7 At this point you will need to wait for the Spencer Technologies representative to complete the software installation before you can do anything further with setting up and configuring your device(s). NOTE: The device is NOT usable at this point. It will not read swiped or inserted cards until the configuration process is fully completed. If at any point in this process your device does not seem to be working: Double-check that all cords are fully seated into the device. Try a different outlet or ethernet port. If the device continues to not display as shown, contact Property Support at Choice University 11
Network and Device Set-Up SOFTWARE INSTALLATION BY SPENCER TECHNOLOGIES MUST BE COMPLETE BEFORE CONTINUING. Once the Spencer Technologies representative has completed the software installation, you will be ready to continue with this section. You will need to configure the network settings for your chip-card device(s). Note that you will need to do this for EACH chip-card device you received. The Spencer representative on the phone will supply you with the required information, but YOU will need to enter the information into the device(s). First, take note of which device is marked as FD1, FD2, and so on. It is important to keep track of which device you are working on as it will impact configuration in choiceadvantage. If the devices are NOT already labeled, we suggest you label them as FD1, FD2, and so on BEFORE continuing. The Spencer representative will provide the information for you to input to the device. In most cases, they will likely record the information on a document on your computer. Be sure to check with your representative to make sure you have the information and are ready to continue. 1 When you power up the device the first time, after a couple of initial screens, the device will display a screen asking for an IP address. Using the keypad, you will enter in the IP address for the chip-card device. Rember to check which device (FD1, FD2, etc...) you are working with. Note that for all the network addresses (IP address, subnet mask, and gateway), you will need to enter each segment (there are four) in sets of THREE digits (i.e ). If one segment of the address is listed as.1., you would enter 001 for that segment. If you need assistance or have questions, please ask your Spencer representative. Choice University 12
Network and Device Set-Up After entering the full IP address, double-check the address against what the Spencer representative provided, then push the green Enter button on the keypad. The next screen will invite you to enter the Subnet Mask. Refer to the information provided by your Spencer representative for the address for the chipcard device. Use the keypad to enter the Subnet Mask address. Again, double-check the information against what was provided by Spencer, then press the green Enter button on the keypad. The final screen on which you ll need to enter information is the Gateway Address. Refer to the information provided by Spencer and enter in the Gateway Address using the device keypad. As with the others, double-check what you ve entered against the information provided by Spencer. Once you re sure it is correct, press the green Enter button on the keypad. Once you ve entered all the network information (IP address, subnet mask, and gateway), the device will go through some additional screens as it completes the configuration process. Once it displays (continuously) the Choice Hotels logo screen, it is all set. NOTE: If at some point it is discovered that the wrong network information (IP address, subnet mask, or gateway) information was entered, please see pg. 36 for directions on changing this information on your device. Economy brands on Shift4 as of August 2017: While you only have one device initially, your Spencer representative will provide you with configuration information for the additional device(s) you ll need to purchase based on your hotel s room count. Be sure to save this information to use when setting up your addtional device(s). Choice University 13
Configure choiceadvantage Now that your devices have been connected, choiceadvantage must be configured to work with the new devices Log into choiceadvantage (with the GM login or a user with similar rights). You may do this from any workstation. Go to Manage > Hotel Configuration Under the Interfaces section, select Credit Card Configuration Locate the Identify Debit Cards section on the Credit Card Configuration page. This will need to be set to Disable in order for chip-card transactions to post properly. Choice University 14
Configure choiceadvantage 5 Under Actions, select Configure Payment Terminal Controller. 6 Enter the IP Address and Port Number into the designated spaces at the top of the page. IP Address: This is the Static IP address of the Jedi/Main workstation. The Spencer representative should be able to provide this address for you. If you do not have that recorded, or the representative is no longer on the phone with you, please see pg. 40 for directions on looking that up. Port: Enter on this line. Click the Save button on the TOP half of the page to save your settings (note that the save button on the bottom half of the page only saves the terminal information, not the IP address and Port information). Choice University 15
Configure choiceadvantage 7 Next, enter the Terminal ID and Description. This will allow choiceadvantage to connect to each device when collecting payment and allow you to set the default payment terminal for each workstation. Terminal ID = set of three digits (associated with the device description) 001 = FD1 002 = FD2 003 = FD3 Description = FD1, FD2, and so on If you have more than one device, click Add Payment Terminal and enter the information for each of your devices. If you have multiple devices, be sure to select Default for this Workstation for the terminal associated with the PC. Do this for each workstation. If you do not set a default for the workstation, it will automatically select the last device used when processing a new transaction. Click the Save button on the BOTTOM half of the page. If desired, you may log into each workstation and set a default payment terminal Note that the default selection may be cleared if the cookies and cache for the browser are cleared on the workstation. Should this happen, simply log back in with the GM account and reset the default option. The IP Address and Port number settings will NOT be impacted by clearing cookies and cache on a workstation. Choice University 16
Browser Configuration Importing the security certificate to Internet Explorer (for use in IE AND Google Chrome) **In order to complete this process, you will need a portable thumb/flash drive. 1 2 You will need to start with the workstation on which the chip-card software was installed. Double-check with your Spencer Technologies representative if you re not sure which computer that was. Note that you will need to complete this process on ALL front desk workstations. Connect the portable flash drive to the workstation Spencer Technologies installed the chip-card software on. Open the Start Menu by clicking on the Windows icon. From the Start Menu, select Computer. Note the drive letter assignment for the portable flash drive. This is automatically selected by your computer, so the assigned letter may be different on your computer. Choice University 17
Browser Configuration 3 Open a Command Prompt window. From the Start Menu, type cmd into the search box at the bottom and press Enter. A command prompt window will display In the Command Prompt window, type the following, including quotes, as shown (using the assigned letter for your flash drive where described): copy c:\shift4\utg EMV Public.pem [assigned flash drive letter]:\ example: copy c:\shift4\utg EMV Public.pem d:\ Press Enter When completed, 1 file(s) copied. will display in the command prompt window. Be sure to take note of the location where this was saved on your flash drive. Later you will want to enter the full location string to import to the browser. Close the Command Prompt window, and eject/remove your portable flash drive (unless you are importing the certificate into the browser(s) on the same workstation.) Connect your portable flash drive to a front desk workstation. Continue to step 7 if importing into Internet Explorer. See pg 23 if you importing the certifcate into Firefox. Open Internet Explorer select Internet Options from the Tools menu. Choice University 18
Browser Configuration 8 9 Select the Content tab from the Internet Options window, and click the Certificates button From the Certificates window, select the Trusted Root Certification Authorities tab. Then click the Import button. When the Certificate Import Wizard opens, click the Next button. 10 From the Certificate Import Wizard, enter the full location string in the File Name box (noted in step 4). Example may be D:\UTG EMV PUBLIC.pem (where D is the assigned flash drive letter). While you may browse to locate the file, you may need to edit the file types displayed in order to see the.pem file. Once entered/selected, click the Next button. 11 Select the Place all certificates in the following store option. In the Certificate store dialog box, it should read Trusted Root Certification Authorities. Then click the Next button. Choice University 19
Browser Configuration 12 On the final step, verify that Certificate Store Select by User is highlighted, then click the Finish button. 13 A security warning will display. Click Yes to continue importing the certificate. A prompt will display to let you know that the import was successful (or if it was not, will proved an error reason or code). Click OK to continue. 14 Close out of the Certificates and the Internet Options windows. Then eject and disconnect the portable flash drive, and repeat these steps for any additional workstations requiring the certificate. Choice University 20
Test Transaction The moment of truth. Let s see if we can process a payment through EACH of your new chip-card devices. Follow the steps to process a payment through each one of your new devices. You will need a credit card with a chip to complete this portion Log into choiceadvantage. Go to Create > House Account. For the House Account Name, enter Chip- Card Test Transaction. Be sure to leave the status as Active, and all other fields may be left blank. Click Save. From the Actions menu, select View House Account Folio. The House Folio will display. Click Post Payment. The Transaction Detail will display. Note that it will default to using the device for the transaction (box is checked next to Use Payment Terminal) and the default terminal for the workstation will be displayed. If you would like to test multiple devices from one workstation, post another payment and select a different device from the payment terminal drop down menu. Choice University 21
Test Transaction Select the Payment Method. Enter $1.00 for the Amount. Verify the selected device. and click Save. Note that while you can test ALL the devices from one workstation, it is recommended to test at least one transaction from each workstation. Workstation settings can impact the ability to process transactions, and the sooner those are identified the sooner they can be resolved. 11 Clicking Save will activate the device. Insert the chip-card into the device when prompted (on the chip-card device screen). While the transaction is completed on the device, choiceadvantage will display a wait prompt at the bottom of the page Follow the prompts on the device screen to complete the transaction. If a receipt prints out after completing the transaction, you may discard it. If the transaction is not successful Verify your choiceadvantage settings (see pg. 14) Re-try the transaction Try the transaction through your other chip-card device(s) Check your browser settings If you are using Internet Explorer, check your version by going to settings > About Internet Explorer to verify which browser version you are using. Note that currently this will not work with the new Windows Edge browser. If your computer has the Edge browser installed, you can access IE 11 by going to Windows Start > Windows Accessories > Internet Explorer. If you are still not able to complete a transaction, record what errors or issues you have and contact Property Support at Choice University 22
Test Transaction 14 If the transaction IS successful, refund the card by posting an adjustment or refunding through DOLLARS ON THE NET. 15 Repeat steps 6-14 to post a $1.00 payment to the Chip-Card Test Transaction house account from each device. While you can perform all the tests from one workstation, it is recommended to run a test transaction on EACH device from EACH workstation. This will assist in identifying, and resolving, any possible issues that may stem from differences in settings from one workstation to the next prior to working with guests. You should be ready to start processing guest payments through the chip-card devices. For more directions on using the devices with choiceadvantage, please see the Chip-Card Resource Center on ChoiceCentral.com (under Franchisee Resources) and the chip-card training available on Choice University. A few final points and reminders: Review the Network Best Practices in this guide on pages 25 and 26. Due to the security measures in place with chip-card technology, you will not be able to unmask credit cards processed through the chip-card device through choiceadvantage. The card information will be saved by choiceadvantage, allowing you to post payments as needed without the guest re-inserting their card into the device. However, if you need to view the actual card number, you will need to log into DOLLARS ON THE NET to locate that information. New chip-card procedures only apply to card present transactions. Pre-paid reservations, phone orders, and no-shows will continue to be handled as they have in the past. If for any reason the chip-card device must be bypassed to complete a transaction, simply de-select the Use Payment Terminal box. This will allow you to use your old mag stripe reader or enter the card number manually. Be aware that completing a transaction for a chip-card being presented by the guest by any method other than the guest placing their card into the chip-card device could place the hotel at risk for liability in the case of a chargeback. Choice University 23
Appendix Section Description Page Network Best Practices Considerations for your network set-up with the chip-card devices 25 Browser Configuration Network and Device Set-Up Locating the Static IP Address Details on configuring your browser of choice to work with the chip-card device(s) Full device networking set-up directions (only use if wrong IP, Gatway, or Subnet Mask address is entered into device) How to find the IP address of a particular workstation Choice University 24
Network Best Practices NOTE: ANY changes to your network or IP addresses may impact the working of your chip-card devices. Device Networking The chip-card devices must be on the same network as your front desk workstations (subnet mask and gateway must be the same) DO NOT use or share the chip-card devices with your guest/wi-fi network. Static IP addresses are required for: Workstation on which the chip-card (UTG) software will be installed Define the Windows network on this workstation as Work/Private (as opposed to Public). For EACH chip-card device Do NOT connect your chip-card devices to the cable/dsl modem. They must connect to a seperate switch or router. If you re not sure how to check network settings, please contact Property Support at Router/Switch Settings Please ensure that your technical or support resource enables your router or firewall to allow OUTBOUND connections to TCP ports and Please ensure that your technical or network support resource reserves the static IP addresses for your Jedi/Main workstation, and chip-card device(s), on your router/switch. NOTE: Any changes to your network set-up could cause the static network addresses of your workstation and devices be be unavailable, with the result that you will no longer be able to process chip-card transactions until those are re-set. Defining the static IPs for the Jedi/Main workstation AND the chipcard devices in your router wil help minimize that risk. Choice University 25
Network Best Practices Firewall Settings During installation the Spencer Technologies representative will configure the Windows firewall to allow exceptions for the UTG. This allows you to process chipcard transactions. The settings shown here are for the Windows firewall. If you have a third party firewall (McAfee, Norton, etc..) you will want to set this up in a similar fashion within that application. Choice University 26
Browser Configuration As a web-based application, the choiceadvantage Property Management System is impacted by the settings and configuration of the browser used to access it. Before you begin processing chip-card transactions, please refer to the specific browser recommendations on pages to be sure transactions post properly within choiceadvantage Internet Explorer 11(IE11) and Google Chrome: In order to ensure transactions are processed promptly and correctly when using these two browsers it will be necessary to import a security certificate to EACH front desk workstation. The security certificate will be created during the remote software installation by Spencer Technologies and stored on the same workstation as the chip-card software. Please see pg. 17 for directions on importing this certificate to EACH front desk workstation to allow proper handling of chip-card transactions. Internet Explorer 10: This browser may also be used to process chip-card transactions through choiceadvantage, but will require specific settings to be applied, in addition to importing the security certificate to each front desk workstation, in order for chip-card payments to process correctly. Please see pg. 17 for directions on importing the security certificate, and pg. 29 for specific browser configuration settings. Firefox: Use of the Firefox browser will require the security certificate to be imported directly into Firefox s certificate store on each workstation where it will be used to access and process chip-card payments through choiceadvantage. Please see pg. 33 for directions on importing the certificate into Firefox. Windows Edge browser: The browser that serves as the default for machines running the Windows 10 operating system is NOT currently supported by choiceadvantage. However, Internet Explorer 11, which is compatible, is also installed with the Windows 10 operating system. Please see pg. 32 for directions on opening IE11 on Windows 10, then pg. 17 for directions on importing the security certificate. Other browsers: Other internet browsers will not currently support chip-card transactions processed through choiceadvantage. This includes Safari and older versions of Internet Explorer (IE9 and earlier). If you are not sure which version of IE is currently on running on your workstation(s), please see pg. 28 for directions on identifying your version of IE. Choice University 27
Browser Configuration Identifying which version of Internet Explorer is installed Check your version of Internet Explorer on EACH workstation before moving ahead. Under Tools, select About Internet Explorer. A window will display listing the version of Internet Explorer currently installed. **Note that even if you plan to use Google Chrome, it is important to verify your IE version as Chrome makes use of certain settings within Internet Explorer. What else should you do? Using IE9 or earlier? We recommend upgrading to Internet Explorer version 11. Using IE10? We recommend upgrading to IE11. If you do choose to keep using IE10, see pg. 29 to verify and update settings in IE10 to allow chip-card transactions to process through choiceadvantage. Using IE11? IE10? Google Chrome?
