4 Overview DPRO'S Rainbow is simplifying SAP by providing users the tool for implementing a new or revised process in hours rather than weeks. Rainbow is an Excel-like application within SAP to support your business processes by providing a dynamic shared working environment which is easy to use and quick to apply. Here are the top three reasons to use Rainbow in your SAP: Implement a new or revised process in hours rather than weeks. Simple to use and requires almost no help from IT to implement Keep your business logic and data secured within SAP and eliminate the need to export data to desktops or other systems. This document will explain and show how to use the Rainbow. It requires no previous knowledge other than basic SAP experience. By the end of it, you will be able to create new reports, add columns, use conditional formatting, filter the results and send them. 4
5 Create a new report This section will show how to create a new report from scratch. 1. Login to SAP 2. Go to the rainbow transaction in /DPS/RAINBOWALV (T-code). You might want to save this transaction in your favorites. Important Note: In order to display also report statistics (such as columns that was added, rules and graphics) check the Statistics option. 3. Click on the button or press F8. 5
6 4. The main menu bar includes all available actions. a. Create - This action creates a new report. b. Copy - This action will make a copy of a chosen report. c. Display - This action will open the report s variant. d. Change - This action will open the report properties. e. Delete - This action will delete the report. f. Execute - This action will open the chosen report. g. Via Sel. Screen - This action will open a selection screen filled with the variant of the chosen report. h. Via Empty Sel. Screen - This action will open an empty selection screen of the chosen report. i. Original - This action will open the original report data w/o the user s customization. 5. Click on the Create button. The following window will open (without the data): 6
7 6. Fill in the following fields: Field Description Type Description The name of the report Obligatory Group A Group to collect some reports (for example Optional Finance, Procurement, Sales, etc.). New Transaction A new T-code for the report. Optional User Specific Check if the report is personal. Personal reports cannot be shared with other users Optional Original transaction The T-code of the original report Obligatory Program Name The program of the report (arrive automatically) Obligatory Via selection screen Check for a selection screen to appear before the report. Optional Variant Name The relevant existing variant. Obligatory Report Layout The relevant existing layout from the original Recommend report. Aggregation Mode Check for different view & summery from the original report Optional Consider original coloring Remove the checkmark if you would like to ignore the original coloring. Optional Without invisible columns Check to ignore invisible columns. Optional Exit ID Add customer function to a report. For further Optional information read Creating Customer-Defined Functions guide. Show comment field Show comment field in the column builder Optional 7. Click on the OK button to save the report. Important Note: Deleting a variant will delete all changes, i.e., paint, columns, comment, etc. 7
8 Edit and View a Report This section shows how to edit and change an existing report. 1. In SAP, go to the Rainbow transaction at /DPS/RAINBOWALV. 2. Mark the relevant report and double-click it or click on the Execute button The main menu bar includes all available actions. You can use the More Options and Hide buttons to display or hide the additional buttons on the bar. 8
9 Selection This action will display/hide selection patameters filled in selection screen. 1. Click on the Selection button. 2. The following pane will open: Paint The Paint action helps the users to color specific fields and lines. 1. Click on the Paint button. 9
10 2. Choose the color from the color chart (F4), style and scope. 3. Click on the OK button. Important Note: This action gets higher priority than coloring that was done by a rule. To use Paint for a single field, you must set a key first. The Paint can be a user-specific or Global. 10
11 Comment The Comment action enables users to write a new comment on any field in the report or view existing comments. Users can add to an existing Comment field, but cannot change old values. 1. Click on the Comment button. 2. Enter your comment. 3. Click on the OK button. Important Note: Users cannot delete comments. To use for a single field, you must set a key first. Can be a User-specific comment or Global comment. 11
12 Text The Text action let the users add a text column containing the related business-object columns description. The functionality uses an algorithm the searches SAP for Text in case such Text exists. For example, if your report contains SD-1044 in the Material column, and you will press on the Text button, an additional column will be added showing Ergo Monitor 20IN which is the description of the material. Filter This action filters the data. The data can be filtered by color or by the comment. Color Filtering: color level, specific color, rule id and specific columns. Comment Filter: text, field name, created by and created on or days ago (with seven days default). 1. Click on the Filter button. 2. Enter the names of the fields you would like to use for filtering. 3. Click on the OK button. 12
13 Send with Outlook This action will send the data using Microsoft Outlook. 1. Select the lines which you would like to send in the mail. If you do not select any line, the action will send the entire report. 2. Click on the With Outlook button. 3. Choose a file format for the report. 4. Click on the OK button. More Options and Hide Use the More Options button to show additional actions and Hide to conceal them. The hidden/displayed actions are Set Key, Columns, Graphics, Drill Down, and Send : Set Key This action sets the key for the table. The table s key must be unique. 1. Click on the Set Key button. 13
14 2. Choose the fields that will set the keys of the report. 3. Click on the V icon. Important Note: A key must be unique. Changing the key will delete the created comments and colors. 14
15 Columns This action will manage the custom columns in the report. Create a new column 1. Click on the Columns button. The following window will open with all the existing custom columns: 2. Click on the Create icon. 3. Choose the type of column. You can choose: Formula type - calculated on base data from other existing columns Input type - Date, Number, Text, Xfeld or Domain. DB Lookup type - insert a new field from any table required to define a relevant key). 15
16 a. Formula: i. Data Element - Choose the relevant data element (relevant in Formula and Input type). ii. Heading - Enter the heading of the column. iii. Explanation - Enter a short description. This explanation will appear when the cursor hovers over the column s title. b. Click on the OK button. The following formula builder screen will open: Formula builder Define the formula. The formula editor contains four parts: 16
17 i. Top of the screen shows the Formula ii. Lower left Report and system fields iii. Lower right Standard and Rainbow-specific functions iv. Lower center Operation pool c. Write your formula using the fields and actions. d. Click Save button and then click on the Close button. 4. Input column: Select Input in the Kind of column field a. Data Element - Choose the relevant data element (relevant in Formula and Input type). b. Heading - Enter the heading of the column. c. Explanation - Enter a short description. This explanation will appear when the cursor hovers over the column s title. d. Locked for edit In Input type, you can manage and lock for edit the column. e. Click on the OK button and then click on the Close button. Important Note: Right-click on an input field and click on Cell to display field log. 5. DB Lookup type: a. Heading - Enter the heading of the column. b. Explanation - Enter a short description. This explanation will appear when the cursor hovers over the column s title. c. Table Enter the relevant table name. This field contains the table s name that you would like to get the data from. d. Field - Enter the relevant field that you want to get the values from 17
18 e. Key Please check and fill all necessary fields that required for key f. Click on the OK button and click Close Important Note: A new column will have a field name that begins with /DPS/ and cannot be deleted. Grouping This action will arrange the report display by chosen field/s (pivot table). 1. Click on the Groups button. 18
19 2. Click on the Insert Row button. A new row will be added: Group Description Enter a short description. This explanation will appear in the tree view. Parent Id. Enter group ID if there is a hierarchy between fields. Seq. Enter a sequence number if there are several fields under the same parent Id. Grouping Type Standard, Others and List. List will create groups and arrange the data by a chosen field. Standard will create only one group by a criteria. Others will create a group that stands in a parent criteria and not included in one of the other son s criteria s. Criteria Available only in case of standard grouping type is chosen. Enter a criteria for the group. Grouping Field - Available only in case of list grouping type is chosen. Chose a field from data. Group Style color the group. Natural no color, Positive Green, Negative Red, Critical Yellow. 19
20 Icon Select a display icon for the group in the tree. 3. Enter group description, grouping type, grouping field and other properties to define a group. A group tree display will be added on the left side of the screen. Important Note: For drill down data double-click on a group in the tree view or on the Selection button. Click on the Tree button to display or hide the tree. 20
21 Graphics This action will add a graphic bottom to the report. The button will present data defined by the properties, grouping and participating fields. 1. Click on the Graphics button. 2. Click on the Create button. 3. Enter properties, grouping and participating fields to define the graphics you wish to present. Important Note: A new Bar icon will appear in the report according to the setting: 21
22 Drill Down This action will give the option to drill down the data in a selected column. 1. Click on the Drill Down button 2. Mark a field and click on the Assign button 3. Enter the object that you would like to open in the drill down and if it will in change/display mode. 4. Click on the OK button. Additional Actions Define an auto refresh This option enable/disable an automatic timer to refresh the report data. 22
23 1. Click on Auto Refresh button. The following list will open: 2. Select the Set Auto Refresh option. 3. Enter refresh time (in minutes). 4. Click on the OK button. Important Note: This option is available only on report that doesn t includes an Input column. Paint a Single Field This option enables to copy a color from one field another field. 23
24 1. Right-click on the field to copy the color. 2. The following list will open: 3. Select the Copy Color option. 4. Right-click on the field which you want to paste the color into. 5. Select the Paste Color option. Color Analyze In some cases, you may not be sure what is the reason that a specific value is colored in a specific way. This option displays the reason for the color in the field/line. 1. Right-click the selected field which you want to analyze. The following menu list will open: 24
25 2. Select the Color Analyze option. The following window will open showing the reason for the colors: Aggregate Data Info This option let the users click and highlight data of column/area to see the Total, Min, Max, and Average of column's/areas content. Column Aggregation 1. Click on the relevant column header. 2. Click on icon s right side (for list count click on the left side). The following list will open: 25
26 3. Click on the With Aggregation menu. Area Aggregate 1. Highlight & right click the area. The following list will open: 26
27 2. Hover above the Aggregate option: The following sub-menu window will open: 3. Choose the relevant information data. 27
28 Aggregation Mode This action will give a different view & summery from the original report. 1. Check in variant screen. 2. Click on the OK button and run the variant report. 3. Mark relevant line and click on the Expend Aggregated Data button to display additional data. 28
29 Conditional Formatting This section will describe how to create and edit the Conditional Formatting rules 1. At the bottom of the screen: 2. Click on the Create rule button to create a new rule. 3. Fill in the following fields: Field Description Type Description The name of the rule Obligatory Priority The priority of a rule over other rules where 1 is the Obligatory highest priority. Influenced Area The effect of the rule can affect specific fields. The entire row will be affected if no field was selected Optional 29
30 4. Click on the OK button. 5. A new line will is added to the bottom of the window: 6. Mark the relevant rule and click on the formula button. 30
31 7. Create the rule and click on the Save button. Important Note: Users can define user-specific rules. It is possible to customize the formula screen by choosing which fields (system fields etc.) and functions (Math, Date & Time, Statistical, String, etc.) to list. For further information and assistance on the formula, screen click on. It is possible to inactivate a rule without deleting it by clicking on the Inactive button in the edit window. Send a Report This section will explain the different options to send a report with Rainbow 1. Open the relevant report 2. Mark the rows you would like to send or click on the button for the entire data. 31
32 3. To send via Outlook click on the With Outlook button. The supported report formats are XLSX, XLS, and HTML attachment. 4. To send the report with SAP click on the Send button. SAP will send the report as an attachment. Important Note: To share a working environment, you can provide your co-workers with the new transaction name of the report. 32
33 Running Log This section will show how to run the D Rainbow log. 1. Login to SAP 2. Go to the rainbow transaction in /DPS/RAINBOW_LOG (T-code). You might want to save this transaction in your favorites. 3. Enter selection parameters and Click on Execute button. 33
34 Customizing This section will show the customize options of the D Rainbow. 1. Login to SAP 2. Go to the rainbow transaction in /DPS/RAINBOW_IMG (T-code). You might want to save this transaction in your favorites. 34
35 Maintain Environment Data 1. Click on Execute Button. Via Selection Screen Save required Defines what will happen when variant report is executed via selection screen and not saved. When the option is checked and Back button is clicked the report will not run. Log Active Activate the log in transaction /DPS/RAINBOW_LOG. Define Groups This option enable to create a group to collect reports (for example Finance, Procurement, Sales, etc.). 1. Click on Execute Button. 35
36 Define Toolbar Functions This option enable to create a button in a variant report. 1. Click on Execute Button. 36
37 2. Enter button properties. Important Note: Exit ID defined in Variant report create/edit Exit ID button. Class is created in top menu via Edit -> Customer Modification. Define Formula Functions This option enable to create and add function to Formula button. 1. Click on Execute Button. 37
38 2. Enter function properties. Define Column Field Types This option enables to define list and properties of data element fields for columns. 1. Click on Execute Button. 38
39 2. Double-click relevant activity for creation. Maintain Objects Navigation This option defines the object and activity that can be drill-down in a field report. 1. Click on Execute Button. 39
40 2. Double-click on Define Objects Navigation. 3. Enter object and activity properties. Important Note: Enabling Configure Objects Navigation will ignore Define Objects Navigation and will not check authorization. 40
41 Assign Drilldown to Fields (Global) This option defines a connection between a domain and an object that will appear in Drill Down button in all reports. 1. Click on Execute Button. Logs Delete This option enables to delete running log of 41
