Installation of the version of Lightspeed on any server or client machine running Windows 2000 is not supported. Interface to the legacy FicheFinder EPC is also discontinued. 2 What s New in Version 3.9.5? What s newest is always available at Tip: If you are not using an ADP Hosted server it may be time to replace your backup tapes. If you have not done so in the last year, buy and label new tapes. Start with the full backup. Then rotate the remaining new tapes into your daily backups. New Functions in Credit Card Processing Upgrades End-to-End Encryption Security for Credit Card Transactions with encrypted card readers. Partial Authorization (US only) Lightspeed can now handle partial authorization on prepaid and gift cards. Partial authorization applies the portion of the charge equal to the remaining balance on the card. You then apply a second payment method for the balance. See pg. 7. Supports CHIP and PIN technology in Canada. Workstation Printer Selection Options Lightspeed now has the ability to reference any printer on your workstation s Windows printer list. New Utilities and Shortcuts User Sessions Allows you to log off a locked user. Found under Help User Sessions menu. Update Parts Inventory Counters Recalculate Available, On Order, and On Order Available counts. Found on the Parts Inventory Update Functions menu. Custom Price Book Loader Menu Access Now on the Parts Inventory Update Functions menu. Integration with PMPro Online for Harley-Davidson Dealers Authorized Harley-Davidson dealers can now enjoy the same integration to Lightspeed from PMPro Online as they have been accustomed to with the local PMPro application. 6 SYSTEM Workstation Printer Selection Lightspeed can now see your workstation Windows printer default and selections. Before, only printers mapped on the server were available. Now Lightspeed can use any printer that is available to the workstation in their Windows printer selections. Notes: Not all workstations will automatically have this feature available. Workstations that already have the Virtual Channel software installed (such as those recently accessed during a support call, or those used for Mercury credit card processing or as pole display terminals) are automatically enabled. You can however update your own workstations. See Installing the Virtual Channel for Windows Printing on page 18. When printing from functions that do not have preset printer assignments, such as reports and labels, the workstation default printer is taken as the default printer for the report or label function. This may be different from the server default printer so be sure to check the printer selection before printing labels or reports. How do I know if the workstation printers are available? At the workstation, check for the presence of the Default Client Printer list in the System System Preferences, Workstation Printer Assignments screen. If both the Default Client Printer list and the Default Server Printer lists are present, the virtual channel software is installed and the client printers are available. If you print from PMPro or other EPC via your server make sure the printer used remains available as a server printer in your printer setups. (Does not apply to Hosted dealers.) New Utilities for Hosted (ASP) Dealerships Custom Price Book Loader Accessed from Lightspeed For dealers running a Lightspeed Hosted server the Custom Price Book Loader can now be launched from the Parts Inventory Update Functions menu. If the Custom Price Book Loader has not been set up before you will receive a message upon first use and would need to contact support for initial installation. Update Parts Inventory Counts If your Available Quantities counts in the parts inventory detail do not appear to be accurate you can now run the Update Parts Inventory Counts function to correct them. Go to the Parts Inventory Update Functions Update Parts Inventory Counters function. This should also be run each time you do an inventory count. This accomplishes the same thing as using the external Update Counters function. User Sessions Utility The User Sessions utility allows logging off another user. You can also send a notice that will pop up on the user screen. This utility can be found on the Help User Sessions menu. Security access must be set in the user s security record to enable accessing this function. 6 of 18 Feb, 2012 ADP, Inc. B00000
7 To grant an administrative user security to allow access, go to System Lists Security/Passwords menu. Open the user record to edit. In the security selections tree go to System User Sessions. Highlight the User Sessions line and then click the Unlock button. Credit Card Processing Enhancements Credit Card Encryption You can now purchase credit card readers that encrypt the card swipe, making the entire transaction from swipe to processing a secure chain for enhanced security. End-to-end encryption removes credit card information from the dealership system and reduces the dealership fraud exposure. For dealers in Canada CHIP and PIN technology is also enabled. For more information about full encryption and protection from credit card fraud, call your Lightspeed sales representative. Partial Authorization (US Only) Prepaid and gift card payment processing now automatically provides a partial payment return when the available balance is less than the total due. When the card is taken as a method of payment and the available balance is less than the total, a message is posted stating that the amount approved is different from the amount requested. The amount approved (the remaining balance on the card) is applied to the payment. You can keep this payment amount and then process a second method of payment for the balance. Note that in the parts invoice if you remove the payment entered on the partial authorization the approval is automatically reversed. End of Service Notifications Windows 2000 No Longer Viable As of this update Windows 2000 Server or client is no longer a valid operating system on which to host or run the Lightspeed application. Installation of the version of Lightspeed on any server or client machine running Windows 2000 is not supported. If you upgrade remember that 64 bit operating systems are not supported. Legacy FicheFinder Interface Discontinued The part transfer interface has not been maintained for the legacy FicheFinder EPC, which was replaced by the PMPro EPC in 2007 and completely phased out in Auto-License Renewal on Current Versions Only It is important to install this release and all Lightspeed updates as they are received. Automated license renewal is not supported for out-of-date versions of Lightspeed. Out-of-date refers to any version prior to the last two general release versions. (Versions released on a request-only basis are not considered a general release.) B00000 Feb, 2012 ADP, Inc. 7 of 18
8 This means that if your dealership is not currently on a current version your software licensing will not auto renew and you will have to contact ADP Lightspeed to update your license on a monthly basis. To continue receiving auto renewal licensing your servers must be updated to one of the two most recent versions. Dealers on version or older will have to convert to the new version in steps. To determine your current version click on the Help - About Lightspeed NXT menu within the LightspeedNXT program. If your dealership needs any assistance in updating to the latest versions, please contact Systems Support at (option 2 then option 5). A support representative will verify that the latest version is available on your server and walk you through the process. New Security Settings When new features are added they are automatically set to locked in the user security profiles. The following security settings may need to be modified on individual user s security access settings. Go to the System Lists Security / Passwords menu to edit user security detail. 9 System Fixes Customer Discounts Applied After Expiration Expired discounts were being applied to parts on a repair order and for items on layaway. The original documents would not include discounts that had expired, but at close out of the RO or upon layaway pickup expired customer discounts would be applied. This has been fixed. Client Workstations Update More Efficiently Loading of program updates has been improved to make client workstation updating more efficient, saving time when updating. Internal Sales Report Included the Day After the Selected End Date The Internal Sales Report in End-of-Day would include sales for the day after the end date specified for the date range to report. This has been fixed. Insufficient Disk Space Error An error message about insufficient disk space could be encountered in Lightspeed, in the price book update function, or while running the update structures function when there was ample disk space available. This has been corrected. Unable to Edit Part Information when Adding a Part in Ordering When adding a part in the ordering screen the fields had become unavailable for editing. You can now once again edit basic part information while adding the part. Variable Report Parameters Not Retaining End Date When a variable report was set up with a date range and a default entry for start and end date, the end date was not retained and had to be manually entered each time the report was run. This has been fixed. EOD Reports Now Sort by Cashier Name Dealers have requested that the EOD reports should sort alphabetically by cashier name rather than by their security ID as had been done in the past. We have made this change. VOIP Call POP Allowed Customer Edit Access when User was Logged Off After a user with a VOIP phone extension logged off the terminal the call notification still allowed access to customer information and edit. Edit is no longer available without login. Newly Added AP Vendor Not Available to Select After adding a new AP vendor you would not find the vendor in selection lists until the Lightspeed program had been shut down and restarted. This was particularly inconvenient if the vendor was needed as a major unit vendor selection. Newly added vendors are now available for selection in the vendor dropdown lists. Page Range Selection when Printing For some reports, such as AP and AR Aging, the ability to print only a selected page range was not functional. This has been corrected. 10 DataBack Reports Not Including Charts when Printing to File When saving a DataBack report to a file the charts and graphs were not being included. This has been fixed. Checking Balance on Unactivated Gift Card Failed When using the check balance function on an unactivated gift card no response was delivered and the Mercury software closed. Now it notifies the user that the card has not been activated. ValuTec Gift Card Processing Errors When processing ValuTec gift cards the system would frequently lock up or display an erroneous duplicate transaction error. 11 PARTS Harley-Davidson PMPro Online Catalog Integration Dealers with access to the Harley-Davidson PartsManager Pro Online Electronic Parts Catalog can now transfer selected parts directly to the Lightspeed invoice. Using this online version frees you from loading updates and ensures that you always have the most recent data available. Make sure that your Harley-Davidson supplier record includes your dealer ID. If you are already licensed for Harley-Davidson on PMPro you simply access the Harley PMPro Online lookup from the invoice EPC button. Many dealers have preset access. If PMPro Online doesn t open just call or support. You will need to provide your Harley dealer number and a contact person in your dealership, along with that person s address. On first use your browser will attempt to install a small software update. If your browser blocks popup notices or installs set it to allow the update. You use the PMPro Online lookup just as you would the local version. After selecting the parts in the catalog lookup and adding them to the pick list click the green arrow at top left. Then from the dropdown menu that is displayed select Business System to transfer the parts to Lightspeed. If the parts do not transfer from the pick list to Lightspeed the connection software may not have installed in your browser on first use. Contact Lightspeed support for assistance. Harley-Davidson CIM Shows Order Total and Total Lines There is now a popup to show the total number of lines and the order total before the import in the CIM function. Web Order Number Prints on Web Invoices The web order number now prints near the comments area on web order invoices. Special Order Search and Display for RO and Stock Number Stock Number and RO Number have been added to the search options in the special order lookup to make it easier to locate special orders for internal units and for repair orders. New columns were also added in the search list to display the stock and RO numbers. Tip: Remember that you can click the column headings to move and organize the columns how you want them. You will have to use the bottom scroll bar to locate the new columns, but you can place them closer to the front (left) if desired. Parts Fixes Special Order Deposit Paid with Credit Card Refunded as Change For dealers with integrated credit card processing, if a special order deposit was not set as a requirement in preferences, then taking a deposit using method of payment Credit Card would result in the deposit amount being rejected. The amount of the deposit would be refunded as change on the same invoice. This has been fixed. B00000 Feb, 2012 ADP, Inc. 11 of 18
12 DCS Part Order Transfer Fixes Triumph: The Triumph DCS transfer had been locking up the Triumph Parts On-Line (POL) software used to transfer the file from the dealer client workstation to Triumph. This has been fixed. Note that the Triumph POL program cannot be launched from Lightspeed DCS. After saving the transfer file in the DCS screen do not use the Start button to run the POL program. Open POL directly from Windows instead, and then import and send the order file. Arctic Cat: The Arctic Cat DCS transfer had been dropping the last character on longer part numbers, resulting in incorrect orders. This has been fixed. Handling Zero Cost in Price Books Zero cost in Price Books no longer overwrites a non-zero cost in the dealer inventory when the escalator is run. When the escalator encounters a zero cost in the price book the inventory cost is not changed. The escalator will also reference the dealer inventory cost to apply cost-based retail calculation and to select the correct escalation range when applying retail escalation. This simplifies using retail-only price books such as Briggs & Stratton, Ariens, Choko Design, FXR etc. Manually entered cost is now retained, even for dealers not using cost averaging for inventory valuation. Part Label Fixes Bin Locations: When part labels were created by the price escalator function bin locations were not included. This has been fixed. Price: The price printed too small on thermal bar code labels. Labels have been reformatted to provide better readability. Purchase Order Truncating Special Order Name The special order customer information on the purchase order did not allow for as many characters as could have been displayed. This has been adjusted. Months No Sale Wrong if Part was Never Sold The Months No Sale figure for a part that had never been sold showed zero because it would update only after the part was sold. It now counts from the last activity (received date or setup date) if the part was never sold, or shows 99 if no setup or received date is available. Setup dates are now also automatically entered when a part is added from the price book to ensure the setup date is available. Similar Part Chain Broken when a Part was Deleted When one part in a chain of similar part references was deleted from inventory in the detail view the similar part chain was disrupted and could not be reestablished. This has been fixed. Buying Guide Not Showing Min/Max Parts if in Similar Part Chain If a part was set to Min/Max ordering and was also in a similar part chain the part might not show on the Buying Guide when the on hand quantity fell below the minimum. This has been fixed. If the part is the base part of the similar part chain it will now appear on the order as indicated by the min/max settings for the part. Note that if the part with min/max settings is not the base part it will still not be suggested because only the base part in a similar part chain would be ordered. If your intent for the min/max part is that it should be stocked, use the Reference rather than the Similar designation for the chain. 12 of 18 Feb, 2012 ADP, Inc. B00000
13 Min/Max Not Functioning Properly The Min/Max function was placing parts on the order only when the sales history would also suggest ordering the part. This has been fixed. When the part falls below the minimum it will be placed on the suggested order with a quantity to restock to the maximum, regardless of sales history. Running Update Counters Could Show More Available than Actual If a special order part that was refunded was then special ordered again and received but not picked up, running the Update Counters function would add the original ordered quantity to the available quantity. This has been fixed. Mercury DCS Error Importing to Mercury For some users, after posting a Mercury order file in Lightspeed DCS the Mercury system would report an error of invalid file type when trying to import and transmit the order. This has been fixed. Web Order Invoice Incorrectly Identifying In-Stock, Special Order The invoice created for a web order could sometimes incorrectly identify in-stock or special order and place the quantity in the special order column when inventory showed in stock, or vice versa. This has been fixed. Auto-Price Book Update would Sometimes Post an Error and Shut Down When processing a very large price book the automatic run of PBUpdate would sometimes post an error and then shut down without completing the update. This has been fixed. Purchase Order Printout Mislabeled Phone and Fax Number The phone and fax numbers were preceded by W and C rather than P and F. This has been fixed. 14 SERVICE Added Date In and Close Date to the Repair Order Printout At cashiering the repair order printout had not included the Date In or the Closed date. These have been added. Import Dealer SRP Part Prices to BMW RSD BMW dealers can now export their standard retail price information to a file that can be imported via BMW s SRP utility into their RSD program for more accurate estimates. For first use there is some setup required. After the initial setup you can run a download from Lightspeed to import updated pricing into the RSD program whenever needed. Note: You must have the BM supplier set up and also have the BMW price book loaded for the BMW SRP Prices Export function to appear on your Service menu. Go to Help in NXT and look in the table of contents under Third Party Integrations BMW SRP Prices Export to RSD for details. Service Fixes Invoice to RO Fails upon Link Fields Error but Parts are Applied If two or more users applied transactions to the same repair order at the same time it was possible to receive a...link fields must be unique error. This would result in the parts being sold to the repair order but no invoice being created. Support intervention was then needed to correct the error. This has been fixed. Expired Customer Discount Applied when Customer was Imported from History When a new RO was started by importing customer information from a previous RO in the History lookup the customer discount expiration was not being checked, so an expired discount could be applied. The discount expiration is now checked when importing from history. Could Not Create Variable Report for Standard Jobs An error message would be displayed when trying to create or edit a report after accessing the Service Lists Standard Jobs function and then clicking the Report button. 15 SALES Adverse Action Form Available An Adverse Action form has been added to the standard forms list in the Sales Forms menu. This form can be used for customer disclosure when a credit check has resulted in an adverse action by the dealership. Sales Fixes CVR Information Exchange Did Not Include Engine Number, Middle Name Engine Number: The information provided to CVR from Lightspeed did not include the engine number when it was present in the Lightspeed unit record. This has been fixed. Middle Name: If the middle name is required it must be entered in the deal Buyer Information screen under Personal Information. This allows the middle name to import, but users need to understand that it is taken from the Personal Information section in the deal Buyer Information screen, not from the customer record. The customer record includes only the initial. CEM Deal Import to Sales Did Not Pull Salesperson When a deal from the CEM module was transferred to the sales module the salesperson would show as the logged in user rather than the salesperson listed in the CEM deal. This has been fixed. Trade Allowance and Commission Not Correct with Multiple Trades The trade allowance was displayed incorrectly in deal profitability and the commission calculated incorrectly on trade-in profit when there were multiple trades taken against a unit in a deal. This has been fixed. Unit Tax Template has Alphabetized Tax Category Selections When setting up unit tax templates the tax category selections in the drop-down list had not been alphabetized. They now display in alphabetical order. Form Default Selection was Print Size The default position when accessing the print forms function was print size, which often resulted in unexpected size changes. 16 ACCOUNTING Accounting Fixes Total Accounts Not Updated in GL Inquiry after Posting After posting journal entries the detail account amount was updated, in the inquiry but the associated total account amount was not updated until the Re-Total was run on the GL or a GL report was generated. This has been fixed. EOD Verify Items Not Posted was Missing Some Items Deals that had been finalized and then unfinalized were not showing on the Verify Items Not Posted report while unfinalized. This has been corrected. Backdated invoices with negative amounts were not showing on the report. This has been fixed. AR Running Balance Not Matching Total Due after Running Housekeeping If an error occurred while running AR Housekeeping a mismatch could occur. The table updating is now better synchronized to avoid having this issue. Issues While Posting Could Cause Imbalance If a terminal locked up or crashed while posting, the ending balance of the account that the entry was affecting could be off from the running balance by the amount of the entry and the trial balance would then be out of balance. The system now handles these situations. Error Voiding Checks or AP Invoices When voiding checks or AP invoices, selecting and voiding the last item after scrolling the list would often cause an error message to appear and the void would fail. This has been fixed. Changing Schedule Type of an Account had been Allowed It had been possible to change the schedule type on a schedule account after the Schedule Conversion had been run. This would cause the reconciliation report to show out of balance. The schedule type can no longer be changed after applying the schedule conversion. Journal Entries for Warranty Claims had Date and Time Journal entries from warranty claims included both the date and time, when only the date should have been included. This could cause the AP Aging report to miss warranty items from the specified date range. The warranty claim journal entries now include only the date. Payables Invoice Reporting Not Showing Dated Invoices When running a variable report to show dated invoices none were shown even though they did exist. This has been corrected. Check Number Committed before Cancel Could Not be Reassigned If check printing was canceled during printer selection the check number had already been committed. There is now a Printer Setup button on the check printing screen that allows you to complete the printer selection before committing the check. 17 Lightspeed NXT Clearing Account Off by a Penny It was possible for the clearing account to be off by a penny due to a difference in tax calculation between the original invoice and the tax calculation when a special order was picked up. This has been fixed. Changing Unit MU Category Made no Entries for Sold Parts and Labor Changing the unit Make, Class, or New/Used status such that a different GL inventory account applied did not generate entries to move sold parts and labor totals to the new account. The Major Unit Inventory account reconciliation would therefore not balance. This has been fixed. Quick Search Not Working from Chart of Accounts Detail Screen In the Chart of Accounts or Inquiry detail screen the Search field would sometimes not properly accept or process a new search entry. This has been fixed. AR, AP and MU Reconciliation Reports Took a Long Time to Run The AR, AP and Major Unit Reconciliation reports could take an hour or more to process. 18 APPENDIX Installing the Virtual Channel for Windows Printing The new capability for Lightspeed to use the Windows printer selections from your client workstation is available only if the Virtual Channel software is installed on the client. For many client workstations it is already present, such as in Hosted dealerships, or non-hosted clients that have credit card or pole display functionality. How do I know if I need the Virtual Channel installed on my workstation? Step 1: After installing the Lightspeed NXT upgrade go to the System System Preferences menu and select the Workstation Printer Assignments screen. If you see any printers at all in the left panel your Virtual Channel installation is complete and there is nothing more to install. If there are printers listed here, your installation is complete, there is nothing more to do. Step 2: If there are no printers listed in the left panel but you do have Windows printers available on your workstation, then go through the following check list. If you are not using a Lightspeed Hosted system (you have a local server) and your client workstation is using a 32 bit operating system, go to the installation instructions below. If you are using the Lightspeed Hosted service (no local server) or your workstation has a 64 bit operating system, call support. Virtual Channel Software Installation 1. Access the website and log in with your dealership credentials. 2. Click on Support and select the VCsetup.exe link. 3. Download and run the VCsetup program. The install takes only a moment. 4.
