3 Appendix A - Employee Census Import Layout AG LOCATIONID Employee Location The agent creates this field when the Location is modified in AllApp. An identifier can be used in the Employee Location ID field on the first screen at the Employer Location screen. For example, there may be several locations: Jacksonville and Orlando. In the Employee Location ID, you might use JAX for Jacksonville and ORL for Orlando. In this case, either JAX or ORL would need to be in the Location ID of the census file, depending on where the employee works. 205

5 Appendix B - Electronically Import Employee Census To electronically import employee census, left click on Import. When the Import File Name window appears, navigate to where the census file resides. You will probably have to left click on the Files of type drop-down field and select All files (*.*) to see the file. 207

6 AllApp Help Manual (Version 5) Left click on the file name and then left click on the Open button. The next screen will be Employee Import. Here, you select the parameters that best meet the census file s format. It is strongly suggested that Comma Separated Values (CSV) file format, if possible. However, other delimited file types can be used. For help / instructions on file types other than CSV, please contact the AllApp Help Desk. By default, the Employee Import screen is setup for CSV file types. If the first row of the census file contains field names (which it should), left click on the check box. Left click on the Next button. 208

7 Appendix B - Electronically Import Employee Census If the census header of the file matches the database fields, they will automatically be mapped (see Sex in the above example). Otherwise, highlight the field from the Database Fields list box to the Import Fields list box that should contain the same data. For example, FIRSTNAME (Database Fields) and FN (Import Fields) should be left clicked (highlighted), then left click on the Set button. Repeat this process until all fields that are available in the Import Fields list box have been matched to the Database Fields list box. Note that in the Database Fields list box, the matching Import Field shows just to the right of the Database Field with an arrow pointing at the field (FIRSTNAME<-FN). Those fields that do not have a matching field show (None) in the Database Field list box. Likewise, for the fields that are matched, there is an asterisk (*) next to the Import Field (*FN) and no asterisk (Date_Acquired) for fields that do not have a matching field. 209

8 AllApp Help Manual (Version 5) For consistency, you can use the Employee Census Import Layout shown in Appendix A. By using this format, the fields will map automatically. This will save time without having to map each new census, field-by-field. The example below shows a census using the layout shown in Appendix A. To save the current mapping as a template (for reuse), left click on the Save Current Mapping as an Import Template button. (You must do this before preview.) Enter a name of the template file and save in the default location (i.e. C:\Fipsco Life Portraits\AHL). Then left click on the Save button. 210

9 Appendix B - Electronically Import Employee Census Next, left click on the Preview Import button. Important: Please preview each census that is imported and ensure the fields are mapped properly. If you do not preview and have mapped wrong fields (i.e. FIRSTNAME to LASTNAME), your census will be imported with the incorrect data in the wrong field. If needed, left click on the Return button and re-map the incorrect fields and preview again. Only the first 100 records will be pre-viewable. After review, and if you are satisfied with the results, left click on the Import Button. When import is complete, you will be taken to the Employee Import Confirmation screen. This screen will provide some detail on the success of the import. When complete, left click on the Return button. 211

10 AllApp Help Manual (Version 5) You will then be brought back to the Employees screen and can see the employees. If there is a need to delete certain employees, you can perform that action here by left clicking on the employee and then left clicking on the Delete link. When the message box appears, left click on the OK button to remove the employee permanently or left click on the Cancel button to cancel the delete action. When complete, left click on the Return button to return to the Locations screen. 212
