3 1 Introduction CPD Reference Manual Version 1.1 Welcome to the website controlling The Royal College of Speech and Language Therapists Continuing Professional Development (CPD) scheme. This website allows you to record and maintain details of your CPD activity. You should use this site on an ongoing basis, ideally entering one or two activities once a month. RCSLT has also produced a CPD toolkit, which provides you with tools to help you undertake work based CPD. The toolkit has a personal development plan (PDP), and a range of work based CPD activities, as well as guidance on the links with HPC and KSF. You do not have to use these forms if you already have similar forms from your trust, but you must complete a PDP every year as well completing the diary. The manual forms from the toolkit should be stored in your CPD portfolio, along with other evidence of CPD activity. Each piece of evidence should be recorded in this diary. From 2007, RCSLT will audit a sample of records against its Standards for CPD, and offer support to members as required. For more information on the Standards, see RCSLT s website and Appendix 1 in this manual. The diary allows you to keep records in a format that can be submitted for HPC audit purposes. We have also added a function which allows you to keep a record of how each CPD activity relates to the Knowledge and Skills Framework (KSF). You can show how you have progressed in relation to the levels in each dimension in your KSF Developmental Review. 2 Security For security reasons we recommend that you change your password after entering the on-line system for the first time. This can be done on the My Details tab. When creating a new password remember that passwords are case sensitive. You should type in the password in the exactly format that you require it, if necessary using upper and lowercase letters where appropriate. When you enter the password a string of asterisks (*) are displayed. It is suggested that you use a password that has letters of both cases and numbers. (Make sure to make it something you will remember easily) 2.1 Registering To register as an On-line member, follow the link from the home page (see Login section 2.2 below) to the registration page, enter your Surname, Membership Number (please include your full RCSLT membership number, e.g. if your number is RC006118, enter RC ) and address and click. 5 2.2 Login To login, enter your Membership number (just the number, not RC00) and Password (these are case sensitive) and click. If you have logged onto the system before, the following will be displayed: Premier IT Group 2005 Page 3
6 If you are logging on for the first time the My Details tab will be displayed: Your personal details must be entered into this screen. When moving from box to box (forwards) use the Tab key on your keyboard (or Shift + Tab to move backwards). The boxes marked with an * are mandatory and must be completed. Once all your details have been completed (or amended) you must click the button. will be displayed at the top of the screen. NOTE: You can edit your personal details at any time by accessing the My Details tab. Premier IT Group 2005 Page 4
7 2.3 Reset Password CPD Reference Manual Version 1.1 If you have forgotten your login details, you can get the system to reset your password for you. Click on the reset your password link on the login screen. You will be prompted for your Surname and Membership Number. A new password will then be sent to your account. NOTE: Your password can be changed at any time using the option at the bottom of the My Details screen. 2.4 Log Out To log out of the CPD system click the button located in the top right-hand corner of the screen. When you log out, the screen will revert to the login screen. NOTE: You will be logged out automatically if the system is left idle for some time. When you attempt to go to one of the pages in the CPD, you will be returned to the Login page and the following message will be displayed: Premier IT Group 2005 Page 5
8 3 Working with the CPD Diary 3.1 Viewing the Diary Page To access the Diary page click on the tab. The Diary page shows all events/activities for the selected date. The activities are colour coded to indicate the following: All Events (Office Approved Activities) that will contain a number of activities are listed in Green. Any activities you are signed up for are listed in Black. All CPD approved external activities are listed in Purple. Premier IT Group 2005 Page 6
9 For the moment, RCSLT has no CPD approved activities, so all your entries will be in Black. 3.2 Select Diary dates To view specific months in your diary, select the month and year from the drop-down options provided. Click on the button. 3.3 Viewing Office Approved Activities If you wish to view your diary for only the activities you have entered into your diary and not events/activities that have been entered by the College for information purposes select Hide, from the drop-down arrow, otherwise select Show. Click 3.4 Swap Diary (Year) This option will only be displayed when the current 5-year diary is coming to a close. To choose a different diary, click on the drop-down arrow of the Choose your diary field and select the appropriate diary. The start year of the 5-year diary will be displayed in brackets, as shown below: Click Premier IT Group 2005 Page 7
10 3.5 Assign an Activity to your diary Different types of activities can be added to your diary. You can add your own Personal Activities to your diary with details of dates, times, venues, purpose and so on. These can be edited and deleted by you at any time prior to the event. The College will eventually provide a list of External events and Office Approved Activities for you to view. Any of these activities that interest you can then be added by you to your diary. It is possible for you to remove these from your diary, but you cannot edit or delete them. For more information on assigning (in other words adding) an activity to your diary see Section 4.1 on page Add a Personal Activity to your diary Click on the Add Activity link to access the following screen: Enter a title for the activity in the Title box. Using the drop-down arrows select the appropriate Date (and time if relevant) for the activity. Select the appropriate Category (These correspond to HPC s categories and descriptions are listed below the field). See Appendix 2 for a full list of activities which correspond to the HPC categories). Specify whether the activity is Mandatory or not Click. It will display a message to indicate that the activity has been added successfully: Premier IT Group 2005 Page 8

12 To check the activity is in your diary, click on My Diary. The activity should now be displayed: NOTE: This can be edited at any time by clicking on the [edit] option unless the activity has been locked Assign an Event/Office Approved Activity to your diary Follow the instructions in Section 3.3 on page 7 to show the Events/Activities available to you in your diary. At the moment RCSLT does not have office approved events, but it will do in the future. To assign an event/activity, click on [event details] for the event. The following will be displayed, showing the details of the event and the activities that are associated with it: Premier IT Group 2005 Page 10
13 In the Activities section select the activities you wish to attend by clicking add. The following will be displayed at the top of the Event Details screen, confirming it has been added to your diary: The following information will be displayed at the bottom of the Event Details screen: The remove link can be used to remove this activity from your diary. 14 3.6 Editing an Activity CPD Reference Manual Version Editing a Personal Activity Use the [edit] link to return to the Edit a Personal Activity screen to make changes. Make the changes required and click on Editing an Event/Office Approved Activity in your diary It is not possible to edit an Event/Office Approved Activity. This can only be done by the College. Once you have added the activity to your diary the [event details] link will disappear and will be replaced by a [remove] link. Use the [remove] link displayed next to the activity in the diary to remove the Event/Office Approved Activity from your diary. The following message will be displayed: To view the details of the activity, click on the Name of the activity in the diary. 3.7 Reviewing an Activity Simple attendance at a meeting does not signify that any professional development has occurred. Reviewing an activity is the allocating of hours and the input of comments. Select [review] from the appropriate Event. The following will be displayed: Premier IT Group 2005 Page 12
15 Enter details of what was Learnt and any other Comments as well as how your activity relates to the KSF dimensions. There is a table which shows you the links between HPC CPD activities and KSF dimensions. Select the appropriate number of Hours you wish to allocate the activity. 16 4 Working with the Events / Activities Some of the things which we have done through the CPD Diary can also be done using the Events / Activities tab. Events / Activities can be divided into the 2 sections: Personal Activities and CPD Office Approved Activities. To create, edit or list Personal Activities and CPD Office Approved Activities click on the tab. The following will be displayed: Premier IT Group 2005 Page 14
17 4.1 Adding Activities CPD Reference Manual Version Adding New Personal Activities Any activities undertaken by you that are not in the Office Approved list of Activities / Events (see Section 4.2 on page 21 for more information) should be added to your Diary. To add an activity onto your diary, click on the Add Personal Activity link The following will be displayed: Enter a title for the activity in the Title box. Using the drop-down arrows select the appropriate Date and time for the activity. Select the appropriate Category (descriptions are listed below the field). Specify whether the activity is Mandatory or not Click. It will display a message to indicate that the activity has been added successfully: Premier IT Group 2005 Page 15

19 The activity should now be displayed: NOTE: This can be edited at any time prior to the date of the activity by clicking on [edit] List my Activities This will display a list of all your activities/events, and will allow you to review and remove entries if required. To view a list of your activities/events, click on the List my Activities link. The following will be displayed: Premier IT Group 2005 Page 17
20 You can choose to view the details of an activity/event whether in the past or future by clicking on details. You can choose to edit an activity/event that has not yet passed, by selecting edit. NOTE: Past activities/events (those before your latest certificate print date) are locked and therefore cannot be edited, only reviewed. You can choose review of an activity/event that has passed by clicking on review. To see the details of any Office Approved Activity (in our example above this is the [Speech & Language 2005] seminar on the 21 st July) which you have added to your diary, click on the name of the event. To remove any activities/events tick the checkbox next to the activity/event and then click on the button. NOTE: Personal activities will be deleted permanently from your diary, but external Office Approved Activities will only be removed, and can therefore be re-added later if required. To sort by a particular field, click on the arrows next to the field. NOTE: Removing an activity/event will permanently delete any notes and hours you have added. Premier IT Group 2005 Page 18
21 4.1.3 Special Circumstances If you have had an extended period of sickness, maternity leave, or absence from work, you should add a note to explain this View a list of your Special Circumstances notes Click on the Special Circumstances link. The following will appear at the top of the review screen, to indicate the update has been successful: To return to your Notes click. 4.2 Office Approved Events / Activities Adding Office Approved Event Activities to your diary All Events (and their Activities) have been entered on to the system by the College, and will not be assigned to your personal diary by default. It is up to you to add any events/activities that you are interested in, to you diary. It is best to search for events using the following method rather than checking each month on the diary page. 24 Click the arrow to display a drop-down list of Events to choose from: Click. The details of the event will be listed To assign this event to your diary, in the Activities section click add Listing Approved Activities by Year You can simply list all approved activities for any given year, by selecting the year from the drop-down box and clicking. 25 5 Hours Reports CPD Reference Manual Version 1.1 This section will indicate the categories and the hours that have been accumulated up to the current date. To access the Hours Report page click on the tab. The following will be displayed: It is not possible to show or print the certificates until you have reviewed and allocated hours to all activities up to and including today. The lower part of the Hours Report screen will then allow you to continue and to view the certificate: Read the instructions carefully before proceeding Premier IT Group 2005 Page 23
