3 1. Purpose The purpose of this manual is to provide an overview and step-by-step instructions for the use and management of the Delegation application in the echn Portal. 2. Acronyms, Abbreviations, & Definitions Term Active Authorizer Delegate Delegation Pending Support Staff Definitions A status within the delegation application which indicates the currently approved delegates. An echn portal user that is a regulated health care provider in good standing with their associated licensing college in Ontario. Person who have been granted permission by an Authorizer/s to create and manage referrals using ereferrals application in the echn Portal. The act of extending one s professional authority to a designated individual for the purpose of support in providing patient care. A status within the delegation application which indicates support users that are waiting for delegation approval. Any member in a supporting role to the authorizer. Version: 1.0 Page 2 of 8

Delegation Management for Authorizers (Note: delegation is facility-based and will be based on the facility you ve selected upon your log-in session) 3.1 How to create a delegation 1) Once you are logged into your account and have reached the main menu, click on Delegation management. To delegate rights to a support staff within your facility click + New Delegate. 2) You will be prompted to search for the delegate by Search by Name or View All Users from Facility. 3) Once you have found the delegate using your preferred method of search, click the + under Add Delegate to provide rights to your support staff. 4) You will be prompted to the edit menu. Ensure ereferral is checked and click Submit. *Note: You can add an expiration date for the support staff s access to echn. 5) Delegation is now complete. Version: 1.0 Page 3 of 8
5 3.2 How to delegate, remove and edit delegation Once delegation is requested you will receive an echn - Delegation has been requested. 1) Once you are logged into your account and have reached the main menu, click on Delegation Management to access the delegation application. 2) Delegation management will open another window where you will be able to see Requests pending approval. You can accept or reject requests from support staff in your facility. Note: If you have more than one facility on your account which require delegation, please change your facility on the log-in menu and continue steps 1 through 4. See next page for picture. 3) Once delegation has been provided, Requests pending approval will disappear. The support staff will be under My active delegates. To remove the support staff from your My active delegates, simply click on the X under Remove. See next page for picture. a) Optional: If you would like to edit Referral rights for your delegate, click edit. This will give you the option to create an Expiration Date for the support staff s access to echn. You can also temporarily disable the ereferral ability for your support staff by unchecking ereferral. 4) Delegation is now complete. See next page for picture Version: 1.0 Page 4 of 8

Delegation Management for Support Staff/Non-Authorizers (Note: delegation is facility-based and will be based on the facility you ve selected upon your log-in session) 4.1 How to request Delegation 1) Once you are logged into your account and have reached the main menu, click on Delegation Management to access the delegation application. 2) Users will submit requests on this page by clicking on New Request. You will be prompted to Search by Name OR View All Users from Facility. 3) Once you have found the appropriate individual using your preferred method of search,, click the + under Request Delegation to request delegation from that specific user. 4) You will then be taken into another screen which displays the name of the inidvidual who the user has requested delegation from, an expiration date for the rights of the user and when they expire and a box to check off ereferral. 8 The user will be required to check the ereferral box in order to request delegation. 5) Once the user requests delegation, the following screen will appear with a status of Pending. Once a New Request has been made, an is sent to the Authorizer notifying them that there is a pending request for delegation and to log in to the echn Portal in order to approve and fully activate the user s account. If an error is made in requesting delegation, this request can be removed by selecting the X under the Remove field. 6) Once the delegation has been approved by the Authorizer, the table in Delegation Management will update itself and the chart below will now display the individual who delegated authority to the user as is displayed below. Once the Authorizer accepts the request, the user will be sent an notifying them that the Authorizer has accepted the request and their account is now fully active (See Appendix Figure 1 for received). To request delegation from other individuals, repeat the steps listed on the prior pages, steps 1-6. Version: 1.0 Page 7 of 8
9 4.2. How to view Delegations 1) Once you are logged into your account and have reached the main menu, click on Delegation Management to access the delegation application. The user will be taken to a list displaying two tables: 1. List of people who delegated me as requests are accepted by the Authorizer, this chart begins to populate itself with the Name of the Authorizer, expiry date (if inputted) and check mark under ereferral. 2. My delegation requests status as requests become Active from a Pending status, the My delegation requests status table transfers the information to the List of people who delegated me table.
