3 Accessing Learning & Development Online The primary method of enquiring about training options is through the Learning & Development Online portal, which is available 24 hours a day, 7 days a week. All Sanofi employees have access in this training portal to their personal learning account this contains all the details of training that they have attended in the past and are booked on for the future. Access to the training portal is available through the Sanofi Intranet or going direct in a web browser to Page 3

4 Logging into Learning & Development Online The purpose of logging into Learning & Development Online is to access the catalogue to view Sanofi on-line booking prices which are discounted only when booked on-line. It is possible to browse the catalogue without logging in, but just the training suppliers standard list prices are shown. First time users First time users need to obtain their password via Learning Account tab in the portal. Once you are in in Learning Account page you need click Send Password in the section New Customers (Request your password). Enter you work address and click SEND PASSWORD If you are found within the database (obtained from your HR department) your password will be ed to your work address. When you first login you will be prompted to change your password, the password will need to confirm to the Sanofi password policy. Page 4

5 Existing users Existing users type their address and password into the relevant fields on the log in page. Facilities exist for re-issuing a forgotten password, where your password is ed to you directly on request Page 5

6 Searching the Catalogue There are two options for searching the catalogue: 1. The course finder option enables training to be searched for by typing a key word of the course name into the search box, and selecting the go button This facility is not case sensitive, but will search for an exact match of the text in the course title or the course code of the items in the catalogue. A more effective search can be performed by typing a general selection for example manag will retrieve courses with both management and managing in their titles. 2. The browse catalogue option displays the training options grouped into categories, these categories are subdivided into further categories. Some folders open a new browser window. Courses in the catalogue After browsing or searching the catalogue it will display the selection of all relevant training options from approved Sanofi training providers. In-House Events When selecting a course, please give priority to your selection of course in the following order: These are Sanofi only courses that may also have been designed specifically to meet our business needs and are the most cost effective. Courses that do not display the IN-HOUSE icons should be only booked if the above course type doesn t meet your requirements. All Sanofi In-House events will be listed first in any results following a search or browse see below for example of how this is displayed: Page 6

7 Training Booking After using the catalogue for a search, the portal will display the selection of all relevant training options from approved Sanofi training suppliers. Page 7

8 Can t find what you are looking for If you cannot find a course or dates of a course in the catalogue then you can click on the Can t find what you are looking for? link below the search functionality. This link takes you to a form (Course Enquiry - show below) asking for more details, once submitted this is sent to your designated learning services team who will respond to your query. If you are not logged into the portal then this link will send an to your designated customer services team. Page 8

9 Training Selection From the selection of available training courses, you may be presented with a number of icons details of what these do are shown below: The view details icon gives the full description of the training event, its objectives and benefits. The COURSE ENQUIRY icon displays the enquiry form prepopulated (When the user is logged in) with the user and event details. The view dates icon will show all available dates for the event and its locations. The list may be further filtered by either date or location. Note, view dates are only available where dates are available for that particular event. Page 9

10 The view address icon displays the event information; there is also a link to view map of the location from this page. The BOOK THIS COURSE icon will be displayed when viewing events, when clicked will take the user directly to the checkout screen for booking the selected course. Page 10

11 Checkout Process The checkout process within the Learning & Development Online catalogue processes the contents of the shopping basket to complete the booking. Validate Basket View Order - This screen validates the data and allows you to select or amend the date. Courses can be removed if not required, or further courses added. The validation function will also check for errors such as duplicate bookings on the same event. Terms and Conditions This screen displays the terms and conditions as agreed as part of the setup process Finished At the end of the process, the screen will show the final booking with its KnowledgePool order number. Your order is now awaiting the result of an approval process. You will be notified of the status of your order during this process. Your booking will also appear in your Learning Account where you can check on the status at any time. Page 11

12 Learning Account Home page Your Learning Account (see below) shows all the details of training that you have attended in the past and are booked on for the future. Evaluations Once you have attended a training event you will be asked to complete an evaluation form. You can do this by clicking on the complete evaluation form icon, which will take you to the form: Page 12

13 Learning Process This process covers courses available to any employee of Sanofi. The process shows how to book courses listed in the Sanof/KnowledgePool Catalogue. The process flow is as follows:. 1) The delegate logs onto LiveBooker. 2) The delegate then locates and selects the required course/event. If the event is not in the catalogue, the delegate selects the can t find what you re looking for button and completes the information which is forwarded to KP Learning Services (alternatively the booker may phone if, for example, they want to discuss their requirement) Assuming a suitable course can be found, it (the course/event) will be added to the catalogue and an (containing the relevant URL) is sent to the delegate after which they can proceed from (b) again i.e. log onto LiveBooker and select the course 3) The delegate s manager receives an containing a URL requesting authorisation 4) The delegate s manager selects the link which directs them to the LiveBooker authorisation page (no logon required). They may authorise or reject the booking request. There is a text box to add additional information which is pre-populated with If you have rejected this booking request, please provide reason(s) which will be forwarded to the requestor (overtype this text.) When text is entered, the delegate receives an containing the same 5) Joining instructions will be sent 14 days before the course or immediately if booked with 14 days 6) The delegate attends the event 7) KnowledgePool completes course attendance. 8) After the course, an invitation to complete a level 1 online evaluation will be sent to the delegate. A reminder will be sent 1 week later 9) Invoices are sent to the designated contact for the account as designated to the participant. This is based on region or country. Page 13
