1 Getting started On first logging in to eorder you will be prompted to choose Online or Offline mode Choose Online mode is when your Tablet/Laptop/PC is connected to Internet via your mobile phone or Wi-Fi which means the eorder system is in Live state NOTE: You must remain connected to internet for Online mode to work Choose Offline mode when you are going to be in an area with no Network Coverage You will need to connect to the internet to get started. Login and choose Offline, this will start downloading information to your device. Do not disconnect until the data synch has completed. You can now use eorder in Offline mode where you don t have Internet connection. Note you must not close browser after download has completed.
2 Selecting a customer Select your depot form the main landing page you will be brought to the full list of customers for your Depot.
3 You can use the search option on top right to search by Account Code, or by Name. Select the customer you wish to place the order for and select Confirm. Please ensure the account code displayed on the confirm screen is correct. You will now be brought to the shopping page to start placing orders
4 Start Shopping A selection of current promotions available in this depot are highlighted on screen. From this page you can easily access: 1. Shopping Page 2. Previous orders 3. Held Orders 4. Quick Order 5. Upload Order These are the channels provided to allow you to add products to your basket. This gives you flexibility and each channel can be used in isolation or any combination that suits you and your business.
5 1. Shopping Page To start adding products to you order click on the Menu icon or Shopping Page tab to reveal the product filters. Use the Menu to drill into the product range. Use the search feature on top of screen by entering Product Description or Product Code. Filter by Top Sellers / Own Brand / Promotions / My Products just by ticking the relevant box. Filter by product department and categories.
6 Filter by Planogram, choosing your Store Type, Category & the planogram layout. Planograms will display in the main shopping page with the planogram products visible underneath In Kilshane Cross you have an added option to filter by Supplier Once you have selected how you like to display your product choices just click the Apply Filters to display your results in the Shopping page. Use the restart button on the menu to reset the filters and start again
7 Adding products to your Basket Use the + or - buttons or type a quantity View the order running total order value and product count
8 2. Previous Orders View Previous Orders will show your last 12 orders or 3 weeks of orders. Choose the order you want by choosing View Contents, this will display the previous orders. You can choose to copy a full order to your basket or Add individual items from a previous order to your new order On completion you will be brought to the checkout screen from here you can choose to continue shopping or proceed to checkout. 3. Held Orders Held Orders will display any order you have held at the checkout stage and allow you to recover these orders to the basket and continue shopping. Any held order can be recovered from any device irrespective of the device you started and held the order on i.e. any desktop, laptop or tablet device. On completion you will be brought to the checkout screen from here you can choose to continue shopping or proceed to checkout.
9 4. Quick Order Use the Quick Order tab to quickly add products to the basket using the BWG product codes if known 5. Upload Order This feature is for all users who have been issued with a BWG eorder Scanner. If this is something you may be interested in please contact your local sales rep. The following steps describe the process required to use the Upload Order function o Open the KTSync icon on PC o Connect the USB cable into the scanner and the following message will appear. o o Select the Upload tab on eorder Choose file and browser to the file Location ( C:\Temp), highlight the file you want and choose Open
10 o o o Select the Upload button. This will now upload the products into eorder. Invalid lines are highlighted in red and will not be copied into basket Choose Save to add the valid lines to your basket The products are now in your order, select Checkout to complete your order or Shopping Page to continue shopping
11 Submitting your order Select the Checkout button on right, and review the contents of your basket. You can amend the product quantities here, once you are happy to proceed, select Continue to Checkout. Confirm the address and enter a PO number (optional) and submit the order. Please note the address entered here should be the customers . The order will transmit directly to the selected depot and will be fulfilled in line with agreed delivery policies. Both the customer and the rep placing the order will receive a copy of the order on submission.
12 How customers access eorder Existing customers will access eorder by one of 3 methods 1. Extranet Extranet These are symbol customers only who are linked in Accord back office to a Central Billing account code. Symbols include XL; SPAR; MACE; EUROSPAR; SPAR Express The customer will logon to their extranet site, select the BWG Ordering tile, click on the eorder logo and seamlessly load the depot selection page. There is no requirement to provide these users with a username and password. Access to the extranet is all that is required.
13 2. Valuecentre.ie and 3. BWG Foodservice.ie These are customers who are not linked to Central Billing and must be registered manually. 1. On the customer selection screen select the Register button 2. You will be prompted to enter an address. This address MUST be the customers as this will be the customer user name for logging in to eorder. 3. You must also choose whether the customer is Foodservice or Value Centre. This will determine which website the customer will use to access the site. Foodservice customers will only see branding associated with BWG Foodservice. Value Centre customers will see Vale Centre branding only 4. The address entered will be checked on the database.
14 a. If the address is not already in use you will be asked to confirm the details and register the account to that address. b. If the is already in use you will be presented with the details of the accounts already linked to confirm if you wish to continue. 5. When you register new account or Join retailer to this user the customer will receive an prompting them to reset their password.
15 6. Once the user has created their account they must login via the branded web page you specified. Please note a customer registered for eorder as a foodservice customer will not be able to login via Value Centre site and vice versa.
16 New Customers New customers may try to access eorder from or These customers will be prompted to fill in a form and select a preferred BWG depot. The selected depot will receive an with the entered detail. The branch staff must then determine if this is an existing customer to be registered for a login as per the previous section or if this is a new customer to the depot. When it is determined that the request is from a new customer then the normal procedures for handling new customers should be followed. Once the account is created on Accord back office the customer access method can be determined: If the new customer is linked to central billing then no further action is required. The customer will have access to the new depot following a nightly update. If the new customer is to access the site via or then the new account will be available in the eorder select a customer screen the day after the account creation.
