1 When creating a Behavior Event, you only need to create one event and then add additional people involved. Method 1: Creating a Behavior Referral using the Behavior Module Note: Using this feature the student you select will automatically be defaulted as the offender. This can be changed later. This method does provide you with all contact information for the individual on the Referral screen. 1. Expand Behavior on the Index tab 2. Select Behavior Referral 3. Search tab opens-enter the student s name, typing last name comma first name. 4. New behavior referral form appears with student information 5. In Behavior event section: (All red fields must be completed) a. Choose the appropriate staff member b. Enter the date the infraction occurred (defaults to today s date) c. Enter the time as reflected on State Discipline Form. (Note: defaults to current time) d. Select staff member reporting referral e. Select the event type f. If the event is classified as Possession of a Firearm/Explosive (13), you must select the type of weapon that was involved from the drop down list. This is required by the State. g. Select the Behavior Event Location from the drop down list. This is a mandatory field. h. Optional: The Violence indicator is used for state and federal reporting. i. The Comments field is used to provide more information about the behavior event. This information comes from the State Referral form. Principals can enter additional information. Other involved students should not be mentioned by name to protect privacy. j. Optional: Notify field allows you to send a notice to a selected individual s inbox. To select more than one person, hold the control key while selecting. k. Click Save. The screen refreshes and all fields are blank. 6. Click Student Information- General (This opens to the summary tab for the student you are currently working with) 7. Click Behavior tab 8. Select the student s name under the behavior event in progress 1 October 7, 2010
2 9. Click New Resolution 10. Click Behavior Resolution Matrix button 11. Once you are finished with this section, the Behavior Referral is not complete. Please continue the process by following the procedures listed under Behavior Resolution Matrix. Method 2: Creating a Behavior Referral utilizing the Student Information Module. 1. Click Student Information 2. Click General 3. Search tab opens-enter the student s name, typing last name comma first name. 4. Click Behavior tab 5. Select New Event 6. In Behavior event section: (All red fields must be completed) a. Choose the Event Name from the drop down window b. Enter the date the event took place (Note: defaults to current date) c. Enter the time as reflected on State Discipline Form. (Note: defaults to current time) d. If the event is classified as Possession of a Firearm/Explosive (13), you must select the type of weapon that was involved from the drop down list. This is required by the State. e. Select the name of the person dealing with the behavior event from the Behavior Admin Staff Name dropdown list. f. Select from name of the person who reported the event from the Referral Name dropdown list. g. Select the Behavior Event Location from the drop down list. This is a mandatory field. h. The Comments field is used to provide more information about the behavior event. This information comes from the State Referral form. Principals can enter additional information. Other involved students should not be mentioned by name to protect privacy. i. Select the Role for the student in the behavior event. j. Optional: Enter a number of demerits assigned to the behavior event. This is a four-digit numeric field. k. Optional: Enter any clarifying comments in the behavior role. Remember, other involved students should not be mentioned by name to protect privacy. 7. Click Behavior Resolution Matrix button 8. Once you are finished with this section, the Behavior Referral is not complete. Please continue the process by following the procedures listed under Behavior Resolution Matrix. 2 October 7, 2010
3 Behavior Resolution Matrix In order for the matrix to work properly, all events must have resolutions before adding any additional events. 1. Select a Resolution for the event by marking the checkbox in front of the appropriate Suggested Resolution. More than one resolution may be selected. (M- Mandatory, A=Next Progressive Intervention for Infractions O=Optional (Additional) at any Intervention Stage) 2. The Resolution Date and Time should be when this resolution will begin and the End Date is the day the student returns to class. If the resolution is one day in length, the Resolution Date and End Date should be the same (e.g. a one day suspension will have a Resolution Date of 3/30/2010 and an End Date of 3/31/2010). 3. Enter any clarifying Comments in the behavior resolution. Other involved students should not be mentioned by name to protect privacy. 4. Overrides are discouraged but may be selected for the Resolution after discussing with Central Office Staff. If a override is entered in the comments section make not of who you discussed the event with. Overrides are being tracked by Central Office Staff. 5. Click Save Resolutions when finished. Adding an Involved Student 1. While viewing the first offenders behavior events, click the blue event link for the event in progress. 2. Click Add Student 3. In the pop-up window, search for the other student that was involved. 4. Select the correct student from the search results by clicking on their name. 5. Select the Role for the involved student and any comments. These comments will be visible on the Portal for all students involved. Other involved students should not be mentioned by name to protect privacy. 6. Click Save Administrators must go to the involved student s behavior tab to complete the resolution process for this behavior event. 3 October 7, 2010
4 Editing Event and/or Resolutions Resolutions may be added, edited or deleted after the Behavior Resolution Matrix has been completed. 1. Select the event/resolution 2. For an event, make necessary changes 3. For resolutions, click Behavior Resolution Matrix 4. Make the desired changes or additions 5. Click Save (Resolution) Behavior Letter Wizard The Behavior Letter tool is used to create and generate behavior letters based upon a stored set of criteria. Letters can be printed for a given effective date or for a date range. Creating a New Letter 1. In the Behavior Module, click Behavior Letter Wizard 2. Click New 3. Create a unique name for the letter. 4. Choose whether Campus will search for dates based on Events or Resolutions 5. Optional: Select the Event trigger criteria from the dropdown list. Selecting Any Event will include all behavior events which meet the criteria and date range entered. 6. Optional: Select the Resolution trigger criteria from the dropdown list. Selecting Any Resolution will include all behavior resolutions, including unresolved events, which meet the criteria and date range entered. 7. Optional: Select the Role trigger criteria from the dropdown list. Only students with this role assigned will populate the letter based on the criteria and date range entered. 8. Optional: Enter a count. This is the number of times a student must have the specified behavior event, resolution or role combination occur from the star of the calendar year to the effective date, or last day of the date range. 9. Additional trigger criteria may be added by selecting Add Criteria. 10. Select the events that will be pulled into the Discipline Summary Report. All events matching the criteria from beginning of the school year through the date selected when the letter is printed - This will pull all events of the type selected with the resolution and role specified from the beginning of the calendar year to the last day in the date range entered. 4 October 7, 2010
5 Show triggering event only - This will only display events which triggered the count date criteria to be met. All events of any type from the beginning of the school year through the date selected when the letter is printed- This will display all behavior events which occurred from the beginning of the calendar year to the effective date entered or last day within the date range entered. 11. Select which information to include within the Discipline Summary Report by marking the appropriate checkboxes. 12. Click Letter Format Creating Letter Text This editor allows the user to create a form letter using a variety of tools and data elements. In addition to the standard word-processing options, the editor allows the following options: Links: insert a website or image links in the letter ( ) Images: that are stored on a web server or are accessible via the Web can be inserted into the letter. ( ) Tables: can be added to the letter using the table ( ) icon. Campus Fields ( ): may be added to the letter to create a mail merge. A new window will open that will show all fields that can be inserted. When a specific field is clicked, it is placed in the body of the letter where the cursor is located. Most frequently used fields: o Demographics: Student first name, student last name, age, grade, etc. o Behavior- Behavior Event Detail: role, comments, resolution, resolution start/end date, staff name, etc. o Census: household name, addresses, phone number, etc. Campus Sub Reports ( ): (pre-formatted tables of data) can be inserted. A new window will open showing available sub-reports. o Behavior: Discipline Summary Creating the Behavior Letter 1. Ensure that the letter name is correct. 2. Begin typing the letter within the box. 3. Select the appropriate Campus Field to include in the letter. Once the field has been added to the letter, you have two choices if you need to add more fields: Continue adding all necessary fields which will add them one behind the other with no spaces Close out of the window, place cursor 5 October 7, 2010
6 where the next field is needed, open the Campus Field window again and select the next field 4. Select the appropriate Campus Sub-Reports to include in the letter. Users are encouraged to select the Discipline Summary report. 5. Select a User Group from the Organized To dropdown list. Only users included within the user group selected will have rights to view and use the letter. If User Account is selected, only the user creating the letter will have rights to view and use the letter. 6. Click Save Format Printing Behavior Letters 1. Select Behavior Letter Wizard 2. Select the letter from the Saved Letters window. 3. Letters can be run for either an Effective Date or a Date Range. Effective Date: a letter will generate for each student who met or exceeded the trigger count for the specified criteria on this day. Date Range: a letter will generate for each student who met or exceeded the trigger count during the date range entered. This includes the first and last day of the range. 4. Select the Sort Option preferred. Student Name: Printed letters are alphabetically ordered by student name. Zip: Printed letters are ordered in numeric order by Zip code. 5. Select a Letter Format Addressed Form Letter will make the Salutation Line field appear. Letters generated with this option will print in the mailing letter style and fit in the standard window envelopes. Blank Form Letter will print as a standard form letter with no formatting used for direct mailing purposes. Choose this option to print on school letterhead. Remember when creating a letter with the intent to run the blank form, you need to leave enough space at the top to avoid printing on the school letterhead. 6. Click Print Letters Editing Saved Letters 1. Select the letter from the Saved Letters window. 2. Click Edit 3. Make any necessary modifications then click Letter Format 4. Make all appropriate modifications to the body of the letter and select Save Format. 6 October 7, 2010
7 Creating Event Reports 1. Click Behavior on the Index tab. 2. Click the plus sign next to Reports 3. Click Event 4. Choose the Date Range of events you would like to include 5. Choose the Event Type to include in the report. You can leave it on the default as All or you can choose the specific events from the list on the right. To select more than one event type hold the Control key and select each type you want to include. 6. Staff members is set to All. You can choose to include only specific staff member(s) that have submitted referrals. 7. Involvement Risk is set to All. If you choose to have only specific roles included in this report than you can select the appropriate roles. 8. Determine how you want the records to be grouped. a. Staff: will only generate a report with the administrators name, the types of events they have resolved and the number of events they have resolved. b. Staff w/student: will generate a report with the administrators name, the event type and all students involved along with the date and time of the event. c. Event Type: will generate a report categorized by events including the students names that were involved, and the date and time of the event. d. Student: will generate a report listing the students name with each event they were involved in. This does not include any resolutions. 9. Click Generate Report Creating Resolution Reports 1. Click Behavior on the Index tab. 2. Click the plus sign next to Reports 3. Click Resolution 4. Grade: default is to include all students. You can select specific grade levels by clicking on each grade level needed. To include more than one grade, press Control and select the individual grades. 5. Choose a Report Type a. Summary: provides a list of students names, their student number, grade level, resolution count and event count b. Detail: provides a list of students names, the event & resolution date and time, list of event/resolutions, Administrators name that handled the situation 6. Optional: Resolution Date Options- This field allows you to set a date range by either setting a start date and/or end date. 7. Optional: Event Entries- allows you to set a minimum number of events students were involved in or a maximum number of events students were involved in. 8. Choose Sort Options: number of events (descending), student name, grade & name, grade & number of incidents 7 October 7, 2010
8 9. Choose which types of resolutions you would like to include in the report. All resolutions are defaulted. To remove any resolutions from the report, uncheck the box in front of that specific resolution. 10. Click Generate Report 8 October 7, 2010
