1 MAGIC System - Tasks Functionality This newly deployed functionality will allow you to utilize MAGIC to help with your workflow. There are two important aspects - setting a task for follow up and Review before Renew functionality. This document will provide full details as to how you may best utilize this functionality. The tasks available are: General - This can be used to set up a reminder to follow up on a policy for any number of reasons, such as: o Follow up on missing underwriting information. o Reminder to check on a pending endorsement. o Check if payment was received. o Follow up on a quote. o Any other reason you may want a reminder. Review Before Renew This function used to be in the drop down box on the transact page. It is now a task that you create. Examples of reasons to use: o Remove Policy Change endorsement. o Reminder to make policyholder requested changes. o Any other reason you may want a reminder to review before the renewal is generated. Policies with trips, claims, survey requirements, coverage notices, etc., will still automatically be generated and provided on the monthly Review Before Renewal list. General To create a task you simply go to the policy details page of either the quote or policy and click on the Add a Task button.

2 Once you have clicked Add a Task, a new screen will pop up called New Task. There are several fields you need to fill in to finish creating the task. Title This is just the title the task will show under. Task Type Either General or Review before Renewal. Due Date The date which you want to work the task. Description A short summary of what you want done on the due date. Assignee If you want to select someone to work the task you can select a name, otherwise, if you leave it blank anyone with the correct authority level can pick it up. Add Attachments If you want to add any attachments to the task. Once you have filled in the fields - click on the Create Task button at the bottom of the page and the task is created.

3 Review Before Renew Review before Renew tasks are a little different than General tasks. When you choose Review before Renew in the dropdown, it automatically populates a date which is based on the state requirement for a nonrenewal - plus 30 days. This task will still show up on your review before renew sheets that are ed to you. If you forget to complete the Review before Renew task, it will stay in your tasks until it is completed, but will not show up on the ed report again. Working Tasks Common Information After you create the task - click on the Tasks Tab at the top of the page between the Open and the Notifications button. This will allow you to see all of your pending tasks and their due dates. You can then work the ones assigned to you and those not assigned to a specific user. Leaving tasks available for pickup allows anyone in your office (who has the authority) to work them. If you assign a task to a certain person then only that person sees that task so you can be certain they are the one who works it. Once you pick up a task it moves it into My Tasks and will no longer be in the Tasks Available For Pickup section. Tasks can be sorted several different ways. Please note that the product line must be changed under Type when searching for Tasks Available for Pickup. A user can search for their tasks on top, or any unassigned task using the filters on the bottom. Tasks can also be filtered on Due Today, Due This Week, Due Date or Overdue. You can also view by producer, risk state, type (either General or Review before Renew), status or by quote or policy number.

4 Examples of Filters Task Page Functions Once you have selected the task you wish to work a new window will open. You can access the policy or quote directly from the task. You can leave the task pop up box by clicking cancel or send the task back into the Queue for someone else to work. Once you have completed the task you would then click complete which would remove the task from your main Task page. Completed tasks will be reflected on the policy details page for reference.
