1 Nexsure Training Manual - Client Portal The Retail Agent Portal Experience In This Chapter The Retail Agent Portal Experience The Retail Agent Portal Experience Once the retail agent contact receives the including the login information, the retail agent contact can log into the portal. They will use the URL link provided in the to display either the agency s website or the Nexsure portal login screen as added in your Org setup. If they forget their password the Forgot Password? link is provided so that a new temporary password can be ed to them. Note: The address on the contact record is used for Retail Agent Portal user system notifications and must be accurate. After the retail agent contact logs into the Retail Agent portal, they are prompted to change their password. Page 35
2 Nexsure Training Manual - Client Portal On the Change Password screen, the portal user must type in the Current Password, New Password and Confirm Password. Once login is completed by clicking the Change Password button, the Home screen is displayed. The Change Password screen will display each time the portal user logs in using a temporary password. The Home screen shows part of the Retail Agent s card file information. Clicking the Help link (which is on the right side of the screen) will launch Online Insurance Help. This will assist the Retail Agent in navigating in the portal. The first screen displayed provides instructions for using Online Help. Page 36
3 Nexsure Training Manual - Client Portal Under the heading of My Agency on the left side of the screen are links that pertain to the Retail Agent. Active links display and work the same as they do in Nexsure. For example, clicking on the website link will display the Retail Agent s website. Clicking on the Policies link opens any client policies the Retail Agent has permissions to view. Tabs for Audit, Cancellation and Endorsement can be accessed when permission is granted to view posted Audits, Cancellations and Endorsements. Page 37
4 Nexsure Training Manual - Client Portal Searching for a specific policy is done here like it is in Nexsure. The retail agent portal user will click the [Show] link, enter search information and click the Search button to return the results. Page 38
5 Nexsure Training Manual - Client Portal If security has been granted to the retail agent portal user to access the Summary of Insurance, clicking on white Details icon displays the Coverage summary screen for the selected policy. This summary may be printed by clicking the Print link in the Navigation Toolbar. Clicking the Close link will close the screen and return the retail agent portal user to the Policies screen. Page 39
6 Nexsure Training Manual - Client Portal Click the gray Details icon to display the Client s record. From this level the retail agent portal user will be able to view Policies, Quotes, Attachments and Proof of Coverage records where security and view access have been granted. Clicking on the Policies link under the Client File displays the policies the agency has granted access to the Retail Agent to view. The retail agent portal user will use the [Show] link to search for policies as needed for this client. Clicking the Details icon will display the policy summary will be displayed, if view permissions to the policy summary has been enabled on the Retail Agent s assigned security template. Page 40
7 Nexsure Training Manual - Client Portal To return to the Retail Agency menu, click the My Agency link. To view all client quotes assigned to the Retail Agent for viewing, the Quotes link is selected. Any marketing records available to view for all clients are displayed. On this screen the retail agent portal user can see where the agency stands in the quoting process, so be sure and keep the status and policy info updated when quotes are received from the carrier. The portal user will use the show link to search as needed for specific client quotes. Click the gray Details icon to display the selected client s record. Page 41
8 Nexsure Training Manual - Client Portal If the Retail Agent would like contact information for someone assigned to the retail agent, clicking the Assignment icon will display any assignments added to the retail agent record. Clicking the link will allow the retail agent portal user to send an using using their own system, not Nexsure delivery. Clicking the Attachments link under the My Agency menu will bring up attachments added to the Retail Agent file in Nexsure that has been marked as Retail Agent viewable. The retail agent portal user may add attachments, view and delete attachments only if the user rights template assigned to the portal user allows this access. The portal user will click the [Show] link to search for specific documents as needed. To add an attachment, the retail agent portal user will click the [Add New] link. Attachment Name and Description boxes must be completed by the portal user just as completed in Nexsure. Click the Browse button to locate an existing file to attach to the Retail Agent s Nexsure attachments. To save the attachment to Nexsure, click the Save link. The document notification is delivered to Agency personnel as added to Attachment Notification Setup in the Retail Agent Portal configuration. Page 42
9 Nexsure Training Manual - Client Portal Any documents added by the Retail Agent may be removed by the retail agent portal user who added it by clicking the active Remove icon. If security has not been setup to grant delete permissions, the Remove icon will not be active. Notification will be sent to agency personnel as directed in setup when an attachment is removed. To view the Retail Agent contacts added to Nexsure, the retail agent portal user will click on the Contacts link under the My Agency Menu. Clicking on the Name link will display the contact record. Clicking the phone number link works the same as clicking the phone link in Nexsure by bringing up the fone finder website. In order for the link to be available to access, permissions to view contacts must be enabled on the assigned security template. Page 43
10 Nexsure Training Manual - Client Portal To view the Retail Agent locations added to Nexsure the Retail Agent contact will click on the Locations link in the My Agency menu. In order for the link to be available to access, permissions to view contracts must be enabled on the assigned security template. In order for the link to be available to access, permissions to view Locations must be enabled on the assigned security template. To see the Retail Agent contracts added to Nexsure the Retail Agent contact will click on the Contracts link under the My Agency menu. In order for the link to be available to access, permissions to view contracts must be enabled on the assigned security template. Page 44
11 Nexsure Training Manual - Client Portal To see the Retail Agent commissions added to Nexsure the Retail Agent contact will click on the Commissions link under the My Agency menu. In order for the link to be available to access, permissions to view commissions must be enabled on the assigned security template. The user profile will allow the retail agent portal user to change their password. After clicking User Profile, the portal user logged in will click on the Update Password link and type in the Current Password, New Password and Confrim Password. To save the changes, click the Save link. To abort the change, click the Cancel link. Page 45
12 Nexsure Training Manual - Client Portal To access the announcements in the portal the retail agent portal user will click the displayed Announcements links which will either display a web page or a pop-up with the announcement added by the agency in portal setup. Permissions must be granted in order for announcements to display as added to announcement setup in Nexsure. Clicking available Resource Center links will display the web page added by the agency. Security must be granted in order for the resources to display. To logout, the portal user will click the Logout button on the top right of the screen. Note: The T-Log in setup will log when retail agent portal users have signed into the portal. Page 46
13 Nexsure Training Manual - Client Portal Searching for a Client in the Retail Agent Portal To search for a client in the Retail Agent Portal, the portal user will click the Search link to open the search fields. To search fields other than the By Client Name and By Policy Number, click the More Options link. The other search fields available are: Client Type Client Stage Phone Number Location Name Location Address Location City Location Zip/Postal First Name (for client contact search) Last Name (for client contact search) To search return to the the By Client Name and By Policy Number fields, click the Less Options link. 14 Nexsure Training Manual - Client Portal Once the client is located, clicking on the gray Details icon will display the client s record. Client Menu After selecting a client record, the Client menu is available. Using these links is as follows: On the left side of the screen are the navigation links. When the Policies link is selected, the contact will see policies that the agency has granted access to for the selected client. Page 48
15 Nexsure Training Manual - Client Portal The [Show] link is available to search for a specific policy. When a gray Details icon is clicked the policy summary will be displayed, but view permissions to the policy summary must be enabled on the security template to activate the icon. Page 49
16 Nexsure Training Manual - Client Portal When the Quotes link is selected, any marketing records available to view for the selected client are displayed. On this screen the contact can see where the agency is on the quoting process, so make sure to keep the status current and add the quote amount to the estimated premium fields on the policy info tab. The contact will use the [Show] link to search as needed. If contact information is needed for someone assigned to the client, clicking the Assignment icon will bring up any assignments added to the record. Clicking the link will allow them to send an using their client, not Nexsure delivery. Page 50
17 Nexsure Training Manual - Client Portal Clicking the Attachments link brings up attachments that have been marked as Retail Agent viewable. The retail agent portal user may add, view and delete attachments only if the security template assigned allows this access. The portal user will click the [Show] link to search for specific documents. To add an attachment, the retail agent portal user will click the [Add New] link. Attachment Name and Description boxes will be completed by the portal user. Click the Browse button to locate an existing file to attach to the client s file. To save the attachment to Nexsure the Save link is selected. The document notification is delivered to agency personnel as added to Attachment Notification Setup in the portal. Page 51

Notification will be sent to agency personnel as directed in setup. The Remove active if permission is granted or if the attachment was added by the client. icon will only be Clicking Proof of Coverage allows the portal user to view and print auto ID cards and certificates issued by the agency if permission has been granted. Permissions for the Retail Agent to view the policy must be given on the assignments tab and Proof of Coverage view permissions in the security template. To view or print auto ID cards, click the Auto ID Cards link. Any issued cards the Retail Agent has policy permissions to view will be displayed. The [Show] link is available to search for a specific auto ID card. Page 52
19 Nexsure Training Manual - Client Portal To view or print an auto ID card, click the View icon. The retail agent portal user will need to have Adobe Acrobat Reader installed on the computer in order to view the card. Click the Print icon if a hard copy is desired. To view or print issued certificates, click the Certificates link and the same process is followed for viewing and printing auto ID cards. Page 53
