3 Introduction DocuVault, a Salesforce App by Tvarana allows you to expand and reduce your file storage space on Salesforce as per your needs. Standard Salesforce Document storage limits the file size. DocuVault allows you to store more than the limits without increasing your spend on storage. DocuVault is a seamless integration between Salesforce and Amazon Simple Storage Service (S3). It allows you to access the benefits of Amazon file storage using pseudo Salesforce file storage. DocuVault is a created for users to upload many huge documents and files using their Salesforce user interface without paying bulky bills to Salesforce. Use Cases for DocuVault: Document Management & Collaboration Archive and Digitize your transaction documents Customer and Partner Communities/Portals Share large files securely Web to Case and Web to Lead attachments Salesforce Attachments backup and Archiving Distributing Software or other large Files Upload large Media Files (Audio & Video) Upload Pictures and Videos from Mobile (Field Service Agents, Customers, etc.) 1
4 Setup Install package In order to install the package, you need to log in to Salesforce as a Salesforce admin. The package installation link is provided in the Appexchange listing. On clicking the button, you will be directed to the page displaying package installation details. Click Continue to continue installation process. Accept and approve Third-Party Access for remote settings. 2
5 Click Continue to continue installation process. Note: Select the check box ( ) agreeing for access to third-party websites. A page displays all the permission access to the users. Select the defined permissions as per your requirement. Click Next to continue installation process. A page displays the levels of security settings. Depending on the security level required, select the option button next to the defined security levels. Grant access to admins only 3
6 Providing access only to admins enables only the admin to access the app while restricting access to all other users. If you would like to provide access only to admins, select Grant access to admins only. Grant access to all users Providing access to users enables all the users to access the app. Here, the user gets access to all the internal custom profiles. If you would like to provide access to all users, select Grant access to all users. Select security settings Here, the level of access can be set for different profiles associated to access the app. A list of profiles with defined access levels is displayed on the screen. Click Next, to continue installation process. 4
7 Note: No Access signifies that no access is given to any features, whereas Full Access signifies a complete access is given to all features in this package. A page displays the information that the package is ready to be installed. Click Install to install the package. Upon successful installation, a page displays details of the installed package. The installed package is displayed in the list of apps on top-right corner of the screen. 5
8 Clicking on the installed DocuVault app directs you to navigation page. Select DocuVault Setup tab and you will be directed to the Settings page. Amazon S3 sign up This step enables you to create an account if you do not have Amazon S3 account. Click Create an AWS account to create a new account. 6
9 You will be navigated to Amazon web services page. Click Sign in to the Console. You will be directed to Sign in page. If you have an account, you can sign in by providing credentials in the required fields. If you do not have account, then you need to create a new one. 7
10 Add remote site In this app, Apex callouts are being used to obtain field IDs from Salesforce. For this purpose you need to create Remote Site. You can create a remote site with the details provided in this step. Click Create New Remote Site to add a remote site. You will be navigated to the All Remote Sites page where you can create a remote site. Click New Remote Site. Enter the provided Remote Site name and the URL. Click Save. 8
11 Connect to Amazon S3 In order to connect to Amazon S3, you need to provide credentials that are available on your Amazon account. Enter the Access Key, Secret Key, Salesforce URL and Amazon URL in the required fields. Click Save Credentials. Access keys To get Access keys: Login to your Amazon account. Click on your Username at top-right of the screen. Click Security credentials in the drop-down box. 9
12 You will be navigated to Your Security Credentials page. Clicking on Access Keys displays the access keys. Click Create New Access Key if there are no access keys available. Secret Keys Secret Keys are sent to the that you are registered with Amazon S3. If the entered credentials are correct, it displays a statement the credentials are valid. 10
13 If the entered credentials are incorrect, it displays your credentials are incorrect. Create S3 bucket Amazon S3 saves all the uploaded documents to buckets. This step enables you to create new bucket in Amazon S3. Note: Rules for bucket naming Here are the rules you need to consider while naming a bucket. All bucket names must comply with DNS naming conventions. Bucket names must be at least 3 and not more than 63 characters long. Bucket names can contain lowercase letters, numbers, and hyphens. Bucket names must be a series of one or more labels; each label must start and end with a lowercase letter or a number. The following examples are valid bucket names: myawsbucket my.aws.bucket myawsbucket.1 On clicking Create Amazon Bucket, a window appears on the screen. Enter the bucket name and click Create. 11
14 Note: You need to enable versioning, by selecting Enable Version Check box, to upload versioned documents. Default S3 bucket The buckets are created based on the Access keys and Security keys. You can upload your documents to a selected bucket, and it acts as default bucket. To select a default bucket: Click Get Bucket List, to get all the available buckets which are displayed in the drop-down list in Select Default Amazon bucket. Select any bucket from the drop-down list. The selected bucket name appears in Default bucket name field. Click Save Default Bucket to save the selected as default bucket. Note: By clicking Get Bucket List Button, you can view all the created buckets in the drop-down list in Select Default Amazon Bucket field. 12
15 Parent Record Mapping This section enables you to upload files from different objects based on below field mappings. From this step, you will get URLs to upload, download, and e- mail the files. For this, first you need to create lookup fields. To create lookup fields, refer to Create Custom Fields section. The lookup field appears in this section after refreshing the Settings page. Select the lookup field and click Save Mapping. Note: You can upload files only through the look up fields created on that particular object (either standard or custom). 13
16 Add Cloud Files Related List You can add cloud files to related lists for any object. To add cloud files: Click on your Username, go to Setup>App Setup>Page layouts of an object. Click Edit. You will be directed to the Page Layout. Click Related Lists. Select Cloud Files and add (drag) it to Related Lists. Click to view related list properties of Cloud Files. 14
17 In Columns, select the required fields. Expand Buttons. In Buttons, unselect New and click OK. Click Save. 15
18 Add Cloud Files to a Custom Object Create Custom Fields You need to follow below procedure to create new custom fields. Click on Username, and click Setup. In App Setup, switch to Create and select Objects. You will be navigated to the page displaying custom objects. Click on Cloud files. 16
19 A page displays the Cloud Files attributes. Click New in Custom Fields and Relationships section. You will be navigated to New Custom Field page. Select Lookup Relationship. 17
20 Here, you can select other object to relate it to the current object. Select Reference custom object and click Next. You will be navigated to the page where you can specify a name for lookup field. Click Next. 18
21 A page displays the list of profiles having access to the fields. You can select the profiles to which you would like to provide access. Click Next. A page displays details of the object related to current object. Click Next. 19
22 Click Save. 20
23 Create Upload Button You need to follow below procedure to create new buttons to a Reference c (Reference custom object) lookup field. To create new buttons: Click on your Username. Go to Setup>Create>Objects>select Reference object>select Buttons, Links and Actions. A page displays all the buttons, links and actions in the look up field. Click New Button or Link. You will be navigated to the page where you can create new button or link. To create a new button to upload files: Paste the URL here. 21
24 Enter Label and Name as Upload Cloud files. Select Display Type as Detail Page Button. In Behavior drop-down list, select Display in existing window with side bar. Select URL in Content Source drop-down list. Copy the generated URL for Upload files in Settings page and paste it in Custom button or link editor. Click Save. Note: For Upload files button, if you would like to give a separate bucket name for Reference custom object, enter the bucket name after Bucket Name=. Make sure that the entered bucket name is available in Amazon S3. The same process is repeated for creating buttons to download files and the files. The three buttons to upload, download, and the files are created under Reference custom objects. You need to add these buttons to related page layout. To add new buttons, refer to Add buttons section. Add buttons In order to add a button, first you need to create a page. To create page, you can refer to Create Quick upload VF Page section. To add an Upload Cloud Files button: Click on your Username, go to Setup>App Setup>Page layouts of an object. Click Edit. 22
25 You will be directed to the page layout. By clicking on Buttons, you can view different buttons in the layout. Select Upload Cloud Files button and drag-and-drop in order to add it in button s list. Click Save. 23
26 Create Quick upload VF Page Here, you can create a page for quick file upload. Thus, you can upload files from your system. To add a file upload page: Click on your Username, go to Setup>App setup>develop>pages. In Visualforce page, click Lead Quick File Upload. You will be directed to a page displaying the code. Copy the code and navigate back to Visualforce Page. 27 Click New to create a new Visualforce page. Enter the Label and Name, and paste the code in the provided space. Click Save. Note: In the code, you can enter the object name at standard Controller = and bucket name at CloudBucketName= as per your requirement. Note: Adding bucket name is optional. When no bucket name is specified, it takes the default bucket. 28 Add Quick Upload Page The Quick Upload Page enables you to upload files directly by dragging and dropping the files to this section. This reduces the effort of going to Parent Record and clicking on the button to select and upload the files. Note: To add a section, first you need to create a page. To create page, you can refer to Create Quick upload VF Page section. To create a quick file upload section: Go to Page Layout of the object. Drag-and-drop the Section button to the layout. Enter section name and select the layout. Click OK. 26
29 To add page to the layout: Go to Layout. On clicking Visualforce Pages, you can view the page for upload section. Drag and drop the page to the layout in order to create the section. Note: To edit a page layout, there must be a related page created on that particular object, that is, the object API name specified at standard controller. A quick file upload section is created in the Page Layout. 27
30 Google URL Shortener Regular un-shortened links may be aesthetically unpleasing. Many web developers pass descriptive attributes in the URL to represent data hierarchies, command structures, transaction paths or session information. This can result in URLs that are hundreds of characters long and that contain complex character patterns. Thus, short URLs may be more convenient to be shared. In order to make use of this functionality, you need to select Enable Google URL Shortener check box. 1. Google URL Shortener URL The application is provided with the URL by default. If you could not find URL then paste this URL in the field. 2. Google API Key To get an API key, you need to follow below procedure. Go to Google Developers Console through URL, and login with your Google account. Select a project, or create a new project. 28
31 In the sidebar, click on APIs & auth tab and switch to Credentials. Click Create new Key, and click Browser key on the appeared window. Click Create. An API key with its attributes is displayed on the screen. 29
32 Copy the API key and paste in Google API Key in Settings page. Click Save Google URL. 30
33 Web 2 Case/ Web 2 Lead attachments You can attach files through web to lead or web to case attachments. To enable this functionality, you need to select Enable Web to Lead Attachment and Enable Web to Case Attachment check boxes. Web to Lead attachment To generate HTML: 1. Create a Web page to Capture Leads by Generating HTML Code using the standard process provided by Salesforce. Include the Fields Cloud File Name, Cloud File Size in the HTML Code. You can hide the fields (Cloud File Name, Cloud File Size) on the Web Page by using the Tag style="display:none;" tag. These fields are used in the back end for processing the file. 31
34 Example: Cloud File Name: <textarea id= 00N DTPeD name= 00N DTPeD rows= 3 style="display:none;" type="text" wrap="soft"></textarea> Cloud File Name: <textarea id= 00N DTPeI name= 00N DTPeI rows= 3 style="display:none;" type="text" wrap="soft"></textarea> 2. By clicking on the link Generate HTML for WEB to Lead Attachment Upload, a page displays steps to generate HTML. 3. Click Generate button. 4. Copy the HTML and paste it below the HTML that was generated previously in step Give Id as id="webhtml" in Form tag for the First Form which is generated in Step 1 and remove <input type="submit" name="submit"> from Form Save this file as.html The same procedure must be followed to generate HTML to attach files via Web to case attachments. Click Save Web to Attachment Setting. 32
35 Password Protected Links You can set password for the links in order to access them. So, the people who can provide password can only gain access to those links. Site Setup Create a site in Salesforce standard process, and give access to Cloud File objects and all Cloud Fields to the site. Enable the site here To enable the site: Click on your Username, go to Setup>App setup>develop>sites. You will be navigated to Sites page. Copy the link and paste it in Settings page. To enable the page: Click on your Username, go to Setup>App setup>develop>pages. Tip: To find sites or pages, type sites/pages in the search box and press enter. You will be displayed with relevant results in the left side-bar. You will be navigated to Visualforce Pages page. 33
36 Click on Public File Download link. A page displays the code which can be customized according to your requirement. Sites Custom Setting Site URL Page link Copy and paste the page link along with the site URL in Settings page. Click Save Password Protected Setting. 34
37 Salesforce 1 Using Salesforce1 you can access Salesforce on mobile. In order to use Salesforce1, you need to enable Salesforce1 permission. To enable Salesforce1 permission: Click on your Username, go to Setup>Administration Setup>Manage Users >Users. A page displays the list of users. Click Edit. You will be displayed the attributes of User in a page. Select Saleforce1 User check box. 35
38 Click Save at bottom of the page. Create a new page to upload cloud files from salesforce1 app. To create a page: Click on your Username, go to Setup>App Setup>Develop>Pages. You will be displayed Visualforce Pages. Click on Account Field Upload Salesforce1 link. You will be navigated to Account Field Upload Salesforce1 page. Copy the code and create a new page. To create new page refer to Create Quick upload VF Page section. In order to upload files to standard or customized objects through mobile, you need to create Actions to objects. To add Actions to objects (for example, Account object): Click on your Username, go to Setup>App Setup>Accounts>Buttons, Links, and Actions. 36
39 Click New Action. Select Action type as Custom Visual Force. In Visualforce Page field, select the created new page from drop-down list. Enter Label and Name as Upload Cloud Files. Click Save. Go to Page Layout of the object. Click Edit. 37
40 On clicking Actions, you will be displayed a set of Action labels. Drag-and-drop Upload Cloud Files to Actions in the Publisher section. Click Save. Note: The same procedure is followed for standard or custom objects. Salesforce 1 on mobile You need to follow below procedure to upload cloud files on Salesforce1. Logging on to salesforce1 app, you will be directed to homepage. 38
41 Click. A tab displays all the standard and customized objects. Click on any object as per your requirement. Clicking on an object displays all the Records present on that object. Click on any Record. 39
42 Clicking on a Record displays the details of that particular Record. Click. On clicking, you will be displayed a menu. Click Cloud Files to upload any files. 40
43 You will be directed to the page where you can upload the files. Click Select& Upload Cloud Files to upload files from your device. A page displays the status of uploading files. Click Cancel after the files are uploaded. 41
44 You will be directed to the Record page. Go to Related tab and select Cloud Files. A page displays the attributes of uploaded cloud files. 42
