2 myatdw User Guide Category: Event 1 Overview Welcome to myatdw - where you can create and manage your business ATDW listing. Please note: there is NO COST to list an Event in ATDW. myatdw is a user friendly, time saving, online tool that allows you to review, update or add your own listing in the Australian Tourism Data Warehouse (ATDW). At renewal time you will also be able to pay online to renew your listing via credit card or BPAY (please note events are free to list). You can access your own myatdw listing at any time to ensure your listing displays the most current and accurate information. A new listing and any changes will go through a Quality Assurance process to ensure all content quality standards are met before the listing is released live. This user guide will demonstrate what s involved in maintaining your listing s information and highlight some of the key steps to create your Event listing using some great new features in the Brochure View (see Figure 1). myatdw is supported by the following web browsers: Internet Explorer 8.0 or above, Firefox 3.5 or above, Safari 4.0 or above and Chrome 6.0 or above. 3 2 Home Page Once you log in you will come to the Home Page (see Figure 2) where you can manage your listing. The Useful Links section on the right hand includes links to the myatdw User Guides, Frequently Asked Questions, and Tourism e-kits, which all provide tips on how to optimise your ATDW listing. Under the Statistics section you will find your most recent ATDW Website Performance Report which you can use to keep track of your listing s performance. Data will only be tracked for the period in which your event listing is active in the database and therefore live on the distributor websites. In the top right hand corner you will see a button called My Business and My Profile. If you click on My Business you will be able to edit your business name and address details. Under My Profile you will be able to edit the Sales and Marketing contact who should be the person responsible for your listing. You can also update your password and address, however your username will remain the same as you initially provided upon registration or as the username you were given. 4 3 Create a New Listing New Members Visit to register your business (see Figure 3). Within three working days, you will receive an with your username, password and an activation link for your account. Once you have clicked on the link to activate your account, you can log on via and create your listing. When choosing your username, please only use letters and numbers. Special characters are not permitted. Also when selecting a password please make ensure it is at least 8 characters long, with at least 1 number. You can only create listings under the one category. If you run another business that may fall under a different category (accommodation, attraction, tour, hire or transport) please contact Tourism and Events Queensland s ATDW team to allow this access. You will then be able to manage all your listings under the one login. Please note: A new listing can take approximately 20 minutes to complete. Please consider this when scheduling time to create your listing, otherwise you have the option of saving your information and returning at a later time to complete your listing. Figure 3. 5 3 Create a New Listing Existing Members Head to to login in to myatdw with your username and password. If you are unsure of your username and password please contact the ATDW team via on atdw@queensland.com. Once you log in, you will be taken to the Home Page where you can either view your existing event details (brochure view Figure 1) or create a new listing. To create a new listing click on the link Click here to create a new listing or select the [+] button next to your existing product tab at the top of the page (see Figure 4). Figure 4. If you run another business that may fall under a different category (accommodation, attraction, tour, hire or transport) please contact Tourism and Events Queensland s ATDW team to allow this access. You will then be able to manage all your listings under the one login.
6 4 Manage your Listing For existing members, to update your event details you will need to click on View or update my product details. If your event has expired and you wish to update it for the following year you should click on Renew your listing. This will take you to the Brochure View where you can click on the edit button in the left hand corner of specific sections you would like to edit. Otherwise you can click on the Wizard button (see Figure 5) which will take you through the step by step process. The Submit button in the top right next to Delete and Wizard, will submit any updates which are sent to Quality Assurance (QA) to be checked before your listing is released live and updated on distributor websites. Please note: once you have submitted and your updates are with QA, you can t go back and edit/add more information to your listing until it has been released. You will be notified by once your listing is live. Figure 5. Wizard Button (Top Right) For new members, it is recommended to use the Wizard to guide you through the steps of creating a listing to ensure you don t miss any important details. Please note: A new listing can take approximately 20 minutes to complete. Please consider this when scheduling time to create your listing; otherwise you have the option of clicking 'save' and returning at a later time to complete your listing. This section won t go through each step of the Wizard as most are self-explanatory and you will find help text to guide you along the way, although some steps are explained further below (these aren t in order of the Wizard steps).
7 Name and Description The description must be a minimum of 50 and maximum of 150 words. The first sentence of the description is the most important as this is the text displayed with the Search Results from any ATDW record search. In saying that, you need to entice consumers to want to find out more about your event so that they click on the More Details link on the website to view the full product listing. This sentence should be emotive, descriptive, contain your event name and target keywords so that the consumer wants to read more. For more information on keywords, click here to visit the Tourism e-kit tutorial. The second paragraph should include an event synopsis on what the consumer will enjoy about the event, who is likely to attend and anything else quirky worth mentioning. As this is the first step in the Wizard and new operators may be unsure as to where to include other information, you can always save your work and then click on the edit icon for the description at a later stage. There is a separate section for contact details and URLs so it is best not to state this in the description. If you have created your text in another document, or wish to use something off your website, you can simply copy and paste it into the text field. Remember to keep the language simple and to the point! Event Frequency How often your event occurs can be selected using the Frequency drop down which allows you to choose from the following: Annual, Biannual, Biennial, Daily, Fortnightly, Monthly, Once Only, Quarterly, Weekly. If your event occurs more than once, you should list each date it occurs on using the (+) Add More button above the Start Date (see Figure 6). If you know the individual dates of your event we advise that you list them one after the other. For example, in Figure 7, the event occurs on the first Sunday of every month. If the event takes place over multiple consecutive days, you would simply enter the date range of the event. The Event Status drop down allows you to select whether the event has been confirmed or unconfirmed at this stage. Figure 6. Adding additional event dates
8 Event Types Your event may be classified as one of the following event types below (see Figure 7). This attribute defines which category your event will be displayed in on the ATDW distributor websites. Please note: If your event could qualify as more than one event type, please select only the most relevant. Hover your mouse curser over the event type to see its description. Multimedia Figure 7. Event Types Images The next few steps take you through the image gallery for your product. By clicking Next, the Wizard will take you to the next step to upload an image, however if you click Proceed to next item this will take you to the next main section in the Wizard which you should select once you have finished uploading your photos. You can upload up to 4 images and one logo to your ATDW listing. It is recommended you upload landscape as well as portrait images to be displayed in the search results. myatdw now has the ability to store larger sized images available for tourism distributors to display on their website. ATDW automatically resizes your images to fit so upload larger sized images so your images impress consumers on websites and in social media channels including Facebook and Pinterest! Figure 8. ATDW Image Size Note: You may need to re-upload them if you haven t updated them in the last year as the smaller size would have been saved (see Figure 8). Current limitations are: File type:.jpg gif.png File size limit: 10Mb Size (Landscape): 800w x 600h It is expected that images be of the highest quality to meet the size limitations specified above.
9 YouTube We would love to showcase your YouTube video content within your ATDW listing and we encourage you to upload it where appropriate. Videos should be the best representation of the experiences a consumer can have at the product/destination. Click the YouTube tab within the multimedia box to the right of your listing and then click the page/notepad icon to edit (see Figure 9). You can either copy and paste the individual YouTube URL (i.e. or enter your YouTube user account (i.e. Queensland) and click Get Video which will take you to your YouTube channel where you can select a video to add to your listing. Select up to 4 videos to add to your listing. **Please ensure you have allowed your YouTube videos to be enabled and viewed on third party websites as this can cause the video to not display within your listing. 1. 10 2. The Multimedia Video Gallery will appear taking you through the process of uploading your video. Click Add if you know the direct URL link to a YouTube video you want to display. Click Next if you have a YouTube channel e.g. Queensland. Figure 9. Add your YouTube videos here 3. Enter in the YouTube channel name and click Get Video (see Figure 10 below). Figure 10. 11 Social Media As part of myatdw, we are collecting data from various social media websites including YouTube, Twitter and Facebook. This will increase the richness of your listing s content and quality of the end users experience. Our consumer website Queensland.com is showing the social channels you input in to your ATDW listing and are available for other distributor websites to link back to your channels also. Please provide your social networking URLs for your business. NOTE: Tourism business focused social networking accounts only. For example Facebook: Twitter: Social media links must start with www and not http otherwise you will receive an error message. Figure 12. Social Media Links
12 Online Booking This step within myatdw allows you to add in your direct online booking link giving consumers the option to book your product online immediately. This will display within your ATDW listing on Queensland.com in the form of a book online button. Figure13. Book Online Button In myatdw edit the Online Booking section by clicking the notepad/page button. Enter in the full web address of your booking page. This page must allow consumers to: a) Book your product online b) Receive immediate confirmation c) Securely manage the payment online if you require pre-payment for a confirmed booking d) Provide contact details *It must not be your home page/website e.g. but the actual online booking page, Please be aware of extra-long links with unnecessary characters such as &,? and a series of numbers. We advise you check with your online booking channel manager for the correct link or contact our team before you submit. Figure 14. Adding Online Booking Link
13 Event Location/Venues This step will ask you for the venue name, website, and address of the event. These fields are all mandatory. Please note: You would have been asked to submit your physical address in an earlier Wizard step which is where you might like to put your business address. The event location must be entered at this stage and placed on the map (i.e. South Bank Parklands, Brisbane Town Hall). If you are not using the Wizard to update your event listing, please ensure you update the details in both the Event and Venue sections of the Brochure View. You can choose between the two different sections by selecting the relevant tab (see Figure 15). Submit Figure 15. Event and Venue Tabs The last step in the Wizard will ask you to Submit your new listing or any updates made. If you are not using the Wizard to update your listing simply click Save in the edit box and then click the Submit button in the top right corner to send your updates to Tourism and Events Queensland for approval (see Figure 16). Tourism and Events Queensland will review and publish your listing within 3-4 business days. You will be notified by when your listing has been published on the ATDW distributor websites, including Tourism and Events Queensland s website: To save the changes without submitting, click Save or close the Wizard box and save your work, then log off. You can then log in at a later stage and click Submit (see Figure 16) in the top right corner to send your updates to Tourism and Events Queensland for approval.

Submit Button Once you have submitted your listing, a pop up box will appear and you will have the option to enter details of changes made to your listing if you want to keep track of what has been updated.
