2 1.0 Introduction to VisitIsleofMan.com Visit Isle of Man is a mobile optimised website promoting all the Isle of Man has to offer with high functionality such as an itinerary planner, mapping and cross selling events, activities, accommodation, eateries and more, to assist the visitor in planning as much into their visit as possible. The site was created in late 2016 and it is managed by the Tourism and Marketing Divisions in the Department for Enterprise. How will this affect my business? We are setting up business pages or listings for industry members to log into and maintain. This provides great opportunities to promote your latest imagery, Trip Advisor reviews, opening hours, special offers and more. How will my business page be found? Categories, location and business facilities will allow your business to be promoted in different areas across the website, suggested as a similar or nearby product, be filtered in searches and saved to a user s itinerary to be printed or saved for later. It may also be found in Inspiration sections, blogs and itineraries created by Tourism and Marketing. Please speak with us about blog opportunities for your business. Objectives of the website: Improve the visitor s online experience Improve product cross selling opportunities to increase visitor spend Increase UK families long and short holidays Increase short breaks (singles & couples) Extend the season, focusing initially on February through to October 2
3 2.0 Logging in and out of your account In order to edit your attraction or activity details on the website, you will need to login to your extranet account on the internet. Open your internet browser (Safari, Internet Explorer, Google Chrome) Type or click on the following URL: The following screen will be displayed: Enter your Username and Password into the boxes and click the Login button. If you are unsure of your login details, please contact Once logged in, you will see your product selection screen. Depending upon how many products you have, you may see one or multiple products listed. Click on the product you wish to view or update. 3
4 The details of your product will display on the screen as below: 2.1 Logging out of your account To log out of your account, click the User Preferences button, which will state the name of the product Example Attraction in the top right of the screen. Click Logout. This will take you back to the DMS Login screen. 4
5 3.0 Help Tutorial Videos There are a number of short tutorial videos available to help you navigate around the product page and complete each section. To access the Help videos: Click on the icon in the top left of your screen and select the Help option The selection of help videos will display. Simply click the video relating to the section you wish to view. 5
6 4.0 Updating Information To update your product information, click on the icon in the top left of the screen. A menu box will appear with a number of options: o o o o Select Product : this will take you back to the screen with a list of your products Product Name : this will take you back to the start page of the product you have selected e.g. Example Attraction Edit Details : this will allow you to update the descriptions and details associated with your product Reports : this will allow you to view statistical reports associated with your selected product e.g. the number of times your product has been clicked on, added to the itinerary planner and phone number requested If you wish to close this menu box, click on the icon and the box will disappear. To edit your product details, click on Edit details Your product information will then be displayed. Use the navigation bar on the left side of the screen to edit each section of your profile: o o o o o o o Product Details Descriptions Media Facilities Openings Links Special Offers 6
7 4.1 Product Details To edit your product contact details, click Product Details in the navigation bar. This screen above will display. You can edit all of the information on this screen by clicking into the text boxes and typing, or by using the drop down lists. Name: Providers MUST NOT edit the NAME of their property as this needs to be exactly as stated on all documents and records. If you do wish to change the name of your property, please contact the Product Development Team for Tourism on Country: The Isle of Man option will load automatically. Address: There are two ways in which you can enter your address. Either manually type your address into the boxes provided OR enter your postcode into the Postal Code box, and select the icon this will automatically populate your address. If the address presented isn t exactly correct, you can manually edit the text. Town: Enter your Isle of Man town. Postal Code: Enter your post code; this will help locate your Map location. Location: Use the drop down list by clocking the arrow at the end of the box and select the location of your property. This will help users to filter results by town in a website advanced search e.g. results for St John s. Latitude Longitude: This locates where your property is on the Isle of Man and is how the system will link your activity or attraction to surrounding accommodation, eateries and other 7
8 attractions or activities as recommendations to the visitors using the website as What s Nearby, so it is important that this is correct. To set your coordinates, click on the icon and a map will display: To plot your location, use the mouse to navigate to the correct area and to zoom in and out. When you have reached the correct location, click on the selected point on the map and the red pointer will land. Click Save & Close to return to the Product Details Section. Telephone: Please enter your property telephone number with the area code e.g and not , as this will enable visitors browsing the website on their smartphone to call you by clicking on the telephone number link. 8
9 Telephone 2: If you have more than one property contact number for visitors to call for information or to make a booking (e.g. your personal number), enter this here. Both numbers will be displayed on your product page, with the above number appearing first. Fax: If you have a Fax number, enter this here. Enter your property contact address here. Website: Enter your property website URL here. Booking Website: Ignore. Leave this box blank. Keywords: These are words which visitors may type into the search box on the website to try and find you. Suggestions that you may wish to enter into this box include: misspellings of your product name, phonetic spellings of your product, associated words e.g. outdoors, adventure, history, hill. You can enter as many keywords as you like and you can separate them by using a simple comma and space (,). Once you have completed your details, click the Save button at the bottom right hand side of the screen and proceed onto the next section. 4.2 Descriptions The description information tab allows you to add descriptive information relating to your product. To update your product description, click Descriptions in the navigation bar to the left of the screen. The following screen will display: You will see on your screen that the Default button is highlighted in blue. In order to edit your description, you will first need to click on the Extranet Edit button so that it turns blue. You will then be able to type in the white text boxes. There are various fields on this screen that populate different views of your product record or listing: 9
10 Description: This should be a long, detailed description that will appear on your main business page: Short: This should be a shorter overview which will appear next to your listing on the search results page: Road: This is where you should explain the directions to your attraction or activity by road. Transport: This is where you can outline what public transport visitors can travel to your activity or attraction e.g. trains, bus routes, including bus service number and bus stop to board/alight. To update the text in the text boxes provided, click Edit Description. 10
11 A larger text box/form will appear. To add text into the box, click in the white space and start typing. If you wish to make any of the text bold and italics, you can do this by using the tool bar. Once you have completed your descriptions, click on Save in the bottom of the screen. 4.3 Media (Images) The media tab allows you to upload up to 10 images to display on your product page. You can also add downloadable documents here such as an Access Statement or Equipment List for your activity. Please ensure images are as close to these dimensions as possible, so that they do not distort on large screens. Image dimensions: height 535px by 950px wide. We recommend you don t upload posters or leaflets as your images as these may be cropped. To edit your media, click Media in the navigation bar located to the left of the screen. To add new images, click the Actions button in the top right of the screen, then click Add Media. The below screen will appear: 11
12 Click Ok to confirm that you have the correct permissions to use the images that you are about to upload. To add images, click into the grey box and your computer files will display. You can search for your images in your computer. To select multiple images, hold down the Ctrl button and select multiple images with the mouse. To remove an image, click the X associated to the image the image will disappear. Once you have selected your images, click Ok. You can change the position of your images by clicking on the image and dragging it to where you would like to position it. To edit any details, click on the image from the scroll and the details will appear below. Please note: The first image in the scroll will be used as the main image for your page across the website, so please ensure this is your best/most appropriate image and ensure it is the correct measurements as this will be the largest image on opening your page. Once you have finalised the order of the images, click Save in the bottom right corner. 12
13 Name: Title/Name of the image e.g. Tynwald Hill from the Arboretum Estate: Select Isle of Man from the drop down list Media Type: Select Auto from the drop down list Language: Select All Languages from the drop down list Source, Edit Channels and Edit Units: Leave all blank Comments: You can add further details in regard to the image for your own internal use this will not be visible on the website e.g. remove this image in January Alt Text: Title/Name of the image e.g. Tynwald Hill from the Arboretum Copyright: If you have added images which need to be attributed to a specific photographer or company, you can enter this here if permission to do so has been given The important fields to complete are Name and Alt Text as the alt text means that search engines such as Google can identify the text and screen readers or assistance software can pick this up. Alt text is also the description that appears when you hover over the image. 4.4 Classifications In order to be displayed as the correct activity/attraction, as well as being included in the appropriate lists and itineraries, you will need to ensure you select the correct classifications. Facilities To update your product facilities, return to the Classifications in the navigation bar, and then click the Facilities option. This screen will appear. 13
14 Click on the all button so that it is highlighted blue. Then scroll down the page and tick each box next to the facilities that you provide. If you wish to add more specific notes against a facility, you can do this by clicking on the word Notes beneath the facility. For example: Once you have reached the bottom of the list, click Save in the bottom right corner. 14
15 4.5 Openings To edit your product opening hours and seasonal opening times, click Openings in the navigation bar on the left of the screen. This screen will display: Tick the boxes Open Christmas, Open New Year or Closed Long Term if any of these apply to your product. If you wish to add specific details regarding your opening season, such as special activity times or lunchtime closures, you can add this in the text box Additional opening details below. If you close your business at certain periods throughout the year (e.g. during the winter) or if you have set seasons (e.g. Peak season and Off-Peak season), you can add this information by clicking on the Actions button in the top right hand corner and selecting Add Opening. Enter the name of your opening operation in the text box e.g. Peak Season, along with the opening hours and the dates from and to. To amend the date, click on the icon and select the appropriate dates. 15
16 To amend the hours and days of the week, click on the icon and select Edit Days. Select the days your product is open and by clicking the that you are open on those days which will display like this: icon, you can add the hours Select any of the tick boxes that apply to this opening: Open: Click this box to signify that the date range set is when the business is open and available to take bookings. Reoccur: Click this box if these opening times are the same each year. Provisional: Leave this box empty. 16
17 If you wish to remove an Opening that you have created, click the icon at the end of the row and select Remove. The opening will then be removed from the screen and your product page. Once you have added your seasonal opening times, click Save in the bottom right. 4.6 Links This tab allows you to add links to other external web items, including Facebook, Twitter, TripAdvisor and YouTube videos. To add your social channel or YouTube video, click Links in the navigation bar. For Facebook, Twitter, TripAdvisor and Instagram, select the Social Media sub-tab which will display this page: Select the website that you would like to add (e.g. Facebook) by clicking the selecting the Add option. The following box will display: icon and 17
18 Copy and paste your product s Facebook page URL into the URL box or type it into the box provided and click Lookup. This will search for you Facebook page and populate the ID, Name and Description boxes for you. Click Add which will return you to the Social Media page. The process is the same for Twitter (using the product s Twitter handle), TripAdvisor (using the product s TripAdvisor URL) and Instagram (using the product s Instagram URL). Click Save before returning to the Links navigation bar. 18
19 To create a button linking to your own websites online booking system or to add a YouTube video, click on the External Links in the Links navigation bar. The following page will appear: Click Actions in the top right of the screen and select Add External Link Enter the name of the video or just reference Book Now if you are adding your online booking link and copy and paste the link into the Link URL box. Leave the Language as English. For Type, use the scroll menu and select YouTube Video or Book Online, then click Save in the bottom right corner. If you wish to remove the Book Now link or the YouTube video from the product page, click the icon to the left of the row and click Remove. 19
20 4.7 Special Offers To add a special offer to the website, select Special Offer in the navigation bar. Click the Select an Option box to reveal a drop down menu and select the applicable category in which your offer will be placed. Select the Listing Level as Enhanced 20
21 Click in the Descriptions box to add your Special Offer details. Click Save & Close on the text box and click Save in the bottom right of the screen before you add images. You can choose whether to add a new image to accompany the offer. If you do not select an image, your main product image will display here. If you would like to add another image to accompany the offer, click the The following page will display: icon at the end of the row and select Add Media. 21
22 Name your image in relation to the offer e.g. Tynwald Tours. Click Choose file to search for an image in your computer library then click Upload. If you wish to remove the image and select a different one, or remove it altogether, click the X next to the image. Click the X in the top right corner of the pop-up box to complete the image upload. To add a data range for the offer, tick the box next to Add own data range. Click the icon to reveal a calendar menu and select the from and to dates (the offer will fall off the website on the stated to date) Click Save in the bottom right corner and if you would like to add additional Special Offers, repeat this process (4.7).
