4 1.About Database of Researchers Database of Researchers stores researchers' data on various activities in the university to help keep up with the current status and form data such as for internal and external evaluations. In addition, the database will be partly open to wide public to provide accurate information. 7 3.Logging in(1) Please access the following URL from your web browser. The Database of Researchers login screen will be displayed when you access the above URL. Log in as follows once the login page is displayed. Login screen (1) Select the display language (English) in the Language field. (2) Enter your Login ID in the LoginID field. (3) Enter your password in the Password field. (4) Click the Login button. Please understand that the contents of the login screen may vary depending on your web browser environment. 7

8 3.Logging in(2) Log in, and the main menu will be displayed. Please click on the menu item (marked with ) to work on. When you are done, please close the window with the top right Close button. The contents of the menu is as follows. Main menu screen Left block Data entry and confirmation Data registration and Reference : You can register and refer to data. Bulk Registration : You can batch edit your data. Data Confirmation : You can confirm on the browser the display image of your public data or linked data using researchmap. Center block Application for the KGU research Fund and Data output Applying for the Research Fund / Subsidy : You may apply for the Research Fund/Subsidy Creating the Research Achievement List : You can generate the PDF output. Personal Record List Creation : You can create your personal record list (your resume as well as educational research accomplishments) in Excel format. Japanese University Accreditation Association University basic data (En education and research achievement of a full-time teacher) Creation : You can create the Japanese University Accreditation Association university basic data tables form 3 styles 18 and 19 in Excel format. Download : The function allows you to specify search criteria and download data in CSV, ODS, and Excel formats. Right block Operating environment Manual : You can view the manual. 10 4.Data entry(1) 4.1 About menu items Data entry screen for each achievement will be displayed if you click the links on the left frame. Please refer to the description given below for each mark regarding what it stands for including. Achievements without registered data will not be made public including the entries themselves. Main menu > Data registration and Reference Researcher Basic Data Achievement list entry screen researchmap-related achievements Achievements with this mark can be submitted to researchmap as such. Public achievements Achievements with this mark will be made public on external websites. Japanese University Accreditation Association-related achievements Achievements marked with this can be submitted to Japanese University Accreditation Assocaition as such. Personal record list-related achievements Achievements with this mark can be output in the format for MEXT's teacher's personal record. Research Achievement Preview for Grants-in-aid for Scientific Research Application-related achievements Achievements with this mark will appear on Research Achievement Preview for Grants-in-aid for Scientific Research Application. 10

11 4.Data entry(2) 4.2 Selecting personal information exhibition settings You can select public settings for information to appear on external websites with Personal Information Exhibition Setting. Main menu > Data registration and Reference Researcher Basic Data > Personal Information Exhibition Setting Personal Information Exhibition Setting editing screen External websites Of public data items, ones with the public setting of Public (on-campus and off-campus) will be made public on external websites. Please select Private for items you do not want to make public. 11

12 4.Data entry(3) 4.3 researchmap exhibition setting You can select public settings for information to appear on the researchmap website with researchmap Exhibition Setting. System administrators will regularly link such data to researchmap. Main menu > Data registration and Reference Researcher Basic Data > researchmap Exhibition Setting researchmap Exhibition Setting editing screen researchmap Exhibition Setting editing screen (cont.) researchmap Of data published on the researchmap website, items with the public setting of Public will be made public. Please select Private for items you do not want to make public. In addition, you can select the setting for data shared on the researchmap website in terms of each collective achievement. Please select Sharing to share the achievement data. 12

13 4.Data entry(4) 4.4 Entering data on Papers Click each achivement on the left frame, and you will be transferred to the achievement list screen. Please register and refer to the data from this screen. Main menu > Data registration and Reference Researcher Basic Data > Papers Achievement list screen No Function name Functions 1 Create New You can register new data. 2 Copy You can create data based on existing data. 3 Change You can change data. 4 Delete You can delete data. 5 Refer You can refer to registered data. 6 Relation You can make a relation to other users' data and register it as your data. 7 Distribution You can distribute registered data to other researchers. 8 External DB import You can import and register data from an external database. 9 Excel Download You can download an Excel file template to use for bulk registration. 10 Bulk Registration You can bulk register, change, and delete data for each collective achivement. 13

14 4.Data entry(5) 4.5 Authorizing registration for the Kwansei Gakuin University Repository(KGUR) Only when entering data on Papers, Review Papers, Investigation Report, you can select the setting to share the data to the Kwansei Gakuin University Repository (KGUR) or not. KGUR is an online information base for collecting and providing open access both internally and externally to research output created in Kwansei Gakuin University. The significance of KGUR Its significance for researchers Enhancing the visibility of research output (Increasing research citation rates) Saving research output permanently Its significance for the university and research institutions Providing accountability and social contributions Enhancing brand strength Consolidating research output Notes Once registered to KGUR, your research output can be searched using integrated sites of institutional repositories such as JAIRO (Japanese Institutional Repositories Online) and OAIster (at the University of Michigan) or search engines such as Google, providing open access worldwide. 14

15 5.Batch editing data (for each collective achievement) You can bulk register, change, and delete achievement data. Main menu > Data registration and Reference Researcher Basic Data > Papers Achievement list screen Description of functions (1)Excel Download Registered achivement data will be downloaded as an Excel file. (2) Bulk Registration After editing the downloaded Excel file, you can bulk register the data to reflect the changes to the system. (It takes a while to register. So after uploading, please take some time before checking the processing status.) Notes Please select the Operation to register, change, and delete the data on the pertinent row. Without selecting the Operation, the row will not be registered on the database with bulk registration. Please select Add to register new data, Update to make changes, and Delete to delete data. When deleting data, it is not enough to delete the row itself. You need to select Delete using the Operation. 15

16 6. Importing and registering data from an external database (1) You can import and register achievement data from an external database to the Database of Researchers. The following are achievements for which this function can be used and the types of external databases from which date can be imported. Importing and registering data from an external database (2) Using a paper as an example, the following describes the procedure after clicking the External DB import button. 1 1When the list of databases from which date can be imported is displayed, click the link for the database. Please note that the list of databases displayed differs according to the achievement When the search screen is displayed, enter the conditions to acquire data from the external database. 3The data will be displayed in a list. Select the checkbox for the specific data required. 4 Click the Import button. 17

Please note that some data may not be able to be imported, in which case an error message will be displayed. 6 6The imported data will be displayed on the Achievement List screen. NOTE Due to the difference between items in the Database of Researchers and external databases, choices may be registered as fixed values, or doublebyte spaces may be entered at the items that need to be input. After importing, be sure to check the data at Refer and Excel Download, and correct the choices and required items if necessary. Data ending in an error basically cannot be imported. To import such data, the source data must be corrected. 18

Importing and registering data from an external database (4) For papers only, you can use files downloaded from an external database(web of Science, PubMed, Scopus, CiNii)and register them in the Database of Researchers. (Web of Science can be accessed through the on-campus network from the university library homepage. Scopus is available only to subscribers.) You can download data from each external database in the format specified above. (2)Importing to Database of Researchers An Excel file will be created by importing a file downloaded from an external database to Database of Researchers. (3)Uploading with bulk registration function You can upload the created Excel file with papers bulk registration function. 19

Importing and registering data from an external database (5) Let us use CiNii as an example to supplement the operation procedure (1) Downloading data from external databases Search for papers. 2Check a box for papers to import when search results are displayed. 3Select [Show BibTex], and click the Go button. 4 4Clicke Tools > File > Save As. 5 5Once the web page Save screen appears, select the type of file [text file (*.txt)] and save. Please understand that the procedures for 4 and 5 may vary depending on your browser. 20

Main menu > Data registration and Reference Researcher Basic Data > Papers Achievement list screen Import screen Import screen 4 1 Click the Import button. 2 Click the File Reading tab. 3 Select the file downloaded from an external database as well as an external database file format. 4 An Excel file will be created by clicking the Download button. 22 7.Batch editing data (for all achivement data) You can bulk register, change, and delete all achivement data. Main menu > Researcher Basic and Total Data Downloading the Researcher Basic and Total Data screen EXCEL file Description of functions (1)Downloading the Researcher Basic and Total Data You can download Excel files for bulk registration. Please create an Excel file using this function before bulk registering, changing, and deleting all achievement data. (2)Uploading the Researcher Basic and Total Data You can upload Excel files for bulk registration. Please take some time after uploading before checking its processing status. Notes You can enter achievement data for each Excel sheet. Please select the Operation to register, change, and delete the data on the pertinent row. Without selecting the Operation, the row will not be registered on the database by uploading it. Please select Add to register new data, Update to make changes, and Delete to delete data. When deleting data, it is not enough to delete the row itself. You need to select Delete using the Operation. 22

24 8.Applying for the Research Fund / Subsidy(1) To apply for the Research Fund / Subsidy, fill out the fields (Research Field, Research theme, Research Plan)for the current fiscal year, as well as the research report for the previous fiscal year. Main menu > KGU research fund > Application for the Research Fund/Subsidy Screenshots of the application process Submission of Application/Report Do not forget to check box if applicable [Automatically populated] First year, this section will remain blank. Second year onwards, the previous year s application will appear Confirmation Screen Please verify the contents and press Register again [Approval Status] When registration is complete, the approval status field will show Applying until the application is checked by an authorized person. When saved before submission, approval status field will show Temporarily saved. Please do not forget to complete registration, as the application process is not complete. When the application is approved, approval status field will show Approved. 24

25 8.Applying for the Research Fund / Subsidy(2) To check the application in an Excel file, please press the Excel Download button [POINT] Edited information in the Excel file cannot be uploaded, and the changes will not be reflected in the Database of Researcher. Please use this function only to verify information. Apply, Edit, Delete Functions Example 1: Approval Status Applying / Temporarily saved In this case, the Apply function cannot be used. Please use Edit, or use Apply after deleting the data using the Delete key. Example 2: Approval Status Approved Apply, Edit, and Delete functions cannot be used. Please use Refer and Excel Download to verify the data. 25

27 9.Checking and updating public data You can check the data that will be made public. 28 10.Checking the researchmap data(1) The researchmap data can be checked on the browser. You can make an update by clicking the Update button on the confirmation screen after making changes on the input screen while the confirmation screen is displayed. Please make sure beforehand that there are no errors on the confirmation screen. If an error is displayed, please correct the achievement data on the corresponding screen according to the displayed message. 28

39 15.Downloading data The function allows you to specify search criteria and download data in CSV, ODS, and Excel formats. Main menu > Download Researcher Basic Data or Researcher Total Data Download display No Function name Function 1 Preview Registered data will be displayed. 2 Download CSV Registered data will be downloaded in CSV format. 3 Download ODS Registered data will be downloaded in ODS format. 4 Save It enables to save the entered search criteria. 5 Reset Search criteria will be reset as saved. It will be reset to default unless you have saved the criteria. 6 Clear It clears the entered search criteria. 7 8 Download Excel (containing data extracted) Download Excel (only Excel template) Registered data will be downloaded in Excel format. Downloaded file can be used as a bulk registration template. Please use it when changing or deleting data. The Excel file template will be downloaded to use for bulk registration. Please use it when registering new data. ODS format is created using OpenOffice, an office suite available for free. 39

Main menu > Personal Settings Excel File Format Selection screen Description of functions (1)Excel File Format Selection You can select the Excel file format to download from the Datebase of Researchers, choosing between Excel2002/2003(xls) and Excel 2007/2010(xlsx). The default setting is Excel 2007/2010(xlsx). 42

44 18.Prohibitions and precautions for use (1) Web browser operations Please do not use your browser's Back and Forward buttons when operating the Database of Researchers. It may not work properly if you use the Back and Forward buttons on the browser. Please use the buttons on the database page to operate. (2) The system access time When the Database of Researchers system remains idle for over 60 minutes, a time-out error will occur and the system will be unavailable. Please log in again if this happens. Please save your data as you work if it might take longer than 60 minutes for you to enter or correct data. 19.Contact us Please contact the system administrator for questions, inquiries, and suggestions regarding the Database of Researchers. 45 20.Frequently Asked Questions Q1 What characters can I use for input? You can use any characters supported by UTF-8. However, there are times when you cannot enter a character as avialable fonts may vary depending on your browser. In that case, please use different browsers accordingly. Q2 What characters are available using the special characters button on the entry screen? With the Special button, you can enter superscripts, subscripts, fractions, square roots, boldface and italic fonts for each word. Q3 Q4 What is the Publish on researchmap Web Site setting selected with researchmap Exhibition Setting? You can select public settings for information to appear on the researchmap website with Publish on researchmap Web Site. If you set it to the Private setting, every achievement in the section will remain non-public on the researchmap. Please set it to the Public setting, and then select the exhibition setting from each achievement registration screen if you want to select public or private setting for each individual achievement. Q5 What is the difference between the Campus External Web Site Public setting selected with Personal Information Exhibition Setting and the Public setting selected per each achievement? Campus External Web Site Public setting sets the setting to public for data to appear on external websites. With research and educational achievements and social activities, achievements without registered data will not be made public including the entries themselves on each achievement screen. Tell me how to enter Duties period for Campus Career. Tell me also how to use the The same dayand Continue buttons. In this section, you will enter your career in this university.
