2 Matrix is a mobile, Internet-based system, easily used on different browsers that includes but is not limited to the following features: Search for listings and with those listings l you can print reports, listings to clients, create directions to the showings; or store your client s contact information, createe CMAs (Comparative Market Analysis) and add your own listings for other agents to access. Home Screen TIP: Arrange the shortcut panels on the home screen so that the ones you use the most are on the left side of the screen. If you access the full desktop application from your cell phone, yourr most utilized shortcuts will be accessed quickly. Click the X in the top right corner of any shortcutt to remove the panel from the home screen. The Shortcut will be moved to the Additional box to click and drag it onto the Homee screen at any time. Contacts (My Matrix / Contacts) TIP: Createe one contact for clients with multiple family members by entering more than one address for each contact; separate the address with commas. Matrix Settings (My Matrix / Settings) Customize Matrix with a personal signature, Portal Greeting onn the Client s Portal and CMA cover sheet. The Information section displays your contact data such as cell phone number, public address, and name. TIP: When entering Address information, enter the City, State and Zip in one line verses three separate lines, so it will display in the Portal on one line. Create a Client Portal Header unique to your business. The Portal iss repository for information shared between you and your client. The client can view all properties, or reports you share with them through Matrix. o The Portal is dynamic so your client s see up-to-date resultss such as change in status or price. o Agents can access a client s Portal from the Recent Portal Visitors shortcut on the Matrix Home Screen or by clicking Open Portal from the client s contact information. Use the IDX feature to allow visitors of your website to search the MLS listings courtesy of your website s Search link. Running a Search Search by property type. Cross-Property searches will run the search on all property. TIP: Click the Add button at the bottom of any search criteria screenn to customize the Quick Search or create your own search using the My Search link for each property type. Draw shapes on the Map to locate properties where your client is interested regardless of MLS Area, zip code, subdivision, etc. TIP: Use the Layers feature on the Map to display Flood Zones so you know if you listing reside in the 100 year Floodplain (a required field when adding a listing). The Speed Bar is exceptionally useful searching for properties once you learn the fields you can search in the Speed bar and the codes for those fields. Search Results You can change the view of the search results display, control how many lines of data are displayed and sort by the column data. Save the changes so that each time your resultss display in your chosen format. You can easily add other columns to the single line display, such as Subdivision, or click on the gray area around the columnn labels to modify by reordering, resizing or renaming the columns. Click on the MLS number to view the Agent 1 Page report. Use the icons on the far right of the single line display to view photos, map of the area, history of the property, tax information,, attached documents (such as a Sellers Disclosure),down payment programs, open houses, virtual tours and community data. The Blue Button Bar at the bottom of the search result screen allowss you to work with the listing data: o Action Criteria return to the criteria to make changes then select new results. select listings to to your client that they will view on the Client Portal. Print select listings to print a hard copy/.

3 CMA use the Matrix CMA Wizard to create a full Comparative Market Analysis. Directions create a map and turn by turn directions for showings. Stats create reports with the search criteria. Export save the data or photos from Matrix to either Excel or a zip file. Quick CMA displayss the minimum, maximum, average and median list and sale price. Print Single Line select listings to create a basic single line PDF report. CloudCMA send listings to CloudCMA to utilize their many formats in a CMA. CloudCMA is a third party application provided to ABoR members as a bonuss service. o Refine View As see if a listing was previously ed too a client, if the client tagged a listing or sent you a note about a particular listing. Narrow removes all listings from the result screen that are NOT selected. Discard removes all listings from the result screen that ARE selected. Sort select the columns (i.e.: Status, Area, $SqFt) by which to order the data. o Save New Saved Search Save a search to quickly vieww the results of the criteria... Choose to make the search a Favorite on your home screen. Save 10 searches as Favorites. New Auto automatically send the search results to your client on a regular basis. New Speed Bar Shortcut give your most utilized Speed Bar searches a nickname. Type the / character in front of the Speed Bar shortcut name to run the search. o Carts allows you to add listings to one central repository for a contact Cart My Residential select the listings then click the drop down menu to select a contact s name. Saving an Auto Manually entering an address in the CC field will send that person a link to the listing you selected. The Subject field is both the subject and the name of the Autoo . Setup the Auto to go out on a schedule or using the Concierge feature under Settings. Concierge allows personal service for a client by selecting listings to approve or reject sending. If using a schedule, the Auto will the results to the contact immediatelyy then the search will run based on the schedule you selected. Speed Bar Search The Speed Bar is quick and powerful way to run a search in Matrix. Only selected fields are searchable in the Speed Bar and each of those fields has an assigned code. Examples: o RES for Residential o A for Active You combine the codes to run advancedd searches: o The following Speed Bar search would find all the active (A), Houses in the Avery Ranch subdivision (Sub) between the price of $250,000 and $350,000 ($ ) Speed Bar Shortcuts allow for a nickname of a search you run. You enter the name of the Speed Bar shortcut to run the search rather than a string of codes. Modifying or Tracking in Matrix Everything you create in Matrix can be accessed under the My Matrix tab. Saved Searches o Edit the Settings of a Saved Search to associate the searchh with a client, make it a Favorite search or disable a Favorite Search. Matrix allows only 10 Favorite searches.

4 Auto s o Matrix allows you to track the status of an auto . White/Green Circle: inactive. The was received but the listings were not viewed on the Portal. Green Check: active. Red: Disabled. An Auto can be manually disabled by you, the client can unsubscribe from an Auto or the system will auto-disable if there is no activity on the Portal for 90 days. My CMAs o If you create a Comparative Market Analysis using Matrix s CMA Wizard, your CMA will be saved in Matrix for 180 days past the Last Modified date then automatically deleted. Contacts o From the My Matrix tab, you can access your client s information including Saved Searches, CMAs, Auto s andd Portal Activity. o Click on the links for Saved Searches, Auto s or CMAs to edit those tasks for your client. o Track what a client is doing on the Portal through the Portal Activity and Portal Searches links or using the columns to the right to view the Cart, Notes or tagged listings from the Portal. Adding a New Listing in Matrix Matrix allows for three ways to input a new listing: Fill From Tax, Filll from Existing Listing or Start with a blank listing. Fill From Tax o Search for information in the county tax record to auto-populate data into your listing o You will need to manually enter data for the fields that are not populated through Tax Records. Fill From Existing Listing o This option allows you to copy information from another listing. You can copy your own listing or another agent s listing. o Fill from another listing using the MLS number or by searching for the Cross Property listing. Start with a Blank Listing o Use this option if a property is not in the tax records, or hass never been entered in the MLS. The Matrix listing input form is separated into sectionss distinguished by tabs acrosss the top of the form. There are seven standard tabs with additional tabs for select property types : General, Additional Information, Documents, Utility and EES Information, Financial Information, Showing Information, Remarks, and Status. All Required Fields are highlighted in yellow TIP use the Property Profile Sheet (found on ABoR s website - com/mls/pforms.cfm?) to help you enter informationn in the listing. The sections of the Property Profile sheet follow the inputt form sections. Matrix allows you to Submit a listing as Incomplete if you are not ready to enter the property as Active. o NOTE: Prior to submitting an incomplete listing, click the Status tab at the top of the Residential Input Form and click Incompletee in the Status drop down menu. General Tab - You will be required to map the property using the Get Lat/Long from Address link on the General tab. Click Choose Google Street View to see if your listing has this option or alter the view of the property to get the most flattering angle. Additional Information Tab the more fields completed, the more times your listing will appear in search results.. Document, Utilities and EES Informationn Tab - If you select Yes for the fields Upgraded, Energy Efficient or EES Features fields, you are required to attach a document detailing these features. You can create your own document or use the Energy, Environment and Sustainability (EES) attachment (found on ABoR s website - Financial Information Tab - will differ for each property type. Showing Information Tab -NOTE: If you submit a listing as Incomplete, Matrix will enter the date you submitted the listing as Incompletee in the List Date field. Priorr to changing the listing statuss to Active, you will need to change the List Date to the date you make the listing Active.

5 Remarks Tab o NOTE: It is a violation of the rules to enter anything but thee directions or physical description of the property into the Directions or Internet Remarks fields for example, do not enter your contact information or website URL. o If you have a Virtual Tour created, you will be provided withh two links to enter in Matrix: Branded Virtual Tours include the property details and the agent/ /broker contactt information for the agent and/or broker of the listing. Non-Branded Virtual Tours include the property detail but no contact information for the agent and/or broker. Potential buyers view Non-Branded Virtual Tours on websites required to follow IDX (Internet Data Exchange) policy. Status Tab o Select to either submit your listing as Active or Incomplete status. o Matrix will indicate there are problems with the Input Form with a red errorr message. Adding Documents to a Listing Use the Upload Document link to add documents to the listing suchh as a Seller s Disclosure, Floor Plan. If you are unable to upload a document, you can fax it to ABoR to upload for a $5.00 fee. Adding Photos to a Listing You can copy photos from another listing by selecting Click here to import photos from another listing. NOTE: You must be the listing agent of the property from which you copy the photos. Matrix allows you to upload 40 photos. You can upload more than one photo at a time by holding down the CTL or CMD key (on Apple devices) to select several photos. To select all photos at once hold down the SHIFT or CMD key (on Apple devices), click the first photo and then click the last photo in the folder while still holding down the SHIFT or CMD key. To move photos in Matrix, click the Slot: # section of the photo andd drag the photoo to desired location. Editing an Existing Listing Edit your listing from the Matrix Home Screen using the My Listings shortcut. From the Add/Edit link, all your listings can be found from the Quick Modify drop down. From the Modify listing screen you can edit the listing, finish enteringg data for an Incomplete listing, add an Open House, change the status of a listing, add photos or documents. Property Panorama is a third party application with which you createe Virtual Tours for $5.00 a listing. In Property Panorama you will need to upload the original photos, it will not pull the photos from the MLS system. The Listing Compliance Check will run a report on Active listings to indicate if you have problems with the listing. Any errors will appear in red ink.
