1 MLS 201 Searches and Results Class Objectives Use various search methods and techniques with ease. View search results using multiple different tools and functions. Save, , Print a listing Create and save a Listing Collection and Saved Search for future use. Add useful gadgets to your dashboard to assist in searching faster. 2 FLEXMLS SEARCHING Within the Flexmls system there are multiple different searching tools, allowing you to view either one listing to multiple listings at once. Choosing the right search method will ensure that you effectively and efficiently searching for properties for your clients. Property Search Options Map Search, Quick Search, Full Search, MLS #, Address, Multiple Address and Quick Launch Member Searches Office Listings, Office/Member Saved Listings Listing Carts, Saved Searches MEMBER SEARCHES To find a member or office use any of the following identifiers: Office Name Any combination of the members first and/or last name Member # or Office # Phone, or Fax Zip Code Find a member in the ARMLS system by clicking on Options. Contact information for the member or office. View the member or office listings. 2
3 PROPERTY SEARCHES MLS# Search Quick and easy way to search for multiple MLS # s by status, radius or by MLS. Address & Multiple Address Search Add as little or as much address information as you want, to assist you narrow down your results by status, property type or by office. 3
4 Quick Launch Flexmls has expanded the Quick Launch search capability to include basic search criteria (i.e. bedrooms, baths, list price). Once your criteria is entered, click on the Quick Search Property Type (ex. Residential, Land-Lot, Rental etc. ), and your search criteria will populate within a Quick Search. Quick Launch Tabbed Browsing Multitask by using the tabbed browsing option when using the Quick Launch. Simply start typing in your criteria, hover over the result and move your mouse to the right; a black box will appear with an arrow. Click on it and your results will open in a new tab. Have as many different tabbed browsing sessions open as you want. Each tab will be named with the session you have open in it, for example, the 2nd tab (in the screen shot below) has Contact Management open. Type in any of the following terms into the Quick Launch bar and it will populate in the display menu below. Use one or multiple different terms to complete your search. Price Baths Agent/Office Name Saved Search Status MLS# Zip Code Client name Bedrooms Address City/ Area Example of criteria 400k-500k northwest area 4 bed 4 bath $400,000- $500,000 4 bed 4 bath northwest area 400k to 500k 4 br 4bt area of central When combining criteria from different categories no commas or semicolons are needed. As you type the Quick Launch should populate the information below, if you don t see the criteria try it in a different order. Explanation Northwest, central, west area; 4 bed 4bt 4bd 4 bath; area of west, central, east 400k to 500k 3 bed 2 bath; northeast, north area Recent sold area of northeast, north; $200,000 to $300,000 If you are searching for a field, for example area, you need to separate the criteria by using commas; for additional criteria a semicolon is needed. 4
5 Map Search The Map Search displays the Quick Search fields on the left side, use the mapping tools to coincide with your Quick Search fields. Search criteria fields, click on the item to expand the section. Edit your search criteria, and view your results by using these tabs. Function tabs give you access to Save, and Print your search results. Quick Search field benefits Convenient setup Most-used search fields listed Multiple different searching capabilities for adding, excluding, and removing criteria from your results Add additional fields with easy look-up for specific client needs Automatic results updating for accurate listing counts Mapping benefits Listings auto-populate on the map Color coded listing symbols to help identify desired properties Integrated Google and Bing mapping Pre-populated Overlays help identify MLS Areas, Subdivisions and Zip Codes Narrow down results by using radius, rectangle and polygon mapping tools Clicking on a property icon will produce a quick view of listing information and history 5
6 Quick Search Fields Criteria will populate on the left side of the screen, complete the search with any information available. Use the scroll bar to view all search criteria. Smart Bar Type in a city, address, MLS#, subdivision or community to help narrow down your search. The chosen criteria will populate under the smart bar, to remove click on the x. Type in any location option, a menu will appear on the right hand side. Double-click on the item you want to add to your search. Check off criteria that should be included in the search. Once an item is highlighted additional information will populate (i.e. min and max amounts). On the right click the X if you do not want this criteria to be shown, however it is not necessary to remove items that are not checked off. Don t see the field you need? Additional fields can be added by typing in the name of the criteria or use the menu to scroll through available fields. 6
7 Quick Search Field Tips Access the ARMLS public reports by clicking on the MLS name. To select more than one option from the list (i.e. multiple subdivisions), hold down the CTRL (or Command) key and click on the additional criteria with your mouse. Then double click to have them added to your search. Exclude criteria by clicking on the of to change to not of Relative Date Range: Instead of using the standard calendar option, click on the double arrows located to the left of the date range. This will change it to the relative date range, allowing you to put a number of days, months or years to search back. Adding fields like Remarks, Agent Only Remarks, RV Parking, Appliances etc. can help you find specific property characteristics 7
8 Map Search The Map Search can assist you in searching for a specific property, creating CMAs and creating a search area for a client. The Satellite view will populate the Google map of that location. Overlays can show you MLS areas, subdivision, community and school district boundaries. This message will display until there are less than 1,000 listings to be plotted. Navigation bar to help you zoom in and out. The Hand icon (AKA Pan tool) is the default tool to help you drag, zoom in/out and select the property you wish to view. Customize your search area by using the mapping tools. Back/Forward To revert to the previous mapping zoom level or focus. See all points on the map Click the button to return to the initial map view where all plotted points are visible. This tool is handy if you have moved the map and lost perspective. Pan tool This is the default tool selection when you enter the Flexmls Map function. To use this tool click anywhere on the map while holding the left mouse button down, move the mouse and drag the map in any direction. When the mouse button is released the map will stop moving. Zoom in While the Zoom in tool is selected click on a portion of the map that you wish to Zoom into, while holding down the button move the mouse to increase the zoom area. A rectangle will appear, this will be the area in which the map will zoom in, let go of the left mouse button and the map will zoom in. 8
9 Your Map search criteria will display in the Quick Search area. Hover over the shape to see it highlighted in yellow on the map. To remove the polygon click on the x in the Quick Search area. Use the drawing tools to create an area specific search for your clients by clicking on the rectangle, circle or polygon. Then create your search area by clicking on portions of the map you wish to draw, double click on the last point to set the object. Click on the MLS number to receive additional information regarding that property. Use the Nosy Neighbor tool to find listing activity and lot dimensions for properties. Radius Create a radius around a property Street View Brings you to the Google street view. Bird s Eye Bing maps overhead view. Zoom Here Quickly zooms into the property 9
10 Mapping Overlays From the top right click on Overlays, this option will display additional information including areas, communities and subdivisions. Click on the Overlay that you wish to view, zoom in and out to see all Overlay areas. When done click back on the chosen overlay and it will remove it from your map. The Zip Code Overlay allows you to add a zip code to your search criteria; click on the area and then within the pop-up click on add to search. 11 VIEWING RESULTS There are multiple ways to view the listing information, additional Flexmls benefits can be found in the sub-menus in each tab. List View View abbreviated listing information based on search results, you can sort, change the list view or contact a listing member. Select your favorite properties from your results list, only these selected properties will display in the other viewing tabs. See the section on Listing Carts for more information. -9+ use these button to increase/decrease the size of the font. Use the drop-down menu to change the way the listing information is displayed. Click on any of the blue wording (hyperlinks) within the List View to view additional options. Click on the column headers or the Sort button to change the way in which the listings are displayed. Check off the listings you want to use (for saving, ing, printing or getting driving directions); click on the Selected number to be able to reorder them. Either use the green and blue arrows at the bottom right corner to move the yellow highlighted listing, or click-drag-drop them into a new order. 12 Detail View The Detail view will display the Full Report of the listing. Report Chose from multiple different report types including Detail Report, Flyers, and IDX reports. History- Displays property and listing history. Tax Info Automatically connects to the CRS (Courthouse Retrieval System ) populating the report on the selected listing. Supplement- An additional 10,000 character field that displays when a listing agent adds this section to their listing. Documents Any documents that have been uploaded to the listing will display here. Mortgage Information (RatePlug) Provides the monthly mortgage payment for a property based on current rates and lender information. Report Agent Detail Report includes the Agent only Remarks and other private listing information. Change from Public to Private, helpful if you are viewing listings with a client. Choose the Detail Report Mortgage Info report so your clients can see the mortgage rates for your preferred lenders. 12
13 History Use the plus and minus signs to open or contract changes within that MLS#. DOM (Days on Market)- Is a measurement of the age of a real estate listing. The statistic is defined as the total number of days the listing is on the active market before either an offer is accepted or the agreement between Participants and seller ends. CDOM ( Cumulative Days on Market)- CDOM a cumulative total of the market time for a specific property across multiple MLS numbers. The CDOM resets when a property is sold or has been off the market for more than 31 days. Detail> Tax Info The CRS Courthouse Retrieval System is a MLSSAZ member benefit, providing you with property information for Pima, Santa Cruz, Cochise, and Pinal Counties. Use the open in a new tab to easily see the entire report. Attend a CRS Tax Suite class to learn about all the different features within this member benefit. 13
14 Supplement & Documents View uploaded Documents to the listing, view and print these documents if needed, documents that are labeled Private will only display for MLSSAZ subscribers. The Supplement option will display when a listing agent has entered in additional information on the property. Both of these sections will only populate if information has been entered under these categories. Mortgage Info (RatePlug) RatePlug is a program designed to display live lending information within property listing information. RatePlug will be made available within the MLS System. An Agent will have the option to choose a RatePlug report when sending a prospective homebuyer property listing information. The reports with RatePlug will include real-time mortgage payments specific to that property including mortgage payment, real estate taxes, homeowners insurance, PMI and assessments. The Agent can choose the Lender(s) that will be included with their reports. Sign-up for free with RatePlug at Screen shot of system provided mortgage information no specific lender. 15 Photos Click on the arrow to display the full size picture in a new window. Caption bar to tell you additional information on the photo. View the Virtual Tours that have been uploaded. Switch back to the picture view by clicking on Pictures. Click here to see the full screen picture. See next page for more information. Click on the thumbnails or use the arrow buttons to navigate photos. Click here to hide/show the thumbnails. 15
16 Full screen photos are now available in Flexmls, displaying High Resolution photos. If you have an ipad or MacBook with a Retina display or another computer or device with a high-dpi (dots per inch) display, you'll notice that photos will appear crisper and more detailed. To support this, Flexmls allows uploading photos up to 3000x2000 pixels in size. Select the double arrow icon to populate the full screen photo viewer. Navigate to the previous or next photo by clicking anywhere the left or right of the screen, or by using the arrows on your keyboard. Use these arrows or the up and down arrows on your keyboard to change listings while in full Use the drop down menu to view the picture labels, or use the blue arrow icons to scroll through pictures. The gear icon to select the length of time each slide will be dis- The x icon will escape full screen viewing mode and return you to a standard view, or use the ESC key. 16
17 Maps View your results in the Map View with the List Preview. Select listings to view only those in the List, Detail and Map view. Click Selected to only view those selected listings, or click Results to view all of the search results. Use these arrows or click-drag-drop to reorder your Selected listings. Click on the left button to see the Single Listing View, this will show abbreviated Detail information and thumbnail Photos. Driving Directions Select the properties you need the directions to. Once selected click on Driving Directions. Google maps will display (in a new window). Click-Drag Drop the locations in your preferred sequence. 17
18 FUNCTION BUTTONS At the top of each Search function you can complete any of the following functions: Save a Search or a Listing Collection easily by using the Dashboard. an interactive version or printer friendly version of a listing. Choose from multiple print options including the Detail report view and flyers. See all of the search results in a One-Line CMA, the CMA will populate in a new window comparing multiple property criteria. Export listing information into another software product (i.e. Excel). Confidentially report listing errors to MLS for correction. MLSSAZ monitors the Report Error s and will send notifications to agents with listing mistakes or errors. Choose from a variety of different options to meet the needs of your client. Change what options your client will be able to view. Modify where your business card is located including color and style. 18
19 Saving Listing Collections The Listing Cart option will save your Selected properties to view later or to send to a client. This is particularly helpful if your search has yielded too many results or if you are watching particular properties. Place checks next to the properties that you want to add to your Listing Collections. From the top left click on Save> Save Selected As to create your listing cart. Create the collection by adding a name and click Save. Saved Searches Save your Search Criteria for future reference or for a client. After entering in your search criteria click on the Save> Save Search. Find the Listing Collection or Saved Searches here MLS Staff tip: Add the Saved Searches gadget to your Dashboard for easy access to your most common searches. 19
20 Print Choose from many different print options including public and private reports. Choose which listings will be printed. Print the List, Detail, Photos, Map and Compare tab information. The Public version is automatically set to print, however you can print both from checking off this Add additional information to the print-outs by checking off these options. To Save your selections for future use, click the Save button. Note that there is not a pop-up notifying you that it has saved. Preview your results before you Print, or create a PDF. One Line CMA (Agent Only) A One-Line CMA will include fields such as bedrooms, bathrooms, acres, subdivision price and price/sqft and much more. There is not a public version of this report. 20
21 Export Use these Export options to download information from Flexmls into Excel or other formats. MLS Error Form Confidentially report an error in Flexmls to the MLS support staff. The MLS technical support staff will research the error and request that changes be made to the listing if needed. Attend the MLS 202 Listings and Maintenance class given monthly for more information about how to avoid a listing violation. 21
22 DASHBOARD After logging into Flexmls you will first see the MLS & Home Dashboards. These pages have a number of modules to give you quick access to the more commonly used areas of the system. Click the drop-down menu to choose between the MLS dashboard and your customized dashboards. Click Customize to add gadgets, change the layout and much more! Click on the header hyperlink of the gadget to be taken to that area of Flexmls. Click-Drag-and-drop your gadgets to place more important gadgets towards the top of your dashboard. Click on any of the gadget hyperlinks to be taken to those results. Click on the drop down arrows to see settings for that selected gadget. Add as many Gadgets to your dashboard as you want. Once you have added a Gadget it will populate with a blue checkmark and state is already on this dashboard. 22

Included in these guides are video tutorials that can help guide you through the system.
