1 v5.27 Release Enhancements Listing Input Auto-Save for Listing Input Agent Level Changes By popular demand! Listing Input form data will now save automatically in 60 second intervals allowing the user to return to the Input form with the recovered data. Note: This feature will be set to active by default for the benefit of all customers and their Membership. Please contact your SSM if this should be deactivated or if you prefer the auto save time frame be increased for the MLS. Listing Input and Contact Manager CMA International Phone Number Fields Phone Number fields will now support the use of Country Codes (+01, etc Country Code-Area Code-Phone Number). Instead of displaying the area code and phone number in separate fields the fields have been combined into a single field with a default phone mask. Additional Supporting Documents For greater flexibility, a variety of supporting PDF documents are available for addition to CMA Presentation Packages. CMA Presentations: Automatic creation of PDF NOTE: As of this release, all Paragon CMA s will now be generated, saved and ed in a PDF format. This is necessary for the introduction of these new Supporting PDF Documents as well as the forthcoming enhancement which includes the ability for users to upload their own offline documents into a Paragon CMA. Client Connect Automatic update of Agent s Address Functionality improvement - Auto-notification s with a BCC Agent address will automatically update when the address is updated in the Agent Record. Listing Input and Maintenance Photo Editing Tools You asked we delivered! Rotate and Crop tools are now available for listing images within Picture Administration (for non-watermarked images). Support for Alpha-Numeric MLS Numbers For additional flexibility, MLS numbers have now been updated to support Alpha and Numeric characters. An MLS can now elect to pre-pend an MLS number with a Board Code or Year. Auction Properties The For Sale/Rent field can now be configured to support Auction properties. The MLS will also have the ability to set the default value to For Sale, For Rent or Auction. The field will be able to be displayed as For Sale/For Rent/Auction. Allow a Listing to be duplicated with the same Address within a Class A new configurable option is available, which allows for an override of the Duplicate Address check so a Listing can be duplicated within a single Class if allowed per MLS business rules. Inventory Search Field Three new fields have been added to allow users to search for all listings assigned to an Agent, Office or Firm regardless of listing or selling side assignment. Additionally the MLS may configure these fields to allow users to search for active and inactive agents, offices or firms. This allows users to conduct an inventory style search from any search module where the new inventory search fields can be added. Enhancements to Advanced Mapping Multiple enhancements have been implemented within Advanced Mapping. Support for International Address Format Data and Search Fields Login RETS As BKFS MLS moves into the International marketplace, several backend and interface changes have been implemented to support specialized Address, Zip Codes and Phone numbers within the Listing Input forms and data display. Updates have also been made to Mapping to support searching with these new address formats. Flexible Terms of Use Login Agreement Print Button Added For those customers that have activated the Terms of Use Login agreement, a print button has been added to the Terms of use screen. 4 Agent Level Changes Auto-Save for Listing Input You asked for it, we delivered! Listing Input will now automatically save data at 60 second intervals. If the user leaves the Input screen open and either reaches the Session Time Out, or closes the browser by accident, when they log in again, a message will appear in the Alert Widget that there is a Recovered Listing. This new feature only applies when adding a New listing and will not be availabe for Maintance (eg. it will not apply any time after an MLS or Partial Listing number is acquired). This will only apply to listing form data and will not retain Listing Photos or Documents. Note: This feature will be configured as active for the benefit of all customers. Please contact your SSM if this should be deactivated for the MLS or to increase the auto-save timeframe (eg. to every three minutes). Only a single instance of listing data will be recovered. The user can click the Recovered Listing icon and the following options will appear: Load Recovered Listing Data: Loads the recovered listing Input form allowing the user to continue to working from the last point of data retention. Remove: Gives the user the option to delete the recovered Input data if desired. Cancel: Allows the user to close the modal window and continue working elsewhere in the system. 5 Accessing Listing Input with Existing Recovered Data If a user attempts to begin a new listing when recovered data is present they will be provided the following options Load Recovered Listing Input Data: Loads Input form with recovered data. Continue Loading New Listing Input Form: Will load a new Input form. IMPORTANT: If the user selects this option, the recovered data will be deleted from the system. 6 Contact Manager, Agent and Office Records and Listing Fields International Phone Number Fields Phone Number fields will now support the use of Country Codes (+01, etc Country Code-Area Code-Phone Number). Instead of displaying the area code and phone number in separate fields the fields have been combined into a single field with a default phone mask. A complete list of international phone masks are now available for the system. The system will display the US phone mask by default. The system also now contains a complete list of all international Phone Number masks for support for the international marketplace. System modules updated: Contact Records Agent/Office Records Views and Reports - Please note that as of this release, all Phone numbers will drop the parentheses around the area code and will be displayed with a dash between the area code and first three digits of the phone number instead. NOTE: Due to this change, all RETS Feeds and Metadata will need to be refreshed. Previous Phone Field with separate area code. Updated field, phone number now displays as a single field. Note: The +1 International Code will display by default and the user can enter the phone value. For US numbers, the +1 will not display on Listings. BKFS MLS Solutions Internal and Client Use Only 6

7 CMA Additional Supporting PDF Documents A variety of supporting documents are available for addition to CMA Presentations. These optional documents appear after Final Comments and can be dragged and dropped within the menu tree for Step 5: Presentation Setup. These docs are not editable, but can be included in a CMA as needed. The selected CMA Theme is applied to each document as well. BKFS MLS Solutions Internal and Client Use Only 7

8 CMA Presentations: Automatic creation of PDF NOTE: As of this release, all Paragon CMA s will now be generated, saved and ed in a PDF format. HTML will no longer be available. This is necessary for the introduction of the new Supporting PDF Documents as well as the forthcoming enhancement which will include the ability for users to upload their own documents into a Paragon CMA. The Convert to PDF/Print has been removed as all Presentations will automatically generate as PDF s. Client Connect Automatic update of Agent s Address Client Connect notifications have been enhanced so that if the agent address changes in the agent record, the BCC field for any auto-notification will automatically reflect the change. 9 MLS Customizations and Administration Photo Editing Tools You asked, we delivered! New photo editing tools are now available for each image in Picture Administration. Note: As of this release, if the MLS uses Watermarks on Listing Images, we advise that this feature not be activated at this time. Future system changes will be made to ensure that watermarks are properly retained if an image is cropped. Contact your SSM to have this option configured. Click the red pen icon in the upper right corner of the image to open the tools. BKFS MLS Solutions Internal and Client Use Only 9

10 Cropping Click anywhere on the image to draw a bounding box for the area of the image to be cropped. Click in any location on the image to begin to draw a bounding box. Note that there are also controls on each side which allows the box to be resized. Use the corner controls to constrain the bounding box proportionately. Here we have drawn a bounding box to trim off part of the image Click the Crop icon to trim the image. Click Save and the edited image updates within Picture Administration. 11 Rotation At times an image may upload in an undesirable orientation. Users can now easily fix this by using the Rotation tools to adjust the image counterclockwise or clockwise. 12 Enhancements to Advanced Mapping The following enhancements have been made to Advanced Mapping. User can run a property search and select Advanced Mapping from the Reports view to display the views below. Advanced Mapping will display up to 500 listings and can zoom and pan within the frame. The thumbnail results will display and update in two ways. 1. By default we have enabled a snapshot like option. You can zoom and pan all over the map. The results in the thumbnail list will not update until users click the update button. Users can then sort the list and manage the list without any listings disappearing. When zooming into a group of listings, click the update button and the thumbnail results will only display what is currently on the map. Users can then zoom and pan anywhere and those listings will not update until they click the Update button again. 2. The other option, which is a toggle on the map, is to use the map as the filter. The thumbnail list will update as users pan or zoom the map. For example, if there are 300 results and zoom in the thumbnail list will update based on what is displayed on the map. Zooming in will reduce the number of listings displayed in the Thumbnail list. BKFS MLS Solutions Internal and Client Use Only 12

13 Clustering At higher zoom levels on the Map View, larger listing sets will display as clusters within circular icons which display the number of listing in the cluster. Clicking on a cluster icon zooms directly to that results set on the map. Clusters will appear within zoomed views where present BKFS MLS Solutions Internal and Client Use Only 13

14 Lock Map to Coordinate Boundaries A new icon is available that allows the map to be locked which will retain the dislay of the results views in the Thumbnail and Mini Thumbnail displays. This allows users to move, or zoom the the map without affecting the display of the thumbnail display information. Sorting on Thumbnail List Sort options for MLS#, Price, Date, Status, Street, Zip and Sqft are available in the Thumbnail view. BKFS MLS Solutions Internal and Client Use Only 14

19 Mini Thumbnail View Update option: All results returned. You can move the map or zoom in and the list doesn t update until you click the update button. It is like taking a picture of the map and saying showing me what I see. Paging controls allow you to progress though the results sets that are present on the map. 20 Inventory Search Fields Three new fields have been added to allow users to search for all listings assigned to an Agent, Office or Firm regardless of listing or selling side assignment. Additionally the MLS may configure these fields to allow users to search for active and inactive agents, offices or firms. This allows users to conduct an inventory style search from any search module where the new inventory search fields can be added. The fields will be available in the Listing Table which allows the MLS to re-label the Search fields if desired. These fields will not be active by default: MLS Defined Agent Search (Agent Name, License ID, Etc.) MLS Defined Firm Search (Firm Name, Firm ID, Etc.) MLS Defined Office Search (Office Name, Office ID, Etc.) In this example below the MLS Defined Agent Search has been relabeled License ID and the user is able to see both Active and Inactive results when searching (see Active column) Contact your SSM to have this option configured. 21 Auction Properties The For Sale/Rent field can now be configured to support Auction properties. The MLS will also have the ability to set the default value to For Sale, Rent or Auction. The field will be able to be displayed as For Sale/For Rent/Auction. Note that the current MLS default settings for the field will be retained. Zero Dollar Auction Listings Along with this enhancement, if the MLS utilizes Auction properties and allows 0$ values, listings with the 0$ value will be returned when matched against other field criteria. This can now be setup For Rent and For Sale listings as well. Note: When 0$ listings are included, the Spreadsheet Statistics calculations will not be impacted when these types of listings are included in results. Contact your SSM to have this option configured. Allow a Listing to be duplicated with the same Address in a Class A new configurable option is available, which allows for an override of the Duplicate Address check when saving a listing. This can be setup on a per listing basis. If allowed per MLS rules, an Allow Duplicate Address checkbox on the Listing Form is available only to MLS Administrators. When checked on the listing, the Agent can than create a copy of this listing within the same class. This new function supports a business case where a property with a single address may be divided for sale (ex. Listing 1 - Home and partial acreage, Listing 2. 22 Support for International Address Format Data and Search Fields As BKFS MLS moves into the International marketplace, several backend and interface changes have been implemented to support specialized Address, Zip Codes and Phone numbers within the Listing Input forms and data display. Updates have also been made to Mapping and Geocoding to support searching with these new address formats. Four new address element fields: These new fields are configurable per MLS and also support Canadian address formats input and display. Unit Number: displays before the street number Suite Number: displays before the street number Low House number: Used for multiple address properties such as Duplex or Triplex. 23 Other Changes: Updates to Address Searching A new advanced search control is implemented with the Unit, Suite, and Low House field. Users can search for a range or a single value for these fields. The field operator must be set to Multiple to search by a range. Address will default to the Multiple Search for all customers. Search for Single values in the Address Fields Available to All Customers Users must search by a single value to find an alphanumeric value for the Unit, Suite or House Number fields. The field operator must be set to Single. The Max field will be grayed out as ranges are not supported for this operator. Listing Input and Maintenance Input and Maintenance supports an error message if the Low House number value is higher than the high (normal) house number value search does the same for the unit, suite, and address number fields. Standardized and freeform address street names can be used without modification with the new functionality. Available to All Customers. BKFS MLS Solutions Internal and Client Use Only 23

24 Street Designations can be utilized with this new functionality: Designations will be broken into two pieces during a system implementation which allows modification on maintenance as well as input. This also will allow for the management of various international street types. State/Province data Available to All Customers A new option is available within MLS Admin>Listing>State/Province which allows the Admin to manage new State or Province values dynamically. The module will inherit the name directly from the State Field. This is available only to Security Levels 8/9. Agent, Office, Board and MLS Records Available to All Customers In the Agent, Office, Board and MLS Information modules address has been consolidated into two separate 100 alphanumeric character fields. NOTE: Due to this change, all RETS Feeds and Metadata will need to be refreshed. Zip Code Updates A new international Zip Code Mask is available within MLS Administration>System Setup Options>MLS Information. This will apply the style of mask to be used for the Zip Code field in Listing Input and Maintenance. Zip Code: Available to All Customers MLS default mask available for four different countries the mask forces correct input within Listing Input and Maintenance (including letter case). The field has been expanded to support 20 alphanumeric characters. Zip Plus was combined into a single Zip Code field If a customer uses zip code lookups there is a configuration setting that allows Listing Input and Maintenance and Search modules to retain current functionality. 25 NOTE: Due to this change, all RETS Feeds and MetaData will need to be refreshed. Support for Alpha-Numeric MLS Numbers MLS numbers have now been updated to support Alpha and Numeric characters. An MLS can now elect to pre-pend an MLS number with a Board Code or Year. This functionality also supports multiple sequences of MLS Numbers, for example an MLS may have (up to?) three Boards/Associations with a pre-pended alpha-numeric code, with each Board using their own sequence: Board 1: AAA Board 2: BBB Board 3: CCC Existing Customers: If you wish to take advantage of this new feature for the current MLS Number configuration, a request will need to be submitted to your SSM to have the MLS number sequence adjusted. Additional costs may apply. Flexible Terms of Use Login Agreement Print Button Added RETS For those customers that have implemented the Flexible Terms of Use Login Agreement a print button has been added to allow users to print a copy of the agreement for their records. With this release, RETS metadata has been brought closer to compliance with the RETS 1.8 standards RETS enhancements and bug fixes to enhance stability and maintenance For Sale/For Rent/Auction field changes International Address, Zip/Postal Codes, Phone number, Phone country code support MLS Number changes: A new DisplayID field was added to allow for board specific MLS Numbers in addition to the existing ListingID field currently in use.
