3 Welcome! The information provided in this guide will help you navigate your Xpressdocs account. It includes step-by-step instructions on how to create, mail, and track a postcard. The actual templates and tools you see within your account may vary from those used in this guide, but the order process is the same. For your convenience, tool tips are available in sections that require your input. For additional assistance, use the forms and manuals in the Online Resources tab. NOTE: On-demand orders placed before 4 p.m. CT will be shipped the same day or mailed directly the following business day. OVERVIEW Home Brings you to main navigation page. 4 CREATING A POSTCARD Choose Your Template 1 Click on the Start a New Order or Print & Direct Mail tab. 3 On the Confirm Selection page, choose a template back, view the pricing options, then click NEXT at the bottom of the page. 2 Browse the templates until you locate one that fits your needs, and click SELECT. 4

5 Personalize Your Template 1 Name your order in the field shown. For example, 4901 North Beach St. (This is a required action.) Upload Your Headshots 3 Click on the Upload/Import Headshots button and click Browse to upload an image from your computer. Name your headshot in the field below then click on Insert into Headshot Gallery. NOTE: You can upload multiple headshots North Beach St. The Smiths 2 Verify your contact information and return address are correct. Click EDIT to make changes. Jill & Jackie 4 Check the image quality. If LOW, replace with a higher quality image for better results North Beach St. Jill & Jackie Agent s Name 123 Any Street City, ST agent.name@xpressdocs.com 5 Select a headshot for your postcard using the drop-down menu. If you leave Not Selected, no photo will print. PHOTO TIPS Set your camera to the highest resolution setting (2.2 mega pixel or greater) Headshots must be 1" x 1.5" (300 x 400 pixels) Minimum file size is 75 KB Set scanner to 300 ppi NEVER use photos from any website! 5

6 Upload Your Photos 6 Click on the Upload/Import Photos button. Then click Browse to upload a photo from your computer, or select one from a previous order or photo gallery. Name your photo in the field below your image and click Insert into Order Gallery. NOTE: High-quality photos take longer to upload than low-quality photos. If you experience problems uploading multiple photos, try uploading in smaller quantities. 7 Select the photos for your postcard using the drop-down menu on the left. Choose Your Color Theme 8 Choose a background color for your marketing piece. SAMPLE COLOR SCHEME (Colors will vary and may not be available on all templates.) 6

7 Lakeland 123 Main Street North YOUR HEADLINE HERE JUST LISTED Type your copy here and stay within the number of characters listed below for best results. Try not to override the character count even though you have the option to do so. Use hard returns between paragraphs only. Use the button below for suggested copy for your postcard. Enter Details 9 Enter the details you want featured on your marketing piece. What you see in your account may vary from the image in this guide, but the process is the same. Field Text Formatting A guide to help you format your text and add special characters. City The city where you want to point recipients of your marketing piece, if applicable. Address The address information (Ex: 123 Main Street North). Headline (Back) Type a descriptive headline for the back of your piece. Align it using the drop-down menu. Front Headline This heading appears on the front of your marketing piece. Comments (Back) The body copy goes here. Use hard returns only to start a new paragraph. Use the tools directly above to align text, spell check, etc. Spell check does not check grammar. Chars Left Tracks character usage and displays the number of available characters left. For best results, do not override the suggested number of characters. Suggested Copy Click here for sample copy you can insert rather than writing your own. Fill out the remaining features, then click CONTINUE. 7

8 Proof Your Piece 10 Proof your piece very carefully. It will print EXACTLY as it shows on the digital proof. To proof, click View Larger, or click View as PDF. To make changes, click on the Edit Proof icon under Proofing Tools. When the proof appears exactly as you want it to print, check the box(es) under Customer Agreement, and click NEXT. PROOFING TIPS Is the text in the comments section sized appropriately? If it appears too small or too large, adjust the font size for better readability. Check the text alignment. Is it easy to read? Click edit proof to change the alignment using the appropriate formatting tool. Do images appear too pixelated or blurry? Go back to the photo gallery and verify the quality is high. Is your headline legible? If you are using all caps, bold, or another text enhancement, be sure it s easily read before you place the order. (Avoid script fonts that are difficult to read.) 8

9 Select A Delivery Method 11 Select a delivery method. Use our Complete Mailing Service. Xpressdocs offers in-house mailing services and sends your pieces directly to recipients. Choose FIRST CLASS MAIL or STANDARD MAIL service with the option of EDDM ELITE (Every Door Direct Mail). With EDDM Elite, your marketing pieces are delivered to every mailbox on the USPS carrier routes you choose. Ship Order to me. Xpressdocs ships the order to you. You will have the option to preprint addresses and/or bulk mail permits on direct mail pieces. Click NEXT. 9

10 ADD A MAILING LIST Upload Your Mailing List 1 Select Upload List, click Browse to locate the mailing list on your computer, and click UPLOAD. NOTE: Supported file types include Microsoft Excel, Dbase/FoxPro, Tab delimited, and Comma-separated. Click the screenshot to view examples of properly formatted address lists. Suggested columns include: full name, street address, city, state, and ZIP code. 2 Proof your uploaded list and double check the address fields identified. You can check multiple addresses to ensure everything is accurately listed by clicking VIEW ANOTHER ADDRESS. Click UPDATE once your fields are formatted correctly, then click NEXT. 10

11 3 Review your addresses and choose how you want the pieces addressed. Name your list so you can locate it for future orders. You can edit, add, and remove addresses in the future, but you cannot edit the name of a list. Click APPROVED. 4 After you approve your list, it s CASS certified, meaning it s evaluated for accuracy and address information is standardized for improved delivery. Click VIEW/EDIT LIST to review your processed addresses and edit those that did not pass. Any failed addresses remaining when you click FINISHED will be purged from your order. Create a Radius Mailing List 1 Select Radius List to build a list targeting prospects surrounding a particular point, like a neighborhood or residence. 2 Type the address and ZIP code of the focal point. Select an address type from the drop-down menu, add a search quantity, then click SEARCH. A list of addresses targeting your focal point will be generated. 11

12 3 Review your radius list. Click a specific street name or VIEW ALL to see the addresses generated. To remove an address, uncheck the box to the left. To manage your list, select your address options, name your list, read the terms and conditions, and click APPROVED to continue. Your new radius list will be stored on your main address list page st Street NE Radius List Create a Street Mailing List 1 Select Street List to build a list targeting prospects on a specific street a great way to reach neighbors of past and current clients. 2 Enter the street address and ZIP code in the provided fields. Select an address type from the drop-down menu, then click ADD STREET. Continue this process until you ve added all the streets you want. Read the terms and conditions, then click the APPROVED button. Your new street list will be stored on your main address list page. 12

13 Create a Demographic Mailing List 1 Click Demographics to create a list using filters such as gender, income, age, homeowners, renters, businesses by the number of employees, SIC code, or sales volume. 2 Choose a demographic target from the list of options and fill out the necessary information to build your list. 3 Confirm your selection and click NEXT. 13

14 COMPLETE YOUR ORDER Mail Your Order 1 Check the box next to the mailing list you want to use. For shipped orders, you may select not to add addresses. Choose the option to include a high-resolution PDF. Choose a coating option for select sides. If you want your piece to be delivered at a later date, fill out the Schedule Future Fulfillment Date module. You may have the option to create a Mobile Ad. If you would like to do so, check the box under Create Mobile Ad. When you ve completed this section, click NEXT. 14

15 Ship Your Order 1 Select your shipping option, then click NEXT. 2 If you are ordering additional copies of your postcard, check the box under Ship Additional Copies. NOTE: The cost of overnight shipping includes orders being shipped to another address or packaged separately. Saturday and Priority upgrade excluded. Free shipping is available. Checkout 1 Review and verify that your order summary details are correct. 2 Select your billing method and enter your credit card information. Click COMPLETE CHECKOUT. NOTE: No order is complete or placed until you click on the PLACE MY ORDER button. Order confirmations are ed directly to you. 15

16 ORDER RESOURCES Order History 1 Click on the Order History link from the Home tab to access your order details. 2 To search for an order and check its status, click SEARCH ORDERS, fill out the fields provided, and click SEARCH. Use links at the upper right to access additional order information, i.e. view PDF proof, shipping information, place re-orders, and more. Pending Orders 1 Click Pending Orders under the Quick Links menu on the Home tab. 2 Click the Place/Edit link in the Pending Orders table to access a saved or pending order. 16

17 Online Resources 1 Click Online Resources under the Marketing Tools menu on the Home tab. 2 Use these links to access various information and tips such as marketing documents, pricing sheets, photography tips, and more. ADDITIONAL PROGRAMS Social HQ (Available on select accounts only) Social HQ offers control of social networks from inside one powerful, easy-to-use dashboard. Choose from a library of industry-specific content and share messages across Facebook, Twitter, LinkedIn, and more. Utilize keyword tools to source leads and better manage online reputations. 17

18 Mobile Ads (Available on select accounts only) Expand your local reach quickly and easily by creating a mobile ad. Go to the Mobile Ads tab in your account and click Create Mobile Ad. Marketing (Available on select accounts only) Xpress is an affordable, template-driven platform that allows you to quickly create marketing s with drag-anddrop customization tools and access to a robust content library. Built specifically for the busy professional or small business owner, Xpress is an easy way to continuously stay in touch with clients. 19 APM (Automated Prospect Marketing) (Available on select accounts only) With Automated Prospect Marketing, direct mail communication is sent directly to your prospects of choice through data feed integration. With automated notifications, a streamlined order approval process, and auto-generated mailing lists, APM puts your prospect marketing on autopilot. Go to the APM tab in your account to get started. Marketing Just Got Easier and Faster with Automated Prospect Marketing Daily feeds provide all the information needed for Automated Prospect Marketing to generate a postcard proof, including photos and descriptions. With notifications straight to your inbox, a streamlined order approval process, and auto-generated radius mailing lists, we help you get your marketing piece in front of your target faster than ever before. "Postcard is Ready" Alerts Xpressdocs generates a proof for every new postcard on your listing feed. When a proof is ready for review, an notification alerts you to review your proof. Simply click on the "Order Now" button within your , review your order, select your mailing list, and your postcards are on their way to your target. Not Ready to Order? Xpressdocs never places an order without your permission. If you do not wish to place an order at the time you receive your notification, simply ignore the and your postcard will be stored under your "APM Properties" tab to order at a later date. If you have already started an APM order, it will be stored in the Pending Orders section of your account. 19
