3 Home Page The Web Access home page gives you an overview of available options. The schedule for the current week is displayed on the left. To display a different period targeting certain dates, visit the "Schedule" menu. Home Page - Schedule The manager chooses what is visible or not to employees. For example, it is possible that you only see the start and end of each working day. 2
4 Home Page Messages It is also possible to make requests for a leave of absence and / or availability. The link "Request time-off" allows you to send requests for different types of leave (vacation, meeting...). The link "Submit availabilities" allows you to specify the days you are available. The status of requests appears in the message board on the right (in validation, accepted...). - Requests are in the "Created" status when they are being sent to the manager. They can be deleted by the employee until the manager reads the request. They will then be cancelled (but will nonetheless appear in the manager s list, who can no longer accept or reject them). - As soon as the manager reads the request (without blocking it), it displays the status Received by the planner." - They move to the "In validation" status when the manager blocks the request in order to analyze it. It is then impossible to cancel. - If the manager accepts the request, it gets an "Accepted" status. - If he refuses, the status is changed to "Refused". - If the manager proposes another period that you must confirm, the request will be marked as Edited. 3
5 Time Off To create time off requests from the home page, click on the link "Request time-off." In the time off request page, specify a time off type or manual assignment. Set a start date and end date with the corresponding hours. Check the "Day" option if you want to include a full day (without specifying an hour). The end date is always included. You can enter multiple periods for the same time off type. To do this, simply add new segments. Once the request sent, it will be listed in the list of messages on the home page. 4
6 Availabilities To submit your availability, click on the link provided for that purpose in the home page. You will be redirected to the availability management page. In the availabilities submission screen, double click on a cell. 5
7 Adjust the start and end dates in the dialog that appears. It is also possible to select a cell and then click "Add" to edit a new availability. The "Edit" button allows you to edit one or more availabilities pre-selected by the employee. The "Delete" button deletes the selected periods. It is possible to specify a recurrence for an availability. This will indicate whether the recurrence is every day, week, month or year. It is also possible to specify the day in question. The end date is included in the period. This one is used to determine when the recurrence will be completed. Before submitting availability, it is still possible to modify the information entered. To edit, double click on the availability in question. If a recurrence was defined on the availability, it will be required to specify whether the change affects the whole series or just the day / time selected. After the manager s approval, the availability will appear in the availability calendar. The request will also be listed, on the home page in the list of messages, in order to know the status of approval. 6
8 Schedule In this section you can see all your assignments and your time-off requests for a selected time period. Simply specify a start and end date to see your schedule. Links are available to switch from the agenda view to the calendar view. An option allows empty days to be hidden, i.e. days without assignments. It is also possible to request time off from this page via the link provided for this purpose. Configuration To change the password or log out, click on your user name in the menu bar. On the "change password" page, enter your current password, then the new one with the confirmation. After validation you can continue your operations on web access. To disconnect, click on the "Disconnect" option. 7
