3 Service Contract Sales and Maintenance Introduction Service Contract Sales allows you to record service contract applications and administer them through the Web using the information hyperlinks provided: Application Entry/Change/Delete Cancellations Transfers Status Summary Acceptance Report Error Codes and Descriptions 2
4 Submitting and Viewing Service Contract Information The Application Entry / Change / Delete page allows you to submit and view service contract information. To submit service contract applications, follow these steps. Note: You can suspend the submittal of a service contract application by clicking the Suspend button at any point prior to clicking the Submit button. This action allows you to submit the application and / or make changes to entered information at a later time if you have not exited the application. If you exit the application prior to submittal, the information will be lost. 1. Click the Application Entry / Change / Delete hyperlink on the Service Contract Sales and Maintenance Home page. The Application page appears. 2. Enter the last eight or all 17 characters of the Vehicle Identification Number (VIN) in the VIN textbox. 3. Click the Find VIN button. The required fields of the Customer Information section and the In Service Date field of the Vehicle Information section populate. 4. Choose a product code from the Product Code dropdown box. 5. Choose a type of vehicle use from the Type of Use dropdown box. 6. Choose the odometer type from the Odometer Type dropdown box. 7. Enter the customer's preferred name in the Preferred Name textbox if necessary. 8. Enter the customer's office telephone number in the Office textboxes if necessary. 9. Enter the customer's fax telephone number in the Fax textboxes if necessary. 10. Choose the plan code from the Plan Code dropdown box. Click the Get Plan Code button. The Plan Code textbox populates with your selection. 11. Enter the plan sale date in the Plan Sale Date textbox. a. Click the Calendar button next to the Plan Sale Date textbox. A calendar appears. b. Select a start date from the calendar. The date appears in the Start Date textbox. 12. Enter the vehicle inspection repair order number in the Vehicle Inspection RO textbox if necessary. 3
5 13. Enter the option package one information in the Option Package 1 textbox if necessary. 14. Enter the option package two information in the Option Package 2 textbox if necessary. 15. Enter the dealer amount in the Dealer Amount textbox. 16. Enter the customer amount in the Customer Amount textbox if necessary. 17. Choose the correct answer from the Contract Financed dropdown box if necessary. Note: If you chose Yes, enter the name of the institution that financed the vehicle and service contract in the Finance Source textbox. 18. Enter the salesperson's personal identification number in the Salesperson PIN textbox if necessary. 19. Enter the business manager's personal identification number in the Business Manager PIN textbox. 20. Click the Submit button. The Authorization page appears. Click the Clear button. The fields clear. Repeat steps 2 through 20. Click the Suspend button. The fields clear. Repeat steps 2 through Click the Request Authorization Button. The Request Authorization page appears. 22. Enter the dealer contact name in the Dealer Contact textbox. 23. Enter your comments in the Comments textbox. 24. Click the Submit button. A confirmation message appears at the top of the page. Click the Clear button. The fields clear. Repeat steps 21 through 24. To view service contract information for existing customers, follow these steps. 1. Click the Application Entry / Change / Delete hyperlink on the Service Contract Sales Home page. The Application Entry / Change / Delete page appears. 2. Enter the last eight characters of the Vehicle Identification Number (VIN) in the VIN textbox. 4
6 3. Click the Find VIN button. The fields of the Customer Information section populates. 4. Click the Print Preview button. The service contract information appears in a new Adobe Acrobat print window. Note: To close the Adobe Acrobat print window, click the Close button on the upper-right corner. Do not click the Internet Explorer Close button or you will exit DealerCONNECT. To print service contract information for existing customers, follow these steps. 1. Click the Print button on the Adobe Acrobat toolbar. The Print dialog box appears. 2. Choose the appropriate print options. Note: Print dialog boxes vary in options and layout based on your printer type. See your Systems Coordinator for detailed instructions. 3. Click the OK button. Note: To close the Adobe Acrobat print window, click the Close button on the upper-right corner. Do not click the Internet Explorer Close button or you will exit DealerCONNECT. 5
7 Canceling Service Contract Applications The Cancellations page allows you to cancel service contracts for your customers. To cancel service contract application information, follow these steps. Note: You can suspend the cancellation of a service contract application by clicking the Suspend button at any point prior to clicking the Submit button. This action allows you to complete the cancellation of the service contract application and / or make changes to entered information at a later time if you have not exited the application. If you exit the application prior to submittal, the information will be lost. 1. Click the Cancellations hyperlink on the Service Contract Sales Home page. The Cancellation page appears. 2. Enter the last eight or all 17 characters of the Vehicle Identification Number (VIN) in the VIN textbox. 3. Click the Find VIN button. The fields of the Customer Information section populate. 4. Enter the plan cancellation date in the Cancellation Date textbox. a. Click the Calendar button next to the Cancellation Date textbox. A calendar appears. b. Select a start date from the calendar. The date appears in the Start Date textbox 5. Choose the reason for the cancellation from the Cancellation Reason dropdown box. 6. Click the Submit button. The Authorization page appears. Click the Clear button. The fields clear. Repeat steps 2 through 6. Click the Delete button. The Cancellation page appears with empty fields. 7. Click the Request Authorization button. The Request Authorization page appears. 8. Enter the dealer contact name in the Dealer Contact textbox. 9. Enter your comments in the Comments textbox. 10. Click the Submit button. The Cancellation page appears with a confirmation message. 6

9 Transferring Service Contract Information The Transfers page allows you to transfer service contract application information for your customers. To use the Transfers page, follow these steps. 1. Click the Transfers hyperlink on the Service Contract Sales Home page. The Transfers page appears. 2. Enter the last eight characters of the Vehicle Identification Number (VIN) in the VIN textbox. 3. Click the Find VIN button. The required fields of the Customer Information section, the In Service Date field of the Vehicle Information section, and the Plan Code field of the Plan Information section populate. 4. Enter the odometer reading in the Odometer textbox. 5. Choose the odometer type from the Odometer Type dropdown box. 6. Enter the customer's preferred name in the Preferred Name textbox if necessary. 7. Enter the customer's office telephone number in the Office textboxes if necessary. 8. Enter the customer's fax telephone number in the Fax textboxes if necessary. 9. Enter the plan transfer date in the Transfer Date textbox. 10. Enter the dealer amount in the Dealer Amount (CAD) textbox, if necessary. 11. Enter the customer amount in the Customer Amount (CAD) textbox if necessary. 12. Click the Submit button. If the Errors page appears, go to the Correcting Errors section for information on how to correct errors. If the Authorization page appears, go to step 12. Click the Clear button. The fields clear. Repeat steps 2 through 11. Click the Delete button. The Transfers page appears with empty fields. 13. Click the Request Authorization button. The Request Authorization page appears. 14. Enter the dealer contact name in the Dealer Contact textbox. 15. Enter your comments in the Comments textbox. 8
10 16. Click the Submit button. The Transfers page appears with a confirmation message. Click the Clear button. The fields clear. Repeat steps 13 through 15. 9
11 Viewing and Correcting Status Summaries The Status Summary page allows you to view, correct and print application status confirmations. To view and correct status summaries, follow these steps. 1. Click the Status Summary hyperlink on the Service Contract Sales Home page. The Status Summary page appears displaying all current status summaries. 2. Enter the starting date for the application status confirmations you want to view in the Start Date textbox. Choose the status type from the Status dropdown box. 4. Click the Search button. The search results appear. 10
12 Viewing and Printing Error Codes and Descriptions 5. Click the Errors tab. The Errors Page appears with an explanation of the errors found on the Status Summary Page. Note: A confirmation message appears If you have not made any errors. Click the Status Confirmations tab to return to the Status Summary page. 6. Click the Correct button. The Status Summary page appears. Note: At this point you can correct the information on the Status Summary page. Correcting Errors 1. Click the Correct button. The Application Entry / Change / Delete page appears. 2. Correct the information you entered on the Application Entry / Change / Delete page. 3. Click the Submit button. If the Errors page appears, repeat steps 1 through 3. If the Authorization page appears, go to step 21 of the previous section. Click the Clear button. The fields clear. Repeat step Click the Errors tab. The Errors page appears with an explanation of the errors found on the Service Contract Acceptance Report page. Note: A confirmation message appears if you have not made any errors. Click the Acceptance tab to return to the Service Contract Acceptance Report page. Click the Clear button. The fields clear. Repeat steps 1 through 3. Correcting Errors 1. Click the Correct button. The Cancellations page appears. 2. Correct the information you entered on the Cancellations page. 3. Click the Submit button. If the Errors page appears, repeat steps 1 through 3. If the Authorization page appears, go to step 9 of the previous section. Click the Clear button. The fields clear. Repeat steps 1 through 3. 11
