No paper copies of assignments will be required for submission, however you should advise your students to keep a copy of their assignment, backed up either electronically or on paper, in case of any system failure. Turnitin is now widely used in the majority of UK HEI s and is a tried and tested method of assignment submission. Having received guidance and feedback from current users of Turnitin in other HEI s, particularly some of our external examiners, some modifications to the submission process will be made: From September 2011, the time of submission of assignments will alter from 3:30pm to 12 midday. No submission date will be set for a Friday if the due date falls on a Friday, the submission date should move to the following Monday. This is to allow for some contingency planning if Blackboard is unavailable and to allow for any errors in the system or any failures to be resolved by the end of the working day. Should electronic submission not be available for any reason, the module leader will advise student groups of alternative arrangements. Setting up the assignment submission points. The module leader is responsible for setting up the Assignment Submission boxes at the start of the module. Below is a step by step guide as to how to do this. 3 You will need to follow this process to create 3 submission boxes for each module: a first submission box a box for extensions and five day rule submissions a box for second attempt submission. Within your module in Blackboard, choose Assignments from the menu on the left, then choose Assessments > TurnitinUK Assignment. If this option is not present on your course, please follow the advice at Why can't I see an option to add a Test (or a Turnitin assignment, or a URL)? on Open Door ( or contact the IT Service Desk. 4 1 In the assignment title box, type the name of the assignment e.g. Formative Assignment Part A. This should be clear and unambiguous so that neither you, your colleagues, nor students and IT / TEL staff are likely to be confused 2 Give the assignment a point value: for formative assignments the value will be 0; a summative, even if constructed in two parts will be For each assignment, three dates will need to be set: 3 Start date = when this assignment becomes visible to students defaults to the current time normally there will no need to alter this 4 5 Due date is the date the assignment becomes due commonly referred to as the submission date. N.B. No submission date should be set for a Friday if the due date falls on a Friday, the submission date should move to the following Monday. Setting the time correctly here is very important to avoid confusion, set this as P.M. (i.e. one minute past midday) Post date = when your grades and feedback will become visible to students. must be fixed for 15 working days after submission moderation needs to take place before that date as this is when the students will be able to access provisional results. 5 Please agree within your module team which options you want to enable and disable. Recommended settings are shown below Special instructions It is important that students are provided with clear information about the submission process. Please use (or adapt) this standard text: Click on View/Complete to upload your work to Turnitin. In the 'submission title' box you must enter your student ID number. You should also include your student number (but not your name) on the work itself, for instance in a header or footer. You may continue to enter drafts, and check the resulting Originality Report, up until the submission date and time. But once the due date and time is reached you cannot make any further submissions, and what is in the box is final. A receipt will be sent to you via your university account; you must keep this receipt as proof of the work that you have submitted. You can provide the same details in your MSG, or any other guidance documents that you provide to students. 7 Allow submissions after the due date? = No You might choose Yes for small groups where you do not want to set up a second submission box for the occasional user of the 5 day rule or someone who has an extension. 6 8 Generate Originality Reports for submissions = Yes 9 Generate Originality Reports for student submissions choose immediately (can overwrite reports until the due date) This allows your students to submit more than one draft of the assignment having viewed their Turnitin report they can then edit their paper before resubmitting Exclude bibliographic materials / quoted materials / small matches These three options can be left as the default No but you may wish to change them on certain modules e.g. on a Dissertation module you will probably want to exclude bibliographic materials and quotations. 7 13 Allow students to see Originality Reports? = Yes 14 Reveal Grades to Students only on Post Date = Yes Answer Yes to this question to ensure that students cannot see their grades before the Post Date. N.B. If you answer No to this question, students will be able to see their grade through the Blackboard My Grades tool; but they will still not be able to see any lecturer feedback in Turnitin until the Post Date. If your Turnitin assignment is set for Anonymous Marking, then no grades will be passed to the Blackboard Grade Centre before the post date, regardless of how you answer this question (but our advice would still be to answer Yes, just to be on the safe side). 15 Enable anonymous marking? = Yes It was decided in the first year of full Turnitin use that the loss of facilities when anonymous marking is enabled outweighed any benefits (e.g. loss of the export facility, which allows for an editable Excel spreadsheet to identify papers requiring second marking or review by the external examiner). However from onwards anonymous marking should be adopted. 16 Submit papers to = leave as standard repository (for formative assignments only choose no repository ) Search options leave all ticked Press submit and your assignment submission box has been created. You can go back in at any time and alter any of the dates or settings. For modules which are taught in the same group but at different levels, different level boxes will be required. If there are multiple groups taking the same module, identify the group by their intake date or by your own name, e.g. Anna Brown s group. 8 Extensions When the Module Leader grants an extension, they should use the standard template to notify the student, and the administrator. The must include: Student ID Module Code and dates Assignment Element (e.g. A1, A2) The agreed extension date. The administrator will then record these details in Unit-e. The student should paste the details from the into the paper they submit to Turnitin. Hiding unmoderated grades from students It is no longer necessary to change the settings in the Grade Centre just ensure that you say Yes to Reveal Grades to Students only on Post Date when setting up the assignment see option 14 above. Multiple assignment files Turnitin will only accept one document per assignment. This can be a Word document, a PDF, RTF or a plain text file. Cover sheets, extension forms, disability forms, supporting evidence etc. need to be included in this single document, or submitted to a separate assignment box. A Word template has been created to include information previously included on the assignment cover sheet, and includes options for inclusion of Disability details and extensions to submission dates, along with a declaration that this is the student s own work in line with University Regulations. This is being trialled on some modules. Students with a registered disability will be provided with an electronic cover letter which can be inserted into their assignment see the Turnitin FAQs on Open Door If students do need to submit appendices, these can be submitted to a separate Blackboard assignment see Blackboard Assignments on Open Door Accessing the submitted assignments. 9 This will take you to the list of all the Turnitin Assignments set up for this module. Click on View under the assignment you wish to view and it will take you to the Assignment Inbox, which lists all the students who have submitted assignments. To open an assignment, click on the assignment title or GradeMark icon, and this will take you to the Turnitin Document Viewer and Grade Mark. When you first open the Turnitin Document Viewer, it will offer you a 4 minute walk through video of Grade Mark. Please access this and watch the demonstration. It shows you how to add comments to the student s text, how to add general comments and how to add your final grade. In addition Turnitin has its own Help section (click Help when you open the Turnitin Document Viewer) which has several very easy and quick demonstration videos and guides which you may wish to access. 10 Feedback You should prepare your general comments feedback using the format on the marking grid to organise your comments. Grade Mark does not have a spell checker, so it works best if you set up a template in Word, with the headings from the marking grid, and add your comments. You can then copy and paste your text into the general comments section in Grade Mark. At the end of your General Comment, please add your name and date of marking. A matrix, for entering the breakdown of marks, will be prepared by the module administrator and sent to the markers prior to the assessment submission date. This should be passed to the second marker and should be available at the Moderation meeting. It will subsequently be held by the module team as part of their module record. Second Marking Each marker must select a sample of the marked work in line with the moderation policy. 2 nd markers will be identified by the module leader when module dates are set at the beginning of the academic year. At this time, target dates for return of marking will also be identified. By 12md on day 10 following submission, first marking must be complete. From 2pm on day 10, second markers will have received the excel spreadsheet, indicating which scripts need to be reviewed, they will be able to access the scripts, read the first markers feedback and review the results matrix. Second marking must be complete by 12md on day 13. The moderation meeting should be scheduled for day 14 so that any amendments can be made before the results area is viewable by students on Day 15. These targets will require very strict diary management and must be agreed by the module team at the start of the academic year. CNMH: Using Turnitin - guidance for staff. p10 30/08/2013
11 From the screen above, clicking Export will export all the student data with marks into an excel spreadsheet (below). You can use the hide function in excel to hide columns which are not necessary to view e.g. each script submitted will be allocated a Turnitin student ID number but this is not required for any of our processes at present. You can then select the rows of the papers you want reviewed and highlight these. If you have several second markers, it will be useful to colour code them, as in the example below. Moderation Comments regarding parity or changes in marks following discussion with markers should be ed to the module leader who will generate the agenda for the Moderation meeting and summarise them following discussion at that meeting in the Moderation Report. External Examiners At the beginning of the academic year, the module leader will complete a short Excel spreadsheet, indicating the first name, surname and address of all their external examiners. This will be passed to the IT service desk, who will generate Usernames and Passwords for each examiner. 12 will be the module leader s responsibility to advise the External Examiner of all Post Dates (i.e. the date at which they will be able to access module assignments which have been through marking, second marking and moderation) and to a copy of the results matrix indicating which assignments they should review and the moderation report. Copies of guides to Blackboard and Turnitin should be sent to any External examiners who are not familiar with the system.
