2 Faculty Policies Regarding the Online Submission of Work All Faculty assessment & feedback policies can be found in the Faculty handbook, including policy on deadlines and word count. Key points: 1. Students are responsible for ensuring that the correct assignment is submitted. The file electronically submitted by the student at the time of the deadline will be taken as the final and complete submitted work, and no amendments or additions will be permitted after the submission deadline. 2. Students are responsible for ensuring that electronic files are submitted in one of the specified acceptable file formats, and not corrupted. Students should check files on the system after submission to ensure they are valid and correct. 3. Students must ensure that any instructions for submission are followed. Failure to correctly follow instructions given in your programme or module handbook may result in work not being marked. 4. Technical failure, including of a computer, browser or internet connection, is not a valid reason for late submission of work, unless as a result of a failure of the University s IT systems, and in the case that there was no reasonable course of action the student could have taken to submit the work on time. 5. It is important that you do not leave your submission to the last minute, so that you have plenty of time to ensure your submission is successful and correct. During University submission deadlines, both KEATS and Turnitin can run slower than normal due to the high demand placed on the software. Leaving your submission to the last moment could result in your work being marked late by the system. 2
3 Attaching a Coversheet For every submission you should include the Faculty cover sheet at the front of your assignment. You can merge two files together in Microsoft word by following these simple instructions: 1. Select the INSERT tab at the top of the document and choose Object. 2. Press the Object drop down menu, and click Text from File. 3. You can then select files to be merged into the current document. Pressing and holding Ctrl will select more than one document. Uploading an Assignment To submit your assignment follow the instructions below or alternatively watch the video available here. To access the assignment submission area in KEATS, click on the course module title and find the Assessment & Feedback area. This will usually be the third section of your course space. The submission area will be appropriately titled and have the Turnitin icon to open the submission summary tab. next to it. Click the link From the Summary tab you can view additional instruction regarding your submission and the start, due and postdates of the assignment. 3
4 The start date is the date students can begin submitting their work. The due date is the date submissions end i.e. the deadline. (Depending on the type of assignment, students are able to submit work after the due date.) Assignments submitted on or after the stated time has passed are automatically marked late by the system. For example: If the due date time is set for 16:00, the system will only record work submitted up to a time of 15:59:59 as on time. You need to submit BEFORE the deadline. Feedback, grades/marks and peer reviews become available usually four weeks after the due date. 4
5 Correct File Types Before uploading it is important to make sure that the file type you are submitting can be accepted. From January 2016, Turnitin does not fully support Word 97/2003 (.doc) files. Currently Turnitin accepts the following file types for upload: Microsoft Word (.doc or.docx), PDF, plain text (TXT), HTML, rich text (RTF). The file size for a submission may not exceed 40MB. The file size for a submission may not exceed 40MB. Files must also include at least 20 words of text. If you are using images in your work it is possible that your file will be too large to submit. By compressing the images before submission you can reduce the overall size of the file. The Microsoft website has instruction for compressing images in Word files. Tracked Changes Students must accept or reject all changes/edits in their document and switch off Track Changes before submitting. Turnitin will match everything in the deleted and formatted text, thus falsely inflating your similarity score. Even if the tracked changes are not showing in the Word version of the document, Turnitin will still pick them up. Submitting your assignment Open the My Submissions Tab. Scroll to the bottom of the page and click the Submit Paper link. A pop up box will open. Ensure that pop ups are not blocked by your browser. 1. Choose your file type, if this option is available. 2. Enter you surname, followed by your fist name, then the module code. 3. Drag and drop the file you want to submit into the designated space. 4. Check the box to confirm the work is your own. 5. Click Add Submission
6 There can be a short delay in clicking add submission and the processing. KEATS and Turnitin are especially busy around submission deadlines and we recommend leaving plenty of time to submit. How to Resubmit Work Prior to the Deadline How to Resubmit Work Prior to the Deadline You have the option to resubmit a file up until the deadline. When you add a submission it replaces the previous version submitted, showing only the most recently added. You can only resubmit up to the deadline. In the My Submissions tab, you will see the details of your assignments. You can resubmit by clicking once again on Submit Paper. Be sure to fill in the 'Submission Title' again. Once you are done, click on the resubmission box at the bottom of the screen.
7 Late Submissions Students have up until the deadline to submit work and we recommend leaving plenty of time to do so. KEATS automatically marks submissions as late by highlighting them in red to both the student and any staff. Work submitted ON the deadline, will be marked as late. You need to submit BEFORE the deadline. Please see below for information on the penalties applied to late submissions. Checking that the Uploaded File is Correct It is your responsibility to check that you have submitted the correct version of your assignment. After you ve submitted, you do this by going to the 'My submissions' tab and clicking on your submission title (in most cases this will be your candidate number and module code). You will then be able to preview your submitted assignment. If you notice that the file is incorrect or corrupted you have the option to resubmit the file multiple times prior to the deadline.
8 Proof of Submission On submitting your work, Turnitin will automatically you a receipt as proof of submission. This will detail the exact time your assignment was processed as having been submitted. You should receive this instantly. If you don t, you should check that your work has been submitted properly as described above. What if I Experience Problems During Submission? If you do experience technical problems during submission, you should first confirm that the problem is not with the computer or internet connection you are using, by using a different computer to submit. If the University s electronic submission system suffers a technical fault near a submission deadline, you should alert the relevant department office. You should check your University address regularly during this period, as this is how we will communicate with you. Late Submission Penalties If you either fail to submit material for assessment or submit after the deadline and have not made a request for an extension, or have not satisfied the Chair of the Board that your mitigating circumstances offer valid reasons for submitting late work, you will have an automatic penalty applied. Please note technical issues on your own personal computer or internet access are NOT considered valid reasons for late submission.
9 Work submitted up to 24 hours after the deadline will be marked but the grade awarded will be capped at the pass mark (50% for PGT). Students should be told an indicative grade had the cap not been applied and should receive feedback on the work. Work submitted more than 24 hours after the deadline will receive a mark of zero. No feedback or indicative grade will be provided. This is set out in the University policy on late submission in point 18 of the A3 Regulations for Taught Provision. Students have up until the deadline to submit work and we recommend leaving plenty of time to do so. Contact your department office immediately should you have any problems submitting. Personal Mitigating Circumstances From time-to-time circumstances arise which are outside your control and which may prevent you from performing to your potential. Such circumstances might include illness, the death of a close relative or an accident, technical outage of the University systems. In these instances, the University has mechanisms in place to ensure that you will not be disadvantaged in any way provided that your need is genuine and that you follow the procedures approved by the University. 10 Interpreting your Turnitin Originality Report Turnitin is a plagiarism detection and avoidance tool. When used in the correct way it can help you avoid plagiarism. It also assists tutors in identifying work that has been plagiarised. Your plagiarism report gives you an overall percentage (your Originality Score), and also a detailed report showing where it has identified matches between your submission and a variety of sources. It is important to remember: Your plagiarism score will never be 0% and you should not aim for this. There will always be coincidental matches between your work and other submissions, and also 'false' readings on quotations, footnotes etc. Scores of 20-30% are common, although this will depend on the settings used by the department for the assignment. There is not a set percentage above which your work is considered 'plagiarised'. Turnitin is an additional tool used by tutors to help them identify cases of plagiarism, and will always be used in conjunction with their own knowledge and experience. Use the material provided by the university to help you follow good academic practice. The library's webpages contain further information on Turnitin and on citing references. The Plagiarism support course contains further information, and a sandbox Turnitin area, which you can use to practice submissions.
11 Accessing Feedback on your Work To access your feedback follow the instructions below or alternatively watch the video available here. After the post date has passed, indicative grades and comments will become available for you to view. Please note all grades are provisional until approved by the appropriate Assessment Board. To access your feedback, navigate to the module area you submitted the assignment to, find the Turnitin area (following the steps you took to submit your assignment in the first place), then click the title of your submission. This will then open up your assignment. To view your feedback click on the GradeMark button. The markers comments appear as speech bubbles across your assignment. Hover the cursor over a bubble title to expand the comment.
12 More in-depth feedback can be found in the General Comments window. To access the General Comments click the speech bubble icon in the bottom right of the GradeMark window: Any grade written in the General comments window is indicative and not a final grade until after the exam board. Downloading and Saving Your Feedback If you wish to download your feedback and save it as a PDF, simply click on the small printer icon on the bottom left of the page, then select the option Download PDF of current view for printing. Make sure that you are still in the GradeMark viewing window. Depending on your browser, this will either download a copy of your assignment with your feedback straight to your PC, or open up the PDF in another window. Your feedback comments will be available at the bottom of your assignment, with the tutor s overall comments appearing first. Detailed feedback will available further down the page.
