1 COMPUTER CLUB OF SUN CITY BOARD MEETING August 4, 2016 President Bob Heath called the meeting to order at 9:00 a.m. PRESENT: Bob Heath, Claudia Hinson, Robbin Owen, Steve Snedden, Jim Schulz, Charley Housler, Virginia Geile, Gene Stashick, and Rose Damron. Betty DeRentis was absent. VISITORS: Ed Damron, Billie Phillips, Doris Young MINUTES: (Rose Damron) It was moved, seconded, and carried unanimously to dispense with the reading of the June minutes, and to accept them as submitted. PRESIDENT: (Bob Heath) Because of health problems, Bill McLaughlin and his wife, Rose, are moving to an assisted living facility in Michigan. This means the SIGs he leads will be discontinued. We will miss Bill and his expertise. Charley Housler wondered if Bill would be able to use Skype for his All Things Google SIG. The Sun City Firemen will be using Room D the last week of September (9/26-30). Bob received a request from the Glendale AARP Tax Aides to use our facility for 3-4 weeks in January. Bob forwarded this request to Myrna at RCSC; but since this is our busiest time of the year, we prefer not to allow this use of our facility. VICE PRESIDENT: (Gene Stashick) SIG attendance for June was 125; and for July, 160. Highest attendance was at Android Devices (42 July), Windows (37 June & 28 July); Internet/ (24 July); Google Photo (22 July); Backup & Restore (16 July). TREASURER: (Betty DeRentis) Copies of the July 2016 report (through July 26) were distributed to the Board. The first page compared budget numbers to actual expenses. Total income for July was $633.00; Total expense, $ Before printing on the Konica copier, be sure the option to print gray scale (and NOT color) is selected. Some programs (Access and Publisher) override the default to gray scale. Betty: how much has been spent on toner for the Brother printer this year? Last year? Charley will purchase the toner needed for Brother printer to be operational again. MEMBERSHIP: (Claudia Hinson) As of the end of July, we had 1,160 members. There were 765 club members and 20 visitors (including 20 new members) in attendance last month with 24 days of activity. We processed 20 new members and 4 renewals. In August, we will have new member sign-up from 9 to 10:30 on Wednesdays. September New Member sign-up will be on Wednesdays and Fridays. No New Member sign-up is scheduled for October; however, in October, New Member sign-up can be done by appointment for those desiring to do so. Also, any Board Member or teacher can sign up a New Member. Forms are located in the Membership locker. 1
2 PROPERTY: (Charley Housler) A Room. There was a Win10 Workshop in the A Room on July 25, and Betty successfully demonstrated the latest Redstone 1 build (also called the Anniversary Update) of Windows 10. A Win10 Redstone 1 build (one machine) can be made available for use in this room, should anyone desire it for a SIG or Workshop. B Room. Work has begun in the B Room applying MS updates to the Win7 machines. The schedule has changed from that reported last month; the Win10 machines will be updated sometime after the Redstone 1 update is pushed. The machine with Redstone 1 installed has been removed, as we were having difficulty getting it to continuously update. C Room. There was no planned maintenance in the C Room this month. In August, we are planning to update all C Room machines to the latest Win10 Build during the week of August 22. This will include the Redstone 1 update. D Room. There was no maintenance activity in the D Room this month. The machines in the D Room will be updated to the latest build during the week of September 6. The Sun City Fireman have been scheduled to use the D Room during the last week in September (9/26-9/30). Teachers' Room. All machines have been configured, and no other maintenance was conducted in that room. E Room. All the machines in the E room have been updated to Win10 Build 10586, 420. As noted last month, if anyone has an event scheduled in the E Room, please advise Property ahead of time if the provided machines will be used so we can configure them to accommodate your needs. The Win10 image for those machines is scheduled to be updated to Redstone 1 during the week of August 22. This procedure will not interfere with any scheduled production events. Administration. The Teachers are reminded again to check their lesson plans against the Redstone 1 update. There could be changes that will affect your lesson plans. The Tech Room has one machine with the Redstone Update installed, and you are welcome to use it to check your lessons. Please let Property know ahead of time so we can ensure the availability of that machine. The C Room is scheduled to be updated the week of Aug 22; the D Room is scheduled to be updated the week of Sept 6, and the E Room's machines will be updated on August 22 and 23. The preventive maintenance scheduled for the production servers is progressing on schedule. All testing on Bambi completed with no errors. Testing on the stand-by server (Thumper) began the last week of July and should be completed in August. A new DVR was purchased and installed in the Teachers' Conference Room. All cameras are functional again, and the DVR is recording all events. Some configuration is still necessary, but should be completed in August. Property will investigate the current lease agreement the Club has with the Konica/Minolta printer/copier. There is some concern about its configuration, how the leasing company gets our page counts, and whether or not color printing is necessary/desirable for our uses. 2
3 Charley asked if we really need to print copies of reports for the Board Meeting every month. It was agreed that only the Secretary needs a copy to ensure accuracy in the Minutes. We may try sitting at the small tables and projecting the reports on the screen. EDUCATION: (Jim Schulz) Two or three classes were taught in July. Ed Damron s C-101 class ended up with about 5 students (although 10 signed up). The other classes were full or nearly full. Ed s C-101 class in June was full, and his August class is already full. Ed Damron has already sent me his C-101 schedule of classes for 2017 just a bit early, but great for planning. Jim will be contacting some instructors who leave during summer to ask if they will be teaching again this fall. He believes Barb Miles will teach, but does not know about Dick Dudden or Bob Lohse. MONITORS: (Virginia Geile) There are 30 slots to fill in September, but August is okay. PUBLIC RELATIONS: (Steve Snedden) Sent the September schedule to SunViews. If there are any last-minute additions, please them to me in the next few days at publicrelations@firstsuncity.com. Mass . Benchmark was our mass provider last year. Cost was $30/month. I have switched to a free account. I set up an account using this address: computerclubofsuncity@firstsuncity.com. Benchmark has changed their free accounts plans, as follows: Now allows up to 2,000 addresses instead of 1,000 14,000 sends per month Membership has approximately 1,000 unique addresses. If we are sending over 1,000 per send, we can send 13 mass s per month. With classes, SIGs, workshops, and other announcements, that will not always be enough. There is another provider (Vertical Response) with a free account, but we are already over their limit of 1,000 addresses. A possible solution is to set up a second free account at Benchmark. We cannot use publicrelations@firstsuncity.com. That would re-activate the PAID account. After discussion, it was decided to use news@firstsuncity.com. Bob Heath and Charley Housler will set it up. Steve and Claudia will work on the current list of addresses that bounced, many of which were AOL. WEB TEAM: (Robbin Owen) Website/Link Validation/Testing. Bruce Macsata performed the mid- July testing/validation. Robbin reviewed the broken hyperlinks list (8 or 9), and developed a baseline list of hyperlinks that are now tied out as truly valid hyperlinks. Will test again in mid-august. Webpage Support. Ongoing changes are being made to numerous webpages/calendars for class changes, SIGs, workshops, presentations, etc. Claudia asked that the revised Club Handbook replace the older version. There has been no change in status for the About Us webpage. Google Drive links/redirects issue artifacts (SIG notes documents), currently located on Google Drive, remain to be migrated back to CCSC website. There has been no change in status of development/implementation for the Web Team repository for artifacts not directly supporting the website. A member of the Web Team 3
4 has resigned, so we are in the process of reassigning the respective primary and secondary roles, held by that member, to remaining team members. Website MIS Project. John continues with his development efforts. The next CCSC Web Team meeting will be Saturday, September 10. NOMINATION COMMITTEE: (Ed Damron) Ed has the needed nominees to fill the available slots for OLD BUSINESS: List of Merit Awards is missing Claudia gave Rose a list of Star badges made and Rose will look through old Board and General Meeting minutes. Bob Heath asked her to update the current listing to include the missing names. NEW BUSINESS: Bob Heath asked for Gold Star nominees for 2016, and the following names were submitted: Jim Clement, Paul Willemssen, Bob Peloquin, and Shari Young. All were unanimously approved. The awards will be given at the next General Membership meeting. The following proposed changes to our Rules & Regulations were discussed: I Executive Board Add: J. Removal of Executive Board Member. A motion may be made by any club member to remove a board member for inappropriate conduct (BP12, par. 17) or failure to perform duties. Motion must then be seconded by an Executive Board Member. Approval required 7 votes and the President may vote. VII Membership Dues A. Dues are $15 per year per person. (January 1 to December 31) (Change from $20 per year per person) VIII Membership Votes 1. When membership approval is required, it may be requested at a General Membership meeting. 2. The Executive Board may also request membership up or down approval through electronic or written ballots. a. A mass will be sent to all members (with an address on file) that explains the approval requested. It will also be prominently displayed on the Club webpage. b. Members can respond to the by checking the appropriate box and filling in the RCSC member number. c. Members may also stop at the club and fill out a paper ballot checking the appropriate box and proving their RCSC member number. d. At least two weeks will be allowed for members to vote. e. The president shall appoint two persons to count the ballots verifying that each is a current member and that there are no duplicate votes. f. Approval requires a majority of the votes and that a quorum of the members voted. Charley Housler will try to do a re-write of I-J (added under I Executive Board) before our next meeting. It will include attempts to resolve the problem. 4
5 In VIII. Jim Schulz would like to make the changes indicated by the following words for clarification, as follows: 1. When membership approval of a proposal is required, it may be requested at a General Membership meeting. (Underlined words to be added) 2. The Executive Board may also request membership vote on a proposal through electronic or written ballots. (Underlined words replace: up or down approval) a. A mass will be sent to all members (with an address on file) that explains the approval requested. It will also be prominently displayed on the Club webpage and on the Club bulletin board. (Underlined words to be added) f. Passage of any proposal submitted requires a favorable vote by a majority of a quorum of the members on record as of the date of submission of the proposal. (Change wording completely) Changes to our R&Rs will be sent to our contact at the RCSC for approval. To test the use of electronic voting, we could request the purchase of new computers for Room D. A separate address (votes@firstsuncity.com) would be set up for this purpose. Voters must be members as of the date of the proposal. To prevent duplicate votes, Claudia will print a Roster by Rec Card number on which names/rec Card numbers may be checked off as votes are ed. If this system doesn t work, we can cancel or void this provision.
