1 W619 - FILEOUT Enhancements: Improved Information Sharing Prerequisite: None FILEOUT Data Export Utility captures report information and writes it to a file for easy import into Microsoft Word and Excel. Attend this session to learn about the exciting enhancements that have been made to improve this feature, including the ability to reports. 2 3 Let s Get Started FILEOUT is a separately licensed Stanpak module Any report that can be printed can be manipulated with FILEOUT Direct to PDF Spool device allows secure transmission of documents Original option to save, new options to , FTP, open with Microsoft Excel or display a PDF file 4 New *SPOOL Device SPD Immediate output to an Adobe Acrobat format PDF file FILEOUT knows when you select a PDF Spooler Options for PDF Spooler files using any stored or freeform address FTP using a saved FTP profile Display the PDF on your screen, granting the ability to save the file locally

3 5 Standard *SPOOL Files Any report can be printed to the Qantel Spooler Data in the actual Spool file is unreadable, with proprietary formatting commands FILEOUT applies the formatting commands and produces an ASCII standard file Two-step process with standard *SPOOL files Create properly formatted output Rename and distribute the new file 6 Address Sources Program CSCM stores addresses for your customers Save addresses for individuals and departments As many per customer as you wish, up to 99 Define title, responsibility and individual phone and fax numbers Program ACTSU allows entry and storage of non-customer addresses FILEOUT allows entry of a free form address

4 7 File Transfer Protocol - FTP Profiles are maintained and saved through program ACTSU FTP recipient will provide server address, username, and password Most often used for large files and raw data Specific format to the data and often requires custom programming 8 ACTSU Maintenance Program Profile name is key FTP profile must be the actual address or resolvable locally profile name can be anything you wish 100 characters for addresses Either FTP username and password or address is required; both can be saved together

5 9 From Address We have ability to use anything for the from address Default is the Company address maintained in ZM From address can be stored in profiles User can enter a freeform address You should use a real address, but it is not required 10 The New FILEOUT is Smart Intelligent analysis when entering the destination Checks for customer number If so, display list of that customer s contacts Checks for valid profile name If so, reads information from the file Checks to see if it is an address Does it have and. Failing these tests, the user is asked if it is a new profile code If yes, the user is brought to the ACTSU screen If no, the user has the opportunity to re-enter the information

6 11 The New FILEOUT is Easier Entire program is GUI Buttons provide mouse over context sensitive help Program name that produced the spool file, and comments display once a file is selected You can rename the file to be sent, supplying the correct extension 12 File Names and Conventions Qantel file names are limited to eight characters and no extension Magic number encodes the specific use and type of file for UNIX/Linux Windows operating system relies on the file extension to know what type Word documents are.doc Notepad documents are.txt Excel documents are.xls or.csv We are using a.ppt document now

7 13 More Naming Conventions Avoid special characters, * & % $ # _ etc. Avoid spaces in file names The initial FILEOUT name given can be changed to a long, descriptive name after the file has been processed Both PDF Spool files and normal Spool files will allow the user to change the name 14 Summary Methods for storing addresses Advantages of and FTP File types and naming conventions The ACTSU program for maintaining and FTP profiles Modifications to the from address
