1 Attachment 3: User manual for the electronic information collection services (esamhandling/einteraction) in NORVIS The electronic information collection services, which has been established as part of the electronic interaction (einteraction) with other government agencies, provides you, as a case handler, with the opportunity to obtain information about a person related to a case. The information collection service is accessible via NORVIS. Collaborating agencies are the Norwegian Tax Administration (Skatteetaten), The Norwegian Labour and Welfare Administration (NAV) and The Norwegian State Educational Loan Fund (Lånekassen). This user manual will show you how to proceed in NORVIS in order to collect case relevant information about a person. Please note that the screen shots provided below are anonymised so that all or parts of the case and/or personal information have been removed even in the white sections. This is how you proceed in order to collect information from other government agencies: But first, one important note to make if you are handling a family immigration case: In order to be able to collect information about a sponsor, the person in question must have been registered as a sponsor in the case in question (and not just as a relation in general) with a Norwegian ID number (11 digits) in NORVIS. The Norwegian ID number is a necessary search parameter in order to collect information. Unless the sponsor has been properly registered, necessary information will not appear in the search image. If the sponsor s Norwegian ID number is not registered, you have to contact the UDI and have them register the number for you manually in DUF (the number will then transfer to NORVIS with an F5 update). Information about the sponsor should be registered here (see next page): 1

3 In order to collect information, first open the case at hand in NORVIS by double-clicking on the right case in the Inbox. This image will then appear: 3

4 Right-click on the person s name under History and choose Add to selection. 4

5 Click on Post registration. 5

8 In the screen shot below you find the access button to the electronic information collection service Information from other agencies. Click on the case you want to collect information about so that it turns blue, in order to activate the access button. (In the screen shot below there is only one case registered on the person. In other instances there may of course be more cases to choose from.) Click on Information from government agencies to specify your information request. 8

9 In the next screen shot you find all the information collection services listed under Select information category. If you are able to activate Information from government agencies seen in the previous screen shot, you will have access to all the information collection services as displayed underneath five in total. In the same screen shot (see above) you will also see displayed the person(s) you may request information about. All searchable names and ID numbers including temporary ID numbers (so-called d-numbers), that a person may be registered with, is automatically displayed under Select personal identification number (person) or organization number (firm). If the applicant holds a Norwegian ID number, (s)he will automatically be listed under Select personal identification number (person) or organization number (firm) like this: In family immigration cases the sponsor will also be listed under Select personal identification number (person) or organization number (firm) given that you have registered him or her as a sponsor. 9

10 If the sponsor is not properly registered with a Norwegian ID number, you have to contact the UDI, so that the UDI can enter this information manually via DUF in the actual case (see page 1). In addition to selecting the person about whom you wish to request information, each of the electronic information collection services contain service-specific search parameters that enable you to pinpoint or specify your information request from the respective government agency. In the following you will find examples of how to request information from each agency. But first: If you have several cases open in NORVIS simultaneously and wish to make consecutive requests in all the cases, you should do the following: Close the request window pertaining to the person you have just requested information about. This will bring you back to the Person/Case window. Right-click on the next person in your list in the Post Registration window (where the last person you worked with will be highlighted in orange) and click on Open in window. Note that you will have several information request windows open at the same time. Select the case for which you wish to request information. Click on Information from government agencies. 10

11 How to request information about employment history from the EE-register (NAV Aaregisteret): Select EE-register (NAV) in the section Select information category. Select the personal id number you with to request information about in the section Select personal identification number (person) or organization number (firm). Click on Request information. 11

12 How to request tax settlement notice information from the Norwegian Tax Administration (Skatteetaten): Select Tax settlement notice (Norwegian Tax Administration) in the section Select information category. Select the tax year you wish information about in the section Select income year. Select the personal id number you wish to request information about in the section Select personal identification number (person) or organization number (firm). Click on Request information. 12

13 How to request information from the end of year certificate of pay and tax deducted from the Norwegian Tax Administration (Skatteetaten): Select End of year certificate of pay and tax deducted (Norwegian Tax Administration) in the section Select information category. Select the tax year you wish information about in the section Select income year. Select the personal id number you wish to request information about in the section Select personal identification number (person) or organization number (firm). Click on Request information. 13

14 How to request information about benefits from NAV: Select Benefits (NAV) in the section Select information category. Define the time period you wish information about in the section Choose period. Limit your request to the benefits you wish information about in the section Limit search to the selected benefit type(s). Select the personal id number you wish to request information about in the section Select personal identification number (person) or organization number (firm). Click on Request information. 14

15 The result of your request for instance to the Ee-register at NAV will be displayed in the large, previously grey, response area. You now have several options: Click on Full screen to see received information in a separate window. Click Close if you do not wish to save the information you have received. All the information will then be deleted and you will have to send a new request if you change your mind. Note! When you click Close you will be thrown out of the request information window and end up back in the Person/Case window. If you do not wish to be thrown out, but rather would like to send another request in the same case toward one of the other information services, such as NAV or The Norwegian State Educational Loan Fund, do the following while the response from your previous search is still showing in the response area: Click on desired information in the section Select information category. If applicable, define period and/or benefit and person you wish to request information about. Click on Request information. You will be asked if you wish to save the information you have received, but regardless of your choice the service will move on to make a new request. 15

16 Click on Save in order to save the information as a case document in a pdf-format. The pdf-document will then be listed as a separate document in the Document list (press F5 or close and reopen to update the list) and listed as a separate occurrence under Events (press F5 to update): 16
