2 Background What is MyESS? Employee Self Service Applications allow employees to view and/or change their personal and organizational data that is stored in the Company s SAP HCM (Human Capital Management) system Is my Data Secure? Toro has rigorously reviewed the application s security. Your data is protected by your LAN ID and password and all of the data transmissions between Toro s SAP system and your PC are encrypted and secure. What can I do in MyESS? The following information is currently available through ESS: Review and change selected personal information Review and change address and emergency contact information Review and change W-4 (tax withholding) information Review and change direct deposit banking information Review benefit and dependent information During Open Enrollment you may change certain benefit and dependent information View and print pay statements on-line Time-off and vacation reporting for exempt employees Manager review of employee time-off Link to various HR related resources including Fidelity, Toro Org Charts, Job Postings, etc. 2
3 Logging into the Employee Self Service Site To Log into MyESS From the Toro TIP page click on the MyESS Link. You may also access MyESS from your home computer by typing in the web address myhr.toro.com and clicking on the Click Here to Login Button. When you launch MyESS you may receive one or more Security Warnings. Click Yes to Proceed. Type in your Toro LAN ID and password Click the Log on button 3
4 Navigation Tips The Employee Self-Service Portal is self contained Do not use the Microsoft Internet tool bar for navigation You must navigate within the portal framework The left navigation panel may be hidden, reduced or displayed by using the arrows. To navigate within MyESS use the appropriate Back and Forward links within the portal. 4
5 Overview Page The Overview Page allows you to launch to an ESS Homepage or directly to a Self-Service Application. Each ESS Homepage contains links for various categories of information (ex. My Information Homepage contains links to view/change personal, address and emergency info as well as view Dependent info). The Homepage also contains more detailed information on what each Application can do. Each Self-Service Application will allow you to view and/or change Toro related information. You may go to each ESS Homepage by clicking: A tab at the top of the screen A category on the left Navigation Bar An underlined Homepage link To go directly to a Self-Service Application you may click on a Quick Link from the Overview Page. MyESS Help documents are available through the left Navigation Bar. 5
6 Information Homepages There are six Information homepages: My Information, My Benefits, My Money, My Retirement, My Employment and My Time. Each Homepage contains links and descriptions for various categories of information Self service application links will stay within the MyESS application and allow you to view and/or change personal data. Other links will open a new window with Toro TIP information or link to an external web site. 6
7 MyESS Navigation Tips Each Self-Service Application contains standard diagrams and buttons to help guide you through the process. At the top of each screen will be a Road Map that allows you to see where you are in the process by highlighting the step in orange. At the bottom of the screen are buttons that will allow you to move through the data entry/info review process. On pages containing large amounts of data you may need to use the scroll bar at the right of the screen to see these buttons. Will allow you to see additional information not always contained in the Overview segment and will allow you to make changes. Will return you to the Previous screen without changing data. Allows you to review your changes prior to saving the data. Saves the data to Toro s Human Resources/Payroll database. Will you return you to the applicable Information Homepage. If you attempt to navigate in such a way that data is not saved; a warning message will appear allowing you to either go back to the application and save the data or to continue with your current navigation. 7
8 Changing your information through MyESS Using the navigation buttons at the bottom of each screen you can review and change your data. The Overview screen is a snapshot of the data contained for each Self-Service Application. Click the Edit button to proceed. The Edit screen will allow you to view your data and make certain changes. Data in grey cells is for review only. If you need this information changed you must contact HR. White cells may be changed through the ESS application. Click the Review button to proceed to next step. White cells may be changed by you. Grey cells are for review only. If they need to be corrected or updated you must contact HR. 8
9 Changing your information through MyESS Using the navigation buttons at the bottom of each screen you can review and change your data. The Review and Save screen allows you to review your data before saving. If you determine that you have entered data incorrectly you may click the Previous Step button to return to the Edit screen to make changes. Once you are satisfied with your changes click the Save button. The Confirmation screen notifies you that the changes you made were saved to Toro s Human Capital Management database. You may then either navigate using the navigation tabs at the top of the ESS page or by clicking on one of the blue underlined links. *Please Note: If you have incorrectly changed your information you can return to the Self-Service Application Overview Page and restart the process. 9
10 Benefits Navigation Tips The Benefits Participation Overview Screen uses tabs and radio buttons to navigate. Clicking General Links will keep the same view but allow you to access various links without navigating from your current screen. Verify the date of the information you wish to view. If you would like to view a different time period type in that date and click the Go button. The date of the Participation overview as of always reflects the date of the plans you are viewing. Tabs at the top allow you to view various categories of benefits. To see information on each of the plans select the button next to the plan and then click Show Participation Details. This will bring up the information specific to that plan. You may view and/or print your Benefits Confirmation Statement by first verifying the Participation overview date is correct and then clicking on the Print Confirmation Form link. This will open a new browser window that allows you to view your benefit levels and covered dependents. You can save or print a copy by clicking on the appropriate icon at the top of the page. 10
11 Pay Statement Navigation Tips The Pay Statement Screen will allow you to view and print your Pay Statements going back into previous year(s). The most recent Pay Statements will always be displayed. If you wish to hide the Overview click the Hide Overview link so that more of your pay statement is visible without scrolling. To view other Pay Statements you can Navigate one at a time by clicking the Previous and Next Buttons Use the up and down arrows. -The single arrow will move the Overview display dates one at a time. -The arrow with one line will display the next 5 dates. - The arrow with the double line will move to the end (or first for the up arrow) record. To print your Pay Statement click the Printer Icon 11
12 Exempt Time-Off Tracking (Employee) The Exempt Time-Off Tracking (Employee/Manager) link will open directly to the logged on employee s Time-Off screen. The View History link allows you to review all time-off recorded for the current fiscal year The View Balance link allows you to review the following fiscal year info 1) Time-off should only be recorded AFTER you have completed your time off. To record time-off: In the From box click the adjacent calendar and select the date your time-off began In the To box, click the adjacent calendar and select the last day of your time-off reporting. If you only have one day to record you need not complete this box Under Reason select the reason for your time-off Under hours per day select the number of hours you are reporting for each day Click the Record Time-Off button 2) You will then have the opportunity to review your time-off information If the information is correct, click the Submit this Information button If the information is not correct, click the Make Changes button and update record as shown in Step 1 above 3) After submitting your time-off, you will see a confirmation screen. To record additional time-off, or check your time-off history or balance, click the Back button. 12
13 Exempt Time-Off Tracking (Employee) The View History and View Balance links will allow you to see your recorded time-off history and your vacation balance information. The View History link allows you to review the time-off you have already recorded for the current fiscal year Detailed by date, time-off reason and number of hours per day Totaled by each time-off reason Click OK button to close pop-up window The Vacation Balance link allows you to review the following information: To-date total of fiscal year vacation available including carryover, vacation buy and incentive hours granted Fiscal year vacation hours reported (used) Your current vacation balance Your current accrual rate Click OK button to close pop-up window 13
14 Time-off review for managers Managers may review their direct reports recorded time-off including fiscal year history and balance information. Access the Exempt Time-Off screen then click the My Staff link at the top of the screen Vacation Balance information for each of your direct reports will be displayed - To-date total of fiscal year vacation available - Fiscal year vacation hours reported (used) - Employee s current vacation balance - Vacation Buy election for the current fiscal year - The date the employee s time-off was last recorded To review current fiscal year detailed information for an employee, click the line containing the employee s name, and it will be highlighted in yellow. Historical information will be displayed in the section below. If an employee s current vacation balance is negative, the employee number for that employee will be highlighted in red The History section allows you to view detailed fiscal year information including date, type and number of hours reported by each direct report 14
