2 Forms - How they work Depending on your office setup, forms might be triggered by arrival at the job site or other job actions Forms might be triggered by certain actions, such as arriving at a job, adding a certain item to an invoice, selling an estimate, etc. This all depends on how your office has set up forms. If you ve triggered a form: You ll have the option to Continue (fill out the form right now), or Fill Later (fill out the form later). Please be aware that if the office has made this a Required form, you won t be able to close out the job until the form is completed. To fill out forms, go to the Invoice or Forms Things to know about filling out forms: You won t be able to fill out forms until you ve arrived at the job site - you must tap Arrive for the Forms button to appear. The invoice will list required forms only. If you want to fill out an optional form (a form that isn t required), you ll need to click Forms. page 2
3 When you click Forms, you will see all available forms. You will see Required next to forms that must be completed before closing out the job. The Forms section on the invoice will list required forms only. You ll see how many forms are remaining (not yet completed). You will not be able to close out the job until required forms have been submitted. Filling out forms is easy & intuitive Simply tap into the form you want to complete, then answer the form questions as prompted. page 3
4 As you fill out forms, you can add pictures / add notes / star questions you want to review with the customer You don t need to limit yourself to just answering the questions - you can attach a picture or add a note. You can also star form questions to remind yourself to review that item with the customer. More information is available below. When you are done completing the form, tap Save or page 4
5 Completed forms will become part of the job history and will be available from the Office The Office will be able to pull up any form you ve completed (the form will be available in the job audit trail visible from the Office). The Office can view, , or edit a form simply by clicking on it. Note: The Office also has the capability to perform a Search on completed forms (Search > Forms). 6 Camera Add a picture. You will have the option to take a new photo, or upload a photo from your roll. Note: Once you take the picture, you can tap Doodle to mark up the picture. Edit Pencil Star Add a note to the form question. Note: If you the form, the customer will be able to see the notes and pictures you ve added. When you star a form question, you are simply reminding yourself that this will require review or discussion with the customer. Note: You can attach form findings to any estimate - more info is available below. How to use Doodle to mark up pictures Using Doodle to mark up pictures Why would I want to use Doodle? For example, you can circle where is a leak is happening, or write something directly on the picture. How do I use Doodle? Take the picture, or upload a picture, then tap Doodle. See below for some quick instructions. page 6
7 How to a form to a customer Note: The form will be ed to the customer in PDF format. The customer will be able to see any pictures or notes you ve added. 1. To a previously completed form : Go to Forms or the Invoice and tap into a completed form Then tap . To a form you ve just completed: Simply tap when you re done. 2. You can select an address already on file or add recipients. If no address is on file, you can enter an address. You ll have the option to save the address to the customer or location record. 3. When you forms, invoices, or estimates, you can attach any PDF that s been previously uploaded to the job. This might be warranty information, service agreement terms, or any other information the office has provided. When you compose the , you ll see any available attachments. Simply tap the file to attach it. 4. When you are ready, tap Send. page 7
8 Attaching form findings to estimates Once you ve completed a form, you can attach form questions to estimates. This will make it easy to review these important form questions with the customer. On the estimate, these will be called Form Findings. How do I attach form findings to estimates? Go to Estimates. Click into any existing estimate. Tap +Add Findings to attach a form question. You can also attach form findings as you are building a new estimate. More information on attaching form findings to estimates is available in ServiceTitan Help. page 8
