2 2 Arizona Health Alert Network Uses The AzHan will serve as a redundant communication platform for your facilities to receive critical information from the state during a public health emergency and it will allow you to quickly disseminate critical information to your staff and to securely communicate with external partners during an emergency.

3 3 Arizona Health Alert Network Uses The HAN can also be used regularly as an internal communication platform for your facility. This is a great way to familiarize your staff with the HAN before an emergency occurs.

4 4 Getting Started - AzHAN Training Registering as a new User: This link directs you to the AzHAN Training site Registration Page Steps you will need to take- Fill in your contact information Must have at least one and one phone number Let your HAN Admin know that you have registered (Admin s will add user s to the organization) Get familiar with the HAN- Log into the HAN Daily Login for registered users:

7 7 Your Organization s Details In order to make it easy for your staff and healthcare partners to find you within the AzHAN, you should comprehensively fill out your organization s details.

8 8 Your Organization s Details You can enter pertinent information about your organization, including an image by accessing the details section of your dashboard. From here you can edit the information. Go to: I. Organizations II. My Organizations III. Dashboard for your organization IV. Details

11 11 Transferring your staff into your organization: When your staff registers with the HAN, they will be placed in a temporary folder. As an administrator, you will need to transfer them from this folder into your organization. Go to: I. Organizations II. My organizations III. 1temporay dashboard IV. Find Staff members in the pending folder V. Select an action transfer Recipients (Soon to be transfer Users ) into your Org/Folder VI. Submit action

15 15 Transferring your staff into your organization: After you have transferred staff into your organization you will need to accept them. This can be done by accessing your Organization s dashboard and accepting pending members.

18 18 Creating Groups Once your members are accepted as a part of your organization you can then begin to create groups if needed. Creating groups will help you organize and control who you disseminate information to. Your nursing staff may for example need different notifications than your maintenance staff.

19 19 Creating Groups From the Members section of your dashboard, you can easily create groups or add members to existing groups.

21 21 Creating Groups When you create a new group you will be able to limit visibility, create a group name and determine if other administrators within your organization have the ability to manage the group information. When selecting a group name please make sure that you abbreviate the initials of your facility at the beginning of the group name and make it unique. For example GDPL_NURSING_1

24 24 Creating and Sending Messages AzHAN gives you the ability to easily create and send messages on multiple platforms. You can choose to have the sender be your organization or yourself. You can download an excel template that will allow you to add addresses to your message. For example, you may have different contact lists for different groups. You can create and upload a particular contact list.

25 25 Creating and Sending Messages You can choose some or all of the communication platforms such as texting or . You can also record voice messages. You have the option to record a message via your phone - the box that displays will provide instruction in this regard. You can add an attachment and set delivery options. You can also CC external partners.

32 32 Creating and Sending Messages Response Options To improve speed and situational awareness you can create response options that your staff/partners can select such as can report in 1 hour. You can also set an option that will allow your staff to be automatically directed to a conference call.

35 35 Key Points to Remember Every 90 days You will need to create a new password Ideally, you will set up 2 to 3 Admins of AzHAN within your facility Admins within the AzHAN have different capabilities than Users/Recipients within the HAN. In some instances there are multiple ways to complete the same action within the AzHAN.

If a member of your staff changes positions, or is replaced by another individual you should update associated information as soon as possible, this includes any templates you have created. If an AzHAN admin within your facility changes or has updated contact information please notify the Arizona Health Care Association.
