5 Preface About This Guide Audience The platform provides organizations with the ability to archive electronic communications for an organization and the potential to reduce the amount of storage required in standard mail stores by stubbing the mail within end-user mailboxes. This document describes how to configure the Lotus Domino server to interact with to archive user and journal mailboxes. Table 1 describes the audiences for this manual. TABLE 1: Audiences for ZL UA Domino Server Configuration Guide Audience Super Administrator System Administrator Unified Archival Administrator Description Persons in your organization granted the role of Super Administrator in Persons in your organization granted the role of System Administrator in. This system role is responsible for configuring storage units and application vaults, and monitoring mail processing and database queues. Persons in your organization granted the role of Unified Archival Administrator in. This system role can use all functionality in the Unified Archival Admin application. The functionality granted to some system roles overlap. For example, the Unified Archival Administrator may also perform the tasks assigned to the Unified Archival Policy Administrator. In large organizations, however, suggests that you distribute tasks by assigning and using as many system roles as possible. This manual uses icons to indicate the system role corresponding to information. For example, the Unified Archival Policy Administrator icon, as shown here, Audience 3
6 appears next to information pertaining to that system role. The conceptual and task-based information in sections marked with this icon can also be used by the Super Administrator role in smaller organizations that have not granted the Unified Archival Administrator role to an employee. 9 Chapter 1 Overview Archiving This chapter provides an overview of how archives user and journal mailboxes on Lotus Domino servers. ZL UA enables organizations to archive, restore, and search all electronic communications that enter or leave their network. This chapter assumes that you have recently installed on your organization s network, as described in ZL UA Exchange 2003 Archiving Configuration Guide, and that your organization uses the Lotus Notes client and the Lotus Domino server for electronic communications. Figure 1-1 on page 8 illustrates how captures electronic communications on a per-user basis. Archiving 7

A stub is a placeholder for all or part of an message and contains a link to the archived message.. Figure 1-3 on page 10 illustrates this process. Stubbing 9

Archived communication can be searched, and can also be restored to users' mailboxes in case of data loss or corruption. Lotus Notes users can restore archived communications using the End-User Mailbox Access application in. The remainder of this guide explains how to configure and your Lotus Domino servers so that you can begin archiving electronic communications. Chapter 3, Configuring ZL UA for Lotus Domino Server, on page 21 describes the tasks that need to be performed on the host running. Before performing these tasks, recommend that the person who installed assign the following ZL UA roles to users in your organization before performing these tasks: Super Administrator System Administrator Unified Archival Administrator 10 Stubbing
13 The Super Administrator is the equivalent of the root user in a UNIX and Linux operating systems. Logging in to with a system role other than Super Administrator helps preserve the integrity and security of ZL UA by limiting the functionality available to any one user and distributing this functionality across many people in an organization. See for information on assigning system roles. Chapter 2, Configuring Lotus Domino Server ZL UA, on page 13 describes how to configure your Lotus Domino servers to communicate with. These tasks should be performed by the person who administers your Lotus environment. Stubbing 11

15 Chapter 2 Configuring Lotus Domino Server ZL UA This chapter describes how to configure Lotus Domino to be archived by ZL Unified Archive. You must perform the following tasks before configuring ZL UA to communicate with your Lotus Domino server, as described in Chapter 3, Configuring ZL UA for Lotus Domino Server, on page 21. This chapter describes the following tasks: Creating a Foreign SMTP Domain on Lotus Domino Server Creating the ZLTransport Account on a Lotus Domino Server on page 17 Enabling Journal Archiving on page 17 Creating a Foreign SMTP Domain on Lotus Domino Server ZL UArequires Lotus Domino Server to use SMTP to send user and journal mail for archiving. To comply with this requirement, you must create a Foreign SMTP domain on the Domino server. Later, you will assign the name of this new domain to a ZL UA system registry value, as described in Assigning an SMTP Transport Domain on page 21. To add a foreign SMTP domain to a Domino server configuration: 1. Log in to Domino Administrator. 2. Open the domain containing your Domino server configuration. 3. Click the Configuration tab. You will use it as the SMTP Transport Domain when you configure to communicate with your Lotus Domino server, as described in Assigning an SMTP Transport Domain on page Enter the domain name or IP address of the host running ZL UA in the Internet host text field, as shown in Figure 2.6. 19 Creating the ZLTransport Account on a Lotus Domino Server ZL UA uses the ZLDominoTCPConnector to communicate with the Domino server, as shown in Figure 1 on page 8. The connector uses the Notes log in credentials of a special Notes user account, ZLTransport, to send requests to the Domino server for user and journal mail. The administrator of the host running the Domino server should create the Notes ZLTransport account and verify that a Notes.id file for the account resides on the same machine as ZL UA. The ZLTransport account is a standard user account with one exception: it is assigned permission to access the other user mailboxes and the journal mailbox on the server. Enabling Journal Archiving In addition to archiving users mailboxes, you can archive the journal mailbox. A journal mailbox contains a copy of every electronic communication that passes through the server. However, you must create a journal mailbox on the Domino server before it can be archived. This consists of the following tasks: Create a journal file Create a mail-in database for the journal Assign the journal to a Domino server configuration. You should log in as the Notes administrator for the host running the Domino server to perform these tasks. To create a journal mailbox in Domino: 1. Log in to the host running Domino as a Notes administrator. 2. Click the Files tab. 3. Click the mail folder in the folder view. 4. Select File and then Application and then New from the menu bar. 20 Figure 2.7: New Application Dialog Box 5. Select the Domino server from the Server list at the top of the dialog box. 6. Enter a name for the journal mailbox in the Title field. 7. Enter a name the journal file in the Filename field, such as zljournal.nsf. 8. Select the server containing the mail template you want to use from the Server list. 9. Select Mail (R8) from the Template list box. 10. Click the OK button. 11. Close the dialog box. To create a mail-in database for the journal: 1. Click the People & Groups tab. 2. Click the Mail-In Databases and Resources icon in the Domino directory. 3. Click the Add Mail-In Database button. The Mail-In Database tab appears, as shown in Figure Enabling Journal Archiving
21 Figure 2.8: Mail-In Database Tab 4. Enter a name for the database in the Mail-in name text field. 5. Select a server configuration from the Server list. 6. Enter the domain for the database in the Domain text field. 7. Enter a file name for the database in the File name text field, such as mail\zljournal.nsf. 8. Click the Save & Close button. To assign the journal to a server configuration: 1. Click the Configuration tab. 2. Select Server and then Configurations in the navigation tree. 3. Click the server configuration for which you want to enable journaling in the Server Name column. 4. Click the Edit Configuration button. The Configuration Settings tab appears. 5. Click the Router/SMTP tab. A second tabbed row appears below the first tabbed row. 6. Click the Advanced tab in the second tabbed row. A third tabbed row appears below the second tabbed row. 7. Click the Journaling tab in the third tabbed row. The Journaling tab appears, as shown in Figure 2.9 on page 20. Enabling Journal Archiving 19
22 Figure 2.9: Journaling Tab 8. Select Enabled from the Journaling list. 9. Select Send to mail-in database from the Method list 10. Select Mail-in database, which you created earlier, from the Mail Destination list. 11. Select Enable from the Journal Recipients list. 12. Click the Save & Close button. 13. Restart the Domino router. Lotus Domino is now ready to place a copy of all electronic communications for all mail users in the new journal mailbox. You may need to wait a few minutes for the settings to take effect if the router is not restarted. 20 Enabling Journal Archiving
23 Chapter 3 Configuring ZL UA for Lotus Domino Server This chapter explains how to configure ZL UA to interact with a Domino server to enable archiving and other electronic communications in user and journal mailboxes on a Lotus Domino server. The following tasks are described: Assigning an SMTP Transport Domain on page 21 Installing ZLDominoTCPConnector on page 27 Creating an Server in on page 31 Note: The Lotus Notes client must be installed on the same host that is running ZL UA. Assigning an SMTP Transport Domain requires a separate transport domain for communication between itself and a Domino server. uses the SMTP (Simple Mail Transfer Protocol) to pull from the Domino server to for archiving. This section describes how to create a new SMTP Transport domain on for this purpose. You must log in as the Super Administrator to perform this task. To create an SMTP transport domain: 1. Log in to ZL UA using the following URL, replacing myzlhost with the name of the host that is running : The log in screen appears, as shown in Figure 3.1 on page 22. 24 Figure 3.1: ZL UA Log In Screen 2. Enter your user alias or address and password. 3. Click the Login button. The SysAdmin application appears, as shown in Figure 3.2. The application will appear with different icons in the navigation tree, or another application may appear, if you log in while granted a system role other than Super Administrator. If you need to configure more than one ZL UA deployment, assign a different SMTP domain name to each of them. 8. Verify that the value of the Notes Password field matches the password for the ZL Transport account described in Creating the ZLTransport Account on a Lotus Domino Server on page 17. Note: You can encrypt the password using the encryption tool if you prefer not to use a Plain Text password. See Encrypting the ZLTransport Account Password on page 26 for instructions on how to perform this task. 9. Click the Save button. A confirmation dialog box appears. 10. Click the OK button. 28 Another confirmation dialog box appears, indicating that you must restart before the registry changes take effect. 11. Click the OK button. Encrypting the ZLTransport Account Password Organizations might want to encrypt the password of the ZLTransport Notes account rather than use a plaintext password. This task must be performed by the person assigned the Super Administrator role in after obtaining the password from the administrator of the Domino server. To encrypt the ZLTransport account password: 1. Log in to ZL UA using the following URL, replacing myzlhost with the name of the host that is running ZL UA: The log in screen appears. 2. Enter your ZL UA user alias or address and password. 3. Click the Login button. The SysAdmin application appears. 4. Select Admin Tools and then Encryption/Decryption in the navigation tree. The Password Protector screen appears, as shown in Figure Encrypting the ZLTransport Account Password
29 Figure 3.6: Password Protector Screen 5. Enter the password for the ZLTransport user account in the Plain Text field. 6. Verify that Encrypt is selected from the Action list. 7. Click the Go button. A confirmation message and the encrypted password appear. 8. Copy the encrypted password to the Notes Password Field in the System Registry, as shown in Figure 3.5 on page 25. Installing ZLDominoTCPConnector ZL UA uses the ZLDominoTCPConnector to communicate with a Lotus Domino server to archive electronic communications, as shown in Figure 1 on page 8. Before archiving begins, however, you must run the ZLDominoTCPConnector so that ZL UA can gather information about the Domino server and the zltransportuser, as described in Creating an Server in on page 31. You should log in with the System Administrator role to perform this task. This person is assumed to also be an administrator of the host that is running ZL UA. To install ZLDominoTCPConector: 1. Open a Command Prompt window on the host that is running ZL UA. 2. Change to the following directory, replacing ziplip_install_dir with the directory where you installed ZL UA. 30 c:\ziplip_install_dir\zldominotcpconnector\bin 3. Enter the following command: zldominoservice.bat install Press the Enter key. The batch file prints registry and environment variable information to the screen, as shown in Figure 3.7 on page 28. Figure 3.7: zldominoservice.bat Output 4. Verify that the Java Options field contains the path to Notes.exe on your file system. For most Windows systems, this will be C:\Program Files\IBM\Lotus\Notes. 9. Click the OK button. 10. Enter the following command: cd..\config 11. Enter the following command: cd..\bin Installing ZLDominoTCPConnector 29
32 12. Enter the following command to stop the ZL Domino Windows service if it is already running. net stop zldominosv 13. Enter the following command to remove the ZL Domino Windows service: zldominoservice remove 14. Enter the following command to reinstall the ZL Domino Windows service: zldominoservice install 15. Enter the following command: net start zldominosvc The ZLDominoTCPConnector service prints a message in the Command Prompt window, as shown in Figure Figure 3.10: zldominosvc Output Note: A known bug might cause ZLDominoTCPConnector to not start properly if the dom.reg contains a trailing semicolon. If this happens, verify that c:\ziplip\zldominotcpconnector\bin\dom.reg does not contain a trailing semicolon in the PATH environment variable. If it does, remove the semicolon, then uninstall and reinstall the service. Check the Windows Registry using regedit.exe to verify the registry entry at HKEY_LOCAL_MACHINE\SOFTWARE\Apache Software Foundation\Procrun 2.0\zldominosvc\Parameters. 16. Enter the following command to restart the Tomcat application server: zltc restart ZL UA restarts. 30 Installing ZLDominoTCPConnector
33 Creating an Server in You must create a representation in of each Domino mail server that you want archive. This section describes how to perform this task. You should log in with the Unified Archival Administrator role to perform this task. To create a mail server for Lotus Domino in : 1. Log in to ZL UA using the following URL, replacing myzlhost with the name of the host that is running ZL UA: The log in screen appears. 2. Enter your ZL UA user alias or address and password. 3. Click the Login button. The Unified Archival Admin application appears. The application will appear with different icons in the navigation tree, or another application may appear, if you log in while granted a system role other than Unified Archival Administrator. A known bug might cause ZLDominoTCPConnector to not start properly if the doselect Mail Server and then Create Mail Server in the navigation tree to bring up the Mail Server wizard. 5. Select the Lotus Domino radio button. 6. Click the Next button to bring up the Server Info page appears. 7. Enter a name for the Domino server in the Server Name field. Creating an Server in 31
34 8. Enter the loopback address ( ) or IP address of the machine that is running the ZLDominoTCPConnector in the Server URL field. 9. Click the Next button to bring up the Lotus Server Config Info page appears. 10. Verify that the integer in the template name shown in the ZLDB Template field is not negative one. Note: If the integer is negative, verify that you have properly installed the ZLDominoTCPConnector. 11. Verify that the Create ZLDB checkbox is not selected. 12. Click the Next button. The Confirm wizard submission page appears. 13. Click the Next button. A confirmation dialog box appears. 14. Click the OK button. 15. The Congratulations page appears. You can view information about the new mail server by selecting Mail Servers and then View/Edit Mail Servers in the navigation tree. Verifying and Lotus Domino Communication ZL UA should be ready to request and process electronic communications from your Domino server after completing the tasks in this chapter. You can quickly verify communication between the two software systems by running the Lotus Transport Verify global task. This task must be run by the Super Administrator. To verify and Domino communication: 1. Log in to using the following URL, replacing myzlhost with the name of the host that is running ZL UA: 2. Select Global Tasks and then MailServerAgent in the navigation tree on the left. The Global Tasks screen appears. 3. Click Lotus Transport Mailbox Verify in the Task Name column. The Lotus Transport Mailbox Verify Task window appears, as shown in Figure Verifying and Lotus Domino Communication
35 Figure 3.12: Lotus Transport Mailbox Verify Task Window 4. Enter the name or IP address of the machine that is running in the Primary Machine Name/IP field. 5. Check the Start Immediately check box. 6. Click the Save button. The MailServerAgent global task list appears, and a stop sign appears in the Action column next to the LotusTransportMailboxVerify task to indicate that it is running, as shown in Figure Figure 3.13: LotusTransportMailboxVerify Status 7. Select Monitoring and then Event Viewer in the navigation tree. The Event Viewer window appears. 8. Locate the event associated with the global task and verify that it ran successfully. 37 Chapter 4 Troubleshooting ZL UA and Lotus Domino Communication This chapter describes solutions to common problems encountered while integrating ZL UA and Lotus Domino: Installing ZLDominoTCPConnector A known bug may cause ZLDominoTCPConnector to not start properly. This section provides more detailed instructions for how to work around this problem. As shown in Figure 1-1 on page 8, ZLDominoTCPConnector enables ZL UA to communicate with a Lotus Domino server through a Lotus Notes client using the credentials of a special user, the ZLTransport account. During installation, ZLDominoTCPConnector creates a new Windows registry value using the file dom.reg, located at c:\ziplip_install_dir\zldominotcpconnector\bin. This file may contain a trailing semicolon, as shown in the following figure. Figure 4.1: Trailing Semicolon in dom.reg The following procedure should be performed by the person with administrative privileges on the machine running ZL UA. To remove semicolon from the registry: 1. Open dom.reg in a text editor, such as Notepad. 2. Delete the trailing semicolon. 3. Save your changes to the file. 4. Open a command prompt. 38 5. Enter the following command: cd c:\ziplip\zldominotcpconnector\bin 6. Enter the following command to install the ZLDominoTCPConnector: zldomino.bat remove 7. Enter the following command to reinstall the ZLDominoTCPConnector with the updated dom.reg. zldomino.bat install 8. Enter the following command: zldominosvcw.exe The ZL Domino Connector Properties dialog box appears. 9. Click the OK button. 10. Enter the following command: regedit.exe 11. Verify that the following registry entry does not contain the trailing semicolon: HKEY_Local_Machine\Software\Apache Software Foundation\Procrun 2.0\zldominozvc\parameters\Environment The ZLDominoTCPConnector should now start. Running ZLDominoTCPConnector As shown in Figure 1-1 on page 8, the ZLDominoTCPConnector uses the Notes credentials of a special user, ZLTransport, to request that a Domino server send to ZL UA. If the ZLDominoTCPConnector is installed and running, but the Domino server is not sending to ZL UA, the connector may be using the wrong Notes credentials. The ZLDominoTCPConnector should now connect to the Lotus Domino server using the correct credentials. Fixing ZL UA SMTP Listener Errors The ZL UA SMTP Listener uses port 25 to listen for incoming mail from the Domino server. If another application is already using that port, the SMTP listener is unable to receive . To see what applications are using port 25: 1. Open a command prompt. 2. If you must run another application on port 25, you can run the ZL UA SmtpListener on port 2525 to avoid the port conflict. To run ZL UA SmtpListener on port 2525: 1. Log into ZL UA using the following URL, replacing myzlhost with the name of the host running ZL UA: The SysAdmin application appears. 2. Select Hostname Child Processes in the navigation column. Journal mailbox Contains a copy of every message that passes through an server. Global Task - A system-level process that you can schedule and run using the SysAdmin application. Restoration - The process of moving messages stored in an archive to a user s mailbox. Role The function of a user in. Examples of roles include Super Administrator, Unified Archival Administrator, and System Administrator. SMTP Simple Mail Transfer Protocol. An application-layer protocol on the TCP/IP protocol stack used by to communicate with a Lotus Domino server. Search Index A file that gets created as an message goes through the Compliance system. This file contains indexes for each field in the message. The file also stores the frequency of occurrence of a field and its position in the file. Search Store The location where the search indexes are stored. User mailboxes and journaled are stored in separate search stores. Stub A placeholder in an message containing a link to the archived message. Super Administrator The first user and system role created by. This user has all system roles and privileges and access to all administrative operations in. This role is similar to the root user account in Unix and Linux operating systems. You should avoid logging in as the Super Administrator in order to avoid any potential mistakes that could damage your system. Templates.ntf files containing custom Lotus scripts that enables Notes users to restore and search the ZLDB archive from their Notes clients.
