1 WHAT'S NEW IN THE RELEASE FOR THE MMS WEB PORTALS Version On May 10, 2016 we released MMS Web Portals version This is a maintenance update that corrects the following issues: Teacher Portal Grade Book Teachers could not manually enter a 0 for standards grades final grade entry. Staff Portal Parent View If using two character term codes, Honor Roll status would not print on report cards in staff portalparent view or in the parent portal. Staff Portal-Assessment Report If using non-numeric values for scaled scores for the Assessment module, printing the Assessment Report would return an error. Version On April 28th th, 2016 we released MMS Web Portals version This is a maintenance update that corrects the following issues: Teacher Portal- Attendance - If a teacher entered an attendance code, removed it, then added it back and removed it once more, a daily attendance record with a date but no code would get entered for that student. After that point the teacher could no longer enter attendance for that student. - Related to this, if a teacher entered a code, remove it, re-entered it then refreshed the page, a daily attendance record with a date but no code would get entered for that student. After that point the teacher could no longer enter attendance for that student. After updating to 4.4.4, when a teacher accesses their attendance list, any attendance records with a date but no code will get removed. Please note: The attendance record with dates but blank codes did not get reported as attendance on any reports. Prior Releases Version On April 4 th, 2016 we released MMS Web Portals version This is a maintenance update that changes how student contact s are handled along with bug fixes. (Please note, was released to select hosted site schools and was not available for general release from our website.) Important: You must also update to MMSGE v to use this version. Teacher Portal- Attendance Fixed an issue where if a school is not licensed for class attendance, daily attendance codes flagged for no overwrite by online attendance could still be changed by online teacher attendance.

2 Teacher Portal-Skills Grades Defect Fixed: For sections with more than fifty students, when selecting the second page of students grades entered on the first page did not save. Staff Portal- Mail Merge Fixed an issue where the first name (F_NAME) and last name (L_NAME) fields would create an error in biographical mail merge. Teacher Portal - Skills Grades Added a quick link for Skills Grades FAQs on the Teacher Grade Entry-View/Edit Skills Grades page. Clicking on the link will bring the teacher straight to our website without needing to log in. Of particular interest, "Session Disconnection Errors" describes warning messages that have been added to the Gradebook so that teachers do not continue to enter grades in the event their session times out or have lost connection. Parent Portal Account Management Account Creation: Parents are now required to enter their address when creating their account. If it does not match the address entered in MMS, they will receive the following alert: New Feature: We ve made it easier to deal with the following situation: A student attends more than one school in a district for example, she attends the middle school but also takes a math course at the high school and one of the schools accidently deletes the parent portal account associated with that school. Parents may now add the student back for the missing school. Previously the only resolution for this situation was to reset the entire parent account.. Fixed an issue with School Payment Portal if school personnel used a staff address* to create a parent portal account for parents who never received an when attempting to create their account.

3 (*Staff is now defined as being used in the MMS User table and/or the MMS Staff table. If a staff member is also using the Parent Portal as a parent, they will need to use an address that is not entered for either their MMS user account or for their MMS staff record. Please note, parent portal accounts can still be created using a staff address for parents having trouble receiving the initial , but will not be able to connect to School Payment Portal. This is by design to prevent incorrect address from being used for that application.) Additional checks have been added to ensure blank and/or different addresses cannot be used for parent portal accounts when multiple students are added to a parent portal account, or if the same parent is listed multiple times as a contact. Currently if a parent contact record has two different addresses, then when that parent logs in they will see a prompt to select which address they want to use (this was added in Fall, 2015.) There may be occasions when a parent logs in they will see the same twice (this can happen as a result of the biographical compare and update feature in the staff portal): Although rare, if a parent does see this prompt, the last four characters displayed is the unique ID used in conjunction with School Payment Portal the parent and/or a school administrator can contact School Payment Portal to determine which address to select in order to ensure account history is properly maintained in their system. Important: In some cases the same parent will be listed multiple times as a contact for example, they might be listed as Contact One with a home address, and then listed as Contact Two as the emergency contact with a different address. For maintaining emergency contact addresses that differ from the address the parent used when creating their parent portal account, different fields or a user defined field should be used for that purpose. A given contact the same person can have only one address for access to the parent portal. Staff Portal Student Profile Student Contact Management Editing an existing address: When changing a parent s address, and then clicking on any other field, you will now get a prompt with the following choices:

4 This is the same contact, please update the address. Selecting this option indicates you are changing an existing to a new address or correcting a typo in the current address. The parent portal account information (their user name and password) does not get reset when this option is selected. Please note: The updated address does not get committed until you click Save. Important: If multiple students are associated with that contact record/parent portal account and your school is not using Family ID, best practice is to apply the address edit to all associated student records. Using Family ID: If your school has enabled the biographical editor option to update contact records for students with the same family code, you will receive a prompt to change all records with the same contact number and Family Id: The address change will apply to all contact records across schools for that contact number (e.g., changing the address for a student in the high school listed as Contact Two will also update the for a student with the same Family ID listed as Contact Two in the middle school.)

5 If No is selected, the address will only get updated for the current record. However, the next time the parent logs in, they will receive a prompt asking them which address they want to use and that address will be applied to all of their student records. This is a new contact, please reset the account. Selecting this option indicates that you are changing the identity for the contact record you are making edits to that is, the current contact might be the mother, but you are changing the record to that of the father. Important: Choosing this option will reset the parent portal account information for that record the user name and password will be removed. For all records that share a family id, selecting yes to update all records will reset accounts for every student with the same contact record across all schools in your database. Version On February 18th, 2016 we released MMS Web Portals version This is a maintenance update with enhancements and bug fixes. Parent Portal Added an additional contact for School Office Pro. General Logout icon now is available when the browser window is resized. 6 Version STAFF PORTAL - New Features: Student Profile Menus: New separate menu items for student daily attendance and student class attendance editors, to facilitate assigning privileges. Daily and Class Attendance General attendance notes have been added for the student daily and student class attendance editor. Class Attendance Editor: Added 'assign code to all classes' option, so when student is absent all day, class absence codes can be added quickly. Now shows any daily attendance code assigned for selected date. Student Class Attendance Summary Class attendance summary can now be viewed by class or period. Class attendance totals can also be viewed by term or custom date range. Parent Portal School Payment Portal now opens in a separate web page. DEFECTS FIXED Teacher/Admin Portal: Fixed: If schools set Use Unrounded Averaging for courses using numeric grades to Yes, CFA would display as 0 in the Staff Portal-Parent View and Parent Portal. Fixed: If CFA method is set to proportional, then term weights with values of less than one would use a value of one. Parent Portal: Fixed: Enrollment Packet link display issue in the Parent Portal Personal Info tab if schools enabled the Activate Student Information Update link in MMSGE.

7 Version 4.40 STAFF PORTAL New Features: Mail Merge Letters for Discipline Actions and Infractions Committed Letters based on Current Grades Note: At this time the current grades mail merge is restricted to a specified term, i.e. multiple terms cannot be selected at the same time. Student Profile Student Daily Attendance Editor View and maintain all aspects of a student s daily attendance record. You get here by clicking the Attendance tab on the Student Profile page. On the attendance page you may view a student s daily attendance history and, if you have editing privileges, edit a student s entry and withdrawal history and complete daily attendance record. You ll see that student attendance information is grouped into three sections: Each section may be collapsed or expanded so you can easily work with just the information you want.

8 Student Class Attendance Editor View and maintain all aspects of a student s class attendance record. You get here by clicking the Class Attendance tab on the Student Profile page: On the class attendance page you may view a student s classes and any attendance recorded for any date you choose and, if you have editing privileges, edit the student s class attendance record. You can view a summary of the student s attendance in each class the student is enrolled in. You may print a class attendance student record listing by clicking the printer icon at the top of the page. You ll see that the class attendance page is divided into two sections: Each section may be collapsed or expanded so you can easily work with just the information you want. Admin Portal New option for Simple Averaging for Current Final Average This takes the average of marking period grades (for example, Q1+Q2/2), as opposed to estimating current final average based on assignment work to date. This has been a long standing, popular enhancement request. Enhancements:

9 Reduced the number of PDF files generated by mail merge operations. Added session timeout redirection to skills grade entry pages and disabled the ability to turn off error and warning messages. The Help pages now reside on a secure web page (https vs. http); this will prevent malicious script errors some users may receive when trying to access Help if accessing the web portals using https. The URL for the help pages will also change from 4.3 to 4.4. After applying this update if the URL still reads clearing your browser cache will resolve it (the URL should behttps://help.cri-mms.com/4.4/help) DEFECTS FIXED Teacher Portal Skill grades not being updated in View by Student and View by Skill. Grades not printing on report cards, for default as well as skills and standards report cards. Withdrawing a student from class doesn't withdraw them from the seating chart. Teacher Portal Progress Report shows percentage grade, not letter grade. If the Exclude Withdrawn Grades option was selected in the admin portal, subject grades would not always print for Skills Report Cards. KNOWN ISSUES: The Student Skills Grade Table: Synchronize with Student Scheduling Table function in the automated data maintenance utility is not currently functional (it will run but not actually do anything.) This will be corrected in a pending MMSGE release.
