3 1 Transferring O365 within Microsoft Programs Prerequisites The partner placing an O365 order via Pax8, must already be enrolled in or is in the process of enrolling in the Microsoft CSP Program. Please refer to the Prepare to sell Microsoft O365 training video for details. Cloud Solutions Provider (CSP) Program Follow the steps in this document when a customer has an existing O365 subscription placed under a different partner or distributor and the customer order was placed within the CSP Program. No additional steps are needed to have your O365 order successfully provision via Pax8 than those outlined in this document. Similarly, one Customer tenant can have O365 subscriptions from multiple distributors; if a customer has O365 subscriptions from distributor A that are not yet set for expiry, they can place their additional O365 subscriptions via Pax8. Syndication Program If the original O365 subscription was placed under the Microsoft Syndication program, the customer must call the original provider and request their order be moved from the Syndication Program to the CSP program. Arrow cannot be assigned as a Delegated Admin and the order cannot be provisioned until the customers existing O365 subscription is moved from the Syndication program to the CSP Program. Once moved, follow all steps outlined in this document. Advisor Program 1-1 P a g e

4 Timing is critical with O365 subscriptions placed under the Advisor program, as advisor subscriptions are purchased on an annual term. Typically, Advisor orders cannot be cancelled mid-term as they have been paid in advance, however there is nothing preventing letting the paid-for advisor subscriptions expire and placing a new order under the CSP Program. One Microsoft tenant can have more than one O365 subscription; in the Advisor program and CSP program at the same time. Sometimes the option to cancel Advisor subscriptions appear in the customer s subscription and other times it is disabled. If the option is grayed out, the customer can call Microsoft support and see if they are able to cancel their subscription. If Advisor subscriptions are expiring If the original O365 order was placed under the Microsoft Advisor, the customer must call the original provider and request their current order be moved from the Advisor program to the CSP program. Subscriptions in both Advisor and CSP Programs If an end customer has licenses in the advisor program that aren t currently expiring, and they want to add more licenses, can they purchase those additional licenses through the CSP program? Yes, CSP supports multi-channel capability. When they provision through ArrowSphere you check for the existence of the tenant and the licenses will add to the same tenant. 1-2 P a g e

5 2 Designate Arrow as a Delegated Admin Pax8 partners or their customers will need to authorize Arrow as a delegated administrator for Pax8 to process orders on your behalf and take advantage of the automated integration between Arrow and Microsoft. As a reminder, as a partner you have already signed the Arrow Microsoft agreement in the Pax8 Command Console to take advantage of this partnership between Pax8 and Arrow. 2.1 Who needs to assign Arrow as a Delegated Admin? Every existing O365 Customer account ordering O365 via Pax8 must have Arrow assigned as a Delegated Admin on the customer account for the order to provision. This is a one-time assignment per customer O365 account. Whomever has access to sign into the customers O365 portal can perform the Delegated Admin assignment. If the partner is listed as a delegated admin on the customer account, the partner has access to log into the Customer account and can identify Arrow as an additional delegated admin. If the partner is not listed as a delegated admin on the customer account, the customer can perform the following steps. Note: The Arrow delegated admin assignment is for is for ordering purposes only; this in no way replaces anyone as the delegated admin with configuration responsibilities. 2-1 P a g e

6 2.2 Accessing the Arrow Delegated Admin site Pax8 Training The following is sent when the partner signs up for the Microsoft Cloud Solution Provider program which contains a link to assign Arrow as the Delegated Admin. Similarly, once an O365 order is placed and if Arrow has not yet been assigned as the Delegated Admin, and is sent to the technical contact on the account with the link to perform these steps. 1. Click the link in the received by Provisioning@pax8.com 2. Or utilize the following link: d=86200b63-31e ad44-c1875b8de9a8&csp=1&msppid=0 3. 8 3 Verify the Default Domain When you place an O365 order in the Pax8 Command Console (Step 5 of this document), you will be asked to input the Default Domain on the customers existing O365 tenant. These steps outline how to obtain the correct domain to input in the following screen during O365 order checkout 1. Sign into your O365 Admin Account at if you logged out after the Delegated Admin assignment 2. If you aren t logged into the Admin portal by default, click the Admin app 3-1 P a g e

9 3. From the home page, click Domains 4. Locate the domain designated as the (Default) 5. Identify or copy the portion of the domain not including the Top-Level domain (TLD) E.g. do not include the.com,.net,.org, etc. 6. Provide that domain in the Provisioning details of the Pax8 Command Console O365 order 3-2 P a g e

10 4 Verify Existing Subscription Log into the O365 admin portal to verify the current subscription including package type and quantity. This ensures you will order the correct quantity and appropriate package via Pax8. 1. Log into the O365 Portal 2. Navigate to Billing Subscriptions 3. View the existing subscriptions Purchased count Assigned count 4.1 Identify Expiration Date Timing is important to understand when switching your subscription to Pax8. Identify the expiration date of the current subscriptions and ensure your new Pax8 order is placed PRIOR to the existing subscription expiry. Pax8 will ensure your new order billing does not start immediately to ensure you aren t double-billed during the subscription overlap period. 4-1 P a g e

11 5 Place O365 Order via Pax8 1. Log into 2. Navigate to the Catalog 3. Locate & select desired O365 product The ordered product does not need to be the same as the current subscription; you can easily upgrade the users O365 apps by selecting a higher package. Order, at minimum, the same quantity as existing users, and increase the quantity as needed. 4. Checkout and complete the order 5. Assign Arrow as one of the accounts delegated admins; this is required for the order to provision and complete A link allowing you to assign Arrow as a delegated admin is available in the Pax8 Command console as soon as the order is complete. If the page was bypassed, utilize the following link &id=86200b63-31e ad44-c1875b8de9a8&csp=1&msppid=0 The O365 orders placed via Pax8 are provisioned via APIs and the subscription will be available in the O365 admin portal within moments. 5-1 P a g e

12 6 Verify Both O365 Subscriptions Log into the O365 admin portal to verify the current subscriptions: 1. Log into the O365 Portal 2. Navigate to Billing Subscriptions 3. Notice two instances of the same O365 package The top selection is the initial active subscription ordered by someone other than Pax8 4. Click the second O365 package instance 5. Note the Purchased license count and the Assigned License count = 0 When reviewing the second O365 package instance, it is appropriate and expected that the Assigned count is zero. This is because the users have their licenses assigned by the first O365 subscription. 6. Note this subscription was process with Arrow as the Delegated Admin At this stage, this customer has 5 users and 10 purchased licenses 6-1 P a g e

13 7 Cancel O365 Subscription 7.1 When ordering the same O365 package Contact the provider of the original O365 subscription and cancel the subscription prior to auto-renew date if auto-renew is enabled, or prior to subscription expiry. No additional steps are needed. 7.2 When changing the O365 package If changing the O365 packages for users assigned a different O365 license, perform the following prior to cancelling the initial order so there is no service interruption. 6. Navigate to Users Active Users 7. Select a User 8. Click Edit Product Licenses 7-1 P a g e

14 8 License Transfer 1. Navigate to Billing Subscriptions 2. Note the Active Section Once the original order is cancelled, notice the Active section is the subscription ordered by Pax8 via Arrow as the Delegated Admin 3. Note the Disabled section The original subscriptions, because cancelled, displays as disabled When the same O365 package is ordered that is already assigned to the user, the transfer of the users O365 license assignment happens automatically. Because O365 does not assign license keys; from where the O365 subscription comes is irrelevant. 8-1 P a g e

15 When CHANGING the O365 package If changing the O365 packages for users assigned a different O365 license, perform the following prior to cancelling the initial order so there is no service interruption. 1. Navigate to Users Active Users 2. Select a User 3. Click Edit Product Licenses 4. Turn the original product license off 5. Turn the new product license on 8-2 P a g e

16 9 Additional Scenarios 9.1 Customer wants to move partners Customer currently orders through one partner and now wants to order through a different Partner through Pax8. Research and understand their current providers billing cycle to avoid license or service interruption and then follow the steps outlined in this document 9.2 Moving subscriptions mid-term If a customer has an order through a distributor with an annual commitment, can they move the subscription to a different distributor or partner? More than likely they must wait until their annual commitment expires prior to ordering through the new Distributor via Pax8. The customer can, however, place an order for additional licenses through the new distributor 9.3 Customer orders through Microsoft directly and wants to order via a Partner A customer has an O365 subscription ordered directly through Microsoft. They now want the same service, but ordered via a Partner who orders via the CSP program through Pax8. From the Customer perspective, the steps are the same as option #6 in this document; the differences are the Partner Shell under which Pax8 submits the customer order. 9.4 Partner is in both Referral and CSP Programs If the partner is a member of the Microsoft Referral program and has current subscription(s) for customers, when the existing customer account needs to add additional license, the partner can order those licenses via Pax8 under the CSP Program. Note: The partner CAN be in both the Referral and CSP Programs 9.5 Partner switching from Referral to CSP program The Microsoft Referral and Advisor program are the same; refer to the Advisor section of this document. 9-1 P a g e
