New folder and Subfolder Introduction The Pegasus Messaging System has been modified and recreated to function similar to the rest of the world s system in that you can now do click & drag, have InBox, sent, and trash as well as the ability to create new folders to better organize your messages. If you have used Outlook or Outlook Express or other similar clients, you will have little problem navigating through the new system. If you are new to this kind of platform, this help document will walk you through what you need to know in order to write, read, save and delete your files. If after going through this help documentation you still have questions or suggestions, please do not hesitate to open a ticket. We take all suggestion and questions seriously, thank you very much. 2 Figure 1 is a screen shot of the messaging system interface. Upon loading you will get 3 area of focus. The first one is the top area where you see the folder icon with the message Pegasus Messaging System (Figure 2), and the left area where you get the folders (Figure 3), and lastly the big center area where you see the Inbox as the default page (Figure 4). Figure 2 - Banner On the banner shown in Figure 2, there is the login information, date and time on the far left and the Messaging Folder Icon in the middle, a Close button and a help link opens this guide. 3 All of the icons shown in Figure 3 are clickable. There are four main categories: Compose, Inbox, Sentbox, and Trash. If you hover over each icon, a bubble will pop up with a hint of what it is. Figure 4 - Message Area The Message Area (Figure 4) is where the message(s) in the selected folder will be displayed. You will have the option of deleting or dragging the message into other valid folders. It displays the date of the message and time. Compose: Figure 5 - Message Compose Window 3

4 When a user clicks the Compose icon, a new page (Figure 5) will pop up. This screen allows you to enter the address in the form of firstname.lastname. To type in multiple addresses you can do so by putting a semicolon after the first address (See figure 6). You can also click on the To and a list of available names (See Figure 7) will open. In this list, you click on a name to highlight it. You can select multiple names by holding down the CTRL key while clicking each desired name. When finished, click Done. The user can also just click the Close button to simply close the window without any action taken. The CC field works the same as the To. In this Composition interface, there are also three fields for attachments. Notice to the right of each field you see the Browse buttons; these buttons are clickable and allow you to navigate to the file you want to attach. When the browse button is clicked, a box like the one in Figure 8 will pop up. In here you can navigate to your message and click Open to attach. Once you are ready to send your message, just click the Send Message button and your message will be sent. One last thing about the Compose function is the Reply Required check box. This check is a request for a response to your recipients. If you put a check here, they will have to respond to your . Figure 6 - Multiple Addressees 4

6 InBox Figure 9 - Inbox with messages. Figure 10 - Empty Inbox Inbox is what everyone gets when the message system is first loaded. If there is at least one message in the InBox folder you will get something similar to Figure 9 and if there are no messages in the InBox,your will get a page similar to Figure 10. Just a reminder, a message colored in red means the message has not yet been viewed and the message in white means it already has been viewed. Notice that in Figure 9, there is one extra button call Delete Checked because there is at least one message available for deletion while there is no message for such additional action in figure 10. Now, while you are in the InBox you are now given a few more additional functions to use at your convenience. You can drag a message to a folder. For instant, a user now can drag a message to the Trash. All you have to do is move your mouse over the message, and it will automatically highlight. Then press and hold down the left mouse down somewhere inside the selected tex and drag to your desired destination. There is one restriction in message dragging: you can t drop InBox message to SentBox or subfolders of SentBox. In otherwords, incoming mails must stay within incoming 6

7 folders and outgoing mails must stay within outgoing folders. If you attempted to drag a message to an invalid destination, two things will happen. First you will get a stop sign to let you know that you can t drop there; if you do release the mouse button it will give you an alert letting you know of the reason. For instance, if you are to move a message from InBox to InBox, the alert would say You can t move files to the same destination, InBox. Secondly, no action will take place. The top left check box by the Subject column is the Check All Messages box. If you want to check all the messages at once, checking this box will do that; unchecking it when check wil uncheck all messages. Hovering over this box will cause a bubble to popup with a message Check/Uncheck All as a reminder. Figure 11 - Showing a checked message There is one small different between Figure 9 and 11 and that is the Delete Checked. In Figure 9, there is no check on any of the check boxes so the Delete Check button stays gray but in Figure 11, we have a check on the first message and that activates the Delete Checked button. In this new version we have combined the name of the sender and the subject of the message into one entry, The Date/Time shows the date the message is received and the actual time of arrival to the InBox. Also notice that we have the Date category consisting of Today, Yesterday and the two days before yesterday. This will automatically organize the your messages by date. This will make it easier to find and view messages. 7

8 SentBox Everything in SentBox is essentially the same as InBox so we won t go into too much detai. Figure 12 - Sent Box Figure 12 shows the Sent Box. Very similar to the InBox, the only difference being that are two fewer buttons. Deleted Checked button is the only one, and it is disabled because no message has been checked. Everything else works the same as the InBox. Note: SentBox messages can t be dragged or moved to InBox or its subfolders. Trash Trash works a little bit differently than InBox and SentBox in that Trash holds both InBox and SentBox messages and it has two buttons, Restore and Delete Checked (See Figure 13). 9 The purpose of the Restore button is to restore the checked message back to its original folder. For instance, if the message was from InBox or subfolder of InBox, then it would get sent back to InBox, the same goes to SentBox messages. The Delete Checked button will permanently delete the message, and you will not be able to recover deleted messages that are deleted from the Trash. There is a deletion confirmation alert, as shown in Figure 14. If you click OK, then the message will be gone forever and if you click Cancel then no action will be taken. 10 New Folder Figure 15 - The Folders Display The creation of new folders works a bit differently from all other folders we discussed so far. The orange folder indicated by the arrow in Figure 15 is the icon for creating a new folder. Notice that there are three of these icons, one by the InBox, one by the SentBox and one underneath the Trash. Clicking the icon by the InBox or SentBox will cause the resulting folder to be a sub-folder of the associated box. Clicking the icon under the Trash creates a new folder at the same level as the InBox, SentBox and Trash. When you move your mouse over the orange icon a bubble with the message Create new folder will pop up as a reminder of the function. 10

11 When you click one of the orange icons, a small popup appears on the top left of the screen asking you to enter the name of the new folder. One restriction is you can t have duplicate names in the same group, e.g. you can t have duplicate names under InBox. Figure 16 - New Folder Naming Once you have typed in the name of the folder click OK, to finish the step or Cancel to take no action and close the popup. An informative popup will let you know that the folder has been created successfully and just press OK to close that popup. For example, Figure 17 shows a newly created subfolder call Test Folder 1. Figure 17 - Example of new folder The small button indicated by the orange arrow in Figure 17 above is used to expand/collapse the sub-folder list. If it shows a minus sign (-) (as shown above), the clicking it will collapse the sub-folder list. Conversely, if it shows a plus sign (+), clicking it will expand the sub-folder list. 11
