1 Click2Mail MailJack User Guide Version 1.1 MailJack: Use your program s Print feature to send documents through the U.S. Mail It s perfect for any situation where a hardcopy document is preferred or required it s ideal for everything from invoices, proposals, and announcements, to reminders, contracts, and presentations. Use MailJack to print-to-mail documents three different ways: 1. Send one or more addressed documents. (See page 3) 2. Send one unaddressed document to one address. (See page 4) 3. Combine one addressed document with one or more unaddressed documents in the same envelope. (See page 5) Install the MailJack print driver 1. Sign into your existing Click2Mail.com account or register for a new account. 2. Return to this page: and click the download button. Install the MailJack print driver on your Windows PC and, instead of printing your documents to your desktop printer for folding, stuffing and stamping, they are securely transmitted over the Internet to Click2Mail.com. We print them, insert them in an envelope, and mail them via the United States Postal Service (USPS). 3. Save the Click2Mail-MailJack.EXE file in a convenient location, such as your Windows desktop. 4. Locate the file that you just downloaded and double-click the MailJack product icon or file name and follow the screen directions. All you need is a no-cost Click2Mail.com user account and any software program that produces an 8.5 x 11 inch page suitable for printing word processing programs, bookkeeping programs, presentation programs, spreadsheet programs, and so on. You can even print-to-mail documents from your program, Internet browser, and Adobe Acrobat Reader (for PDFs). Your pages are printed as you laid them out. MailJack automatically reads the recipient address, standardizes it to the USPS database then reprints the recipient address, your return address, and a postal barcode on a blank page that is inserted in a standard windowed envelope. 2 The MailJack printer window Setup MailJack for your first mailing 1. From Windows, choose Programs > Click2Mail > and open the MailJack printer window (above). 2. Click the Settings button and enter your name/address information in the Sender window (you are the sender): DELIVERY TYPE A Regular Letter is sent by USPS First-Class Mail within the U.S. and its territories only. In the near future, documents will also be delivered by Certified and Priority Mail. PRINT TYPE Documents may be printed as duplex, printing on both sides of the paper, or simplex, printing on one side of the paper. COLOR Select Black/White printing or Full Color (4-color) printing. 5. Click Apply to save your settings. 3. The Output and Backup folders were automatically created during installation. We recommend you leave them as-is. 4. At the bottom of the settings window, select default settings for the Delivery type, Print type, and Color (settings can be changed each time you open MailJack). Purchase enough user credits for the planned mailing MailJack works through user credit. If you have enough user credit in your Click2Mail.com account, orders are processed automatically. If you don t, the first order is held in the cart and you will be alerted to purchase more credits. To buy credits, sign into your Click2Mail.com account, select "Dashboard," and click "Buy credit" from the User credits window. 2
3 Use MailJack three different ways: 1. To send one or more addressed documents 1. Create or open a document file from any software program that can produce an 8.5 x 11 inch page (portrait or landscape). You can use whatever elements the program supports: typefaces, photographs, charts and graphs, illustrations, and so on. You can create a document using the mail merge feature of your software program or by adding letters one after the other within the same document. PAGES PER ENVELOPE: You can include up to up to 94 pages in each envelope 47 sheets printed front and back (duplex); the number of sheets determines if a document is mailed in a #10 windowed envelope or a flat 9 x 12 inch envelope. 3. Save your finished document. 4. Choose Print > Printer name > select Click2Mail MailJack as your printer and click OK. 2. MailJack looks for a recipient address on every page within a document and typically recognizes and reads complete addresses that are placed in the specified read area. MailJack s default read area is indicated by a blue box in the viewer, but the address read area can be redefined by drawing a red box (Step 7). When the specified area contains a complete address, MailJack recognizes it and treats that page, and any unaddressed pages that follow it, as a distinct mailpiece (an envelope ). A complete address must include: at least one recipient line (name or organization), one valid delivery address line, city, state, and ZIP Code (all five addressing elements are required). MailJack treats each page that contains a complete address in the same, specific area of the page as the first page of a unique mailpiece (an envelope ). In a multi-recipient document, the first page of every unique, individually addressed mailpiece included must contain the recipient s name and complete address within the same read area. This ensures that every unique mailpiece is properly identified as such and that a mailable envelope is created in MailJack. Using this functionality, you can stack many separate mailpieces within one document by beginning each mailpiece with a page that contains an address. The illustration that follows shows, for example, how one document could include four different mailpieces, each mailpiece beginning with a page that contains an address. 3 As the document is processed, the Click2Mail MailJack screen will appear or a Click2Mail icon will appear in the task bar. 5. If the MailJack screen is not visible, click the icon to open MailJack. The window on the left side shows instructions and the window on the right side shows you a preview of the first page of the document. 6. Under "SETTINGS SUMMARY" (bottom, left of the MailJack printer window) confirm your Delivery type, Print type, and Color settings. 7. If the entire recipient name/address IS already enclosed within the blue box, click next and MailJack automatically generates an envelope and lists it in the left window; separate envelopes are created for each recipient in a multi-recipient document.
4 OR If the entire recipient name/address IS NOT enclosed within the blue box (see illustration below), click and hold the mouse button just above and to the left of the recipient name/address and drag a red box around the entire name/address block (make the box large enough to accommodate the longest, widest name/address in your document) and release the button. Note: If the address in a single recipient document is not recognized, click the Add recipient button and proceed. You can add as many documents to the MailJack queue as you choose. After you have printed all the documents you want to mail, click the MailJack icon in the task bar to re-open it, then click Next in queue MailJack shows how many documents are left in the queue. For each document, be certain to review and correct or delete any items with invalid address errors. IMPORTANT: To perform the next step you will need: a live internet connection, your Click2Mail.com account username and password, enough credit to cover the mailing cost, and to disable any systems that prevent file sharing 9. To send your mail, select the checkboxes next to the envelopes you are ready to mail, or check select all and click next again. (You will be asked for your Click2Mail.com username and password.) 10. The items you selected will now be transferred to Click2Mail for printing and mailing. Once the Send new mail progress window shows Operation Completed, your mail has been sent. When you release the button, MailJack automatically generates an envelope and lists it in the left window; separate envelopes are created for each recipient in a multi-recipient document. MailJack analyzes each address block and verifies that it contains the required addressing elements and looks for errors such as an invalid ZIP Code. If MailJack is not certain that a text block is an address or if there is an error, you will see either a popup message or a specific envelope or page will be highlighted in the left window: 2. To send one unaddressed document to one address To create and mail a single or multi-page document that is not already addressed within the document. 1. Create or open a document file from any software program that can produce an 8.5 x 11 inch page (portrait or landscape). You can use whatever elements the program supports: typefaces, photographs, charts and graphs, illustrations, and so on. Be certain to review and correct or delete any envelopes with invalid address errors. Red means invalid : MailJack cannot validate the text in the address area as a complete address and does not create an envelope. The questionable page(s) are added to the pages of the preceding envelope (if one is present) and will be highlighted in red. Pages highlighted in red cannot be edited in MailJack. Delete them, then correct the original document and reprint it to create a valid envelope. RED PAGES NOT DELETED ARE ADDED TO THE PRECEDING ENVELOPE AND GET MAILED TO THAT RECIPIENT. 8. Click next and MailJack finalizes preparation of your envelopes for electronic delivery to Click2Mail and lists them in the left window. If you have additional documents you want to mail, minimize MailJack and print-to-mail (one-by-one) them in the same way as the document you just added. PAGES PER ENVELOPE: You can include up to up to 94 pages in each envelope 47 sheets printed front and back (duplex); the number of sheets determines if a document is mailed in a #10 windowed envelope or a flat 9 x 12 inch envelope. 2. 5 3. Choose Print > Printer name > select Click2Mail MailJack as your printer and click OK. 8. To send your mail, select the checkboxes next to the envelopes you are ready to mail, or check select all and click next. (You will be asked for your Click2Mail.com username and password.) 9. The items you selected will now be transferred to Click2Mail for printing and mailing. Once the Send new mail progress window is Completed 100%, your mail has been sent. As the document is processed, the Click2Mail MailJack screen will appear or a Click2Mail icon will appear in the task bar. 4. If the MailJack screen is not visible, click the icon to open MailJack. The window on the left side shows instructions and the window on the right side shows you a preview of the first page of the document. 3. To combine one addressed document with one or more unaddressed documents in the same envelope. You can even combine/merge one addressed document with one or more unaddressed documents we print both and mail them in one envelope. That means you could mail an addressed cover letter combined with one or more unaddressed presentation documents. Start with the document that contains the name/address: 1. Create or open a document file from any software program that can produce an 8.5 x 11 inch page (portrait or landscape). You can use whatever elements the program supports: typefaces, photographs, charts and graphs, illustrations, and so on. 5. Select add recipient button at the top left to add a valid USPS postal recipient name/address including: at least one recipient line (name or organization), one valid delivery address line, city, state, and ZIP Code (all five addressing elements are required). Then click OK. 6. Under "SETTINGS SUMMARY" (bottom, left) confirm your Delivery type, Print type, and Color settings. 7. Click next and MailJack automatically generates an envelope for the recipient name/address you entered and lists it in the left window. IMPORTANT: To perform the next step you will need: a live internet connection, your Click2Mail.com account username and password, enough credit to cover the mailing cost, and to disable any systems that prevent file sharing 2. The first page must contain the name and address you want the document mailed to, including: at least one recipient line (name or organization), one valid delivery address line, city, state, and ZIP Code (all five addressing elements are required). PAGES PER ENVELOPE: You can include up to up to 94 pages in each envelope 47 sheets printed front and back (duplex). If you are merging multiple documents, remember to limit the total number of pages in all of the documents combined to 94 (47 sheets). The number of sheets determines if a document is mailed in a #10 windowed envelope or a flat 9 x 12 inch envelope. 3. Save your finished document. 5
6 4. Choose Print > Printer name > select Click2Mail MailJack as your printer and click OK. 8. Once you have merged the documents you are returned to the document preview. The window on the left side shows instructions and the window on the right side shows you a preview of the first page of document that includes the recipient name/address. Under "SETTINGS SUMMARY" (bottom, left) confirm your Delivery type, Print type, and Color settings. 9. If the entire recipient name/address IS already enclosed within the blue box, click next and MailJack automatically generates an envelope and lists it in the left window. OR As the document is processed, the Click2Mail MailJack screen will appear or a Click2Mail icon will appear in the task bar. If the entire recipient name/address IS NOT enclosed within the blue box (see illustration below), click and hold the mouse button just above and to the left of the recipient name/address and drag a red box around the entire name/address block and release the button. Note: If the address in a single recipient document is not recognized, click the Add recipient button and proceed. 5. If the MailJack screen appears, minimize it, DO NOT click the MailJack icon to open it. Instead, print the rest of the documents you want added to the same envelope (one-by-one) in the same way you printed the previous document. You can add as many documents to that envelope as you choose, just keep the total page count to 94-pages (47 sheets) or less. 6. After you have printed all the documents you want to combine with the addressed document, click the icon to open MailJack then click "Manage queue". (Ignore the instructions in the left column until after you have visited "Manage queue".) Under "List of documents in queue" is a list of all the documents you just printed. Click on the text of each listing to see a preview of the document on the right of the screen. When you release the button, MailJack automatically generates an envelope and lists it in the left window. Be certain to review and delete any envelopes with invalid address errors. 10. Click next and MailJack automatically generates an envelope and lists it in the left window. You can add as many documents to the MailJack queue as you choose. After you have printed all the documents you want to mail, click the MailJack icon in the task bar to re-open it, then click Next in queue to see a list of the documents in the queue. 7. Select the document containing the address from the list plus all of the other documents you want to include in the same envelope and click "Merge". IMPORTANT: To perform the next step you will need: a live internet connection, your Click2Mail.com account username and password, enough credit to cover the mailing cost, and to disable any systems that prevent file sharing. 6
