2 Accessing the Application What is an Access Key? An Access Key is required to complete your application. It is specific to your Company and will determine the type of Card you will receive and other important Company information associated with your Card. back Where do I get an Access Key? If your Company has initiated your application for you, the Access Key will be sent to you in an automated . Otherwise, your Access Key may be posted on your Company s internal intranet site. back What is a Tracking Number? A Tracking Number is unique and specific to your application. If you are accessing your application after saving it or accessing it for the first time after it was initiated by your Company you will need to know the Tracking Number and Access Key. back Where do I get a Tracking Number? If your Company has initiated your application for you, the Tracking Number will be sent to you in an automated . Otherwise, your Tracking Number will be ed to you automatically once your application has been saved as draft /completed, so you can continue to access your application if required. back Completing the Application The application is for the wrong type of Card. What should I do? The type of Card is determined by the Access Key you have used. If you believe this is not the correct application, please double check that you have used the correct Access Key and check whether there are other Access Keys for you to use. back How do I know if I need to submit Proof of ID? Applicants should refer to the Before You Begin guidelines provided on top of the application. If you fall under the specified criteria as listed in the Before You Begin section, we strongly recommend you upload a scanned copy of your official identification documents (a valid passport, Photocard driving license can be used as proof of address or national identity card) with your application. back How do I upload a copy of my ID? Proof of ID should be scanned to a digital format, then saved and uploaded using the upload capability in the Upload Supporting Documents section of the application. The application only accepts attachments uploaded as images (JPEG, TIF, GIF, BMP, PNG, PDF, DOC or DOCX). You should save your attachment in one of these formats before attaching to your application. You can attach a maximum of 15 documents and each document cannot be more than 5mb in size. back 2

3 Why has my Company sent my application back for more Information? In addition to the mandatory fields required by American Express, your Company may also require you to complete some additional fields on the application, which you have not already completed. In this instance, you will receive an automated from American Express. Your Company will be able to give the reason for returning the application to you When I save my application as draft, how do I access my application in progress? If your Programme Administrator has initiated your application for you, please use the same Tracking Number, Access Key and link you used when first accessing your application. Otherwise, you will have received two system generated s: one will contain the Access Key and the second a link and Tracking Number. You can access a saved application by clicking the link and entering your Tracking Number along with the Access Key provided by American Express. back How long do I have to complete my application? You have 365 days to complete your application and have it approved by your Company for submission to American Express for approval and processing. The 365 days start from the date that your application was initiated either by you or by your Company back How do I get a copy of my Terms and Conditions? Your Terms and Conditions can be accessed while completing your application and will also be available to you after you have completed your application. While completing your application, your full Terms and Conditions can be accessed via a link in the application and can also be printed. Once your application is completed and before it has been approved by your Company, you can continue to access the application using the Tracking Number and Access Key provided to you on by American Express. Once your Company has approved your application and it has been submitted to American Express, you will receive an automated which will also provide a further link to your Terms and Conditions. back My company Cost Center / Dept Code / Employee ID contains characters not allowed by the application. Cost Center should contain only letters and numbers and does not allow spaces or special characters. Please remove special characters and spaces to ensure we can capture this information. back Why have I received a reminder ? Your Company has chosen to send you a reminder to complete your application. It will be sent automatically every seven days from American Express until the application is completed, cancelled by your Company or 90 days have elapsed since your application was initiated. Do I need to submit any additional approval documents along with my application? Your application will highlight if your Company requires approval from your line manager or other designated approver. Without this, you will not be able to submit and complete your application. Please follow the instructions provided on the application. 3

4 Application Processing How do I know if my application has been approved by my Company and submitted to American Express for approval and processing? You will receive an automated from American Express confirming the status of your application. back Can I check the status of my application once it has been submitted to American Express for approval and processing? Yes, you can check the status of your application up until the point of Card dispatch within the Status & Workflow History section when viewing your application online. You will have received two system generated s from American Express containing an Access Key, a link and a Tracking Number prior to completing your application. You can access the application online by clicking the link and entering your Tracking Number along with the Access Key. back When my application has been submitted, can I still edit the application? No, once your application has been submitted, you will no longer be able to edit it. back Can I view my completed and submitted application online? Yes. You will have received two system generated s from American Express containing an Access Key, a link and a Tracking Number prior to completing your application. You can access the completed application by clicking the link and entering your Tracking Number along with the Access Key. back Where will my Corporate Card be sent? Your Company can choose to receive all new Cards so they can distribute them to Card Members. Alternatively your Company can choose to have Cards sent directly to Card Members. If the latter option has been selected, you can indicate on your application whether you would like to receive your Card at work or at home. If you choose at work, your new Card will be sent to the Company Address provided on the application. If you choose at home, your new Card will be sent to the Home Address provided on the application. Your Company s Programme Administrator will be able to advise you on the delivery method that has been chosen. back How long will it take to receive my Card? Regular applications are processed within 10-days. Is there a cost involved with Urgent applications? If so please mention this. This does not include mail delivery time. If your Card has not arrived within these timeframes, please contact our Customer Services team on +44 (0) back 4
