3 1 Introduction The is a web portal developed by Elia to exchange information with its customers. It is accessible for Direct Access Customers and for Distribution System Operators/Grid Operators and all the stakeholders who are concerned with the renewal of an access contract, more specifically annex 2 & 3. The Contract Viewer functionality provides the list of all connection, access, balance responsible party contracts or collaboration agreements (DSO) of your company. You can also review the list of contact persons with their contractual role and the invoiced company as well as the invoice postal address. It also gives access to the PDF copy of your contracts and their annexes. The list of access points or interconnection points of your company is given with their expiration date. It is also possible to renew electronically the annex 2 and 3 of the access contract associated to your access points. The Invoice Viewer provides access to invoices and invoicing documents of your company. Through the Invoice Viewer module you can view and download invoices and invoice annexes for grid access, imbalance and grid connection (direct customers and DSO s), but also for orientation studies, detail studies and the realization of new or revised grid connections for your company. 5 3 Access to the Ask an access to the Contact Customers Support & Services to ask access to the Customer Hub. Phone: +32 (0) Fax: +32 (0) Depending on the contract type your company has signed with Elia, you can access the customer hub with four different roles. If your company has signed: A connection contract, you can access the with the role Grid User (GU). An access contract, you can access the with the role Access Contract Holder (ACH). A BRP contract, you can access the with the role Balance Responsible Party (BRP). A collaboration agreement, you can access the with the role of Distribution System Operator (DSO) or Grid Operator (GO). The first three roles can be combined if your company has signed different contract types with Elia but you can also choose to restrict the access if it suits better in your organization. If you have received a username and a password from Elia, you can access the Using the CUSTOMERS button in the top menu on via the direct link: Version 1.0 Date Page 5 of 56
6 Enter your Username and Password and click on Sign in. Note that when you enter your username, make sure you enter it with the correct extension, for example: You can also Change your Password if it is still active. Otherwise, you can use the Forgot Password button. Tip After a period of inactivity longer than 1 hour, you are logged out of the application. To resume your work in the, you have to log on again. 7 4 workspace for Direct Access Customers Home The workspace for Direct Access Customers consists of the following tabs: Company Details Invoice Viewer Contracts Contractual Points Note that when you navigate in the, the buttons Back and Forward of the browser are not supported. 8 4.1 Home The tab Home gives you a quick overview of the company and it contains the following information: 1. The Company Details containing general information on your company 2. A list with the Sites of the company 3. A list with the active Contracts of the company 4. A list with the active Access Points of the company 5. A list with the status of the recent Invoices of the company Note: When you navigate to the invoice viewer from the home tab or from the contract tab, invoices are filtered on the contract. It is not possible to remove or change the filter. If you want to access the whole list of invoices, you have to navigate through the tab Invoice Viewer. 4.2 Company Details The tab Company Details contains the following information: the tab Account Details the tab Customer Contacts the tab Sites Version 1.0 Date Page 8 of 56
9 In the tab Account Details you can view your general company information including head office address, company codes and the Elia Key Account Manager appointed for your company. In the tab Customer Contacts you can view all the contact persons present in the Elia database related to your company and their details. Note that when you click on a contact in the column Name, you open the Customer Contact Details window as you can see below: Here you can see Contact Details such as the General Data, the Account Details and the Communication details. In addition to this, you can also consult the Contractual Roles of the selected contact person. In the tab Sites you can view all the active sites and their addresses related to your company. 10 4.3 Invoice Viewer The tab Invoice Viewer contains the following information: Contractual Invoices Non-Contractual Invoices In the section Contractual Invoices you can view a list of invoices related to the different regulated contracts your company has signed with Elia. By default only the invoices from the last 3 months are shown. In the section Non-Contractual Invoices you can view a list of invoices related to studies (orientation or detailed), client interventions (revision of an existing or realization of a new grid connection) and external services (interventions or projects executed on customer s equipment). 11 4.3.1 View invoice documents In the sections Contractual Invoices and Non-Contractual Invoices you can consult and download invoice documents. You can filter the table to show only a specific set of invoices. You can filter on: company Product Type: for Contractual Invoices: the types in the drop-down menu depend on the company role (GU - ACH - BRP): Imbalance and Product Deviation only for BRP, Access for ACH and Connection for GU access. for Non-Contractual Invoices: orientation study, detail study or realization. Product reference: empty by default, for contractual invoices this indicates the reference of the contract, for non-contractual invoices it indicates the Customer reference. Note: you can only see the references for the selected invoice date. Invoice date: last three months by default, indicating the concerned months when Elia has sent the concerned invoice. Invoice number: empty by default Invoice state: open by default, you can select cleared or not cleared to filter your search to the respectively paid or unpaid invoices. Invoice period: only for contractual invoices, filters when applicable the concerned period for which this invoicing is applied. Note: connection invoices cover three months. So if you select invoices for March, the Invoice Viewer shows connection invoices for the period 'January March 2014'. Invoice type: identifies a specific type of invoicing, depending on the product type. For example, Access tariffs are invoiced in 2 phases: a Provision invoice is sent at the beginning of the concerned month, while a Regularisation invoice is sent in the middle of the month following the concerned month. In the column Due you can view the status of the invoice: Elia received the payment. The Clearing date is the day the invoice was cleared. Invoice not paid but still within deadline. The due date is in the future. Invoice not paid and there are only 5 days left until due date. Invoice not paid and the due date is exceeded. You can download a document just by clicking on it or you can select one or several lines and click on button Download selected documents Version 1.0 Date Page 11 of 56

Depending on the type of invoice, you can download the following attachments: the electronic copy of the invoice in PDF or an annex to the invoice the imbalance settlement is an Excel file containing the detail of the imbalance computation. Depending on whether the BRP is stand alone, member of BRP pool or head of BRP pool, this document can vary: Stand-alone BRP: one sheet with the imbalance report, Head of BRP pool: one sheet for the pool (Pool imbalance report) and two sheets for each member of the pool (Pooling BRP imbalance and pooling BRP Overview), Member of BRP pool: two sheets with the Pooling BRP imbalance and pooling BRP Overview. the metering document with the calculation of the amount to pay a ZIP file with the invoice, annex and Settlement or Metering document Version 1.0 Date Page 12 of 56
13 4.4 Contracts The tab Contracts contains a list of contracts which are accessible for the concerned user. Here you can consult the different contracts of your company. From this window, you can access the Contract Details by clicking on the link in the column Contract Reference as you can see below: Once you have clicked on the Contract Reference, you can see in the upper part of the screen a header with the Contracting party, the reference of the contract and other main contractual data: Below the header, you can see the following tabs: Contracting Party Here you can see the details of the party who signed the contract as well as the contractual contacts and their roles. 14 4.4.2 Invoicing Here you can see the details of the company who will be invoiced as well as the invoice address. At the bottom of the screen you can also consult the details of your Invoice Contacts Elia Contacts Here you can consult the Elia Company details as well as your Contractual Contacts within Elia Contractual Documents Here you can consult the concerned contractual documents of your company (PDF) as well as annexes which are subject to possible modifications, such as the contact persons and so on. 15 Some additional tabs depend on the contract type: Access Points This tab is present for Connection and Access contracts. It contains the list of access points of your contract with their specific data. If you select an access point, you can see the detailed data of that access point Pooling This tab is present for BRP contract if your company has signed a pooling agreement. 16 4.5 Contractual Points This tab contains the list of access points of your company with their data, depending on your company role. In this window you have the possibility to consult the different types of annexes covering this access point by clicking on the PDF in the column Annex. Note that grid user and access holder can select an access point in the column Name to open the Access Point Details window as you can see below: Once you have clicked on an access point in the column Name, the Access Point detail window will open as you can see below: Version 1.0 Date Page 16 of 56

18 5.1 Home The tab Home gives you a quick overview of the company and it contains the following information: 1. The Company Details containing general information on your company 2. For DSO: the DSO Collaboration convention. For GO: the list of DSO collaboration convention for the DSO networks managed by the GO. 3. The DSO Networks which corresponds to the list of the distribution networks managed by the company 4. A list with the status of the recent Invoices of the company Company Details The tab Company Details contains the following information: the tab Account Details the tab Customer Contacts the tab DSO Networks In the tab Account Details you can view your general company information including head office address, company codes and the Elia Key Account Manager appointed for your company. 19 In the tab Customer Contacts you can view all the contact persons present in the Elia database related to your company and their details. Note that when you click on a contact in the column Name, you open the Customer Contact Details window as you can see below: Here you can see Contact Details such as the General Data, the Account Details and the Communication details. In addition to this, you can also consult the Contractual Roles of the selected contact person. In the tab DSO Networks you can see the name of the DSO, the DSO Network, the EAN number, the Contract reference and the MRCO. 20 5.3 Invoice Viewer The tab Invoice Viewer contains the following information: Contractual Invoices Non-Contractual Invoices In the section Contractual Invoices, a DSO can view the invoices related to its DSO collaboration convention. The GO can view the invoices related to all the DSO for which the GO manages the DSO Network. In the section Non-Contractual Invoices you can view a list of invoices related to external services (interventions or projects executed on customer s equipment). Version 1.0 Date Page 20 of 56
21 5.3.1 View invoice documents In the sections Contractual Invoices and Non-Contractual Invoices you can consult and download invoice documents. You can filter the table to show only a specific set of invoices. You can filter on: Product Type: for Contractual Invoices: DGO Access and Connection for DSO/GO. for Non-Contractual Invoices: External Services. Product reference: empty by default, for contractual invoices this indicates the reference of the contract, for non-contractual invoices it indicates the Customer reference. Note: you can only see the product references of invoices that were issued within the selected invoice date. Invoice date: last three months by default, indicating the concerned months when Elia has sent the concerned invoice. Invoice number: empty by default Invoice state: empty by default, you can select cleared or not cleared to filter your search to the respectively paid or unpaid invoices. 23 5.4 Contracts The tab Contracts contains a list of contracts which are accessible for the concerned user. Here you can consult the different contracts of your company. You can find here two subtabs: Under the subtab CDC-SOK, you can have access to the Collaboration agreement details. The subtab Other contracts contains additional contracts that could have been signed between Elia and the DSO such as metering contracts, and so on. To access the Contract Details, click on the link in the column Contract Reference as you can see below: Once you have clicked on the Contract Reference, you can see in the upper part of the screen a header with the Contracting party, the reference of the contract and other main contractual data: Below the header, you can see the following tabs: Grid Operator This tab is present only when the Grid Operator is different than the DSO. The grid operator acts as a subcontracting party for the Distribution System Operators. Here you can see details of the Grid Operator such as the Company name, the Social Status and so on. 24 5.4.2 Contracting Party Here you can see the details of the party who signed the contract as well as the contractual contacts and their roles Invoicing Here you can see the details of the company who will be invoiced as well as the invoice address. At the bottom of the screen you can also consult the details of your Invoice Contacts Elia Contacts Here you can consult the Elia Company details as well as our concerned customer services related to your contractual relation with Elia DSO Networks Here you can see the name of the DSO, the EAN number, the Contract reference and the MRCO of each DSO network of the selected contract. 25 5.4.6 Contractual Documents Here you can consult the concerned contractual documents of your company (PDF) as well as annexes which are subject to possible modifications, such as the contact persons and so on. You can download a document just by clicking on it. Version 1.0 Date Page 25 of 56
26 5.5 Contractual Points This tab contains the list of interconnection points and border points of your company with their data. The list of interconnection points is restricted to the interconnection points of a DSO Network where the company is grid operator or DSO. From the list of interconnection points, you can select an interconnection point to open the detailed data of that interconnection point: Once you have clicked on an interconnection point in the column Interconnection point name, the Interconnection Point detail window will open as you can see below: Version 1.0 Date Page 26 of 56
27 5.6 Documents The tab DSO Documents provides a library for several document types that are exchanged with the concerned DSO: You can find here six subtabs, which can be grouped by 2 document type groups: meeting reports and other reports: Under the subtab Project Portfolio Meetings, you can have access to the meeting reports of the project portfolio meetings between this DSO and Elia; The subtab Grid Development Meetings contains the available meeting reports between the Grid Development departments of the concerned DSO and Elia; Under the subtab Other Meetings the other important meeting reports with exception of the previous 2 categories are made available; The Load Management subtab provides the reports available on the offtake provisions of the concerned DSO; The subtab Voltage Management contains the available reports on the exchanges concerning this topic; In the Green Book subtab you can find the available Green books, containing the estimated exchange in Load and production between the DSO grid and the Elia grid. To access the concerned reports, simply click on the pdf icon in the column Document, which will open the concerned report. Version 1.0 Date Page 27 of 56
28 6 How to renew Annexes of the Access Contract in The allows you to renew the annex 2 and/or annex 3 of the access contract related to your access points. Here you have the possibility to extend the validity of your current annex and/or to change the stakeholders. In the you can perform an electronic validation of the PDF annex documents. Note that for a change in the contractual structure of your access point(s), you will have to contact your KAM because this requires manual processing. Here you can see a flowchart of the renewal process for Annex 2 with each time the responsible person for the validation: Here you can see a flowchart of the renewal process for Annex 3 with each time the responsible person for the validation: Elia sends notification Access Holder decision&validation BRP Validation Supplier Validation Elia Validation & Annex sending Note that in case one of the stakeholders does not want to validate electronically, the automatic process will be interrupted and the annex documents will have to be signed manually by all the stakeholders. Here is a short general description of the new process: In case your annex will expire, Elia sends you a notification that invites you to connect to. A task will be open on your Home page under the section Open tasks. To start the annex renewal process, you just have to click on this task to open the annex renewal form. When you have validated the annex, a notification is sent to the next annex validator. After the electronical validation of the annex by each party, Elia sends by the validated version to all concerned parties. Version 1.0 Date Page 28 of 56
29 6.1 How to navigate in the annex renewal form Depending on your market role (Grid User, Access Holder, BRP and Supplier) and the annex you have to renew, the renewal form will differ. Note however that the navigation buttons remain almost identical throughout the whole renewal process: 1. Click on Cancel to cancel the entire renewal process. Click on Save and Back to save the introduced renewal data (up to step 3 Annex Overview). Once you have clicked on it, you are redirected to the home page of the. After that, another person of your company can continue the electronical validation of the annex. 2. You can click on one of the 4 steps to navigate immediately throughout the form. 3. Click on Previous to go to the previous screen. Click on Next to go to the next screen. Click on Finish on the last screen to complete the renewal process. Version 1.0 Date Page 29 of 56
30 6.2 How can the Grid User renew the Annex 2 To renew the Annex 2 as Grid User: Open the and click on the link Annex 2 GU renewal step under the section Open tasks. 1. Stakeholders page: Tick the checkbox if you want to continue with the same access holder proposed by default. (see image below) You can also select a new access holder or become your own access holder. If you don't find your access holder in the list, please contact your KAM. Click on the plus symbol to expand your company data and the access holder data. You can also change the language of the Annex. Version 1.0 Date Page 30 of 56
31 2. Access Points page: Once you have clicked on Next, you have to enter the Start and End date for the Access Contract Holder Designation. Start date is proposed by the system as the month following the expiration. You can also expand the access points to check their detail data and the linked power units. 3. Annex Overview page: Below you have an overview of the annex data. Version 1.0 Date Page 31 of 56

Validation page: Once the data reviewed, go to the last Validation page and click on the PDF icon to download the new annex: Once you have downloaded it, read carefully the annex in order to validate the content. Note that if you tick the checkbox before downloading the PDF, you will get a notification message on top of the window, as you can see on the image below: Version 1.0 Date Page 32 of 56
33 Once validated, tick the checkbox to confirm you have read the annex and that you accept to validate it electronically. Note that you can choose not to validate the annex by ticking the checkbox I cannot validate this annex. In that case, you must give the reason why the annex cannot be validated. In addition to this, you can give additional remarks or suggestion for Elia in the field on the bottom of the window: Version 1.0 Date Page 33 of 56
34 Click on Finish once you accepted or refused to validate the annex electronically. Once you have clicked on Finish, you receive a confirmation message on your screen: Click on OK to go back to the home page of the. 35 6.2.1 How can the Access Holder renew the Annex 2 in case of Annex 12 In case an Annex 12 has been signed, this means the Grid User has given a power of attorney (PoA) to the Access Holder (ACH). Below you can see the home page where you can click on the link Annex 2 ACH (PoA) renewal step in order to renew the annex 2 on behalf of the GU. Once you have clicked on the link, the renewal form opens: Here you have to follow the same steps as in the section 6.1 How can the Grid User renew the Annex 2 in order to accept the electronical validation of the annex 2. Note that the ACH can only modify the language of the annex and the end date of the access holder designation. In any other case of change, please contact your KAM. Version 1.0 Date Page 35 of 56
36 6.3 How can the Acces Holder validate the Annex 2 To validate the Annex 2 as ACH: Open the and click on the link Annex 2 ACH validation under the section Open tasks. 1. Annex Overview page: Below you have an overview of the annex data. You can expand the company data and the access point data. Version 1.0 Date Page 36 of 56
37 2. Validation page: Once you have clicked on Next, click on the PDF to download it: Once you have downloaded it, read the annex carefully in order to validate the content. 40 6.4 How can the Access Holder renew the Annex 3 To renew the Annex 3 as ACH: Open the and click on the link Annex 3 renewal step under the section Open tasks. 1. Stakeholders page: In the Stakeholders page, tick the checkbox if you want to continue with the same BRP proposed by default. (see image below) You can also select a new BRP. Tick the checkbox if you want to continue with the same Supplier proposed by default. (see image below) You can also select a new Supplier. 2. Access Points page: Once you have clicked on Next, you have to enter the Start and End date for the BRP and the Supplier Designation. Version 1.0 Date Page 40 of 56
41 3. Annex Overview page: Below you have an overview of the annex data. 4. Validation page: Once the data reviewed, click on the PDF icon to download the new annex: Once you have downloaded it, read the annex carefully in order to validate the content. Once validated, tick the checkbox to confirm you have read the annex and that you accept to validate it electronically. Version 1.0 Date Page 41 of 56

43 6.4.1 How can the BRP renew the Annex 3 in case of Annex 13 In case an Annex 13 has been signed, this means the Grid User has given a power of attorney (PoA) to the BRP. Below you can see the home page where you can click on the link Annex 3 BRP (PoA) Renewal in order to renew the annex 3 on behalf of the GU: Once you have clicked on the link, the renewal form opens: Here you have to follow the same steps as in the section 6.4 How can the ACH renew the Annex 3 in order to accept the electronical validation of the annex 3. Note that the BRP can only modify the Supplier and the end date of the BRP and Supplier designation. In any other case of change, please contact your KAM. Version 1.0 Date Page 43 of 56
44 6.5 How can the BRP validate the Annex 3 To validate the Annex 3 as BRP: Open the and click on the link Annex 3 BRP validation under the section Open tasks. 1. 47 6.6 How can the Supplier validate the Annex 3 To validate the Annex 3 as Supplier: Open the and click on the link Annex 3 Supplier Validation under the section Open tasks. 1. Annex Overview page: Below you have an overview of the annex data. 2. 48 7 Personalization of the screen The allows you to customize the screen according to your needs. Suppose you are working in the screen Invoice Viewer in the part Contractual Invoices and you want to adapt the table view. To do so, click on the pencil symbol in the top right corner of the table you want to customize. Once you have clicked on it, the following pop-up window opens: Here you have the following personalization options: 6 1. This option allows you to choose your Default view and to save/delete it. 2. This option allows you to choose the way you want to navigate in your screen (Scrolling, Paging or Both). 3. This option allows you to determine the number of rows before scrolling/paging. 4. This option allows you to choose which columns should be displayed in the table. To do so, select the column of your choice in the section Available Columns and click on the arrow pointing to right to display it in the table. Version 1.0 Date Page 48 of 56
49 Another possibility is to drag the column of your choice and drop it immediately in the section Displayed Columns. If you want to remove a column from the table, select the column of your choice in the section Displayed Columns and click on the arrow pointing to the left or drag and drop it immediately to the section Available Columns. 5. Click on this symbol if you want to select all the columns in one click. In addition to this, you can also select the order in which the columns appear in the table. To do so, select the column of your choice in the section Displayed Columns and click on the button Up or Down. You can also immediately drag and drop the column of your choice to determine the order of display in the table. Besides this, you can also adapt the width of each column. This option is located under the section Displayed Columns, under the column Width. 6.
