Responsibility in a Virtual World When we converse, we expect other people to observe certain rules of behavior. The Internet has made it possible for people all around the world to connect with each other in meaningful ways. As the Internet continues to evolve, so do the issues that influence the way we use it. What is ? is electronic mail. You can use the same address in multiple accounts. Just like website addresses, every address must be unique. IMPORTANT In most cases, DELETING your message from your mailbox, WILL NOT ERASE An from the Internet, servers around the world or the originator s mailbox. Page 1 of 5
2 How Works Business and Personal s What s the difference? Business communication is vastly more complex than personal communication. Personal usually includes @grande.com, etc. Cost. Access. Why does it matter? Impressions. Content. Effective Habits Attachments. Respond in a timely fashion. Refrain from sending one-liners. Keep it clean, not only language, but content. Pick up the phone. should not be used for last minute cancellations of meetings, lunches, interviews, and never for devastating news. Only use an auto-responder when necessary. Page 2 of 5

Keep your s short and get directly to the point. SPAM Do not reply to spam. Never open an attachment or click on a link from someone you don't know. Be sure your virus, adware and spyware programs are up to date and include scanning of your s and attachments both incoming and outgoing. Always include a brief Subject topic. Capital Letters IT LOOKS LIKE YOU'RE SHOUTING! Page 3 of 5
4 CC and BC Beware of the "reply all. Use BCCs (Blind Carbon Copies) when send s to a group of people. Don't use Return Receipt (RR) on every single . Adding Personality & Humor Briefly introduce yourself. Always include a signature. Smileys Your is a reflection of you. Use your program's spell checker to avoid or minimize misspelling Spelling and Grammar Spell check, s with typos are simply not taken as seriously. Use complete sentences, unless using bullets. Are you using proper sentence structure? Type unto others as you would have them type unto you! Abbreviations Don't get mistaken for Spam. Nasty Comments (Flaming) What is flaming? You never know who's reading it or who may copy and spread it around. It could come back to haunt you. Consistency Stick to the topic when sending an . Page 4 of 5
5 Subject Line Be clear in your subject line. Properly titled messages help organize and prioritize . Commercial messages should be clearly identified in the subject line. Sending s Make sure you spell their name correctly. Read your out loud, to ensure the tone is what you intend. Never send large attachments without notice!
