2 Things you need to know In order to further our, your, and your customer s security, the ability to view credit cards when manually processing on a separate machine is going away with this release. While we understand it is an imposition to some, it is a potential security issue, which we delayed since the last update to give people time to switch to a processor or make other arrangements. Current customers who are doing real-time credit card processing are not affected. If you are interested in updating your processing to do real-time processing, our processing associate, Josh Cole at FirstClass Merchant Services can get you set up. Josh can be reached at : FirstClass Merchant Services (407) JCole@1stClassMS.com A number of the updates include new menu options. These will need to be enabled by modifying the appropriate Employees Type and enabling the menu options for the selected type. Or you can enable these items in the company preferences -> application preferences. These items are indicated by ** in the list above. The new preferences associated with this new features are included in this document as well, under New Preferences, page 10. Hide directions by default. The directions are now a "Click to Toggle" function in most locations.

3 Revamped all calendars to latest FullCalendar release. Added the ability to schedule an appointment by clicking on the calendar, assuming signed in user is allowed to schedule. Where possible, the system will use selected date/time and employee if one is selected in the calendar. When a groomer is selected in the calendar, and using agenda week or agenda day view, the selected employee's work schedule will be overlaid on the grooming calendar.

4 Whatever bug fixes FullCalendar incorporated since last update, especially relating to not displaying data in certain circumstances. Updated Temperament Test Now includes the capability of associating a Daycare type to a scheduled temperament test. Assign an employee to handle the test. Automatically schedule a Daycare for the requested date/time.

5 Added an Hours of Operation Function Note: The Grooming Hours of Operation is going away and will need to be defined here. We are copying over existing settings as part of the update, but you may want to fine-tune them. This preference, maintain hours of operation is used in conjunction with the hours of operation calendar. Both are located in the company preferences menu. Complete the maintain hours of operation form to add a calendar event with unique operating hours. If a reoccurring event is created you will see the details for that event listed in the reoccurring event table. That event can then be edited or deleted using the associated links. Separate, unique changes to a specific day within the recurrence can be made by clicking on that day's event on the hours of operation calendar. Those changes will only be saved to that one unique instance, not the master event. Onetime events are not listed in the reoccurring event table but are listed on the hours of operation calendar, and can be modified or deleted by clicking on the event from the calendar. If no events are created, the PetExec will use the company hours input in company preferences, maintain company information for all modules (boarding, grooming, daycare, and scheduled services). Note that you can define multiple times in a given day. In the example below, Boarding drop-offs/pick-ups are Monday-Saturday from 8:00 AM to 7:00 PM, but Sunday is restricted to between 8:00 AM 10:00 AM and 2:00 PM 4:00 PM. If no future dates are defined when scheduling a service, the system assumes it is available for scheduling. We recommend you set this up for a few years at a time. You can always edit the event and extend the dates when needed. Once events are created, each day becomes a separate event that you can change as needed.

7 Hours of Operation Calendar. Added Contract and Boarding Agreements You must go under Company Preferences-> Application preferences -> Customer settings and Enable Owner Contracts to enable this new functionality. Once enabled Owners can view and digitally sign documents from their owner login in. Located in Company Preferences -> Application Preferences -> Maintain Agreements, this function allows you to define the contract and boarding agreements to be viewed and digitally signed by the owner. A description of

8 each contract type is available for a short synopsis, which is shown to the owner via the owner login under Owners & Pets/agreements.

9 Once the owner clicks on the Signed Date link, they are presented with the form to accept. Owners must enter their username, password and agree to the terms and conditions to digitally sign the agreement.

10 When an owner digitally signs the contract, the date/time is shown under the Modify Owner screen and in the downloadable Owner Spreadsheet.

11 New Preferences: Disable Prior Grooming Notes in Appointment - When selected, the notes from prior Grooming appointments will not be displayed when adding or modifying an appointment. o Located in: Company Preferences -> Application Preferences -> Grooming tab -> Disable Prior Grooming Notes in Appointment Owner Grooming Request - Send an copy of the Owner Grooming Request to the specified address o Located in: Company Preferences -> Application Preferences -> Grooming tab -> Owner Grooming Request Grooming Request Confirmation - When selected will send an owner an when their grooming request is confirmed. o Located in: Company Preferences -> Application Preferences -> Grooming tab -> Grooming Request Confirmation Disable Score Cards Unless Signed-In - When selected, the Boarding Score Cards will only be available if the pet is signed into the system. o Located in: Company Preferences -> Application Preferences -> Customer Settings tab -> Disable Score Cards Unless Signed-In Enable Grooming Schedule Request - Enables / Disables Grooming option that allows owners to request a Grooming. o Located in: Company Preferences -> Application Preferences -> Customer Settings tab -> Enable Grooming Schedule Enable Owner Payment - Enables the ability for an owner to make a payment. This option requires real-time credit card processing to be enabled. o Located in: Company Preferences -> Application Preferences -> Customer Settings tab -> Enable Owner Payment Enable Owner File Upload - When selected, will give the owner access to the file upload section where they can upload and view files. They will not be able to delete them. o Located in: Company Preferences -> Application Preferences -> Customer Settings tab -> Enable Owner File Upload Enable Owner Contracts - When selected, will give the owner access to the contracts section where they digitally sign contracts. o Located in: Company Preferences -> Application Preferences -> Customer Settings tab -> Enable Owner Contracts

12 Require Credit Card For Boarding - When selected, will not allow scheduling a Boarding unless there is a credit card on file. o Located in: Company Preferences -> Application Preferences -> Boarding tab -> Require Credit Card for Boarding Default Company Calendars - Select the default calendars to load in the Company Calendar. o Located in: Company Preferences -> Application Preferences -> Miscellaneous tab -> Default Company Calendars Disable Scheduling if No Temperament Test - Only allows scheduling of pets for Daycare and Boarding that have the "Passed Temp Test?" checkbox selected o Located in: Company Preferences -> Application Preferences -> Customer Settings tab -> Disable Scheduling if No Temperament Test Added a "Customer Pick-Up" field when an owner schedules a Boarding. It does not affect set pickup times that trigger additional charges. Added Owner-level File Uploads.

13 There is a preference to allow the owners to see their files. They also have the ability to upload, but cannot delete any files. Clicking on the Download link will download the file to your computer. Clicking on the Delete link will delete the file. Note that the files are not directly web-accessible, which means there is no direct link to the files other than the Download link, which validates against the company and owner to ensure only the proper people can view / access the files. Owner Grooming Requests Owners can request a Grooming. Administrators can maintain the Grooming Requests and convert them to scheduled Grooming Appointments. There is an associated preference to turn this option on for owners and another one to associate an address to send a copy of the requests owners make. These are REQUESTS only. It is up to the company to follow through and schedule the grooming appointment.

14 Once you click on the Request Date in the Maintain Grooming Requests, the Add a Grooming screen is shown with the appropriate fields already filled in.

15 In order for owners to see the services and request an appointment for them, the items need to be updated in Products & Services. There is a Make Available to Owners checkbox to enable the owner to select that item.

16 SMS texting ability to text mobile numbers from Dashboard, Grooming, etc. You can send an SMS text message by clicking on the cell phone number when it is displayed as a link. Simply click on the link and enter the text message in the field.

17 By default, SMS texting is one-way and is text only. Text will include the following verbiage "From PetExec: DO NOT REPLY" Assumes the cell phone number contains complete number, including area code. We will strip out all other characters when sending SMS. A for-pay option of $10.00/month will allow pictures to be uploaded and attached to the SMS message. o Pictures need to be uploaded prior to sending the SMS message. o We are looking at additional uses for SMS messaging to be included with the for-pay option such as Grooming, Scheduled Daycare and Scheduled Service Reminders (not associated with a Boarding), the ability to store and respond to SMS messages directly through PetExec. Updated Training classes to add duration of each event. Defaults to duration set when adding an appointment. Per-Class changes can be made if one class is longer or shorter than others.

18 Updated Company Calendar View multiple events of different types in one calendar. Added application preference to set default calendar events to load.

19 Added support for First Data - Canada (Beanstream) This will allow Canadian customers to do real-time payments. Owner Payments Requires application preference setting be turned on for owner access. Requires real-time credit card processing to be enabled. This function will allow owners to make a payment on their account. It does not allow them to purchase a specific product or service. That credit balance can then be applied toward a product or service later in their cart.

20 Report Cards Report cards can be created to send to your two-legged customers to let them know how their pet enjoyed the stay. PetExec offers the ability to add up to 10 sections, a header, footer and content area where you can customize the report card however you like. You can set up the look and feel for the report card in company preferences-> maintain report card.

21 You can modify the report card format and information and click on a preview to see what the report card will look like. Make sure you save your changes by clicking the Update button! The system is limited to one report card per pet per day. The Dashboard will show at a glance, which pets have a report card created. Report Cards in-progress will have a Modify Report Card link whilst pets with no report card will have a Create Report Card link.

23 Example Report Card: Actual pet data for the report is input from the dashboard using either the create report card link or modify report card link. These links will appear on either the grooming, boarding or daycare dashboards for pets who are signed into Daycare and Boarding. Or once created, report cards can be modified The Report Card Maintenance screen can be found under the Owners & Pets section once it has been enabled for your Employee Type. When selected, this function allows you to search and maintain Report Cards that have been created in the system. Search results are shown by descending date and include a simple status on whether the Report Card is sent (marked as processed) and whether or not any of the defined areas have any text in them. Note that the indication that it is filled in, simply means there is some text in the field, not that it makes sense. Always make sure the sections are properly filled out! You can select multiple Report Cards and send them out at one time or delete multiple reports at a time.
