1 TXSSAR Web Communications and Page Responsibilities This document is designed to familiarize new officers, committee chairs, and others with how the TXSSAR web site works for them and to assign responsibilities for page content to the appropriate parties. Various TXSSAR Officers and Committee Chairman are responsible for the content of web pages pertaining to their respective areas of concern. If your content needs to be changed/updated, please send the appropriate material to the webmaster. You can lay out your page(s) in Word or other format to let the webmaster generally know how you want your page(s) to look (within the scope of the web template). Please include the exact wording and any graphics that you want to appear on your page(s). The webmaster reserves the right to edit content for spelling and grammatical errors. If you only have minor corrections to make to a page, you can specify the specific changes you need (i.e. change the date in the first sentence, second paragraph, to ####, etc.). If you feel that you have been given responsibility for a web page that should more appropriately be assigned to a different party, please contact the new party that you think should be responsible, get their agreement on the change, and then contact the webmaster with the change information. Web Communications and Automation Outline - Officer addresses - TXSSAR Officer addresses are constructed based on the office held and never change. received at these addresses is automatically forwarded to the current office holder. When the office holder changes, the forwarder for that office address is changed to reflect the actual address of the new office holder. Committee Chair and other addresses - Member addresses are used for Committee Chair and other function contact lists, but they are "obfuscated" so that the actual address does not appear in the source code of the web page. Instead, the address is constructed from code using JavaScript whenever the page is rendered by a browser so that the address will be available. This can greatly reduce the amount of spam that members receive due to addresses appearing on public web pages. New Member Services Team Information Request - This form is used when an interested party cannot find (or get a response from) a local chapter with regard to membership interest. When submitted, the information from this form is automatically sent to the Secretary. Speakers Bureau Information Submission - This form solicits information from those who wish to be included on the Speakers Bureau page. When submitted, the information from this form is automatically sent to the Webmaster. TXSSAR Compliance Officer Report - This form solicits Concerns about TXSSAR's compliance with the Sarbanes Oxley requirements. When submitted, the information from this form is automatically sent to the Audit Committee Chair if the complaint is about the Compliance Officer, or to the Compliance Officer if the complaint is not about him. Online Dues Payment (includes online Patriots Fund Contributions) - This form is used for members to pay dues and/or to provide contributions online for the Patriots Fund. When submitted, the member is transferred to PayPal to complete the financial transaction. A record of the payment is then sent by PayPal which is forwarded to the member and to the Treasurer. Online Registration for TXSSAR Events - These forms are used by members to register and pay for BOMs, Annual Conferences, and other events online. When submitted, the member is transferred to PayPal to complete

2 the financial transaction. The miscellaneous data collected in the registration form is automatically sent to the host chapter, the Webmaster, and the Secretary; a record of the payment is sent by PayPal which is forwarded to the member, to the Treasurer, to the host chapter, and to the Webmaster. Member Contact Information Change - This form is used by members to report changes to their address, phone number, or address. When submitted, the information from this form is automatically sent to the Secretary and to the Webmaster. Compatriot Death Report - This form is used to provide information concerning the death of a compatriot. When submitted, the information from this form is automatically sent to the Secretary, the Chaplain, the Webmaster, and to national (Aaron Adams).
