All Applications Release Bulletin September 2013 System Administration and My BackPack (General) Enhancements 2 Dashboard 7 My BackPack Redesign 8 My BackPack Web ID Wizard Enhancements 11 About Release 92_5 Release 92_5 is a wide-ranging release that introduces significant enhancements to certain areas of the system, such as a new Cash Flow report and new options for the Message Center in My Back- Pack, as well as minor enhancements throughout all applications. 2 System Administration and My BackPack (General) Enhancements System Administration New Broadcast Preference added to System Administration - A new system preference allows your school to specify whether to send one Broadcast per family or per student by default when sending broadcast s. This setting can be changed at any time during the broadcast process. Preferred Name Available in Auto-Assign Web IDs Wizard - 'Preferred Name' is now available for all web ID types in the Auto-Assign wizard. This field is newly available for Parent and Constituent web IDs, and is also available for Student IDs. New Field for Password Reset Sent Date & Query Option - A field for PW Reset Sent Date has been added to My BackPack User Maintenance. When an Account Creation Notification or a Password Reset Notification is sent, the system auto-fills this field with the current date. This allows you to keep track of when each user has received notifications Senior Systems, Inc Release 92_5

3 Additionally, this field is available in queries, under the Web Login node. You can use this field to query for users who have not received account creation notifications, or search for dates to find users who were included in a specific broadcast task. New "Hide Grades" option on School Maintenance in System Administration - An option to Hide Grades has been added to System Administration. Use this setting if you want to prevent grades from appearing on online applications in My BackPack. Note that custom application files can also be used to show and hide grades. 'Do Not Publish, Display' Flags Available in Global Updates - The ability to set addresses to 'Do not Publish' and 'Do Not Display in My BackPack' is now available in Global Updates. Set 'Update to this value' to 'Y' to activate the flag. Set to 'N' to clear the flag. The informational text on address records has also been updated Senior Systems, Inc Release 92_5

4 My BackPack New My BackPack Branding Tool - There is a new way to update your My BackPack branding that does not require a restart of the My BackPack server. The new method is similar to the methods used to update Online Statement forms, Program Registration forms, and Admissions forms. When you update your branding, now you will receive a zip file from Senior Systems. Then, at your convenience, you can upload the zip file via the new Update Custom Branding tool. This process is available for both the original My BackPack and the My BackPack Redesign. Note: This method is used to update both your My BackPack branding and your Online Statement forms. There is no longer a tool for updating Online Statements (previously found in Merchant Account Setup). If you are only updating Online Statements, or only updating your branding, you will use the same procedure. To update your branding: 1. Log into My BackPack as an administrator. 2. Navigate to "About My BackPack". 3. Click the new "Update Custom Branding" button. 4. Browse to the zip file provided to you by Senior Systems. 5. Click "Submit". To see your changes, you may need to use the "Reload System Settings" tool, and clear your browser's cache Senior Systems, Inc Release 92_5

5 Broadcast Enhancements - Several enhancements were made to the Broadcast tool, to simplify usage and improve on-screen options. When using the Advanced query option in My BackPack Broadcast , the selected query is highlighted with large, bold text. A link to view all scheduled tasks is now available from the Broadcast Confirmation screen. My Profile - Users may notice several new fields available for editing on the My Profile page in My Backpack, including Gender and certain types of Work addresses. Certain fields that previously were only available to Constituents are now available for Parents as well. Online Payment Security - Several updates have been made to the way My BackPack processes online payments. When paying by echeck, Online Payment Confirmation masks all but the last 4 digits of bank account and routing numbers. Credit Card information entered into the Credit Card Number field is hidden, and cannot be copy/pasted. CVV information is not collected Senior Systems, Inc Release 92_5

6 Updated Online Payment Prepaid Message - A change was made so that the following message only displays to parents when the item 'Prepaid Balance' is open for online payments. Previously, it was possible for the message to appear when it was not applicable to the parent's current payment options. New Security for Modifying User Names - When a My BackPack user edits his or her user name, the system now requires the user to re-type his or her password for added security Senior Systems, Inc Release 92_5

7 Dashboard Dashboard Widget Layout Tab - Improvements have been made to the Dashboard widget Layout tab, including updates to font and style setup. Additional Options for Dashboard - Additional options have been added to Dashboard for Alumni Development widgets: to include spousal soft credits and match credits, to use pledge balances, to use stock sale amount, and whether or not to subtract broker fees. These checkboxes can be toggled off and on, as needed. By default, none of the new options are checked Senior Systems, Inc Release 92_5

8 My BackPack Redesign In 2012, Senior Systems, Inc. released the redesigned My BackPack. The redesign introduced advanced customization options, as well as significant design enhancements. In Release 92_5, we addressed some usage-based enhancement requests, as more customers move to the redesigned My BackPack. Contact if you have any questions about redesign implementation. Grade to Date - A student's grade to date is now available directly on the Daily Assignments and Comments screen. Previously, the grade to date was only available on the course summary screen. 'Back to Admin User' Link - When using the 'Sign In As Another User' tool, there is a new 'Back to Admin User' link on the landing page. Previously, there was no 'Back to Admin User' link on this page. Show/Hide Message Center - When there are no messages published or available for a user, the message center is hidden from the landing page of My BackPack. This impacts the Redesigned version of My BackPack only. Message Center for Admissions, Program Registration - The Message Center, added as part of the My BackPack Redesign, is now available for Inquiries, Applicants, and Summer/Program Registration user communities. Previously, the Message Center was only available for Faculty, Parent, Student, and Alumni communities. The message center appears on the Inquiry/Applicant and Program Registration landing pages (it only appears if messages are available for the user) Senior Systems, Inc Release 92_5

9 The message center notifies the user that messages are available when the Inquiry/Applicant and Program Registration landing pages load. Users can click the Expand (+) button to preview their messages. The top three messages load first (based on priority, then date). The message center then allows users to scroll through their messages in preview mode, or click any message to view it in full. When editing or creating a new message, you will notice three new options, for Applicant, Program Registrant, and All MBP Users. When these options are selected, the message is published to users in these communities. All of the existing options, such as Priority, Type, date settings, and Activate/De-activate settings, are available for the new community types. Tip: You can publish existing messages to the newly available communities. Simply open the message in edit mode, and select the desired community or communities Senior Systems, Inc Release 92_5

10 System Status Reports for My BackPack - The My BackPack error screen now offers users the ability to 'Send' an error report. This means that if a My BackPack user encounters a problem and sees the error screen, he or she can click a button to send an error report to a specified address or addresses. This screen may appear for a variety of reasons, and the error report contains debugging data and other indicators to help identify issue. There are three new My BackPack preferences in support of this tool: 'Send s when errors generated in MBP' Y N - This preference controls whether or not s should be sent if an error appears in My BackPack. 'Show send error report button on MBP error screen?' Y N - This preference controls whether or not the 'Send Error Report' button appears for My BackPack users. 'Enter up to 3 addresses that should receive error reports.' - Enter up to three valid addresses. These addresses will receive any error reports sent by My BackPack users Senior Systems, Inc Release 92_5

11 My BackPack Web ID Wizard Enhancements The 92_4 release earlier this year introduced significant changes to My BackPack password management. To summarize, new My BackPack users now receive a unique URL, which is used to set the user's password (either to set the user's initial password, or reset the users password in cases where users have forgotten their password, for example). These changes impacted the Web ID Wizard, and the bulk account creation/setup process. An option to send the New Account Notification to all new web users was added to the Wizard, as well as new areas on reports with any warnings or errors related to sending the notification. In release 92_5, there is a new report that appears in the Web ID Wizard, BEFORE new accounts are created and notifications are sent (previously, reports were available after completing the entire process). This report will list all web IDs that will be generated, and the address(es) that will receive new account notifications. A second report may also appear if there are any potential issues, such as existing web IDs or invalid addresses. This is the same report that appears in the 'Warnings' section of the final confirmation page in the Wizard Senior Systems, Inc Release 92_5
