1 OneCare s Application Tracking quick reference guide OneCare s Application Tracking system provides you with an efficient and convenient way to manage your retail life insurance applications. Should you require any further assistance, please contact Risk Adviser Services on Logging in To access Application Tracking, you will require your Adviser Advantage username and password. You can open Application Tracking either directly through Adviser Advantage or through the Application Tracking hyperlink in OnePath s Illustrator. To access Application Tracking via Adviser Advantage: Step 1: First, please login to Adviser Advantage (onepath.com.au): Enter your login details here. If you have forgotten your Adviser Advantage password, you can reset it by clicking on the Forgotten your password? link on the login page. Alternatively, you may call Step 2: Either: select the shortcut hyperlink to OneCare Application Tracking to be taken directly to Application Tracking or select Launch Account Access to access Application Tracking while you make use of Account Access Important note: Please ensure that your Internet settings allow pop-ups as this is how both Application Tracking and Account Access will be displayed.

2 Shortcut to Application Tracking Launch Account Access Step 3: If you have launched account access then you can access Application Tracking via the OneCare Application Tracking item on the In Progress menu Launch Application Tracking 2

3 To access Application Tracking via Illustrator: Step 1: First, please login to Adviser Advantage (onepath.com.au) as per step 1 above Step 2: Open Illustrator and select the Application Tracking hyperlink in the top right corner Launch Application Tracking Important note: If you click this link without logging into Adviser Advantage then you will be prompted to do so before being re-directed to Application Tracking. 3

4 In progress applications Summary screen This is the first screen you will see. It enables you to: view a summary of all of your applications in progress, including their status view important notifications relating to service standards and recent activity export your information in Excel or PDF format undertake simple and advanced searches using clients names or policy numbers Perform searches based on client names or policy numbers. Group your information by applications, policies or lives. Export your information in Excel or PDF format. View all your applications in progress. View important information relating to service standards and recent activity. 4

5 Adviser notices The adviser notices panel is visible on the right hand side of each summary screen. It contains important information and will alert you when: there has been no adviser activity in the last 14 days one of your policies has been updated by OnePath These notifications will remain in the adviser notices panel for 3 days. Adviser notices 5

6 Policy information On the main part of the summary screen, you will see key details relating to your applications in progress including: Policy number Date received Days in progress Outstanding requirements Life (or lives) insured Sales account number Product type (ordinary or super) Cover information (when grouping by policies or lives). As indicated at the top of the screen, the listings can also be marked as follows: Bold applications have requirements outstanding and they have been in progress for 90+ days Grey applications have no requirements outstanding and are awaiting assessment This flag indicates the life insured has requirements outstanding This icon indicates the application was submitted on paper (not electronically). indicates the application was submitted on paper (not electronically). Legend indicates the life insured has requirements outstanding. Bold text indicates the life insured has requirements outstanding and the application has been in progress for 90+ days. Grey text indicates there are no outstanding requirements and the application is awaiting assessment. 6

7 Grouping information Depending on your preference, you can group the information by: application policy life. The results can be sorted in ascending or descending order by clicking on any of the hyperlinked headings. Group your information by application, policy or life. Click on the hyperlinked headings to sort your results in ascending or descending order. 7

8 Policy details All policy numbers on the in progress screen are hyperlinked. To view one in more detail, simply click on it. Click on this link to return to the in progress screen, Click on a policy to view it in more detail. View the Case Manager and Underwriter details. 8

9 Life details As with the policy details, all lives insured on the in progress screen are hyperlinked. To view one in more detail, simply click on it. To return to the in progress screen, simply click on this link. To view a life insured in more detail, simply click on it. 9

10 Outstanding requirements You can view the status of outstanding requirement from the life details screen. Their status may be: Received (i.e. received by Case Manager) Outstanding (not yet received) Waived (no longer required) You can also attach outstanding documents via this screen. Each time a document is uploaded, the date will be noted. Click on Attach Doc to attach an outstanding requirement. You will be prompted to locate the file from your local drive. Click on Attach file. You may attach PDF, JPEG and TIFF files. Click on Close Attach doc to complete the upload. View medical, financial and administration requirements. 10

11 Notes to Case Managers and Underwriters The notes section resides at the bottom of the life details screen. You can create a new note or view previously submitted notes. Click on Add a note to send a note to the Case Manager or Underwriter. The freeform text field will appear. Type your note here. You can also select the recipient by checking the appropriate radio button. Click on Add to complete the note. Your note will be ed to the Case Manager or Underwriter and OnePath s state underwriting inbox will also be copied in. 11

12 Searching From the summary screen, you can perform a simple search based on: a policy number a life insured s name part of a life insured s name (e.g. entering Mar will search all first names and surnames beginning with Mar ). When you perform a simple search using a life or policy, your information will automatically be grouped according to those categories. Simple searches are undertaken on data contained within all three tabs in progress, in force and cancelled. For example, if you perform a simple search on the name Brown, matching results will provided in progress, in force and cancelled business. To perform an advanced search, click on the Advanced search hyperlink. You can perform an advanced search based on: a policy number a life insured s name requirement type sales account number days in progress. Use this field to perform a simple search. Click on Advanced search to perform an advanced search. Advanced searches can be undertaken using multiple details. 12

13 Exporting data You can export and save a copy of the data which appears on the summary screens. Data can be exported in Excel or PDF format. To do this, simply click on the relevant button from the summary screen. Exported documents may then be saved to your local drive. Click on these buttons to generate reports in Excel or PDF format. 14 In force policies By clicking the In force tab on the summary screen, you will see a list of policies that have been put into force in the last 60 days. As with the in progress summary screen, you may group the information by applications, policies or lives. You can also sort the information using the hyperlinked headings. Similarly, you may click on a hyperlinked life insured to view them in more detail. Click on the Inforce tab to view policies that have been put in force within the last 60 days. Group your information by applications, policies or lives. Click on the hyperlinked headings to sort your results. To view a life insured in more detail, simply click on it. 14

15 Cancelled policies By clicking the Cancelled tab on the summary screen, you will see a list of applications that have been cancelled or declined in the last 120 days. As with the in progress summary screen, you may group the information by applications, policies or lives. You can also sort the information using the hyperlinked headings. When you sort the information by policy or life, you will be able to view the cover type and reason for cancellation. Click on the Cancelled tab to view policies that have been cancelled within the last 60 days. Click on the hyperlinked headings to sort your results. Group the information by policy or life to view the cover type and reason for cancellation.
