2 Industry Step 1: Logging In Go to and click Company Log-In. If it s your first time, choose security questions and create a password. If you have trouble, contact Customer Support at or support@everifile.com. Step 2: Understanding Your Dashboard Required Tasks Complete tasks by clicking on them. Remove completed tasks from your list by clicking Complete. Approvals - Provides a list of applicants whose background check require initial review Appeals- Provides a list of applicants who have appealed and require another review How an Applicant Becomes erailsafe-certified The following is required for an applicant to become erailsafe certified: An approved background report (no more than 90 days old) An approved badge photo Completed online training and online testing Step 3: Viewing A Vendor's Account Enter the vendor's name in Account Search. Select View Account. The first tab Account Info provides information regarding the account's status, number, phone number, name and address. You also have the ability to Suspend and Reactivate accounts on this screen. Account Contacts provides contact information for each user on the account. page 2

3 Step 4: View Applicants This allows you to view the applicant dashboard for the account that was searched. Report status: In Progress if not yet finished, Completed in green if approved, or Completed in red if it needs to be reviewed. Background check (magnifying glass icon) Training (worker icon) Testing (screen icon) Photo (camera icon) Badge (badge icon) Step 5: Applicant Suspension The suspend functionality is available to disable an applicant. You are required to provide a reason for selecting this action. You will need to check the box next to the applicant's name to complete the task of suspending the applicant. Step 6: View Report Select the box next to the individual you wish to view. Click View Reports. Select Preview. The report details will appear in the report window in PDF format. Report status is available for each report. COMPLETED for a completed report IN PROGRESS for a report that is pending NEEDS REVIEW for a report with information that requires review Step 7: Applicant History To view the history of an applicant, click History. This will display every action that has been completed on the applicant. Step 9: Documents To. view an applicant's documents, select the check box next to an applicant then select Documents. Select the folder that holds the document you would like to view Step 8: Applicant Detail To view the details of an applicant, click Applicant Details. This will display the input data for the applicant. page 3

4 Reporting Summary Report Click the tab, then the tab. Enter the company's name or the check the box next to then Download The report displays a summary of applicant's training and testing program enrollment, appeal status etc. Click OK to begin the download. Open the file to view. Industry and Individual Statistics This report provides information for your specific railroad and for the entire erailsafe program. Enter a date range to search for a specified time frame. The graphical statistics and yearly statistics display data from the previous years and the current year. A data range is not needed to pull this general information. page 4

5 Industry Admin This report provides information on the management of the program. The data returns back information for the headers listed below. Industry Administrator Applicant First and Last Name Last 4 of SSN Applicant Job Title Company Name Initial Review Date Initial Review Completed Date Time in Queue Initial Review Decision Appeal Review Date Appeal Decision Date Appeal Decision Appeal Administrator Name Job Function Report The job function report provides information on the number of applicants with a specified job function. You can select all vendors or choose a specific account to search. page 5

6 Secure Links Web page displays the last quarter of system enhancements and requests. Web page displays the system notifications that are published for our clients for the current year. s Web page displays published court delays that may impact the completion of background checks. Web page displays user guides to provide instructions on how to use the platforms related to the erailsafe program. I Web page displays industry committee decisions regarding the erailsafe program. Web page displays frequently asked questions for the erailsafe program. page 6

7 My Account Step 1: Managing Users Select My Account and choose Manage Users. You can search for a user, enable or disable a user s access, and create users. The following are the user roles and their capabilities: Enterprise Administrator Ability to assign the roles as Enterprise view badger, Enterprise approver, Enterprise user. Can view applicant dashboard and applicant info/badge. (all access role) Enterprise Approver Able to approve/deny any applicant. Can view badge, PII and criminal reports. (access to Required Tasks ) Enterprise User Read permission only. Can only view the applicant with no access to PII. Cannot perform any actions. Read permission only. (access to applicant statuses only) Enterprise Badge Viewer Able to view the badges of the applicants who have been generated in 2.0. This persona can search the vendor from the vendor management tab and view badge. Cannot see applicant PII, criminal reports, nor approve or deny an applicant. Step 2: User Info and Role Assignment To delete a user, select Delete. To edit a user, click Edit. To add a user, select Add. Add the user s name, and phone number. Choose a role by selecting it and using the right arrow to add it to the right hand screen. You can restrict user access to certain report types by selecting them and moving them to the right hand screen, select save. A system generated will be sent to the new user with login information and instructions on how to create their own password. page 7

8 My Info The My Info tab includes contact information for you and your company, all of which can be edited. page 8
