4 1. INTRODUCTION The purpose of this document is to review how to use TAS for the UK Grads process steps supported by UK Associates, specifically Personal Interviews and Feedback sessions LOGGING INTO TAS Non-BP users can access the TAS Live site: Enter your username and password. You will need to change your password when you login for the first time. Once you have logged-in successfully, you will see the TAS Homepage PASSWORD RESET In the event that you forget your password, click on the Forgot Password link. You will be asked to input your user ID which will send you an to manually reset your password. If you attempt to login with the wrong credetnials three times in a row, the system will lock you out for 15 minutes, even if you manually reset your password within that timeframe TAS HOMEPAGE On the TAS Homepage, you will view a Welcome Panel where you will be able to access useful resources. To access your Events Calendar, click on Candidates --> Event Manager.
5 2. EVENT MANAGER 2.1. OVERVIEW Event Manager is a workflow application integrated with TAS that helps users create events and automate scheduling for event participants. Event Manager users can create events, assign activities to those events, automate communication to event participants and track participants progress throughout the event. UK Associates will use Event Manager to self-book into timeslots, access schedules, access candidate records, and complete forms on candidates LOGGING INTO EVENT MANAGER Associates will view a My Event Schedule upon logging into Event Manager ASSOCIATE INVITATIONS TO SELF-BOOK Once all events are set up and Associates have been granted access to Event Manager, an invitation will be sent for Associates to schedule into available timeslots. The invitation will specify the event type (e.g. Personal Interview, Feedback, STEM feedback, etc) and clear booking timelines. Any timeslots selected outside of the booking period will not be made available for candidate booking, unless otherwise arranged in advance between the Associates and the BP team UK ASSOCIATES BOOKING AND ASSESSING PROCESS Upon receipt of the invitation, Associates should login to TAS Event Manager to self-book into slots. If you receive this message while trying to book into a slot, another associate selected that slot after you started your session. Click on refresh and you will see the remaining slots available for your selection: Booking into Slots Associates will complete the following steps for booking into slots:
6 1. Select dates by clicking on the hyperlinks on the small calendar. Use the toggle button to advance or reverse months. 2. From the Available Slots either drag and drop or double click a timeslot to add it to your calendar 3. Click on the My Events tab to review the timeslots you have booked into. IMPORTANT!!: Review all your slots for each date to ensure you have not double booked for any timeslots. In the example below, the Associate has signed up for 3 unique timeslots on August If you need to cancel timeslots you have selected, from the My Events tab for the date, you can select the timeslot and click Cancel. Nb. Please ensure your timezone on the top right is set to UK GMT. IMPORTANT!!: You must not manually cancel slots after the booking deadline. If you need to cancel a timeslot after the deadline, you must contact the hotline on, , to be removed from the timeslot.
7 3. PREPARING FOR AND COMPLETING THE PERSONAL INTERVIEW 3.1. PREPARING FOR THE INTERVIEW / FEEDBACK SESSIONS Associates will access their schedules and candidates via Event Manager to prepare for the interview or feedback session and to complete the UKG Personal Interview Form. To determine if you have been matched to candidates, 1. Click on the event title of the event the big calendar to see if a person icon appears. If there is no person icon, no candidates booked into your slots. If there is a person icon, proceed to the following steps. 2. Click on the person icon a) Select Assigned Candidates Only 3. Click display 4. Click on Schedule tab to review and take note of the candidate s time slot 5. Click on Form data tab to access candidate s application and phone number (and assessment results for feedback) 6. Click on tabs across to the top to navigate between candidates Nb. If you do not have a scroll barr when you open up the candidates details, use the arrow keys or the touch pad on your computer as an alternative
8 3.2. COMPLETING THE PERSONAL INTERVIEW FORM At the conclusion of the interview, access the candidate record in Event Manager and Open the Event Form by clicking on the Open Event Form button under the Scoring Tab, and filling in the fields: 1. Enter Associate name 2. Scores and Comments for 3 dimensions 3. Any additional comments 4. Click Save NOTE: If you need to make any modifications to the scoring after the form was Saved, please contact a Resourcing Coordinator.
9 4. PREPARING FOR AND COMPLETING THE PERSONAL INTERVIEW The process steps for Associates to access their Feedback session schedules is the same as outlined above. Stem Scholar feedback slots will be clearly labelled separate from Feedback slots for Grads & Interns.
