1 My Clients Tutorial How do I manage my clients and prospects in Forefield? 1. Click on the My Clients tab. This screen will show you all the clients and prospects that you have uploaded into your account. By clicking on the contact account name, you will be able to edit the information for that specific contact. You have the ability to reorder your contacts by clicking on the different column headings (Account Name, First, Last, , Hard and Soft Bounces). You can filter your contacts by Status, Distribution Preference, and Group using the Filtering box above your list. To make quick updates to your contacts, you can check the checkbox next to the contact(s) you would like to modify, and then you can change their Status, Distribution Preference, and Group using the Quick Update box below your list. How do I add a client/prospect to my contact list in Forefield?
2 1. Click on the Add a Client link above the top left corner of your contact list. 2. Fill out the information for your client/prospect. Only Account Name, Last Name, or is required. If you provide the contact s address, you will be able to send him/her Forefield content through our internal ing system. If you provide the contact s postal mailing address, you will be able to order hard copies of our materials and have them delivered to your client/prospect (additional charges required). You can sort your contact by Status, Distribution Preference, or Group using the Client Management box to the right. You can provide the contact s anniversary or birthday for our automatic ing system under the Client Observance(s) box (you must be subscribed to our Composer product in order to use this feature). How do I add multiple clients/prospects to my contact list in Forefield? 1. Click on the Import Contacts link above your full contact list in Forefield or click on the Import/Export sub tab. 2. On this screen there are several different tabs that contain your Import options. a. Quick Upload This section will allow you to upload a list of s into your Forefield account. To upload, type/paste a list of s into the field provided. As long as the addresses are separated by a comma, semicolon, space, or line break, they will upload correctly. You can also assign the list of contacts to a particular status or a group using the options to the right. Once your list is ready to upload, click the Upload Contact(s) button below the field. b. Upload CSV This section will allow you to upload an Excel spreadsheet containing your contacts into Forefield.
3 To upload, click the Choose File button to select the Excel file you wish to upload. The Excel file you choose must be a.csv file in order to upload properly. The information within the Excel file must also be formatted in a certain way in order to upload properly. Click on the View Import Instructions link to see the formatting that is required for your spreadsheet. Once your file is selected, you have the option to assign the list to a group you have created within Forefield. Not using this option will upload the list into your general list. c. Export This section will allow you to export your contacts from Forefield. To obtain a copy of your contact list in Forefield, select one of the options listed and click Export. The options provided will allow you to export your entire contact list, contacts not associated with a group, or contacts in a particular group. d. RedTail This section will allow you to export your contacts from your RedTail account Enter your RedTail username and password in the fields provided. To the right of the page you have the option to assign your RedTail contacts a status as well as add them to a group that you have already created within Forefield. Not using this option will upload the list into your general list. Click the Import button. e. Results When you do an import, your results will show in this section. How do I add/manage groups for my contacts in Forefield? 1. Click on the Groups sub tab. a. Adding a Group To add a group, type the name of the group you wish to add in the field to the right. Once you click Add Group, your group will be shown in a box to the left. b. Managing your Groups The checkbox listed next to each group will allow you to delete the group. To do this, check the checkbox next to the group you wish to delete, and click the Delete button at the bottom of the column. You can rename your group by clicking Rename next to the group you wish to edit. Once clicked, it will open a field that you can use to rename the group. When you have made your changes, you can either click Update, or Cancel to remove the changes. The amount of contacts in each group will be listed in the next column. To manage the contacts in a group, click on the Manage Contacts link. This section will allow you to edit and remove the contacts in the group. To add contacts to a group, click the Add Contacts link. You will be able to add contacts to the group by either selecting existing contacts from the list to the left, or adding new
4 contacts with the field provided to the right. The new contacts you add can only be e- mail address, and must be separated by a comma if more than one. How do I set up automatic ing for my contacts in Forefield? 1. Click on the Set & Forget sub tab. This section allows you to set up automatic ing to your clients and prospects for our regularly released content. a. Setting up Set & Forget Use the dropdown on the left to select the type of content you would like to go out automatically. Once selected, click the Add button to the right of your selection. b. Managing your Set & Forget To manage your Set & Forget entries, click on the content title under the Content Type column to the left. Your settings for that content will appear on the right-hand side. There are several settings you can alter for your automatic s. 1. Subject: This will allow you to choose an subject for these s, or you can choose it to be the default subject for that piece. 2. Status: You can choose to send this out to any status, clients only, or prospects. Unless you have specifically categorized your contacts as such, we recommend choosing the Any Status option. 3. Include by Contact s Delivery Preference: You can choose to send to contacts you have marked for s only and/or those you have marked as both and print order recipients (choosing the second option will not send them a hard copy). Unless you have specifically categorized your contacts as such, we recommend selecting both options. 4. Group(s): This will allow you to send your s to a group or multiple groups. If you intend to send these s to everyone in your contact list, we recommend not selecting any of the groups listed. 5. Depending on the content type selected, there may be additional settings available to you. How can I view my activity in a Calendar in Forefield? 1. Click on the Calendar sub tab. This section will show you a Calendar of your ing activity through Forefield. Use the buttons on the top left of this section to cycle through the different months. You can also click on the Today button to go to today s date on the Calendar.
5 Your campaigns will be listed within the calendar dates that they were sent. You can hover over the link showing to view the time that it was sent and how many recipients you sent to. You can also click on the link to obtain more information on that particular (see the Campaigns section of this tutorial for more details). How can I monitor my activity in Forefield? 1. Click on the Campaigns sub tab. This section will allow you to monitor the effectiveness of your s sent through Forefield. a. Understanding the Layout The box at the top of this section will allow you to filter your Campaigns so you can focus on the results you want to obtain. You can choose to filter the results to the last 30 days, last 90 days, all dates, or a custom date range. The dropdown boxes to the right will also let you filter your results to the type of content sent, the specific campaign sent, a specific article sent, or by a group that you have sent to. You also have the ability to export your results to an Excel file using the link to the right of the box. The next box will show you details of the campaigns specified in the range above. 1. Campaign Name: This will list the name of the campaign sent. You can click on the title of the campaign to view its activity. 2. Date: This will show you the date that the campaign was sent. 3. s Sent: This will tell you how many s were sent in that campaign. 4. Campaign Tracked: This will tell you whether or not you chose to track the activity of the campaign.
6 5. s Opened: This shows you how many of the s that you sent were opened. 6. s Clicked: This shows you how many of the s sent had recipients that clicked one or more times within the Clickthroughs: This shows you how many clicks the recipients made in the e- mail you sent. 8. Hard Bounces: This shows how many s that you sent hard bounced. Typical reasons for Hard Bounces: was misspelled/does not exist. There was an issue delivering to that server (aol.com, gmail.com, hotmail.com, etc.). 9. Soft Bounces: This shows how many s you sent soft bounced. Typical reasons for Soft Bounces: Your came up as spam/was block on the recipient s end. The recipient s inbox was full at the time of delivery. As you go down the page, you will see additional information on the s you ve sent, including graphs, listings of those who have hard or soft bounced, and those who have opened or clicked an . You can also obtain additional information similar to this by clicking on the Activity and/or the Anonymous Usage sub tab(s). How can I view who has opted out of my Forefield s? 1. Click on the Opt-In/Outs sub tab. In this section, you can enable our Confirmed Opt-In feature using the checkbox provided. This feature sends an to your contacts asking them to opt in through the in order to receive your blasts. Please Note: Once this option has been chosen, it cannot be reversed within your profile. The change will only apply to new contacts you add in. You will have to contact our support team to undo this change. This feature is only recommended for nonqualified lists. We also list if you have received any complaints for your blasts. Complaints are reported when a recipient of your Forefield places the in their spam folder. At the bottom of the page, we will list the individuals who have opted out of your s and the date in which they opted out. What feature can I take advantage of that will allow people to sign up for my Forefield communications?
7 1. Click on the Prospect Form sub tab. This feature will allow you to post either a link or a widget on your website that will allow visitors to sign up for your Forefield s. a. General Link Page Customization This will allow you to customize the title and instructions that show on your sign up link below. Once you have updated both fields, click the Save button to apply it to the link. b. General Link You can use the link provided to post on your website in order to have visitors sign up for your s. You can also click on the link to view how it looks. c. Link for Specific Group If you would like the link to sign up visitors under a specific group, you can choose the group in the drop down menu provided. Once selected, a link will appear that will sign up people for that group. d. General Widget Customization This will allow you to customize the title and instructions that show on your sign up widget below. Once you have updated both fields, click the Save button to apply it to the widget. e. General Widget You can use the widget code provided to post on your website in order to have visitors sign up for your s. A preview of the widget will be shown to the right of the code. f. Widget for Specific Group If you would like the widget to sign up visitors under a specific group, you can choose the group in the dropdown menu provided. Once selected, a widget code will appear that will sign up people for that group.
