3 I. Internet Connection Your Internet Connection Speed for playing and streaming videos should be at least 512kbps. To test your Internet speed visit SpeedTest.net. The PoliceOne Academy video player also includes a button that viewers can click to switch to a full-screen view of the video. Selecting the full-screen mode requires a higher viewing rendition, typically at least 2Mbps. 4 II. Getting Started To start using the PoliceOne Academy, go to The login area is located in the upper-right-hand corner of the screen. Your login is provided to you via during your initial set-up. If you have lost your username and/or password or would like to update them, please contact us at or call. III. Adding Your Department s Logo Once you are logged in, you can add your department s logo which will appear in the upper-right-hand corner of the screen. To add your department s logo, click on the Admin button located on the left-hand-side of the navigation bar. Next, click Browse to choose an image file from your computer. Once you have selected the file you would like to upload, click Submit. You can upload a.jpeg,.jpg or.gif image. 4

5 Your logo will now appear in the upper-right-hand corner of the page. You can remove your logo at any time by clicking on Remove Logo on your Admin portal homepage. You can also update and change your logo as many times as you would like by following the same steps from page 4. Homepage Bulletin Located below the logo upload section is the Homepage Bulletin editor. This is where you change the message that your personnel see on their homepage when they login. How you use this Bulletin is up to you, though many departments use it to provide a direct link to the training they would like completed, or to provide a message to their users. IV. Getting to Know the PoliceOne Academy Homepage There are several features on the homepage to help you navigate the site. Topic Categories PoliceOne Academy courses are divided into Topic Categories to help you search for videos related to a particular topic. From the homepage, you can access these Topic Categories in two ways. 1. Topic Categories are listed in the column on the left-hand-side of the screen. Click on a topic category to view a full list of videos in that category. 5

6 2. You can access a drop-down list of all Topic Categories in the navigation bar at the top of the page. Click on a topic category to view a full list of videos in that category. 3. Our Featured Training Topic Categories are listed below the homepage video player. Featured, Most Popular and Latest Videos A featured video appears in the center of the homepage. This video rotates weekly. 6

7 On the left-hand-side of the screen you will find three tabs Featured, Most Popular, Latest. Click on a tab to see the video selections for that section. To view a video, click on the video title. Searching for Videos The Search box is located on the far-right of the navigation bar. Type search terms into the box and then click the magnifying glass to run a search. 7

8 V. Getting to Know the Topic Category Pages When you click a topic category, you will open up that topic s main page. A Description of the topic category is located at the top of the page. To return to the homepage, click on the Back to All Topics link located below the topic category description. The next section to appear on the Topic page is a list of the 1 hour courses that are related to that topic. Not every topic will have this section. The following section is a list of all videos that fall within that Topic, followed by a short video description. Most videos include a quiz, which is illustrated by the red Quiz bubble next to the video title. 8

9 VI. Watching Videos The video player will automatically load the video when the page loads but will not start playing the video until you press play. Helpful Hints: If the video appears choppy starts and stops try pausing the video until it finishes buffering. To view the video as full screen, click the icon in the lower-right-hand corner of the player. You can control the volume of the video directly from the player by clicking on the icon. VII. Objectives and Teaching Points Each video will have a video description, an Objective, and Learning Points. The objective and learning points can assist you in leading a discussion following the video or serve as a study guide for your officers. 9

10 VIII. Downloading Videos Administrator accounts have the ability to download videos. This feature is useful if you need to play these videos in a location where you will not have access to the internet or if you want to place videos within another presentation format, such as a PowerPoint presentation. To download a video, use the download options listed in the Administrator Options box on the right side of the video player. We recommend choosing High Res if you plan on using the video in a PowerPoint presentation or are viewing the video on a large screen and Low Res if you plan on viewing the video from your computer or have a slow internet connection. *Note: Access to video downloads is an optional subscription feature available at an additional charge. For those with the video download option, you are granted a license to download, store and view any videos in the PoliceOne Academy for the duration of your contract. You must delete all video content from your system once your contract has been terminated. 11 IX. Courses In addition to short format videos and quizzes, we also have Courses which are worth 1 hour of training credit. If your Department is in a state that is receiving mandated training credit for your training with the PoliceOne Academy, then this is the training you will want to complete to earn credit. The Courses, located on the yellow header bar, include both our Full Length courses, which have 1 continuous learning objective, and our Training Block courses, which consist of multiple short format videos + quizzes. The videos + quizzes used in the Training Block courses are the same as the individual videos listed in the Topic section. The training block provides a simple way for users to achieve 1 hour worth of training credit in a single topic and earn a Certificate of Completion upon scoring 100% on all quizzes in the block. You can sort through the Courses by using the Filter By buttons, or by selecting a topic from the Choose Topic drop down menu. 11

12 X. User Management When you first subscribe to the Academy you will be provided a spreadsheet to complete and return to us for upload. Upon upload, all users will receive an automatic with their username and password. To upload your users, we must have the following information: Rank First Name Last Name Badge Number Address *For specified states you may also be required to provide date of birth and POST ID number. 12

13 You can manage users, create reports, and assign training by clicking Admin, located in the yellow header navigation bar. User Management There are two ways to add users to your account. 1. You can upload users yourself by accessing the User Management Tool located in Admin. To get started, click on the Users button. 13

14 To add a user, click on the Add User button. Next, fill out the officer s information and click Submit. 14

15 This user is now added to the User Management List. To Edit of Remove a user, click on the Edit or Remove button in the far-right column. 2. We can upload your officers for you. If you would like us to upload your department personnel, please contact customer support at or call. We will provide you with an Excel file that you can fill out and return to us for upload. 15

16 XI. Reporting On the Admin page, click on Reports to access quiz and test scores for your officers. The Reports function allows you to select a user (including All Users) and choose a date range for creating a report. *Note: The report date range defaults to the previous full month. 16

17 Once you have chosen the User and Date Range you would like to view, click on Create Report. You can also create an Excel report by clicking on Export to Excel. To view an officer s records, click on the arrow to the left of their name. 17

18 Once you have clicked into an individual s training records, there are three types of training that will display (if they have completed that type of training), the Video Training, the Full-Length Courses, and the Training Block Courses. Video Training lists the individual videos completed that are not in a 1 hour course. Full-Length Courses includes the 1 hour courses completed. Training Block Courses lists the training block name. Once you click the arrow next to the block name, it will list all individual videos watched within that block. If the block is complete, the date of completion will appear next to the block name. If no date of completion exists, the block is still in progress. * When viewing Training Block course records only videos completed in the searched date range will appear. If videos were completed outside of selected date range they will not display, but if block has been completed it will be denoted regardless of the completion date. 18

19 XII. Groups Groups is a feature that is used to create multiple sets of users that can the be used to filter your users when creating assignments, performing roll-call training, or pulling reports. Creating Groups First click the Admin link in the main yellow header and then select Groups from the left side bar menu. From here, click the Add Group button. The next step is to name your group. You will want to name the group based on the criteria you are using to select the users, for example: shift schedule, their rank, their division, who handles their training, etc. From there, type in a longer description of the group. 19

20 XII. Assignments You can create training assignments for your personnel by accessing the Assignments section in your Admin portal. Next, click New Assignment to start creating the training assignment. Step 1: Create Training Assignment. In this step you will name the assignment and select which training videos and/or courses you want your personnel to complete. You can select as many or few as you would like. You can search for material by using the search tool or by using the drop down Choose Topic menu. Check the box next to the material you wish to assign. Click Create Assignment to continue to the next step. 20

21 Step 2: Choose Personnel In this step you will choose which of your users you would like to assign the training to. You can filter and sort users by using the funnel symbol next to Name, Rank, Division/Unit, and Badge #/Dept ID. Simply check the box next to the name/s of those you wish to assign the training to and click Assign to proceed. Step 3: Select Deadline *optional In this step you will select the date you wish to have the assignment start and when you would like it to be completed by. If you select a start date in the future, the assignment will not appear on the user s Assignments page until the start date selected. After you select the dates, click Assign Dates to continue to next step. You can also bypass this section by clicking Skip this step. 21

22 Step 4: Notification *optional The last step in Assignments is to send out an notification to your selected users. You will need to fill out your Name and , followed by the option to edit the default Subject line and the Message. Once you have completed these steps, hit Send to release the message out to your users. You can also bypass this section by clicking Skip this step. An Assignment can be edited or canceled at any time by going back to your main Assignments page in your Admin portal. From there you can also view the status of each assignment, as well as send out another reminder to users. Users will also receive an automatic reminder if a due date passes and they have not completed the assignment. 22

23 Courses and Videos can also be added to an assignment by using the Administrator Options section on the viewing page of a video, or by using the Assign Course & Add to Assignment buttons located on a Course or Training Block homepage. This allows you the ability to browse through videos and courses and easily select the training you wish to assign without having to visit your Admin portal each time. 23

24 XIII. Customizing Your Account There are several ways you can customize your account. To configure these options, please contact Customer Support at or call. Options for Customizing your Account 1. No-Scroll Player You can choose to disable the fast-forward feature to ensure that officers watch the entire video. 2. Quizzes You can choose whether or not you would like to have your officers take a quiz at the end of the video. For videos without quizzes, officers will be asked to confirm that they watched the video and it will be applied to their record as complete. 3. Grades - You can choose whether or not you would like a percentage grade to appear on your reports. XII. Customer Support The links for several support options are located at the bottom of the page. Our FAQ (Frequently Asked Questions) page has answers to many common questions; however, if you do not find help on there, you can contact customer support directly.
