4 Introduction This document represent the User s Guide of the inode Fax Relay Agent (FRA) for Windows. It should be read carefully before installing inode FRA for Windows. inode FRA is designed to fit on Windows Fax Services as an alternative Fax Service Provider, according to the Microsoft Windows SDK recommendations. As a component of Windows Fax Services it depends on it and it requires you to have them installed on the Client Machine. Both Windows XP and Windows Vista have built-in support for fax services. They both contain fax management console as well as Cover page editors. Please also consult the respective documentation of Microsoft Windows. Note: Windows Vista Business, Ultimate and Enterprise has build in Fax Services*. For more details please read the documentation below. Overview inode FRA has several components. These are: inode-fsp It is a Fax Service Provider which is used as a virtual faxmodem of Windows Fax Service. It is a DLL located in system directory of windows. Its basic function is to catch windows fax documents and pass them to the local Fax Relay Service for final submission to inode Fax Server. Currently it provides submission facilities only and cannot be used for fax reception. Fax Relay Service It is a system service running silently on the system and listening for local connections from inode-fsp. On every connection which is a new fax send request the service will accept fax document with its reception number and sender details and will send it over the IP network, to a previously configured inode Fax Server. Fax Server parameters can be changed via inode Fax Relay Service (FRS) Control Panel Applet. * inode Connectware 4 October 2008

5 inode FRS Control Panel Applet (XP) or Application (Vista) It s an Application which allows the Windows System Admin to change inode Fax Relay Service (FRS) operation parameters. Due to security changes on Vista this Applet is a separate application accessible via Start Programs Folder. Due to changes on the security design and operation of Fax Services on Windows Vista there are separated versions of FRA for XP and Vista. Please note that the User interface is only in English language. By using it you can send fax over IP from anywhere on the Internet. System Requirements In order to install inode FRA on Windows you should first check if the system requirements referred below are meet: 256MB RAM 65MB free system hard disk space on XP, 4MB on Vista Windows XP Professional SP3 and later or Windows Vista SP1 Fax Services installed There are separate Installers for Windows Vista and Windows XP/2000. Please use the correct version for your operating system. Fax Services in Windows Vista Fax Services is preinstalled in Windows Vista Business, Ultimate and Enterprise but is not installed and supported on Home and Home Premium versions. If you have a Windows Vista with build-in Fax Services you are ready to proceed with inode FRA installation. Make sure that you have SP1 installed and also that you have at least 4MB available disk space for inode FRA. Fax Services in Windows XP If you have Windows XP and you need to install Fax Services Component, follow the instructions below. Please note that before installing FRA you should check if you have installed Fax Services. In other case do not proceed with the installation. Windows Fax Services requires about 58MB of disk space on your system disk. To check if they are installed Go to Add/Remove Programs Applet on Control Panel and select Add/Remove Windows components (An icon on the left vertical menu). If you have Fax Services Component unchecked then you should install Fax Services by checking it. You should have the Windows Installation Disk handy.

It will be requested by the Windows Components Wizard. After that you need to download inode Fax Relay Agent for Windows from It is about 1MB on size. There are separate versions either for Windows XP or Windows Vista. Before proceeding with the installation keep handy the following info: inode Fax Server IP or hostname, Fax Server user credentials (username and password), address of the fax user for each fax client. Installing inode Fax Relay Agent for Windows In order to install inode FRA you should read the previous section System Requirements. After Download the proper client install application either Windows XP or Windows Vista you should see an application icon like that below. Double click on it and the Installer should begin. Click next and then accept the license agreement to proceed. inode Connectware 6 October 2008

7 After that you should see the components window. The space required on your system disk is about 4MB for inode FRA. Click Next. Select a destination Folder where FRA should be installed or accept the default installation directory. inode Connectware 7 October 2008

8 Click Next to proceed with installation. You should see a screen like the following: Fax Relay Service should be installed and a message Service successfully installed should appear. Press OK to continue. After a while you should see a popup window and a message like the following: This is to inform you that it is required to define initial operation parameters of inode FRA. Press OK and a form like the following should be in focus: inode Connectware 8 October 2008

9 Enter The IP address or hostname of inode Fax Server, and Fax user credentials. You should leave the Fax Server port with default value (4559). Both password fields should be entered identical and or previous password value will be retained. If Fax Administrator allows you to send faxes by using a specific modem/line pool uncheck Use default checkbox and enter the exact name of this modem. Else the default Fax Server modem pool will be used. Select the desired job priority of the fax jobs sent by you on the next field or leave the default priority value (Normal). Change the number of consecutive trials to send each fax after error and the maximum total calls to place until successful transmission, or leave the default values (3 for both). It is recommended to enter your address in order to receive notification receipt about successful transmission or transmission failures. You can also select to disable notifications. If you complete the form you can Close the popup by pressing the Close button. If you are not sure about the validity of the details you entered you can test the connection to Fax Server by clicking on Test button to see a trace of a connection to inode Fax Server like the following screenshot. inode Connectware 9 October 2008

If you have entered valid details this screen should be shown. Otherwise you should see the details for the description of the error. Read the section FAQ on this document for troubleshooting.

If you entered them correctly then click on Close and you should return to Settings and then click Close again. inode Fax Relay Agent is installed successfully. You are now ready to start sending faxes directly to inode Fax Server. Please consult the following section for details about the procedure for fax sending by any windows Application. Note: You can change the previous details any time later by using: On Windows XP a control panel applet installed on Control Panel. 11 Sending Fax by any Application using inode FRA Note: The following description is based on Windows XP procedure. Similar procedure exists on Windows Vista. Please consult the Windows Fax and Scan Documentation for Windows Vista. You can send fax by any windows application with print facility like you are printing to a printer. For this purpose a special printer is provided by windows fax services which is named fax. By printing to the fax printer your print job will be converted to a fax document automatically by windows and a pop up Send fax Wizard will be displayed immediately after. Note: Please note that in the first time only and before the Send fax wizard a Fax Configuration Wizard will be displayed on your screen. Fax Configuration Wizard will help you to Configure Windows Fax Printer Settings like your name as a fax sender, Fax machine Identifier, TSID, etc. Please read a specific section about that below. The Send Fax wizard will look like the following screenshot. Click Next. The Recipient information is now required to be entered on the form. inode Connectware 11 October 2008

The selected recipient should be listed on the table. If you are ready with recipients click on Next button.

12 On this form either select several recipients from your windows default address book or enter recipients manually on To and Fax number fields (You should enter values on both fields for a recipient). 13 checkbox) from a predefined cover page templates. You can also set a subject line and a message that a cover page should contain. Note: You can define your custom cover page template by using a Windows Fax Console. Launch Windows Fax Console via inode FRA control panel applet. If you are ready with cover page you can click Next. On this form you can select the windows fax job priority amongst others and the desired scheduling details for the job. Click Next. Click Preview Fax to View the Fax Document before sending, or Finish, to send the job according to the selected time. The Wizard now is complete. inode Connectware 13 October 2008

14 When the time that you ve defined to send the fax job arrived, a popup window like the following appears (it depends from your settings on the Fax printer). On a successful delivery to the Fax Server a message may be appear on the Fax Monitor and the task bar. Now the fax document is in Fax Server s Queue and a transmission receipt will be sent on any case on the address you ve defined on inode FRA Installation. inode Connectware 14 October 2008

15 Sending Fax from MS Outlook 2003 using inode FRA There is a Microsoft document explaining the procedure to setup MS Outlook 2000, 2002 and 2003 to send faxes as and also to historically retain them on your mailbox. Note: It seems that Faxing from Outlook 2007 using Vista Windows Fax and Scan (WFS) is depreciated as Microsoft decided to support only Faxing via Exchange Server. inode Connectware 15 October 2008

So if you have Windows XP you should see the following icon in your Control Panel after installation. If you have Windows Vista you should start the same control applet by opening the link on the Start Programs Folder named Dataways. 1. Status-Control tab By opening this applet you should see the following popup. In this popup you can view current status of inode FRA and Windows Fax Service. Also you can check the connectivity to inode Fax Server by clicking to the Check button. inode Connectware 16 October 2008

By clicking on the Launch icon you can launch the windows fax console which is looks like the following.

17 Note: Windows Fax Service Status could be stopped. This is not a problem because it is automatically started if you send a new fax or you decided to launch windows fax console. By clicking on the Launch icon you can launch the windows fax console which is looks like the following. Similar Interface exists on Windows Vista where it is named Windows Fax and Scan (WFS). From Fax Console you can change any characteristics of windows fax. Note: You can define your personal cover page templates by selecting Tools->Personal Cover Pages. 2. Logging tab By clicking on the tab Logging you should see the following form. inode FRA logging is separated to its components as explained in overview. By default Logging is disabled. 19 Fax Configuration Wizard Note: The following description applies on Windows XP only. Similar procedure exists on Windows Vista. After inode FRA installation and on the first use of the Fax Printer by printing to it from an application you should see the Fax Configuration Wizard. It is brought up automatically because windows fax sender information is empty. You can change them at any time later via windows fax Console. So the first step of the wizard will show as below. Click Next. Enter your details here and click Next. Nothing is mandatory. inode Connectware 19 October 2008

Click Next. Enter here a fax tagline identifier.

20 Always leave the form as it is. Do not check Enable Receive because inode FRA is used only for sending faxes. Click Next. Enter here a fax tagline identifier. This string will be shown in the fax document tagline to the recipient as a hint of the actual sender. Enter your name or a nickname/alias here. Click Next. inode Connectware 20 October 2008

22 Known Problems Known bugs of the current version are: unable to print to fax from Mozilla Firefox v3.0 It is not possible to print to fax printer via Mozilla Firefox. It is a known problem since v3.0. Older versions don t have the problem. Windows defender has detected Fax Relay Service as unclassified Windows Defender may expose messages like the following to the System Event log. Windows Defender Real-Time Protection agent has detected changes. Microsoft recommends you analyze the software that made these changes for potential risks. You can use information about how these programs operate to choose whether to allow them to run or remove them from your computer. Allow changes only if you trust the program or the software publisher. Windows Defender can't undo changes that you allow. 23 FAQ Q: What is the minimum hardware requirements in order to install inode FRA? A: Please see on System Requirements section above. Q: I tried to install inode FRA to Vista and it says that it only runs on Windows XP. Is there any version for Windows Vista? A: Will come soon. Because of huge changes by Microsoft on Windows Fax Services on Vista we will build a special inode FRA edition which soon will be available. Q: I have an inode Fax Server. Am I able to use inode Fax Relay Agent for Windows? A: Yes. inode Fax Relay Agent for Windows is Licensed for the owner of inode Fax Server for the numbers of users it is licensed. Q: inode Fax Server using Hylafax as a primary fax engine. Can I use inode Fax Relay Agent as a Fax client for my own Hylafax installation on a linux distribution? A: No. inode Fax Relay Agent is only licensed for inode Fax Server users only. Q: I have problem with inode Fax Relay Agent. Can I ask for support by Dataways inode Support? A: Yes. inode Fax Relay Agent for Windows is supported together with inode Fax Server and while your Fax Server license is active (not expired). Q: I have installed FreeImage.dll on my system because it is used by other application. Should I have any problem? A: Yes and No. It depends of the FreeImage.dll version and its support for libtiff which is used by inode FRA. Q: Am I able to enable Receipts on Vista Windows Fax and Scan so that I can have the fax documents delivered to my mailbox? A: No. Receipts are only supported on using MS Exchange as a Fax Server. Q: Do I need to uninstall inode FRA for Windows XPv1.21 before installing v1.22? inode Connectware 23 October 2008

24 A: No. The new Installer v.1.22 overwrites older version Troubleshooting Q: I have configured FRA on the Settings tab but on the connection check report I receive Socket Error # Error. Should I have any problem? A: Yes. There are two possible reasons. Either you have wrongly defined the fax server ip or port, or you have a firewall which doesn t allow your host to communicate with the defined Fax Sever. This error means that the tcp socket cannot be established. Please also make sure that you have used the right port number which is 4559 (default). Q: I have configured FRA on the Settings tab but on the connection check report I receive AUTHENTICATION ERROR Error. Should I have any problem? A: Yes. There are two possible reasons. Either you have wrongly defined the fax server user credentials (username or password or both), or you have no rights to sent jobs to the fax server. To check for Fax Server rights please go to inode User Management and check if the Fax Service user right is checked on the specified user. inode Connectware 24 October 2008
