1 Objective: To provide guidance to the PPM End User Community in the continued enhancement and engagement of new stakeholders to improve the End User Experience and the gathering and reporting of Actionable Information related to the Management of Projects, Programs and Portfolios across the Enterprise. The Dashboard and associated Portlets enable all PPM Stakeholders to easily and quickly find, access and maintenance their associated informational artifacts within the system. The Request, Organizational, Time Sheet and other information that they need to access and update is always available, with the current information, at the click of the mouse. This guideline will enable the user to create their own custom Dashboards and Portlets to easily access, export through excel, and report through PDF formats all of the data elements included in all of the various Request Types within PPM. Summary: The Dashboard and Portlet creation and editing functions consist of three easy steps: 1. Create your custom Dashboard 2. Add Portlets to your Dashboard based on your informational needs, system security constraints, and your PPM User Profile Licenses and Security Group Membership 3. Edit your Portlets as your needs for information change Detail Procedure: Create a New Dashboard 1. From your Dashboard select the Personalize Dashboard element from the Dashboard Menu or 2. Select the Personalize Icon (far right) in the upper right corner of the dashboard. Please review the Dashboards and Portlets Training Deck for an explanation of Portlet Navigation, functions and utilization. This guide will only cover the creation of the Dashboard and the addition of portlets based on need and security access. Page 1 Last Update D. Gallagher 1/28/15

2 This will open your personal Dashboard Workspace. In the bottom left frame is a hierarchical list of Predefined Dashboards which you can open. Predefined Dashboard Portlets are not editable, so are reasonably specific in purpose, and often for unique user groups. They, and you, may be configured so that you can add them to your custom Dashboard, at which point their Edit functions would become available. (See the Add preconfigured pages selection in drop down) The top frame (which would be empty at this point) is where your personal Dashboards will reside. 3. Select the Private Pages Category. This will enable the Add Icon directly above the selected line. 4. Select the Add Pages DropDown Icon to open the window 5. Select New Page Note: The Portlets you see when you enter the Dashboard Workspace are included in the Default Page listed in the bottom frame, and represent what you see when you log into PPM. Time Tracking PMO Status You will now have an empty Dashboard to which you can add Portlets. There are 60+ Standard Portlets, and many more Custom Portlets developed which are available. Each covers a specific type of information (i.e. Projects, Time Sheets, etc.) and the fields available. The editing for each will be unique, depending on the data and purpose of the Portlet. 6. Change the Page Name to Identify the Portlet Contents 7. Select the Add Portlets button 8. You can View all the Portlets by Category Note: Although you can view and add any portlet to your Dashboard, your access to specific Data and Information is based on your Profile, and the configuration of the data sets Requested. If you get no records retrieved after you add and edit your portlet, there is a good chance that you do not currently have the needed access to the Requested information. Contact your Business Unit PMO for Assistance, as they will need to Approve any changes to additional data sources. Page 2 Last Update D. Gallagher 1/28/15

3 9. Select the Requests Category and scroll down to the Request List You will notice that there are several types of Portlets. Bar Chart and Pie Chart graphical views of data summations, most of which include drill downs to the support data details. If the Description of the Portlet is not clear to you, then you probably don t have access to the data anyway. HINT: Portlets beginning with My will only retrieve those elements to which you are associated. Portlets ending in List are reasonably generic and will retrieve all the records to which your security gives you access. You could also have entered Request List into the Portlet Name box, or entered My and selected the Find Portlets button. 10. Select the Request List and Add Page 3 Last Update D. Gallagher 1/28/15

4 This is the most flexible and powerful portlet in the system. It can provide access to all of the fields in all of the Request Types. The initial portlet includes all of the generic fields that are included in the Standard Request Header. If you want to include Proposals, Projects and Risks in one portlet, to have easy access to the Link to all of the Requests you are working on, this one would do the job. However, it s power is derived after identifying a specific Request Type for access. Proposal 11. Use the Search menu or Enter Proposal in the Request Type field This is the same view that you will have when you select the Edit Icon from your Dashboard Portlet. The Preferences section (above) is the record filter function. The first field populated filters all the records that meet that value. Subsequent field values are added to the filter in an AND condition. You are setting the filter defaults for your portlet at this point. You can always simply Edit the Portlet later, change the filter parameters, and when closed they will be applied. 12. Select the now enabled Advanced Filter button Proposal Page 4 Last Update D. 5 You will now notice that all of the fields included in the Proposal are now available for filtering the records. In addition, they are also available for display, which means available for export to excel as well. Many portlets require setting filters prior to execution to manage performance. Scrolling down in the Portlet Edit form, a field to select specific Request(s) (by number), as well as a default Sort By are presented. You can also simple select the column header of a Portlet when displayed, and it will sort the selected records by that field value. Click again, and it will sort in the opposite direction. Here is also where you set the number of rows in the standard Portlet and the Maximized View. Any changes made from the Portlet will be saved as the new filters. Page 5 Last Update D. 6 Scrolling down in the Portlet Edit form a little further, we uncover the value of this Portlet. All of the fields are presented for display, including custom fields. 13. Select a field in the Available Columns box to move to the Displayed Columns box, and then select the Arrow button. This moves the field value to the Portlet Display in the right most column position. 14. Select the field in the Displayed Columns box and move it up or down in the order of fields. This is ordering the field columns for selected columns from left (top) to right (Bottom) 15. Select a field in the Available Columns box to move to the Additional Columns box. These fields are added to the Displayed Columns fields upon selection of the Maximized View from the Portlet. Select the Save button in the lower right corner to Save your Portlet configuration. You can move fields between any of three boxes. Those left in the Available Columns box will not be displayed. Keep in mind that when you export the portlet contents to Excel, you will get all the records selected (not just displayed), but you will only get the fields that are displayed in the current Portlet view (Dashboard Default or Maximized). 7 Time Entry Request List Workflow Approver Returning to the Dashboard Workspace after you have added your portlet (s), there are some minor adjustments you can make to clean-up your dashboard and optimize your space and data availability. Selecting the Dashboard in the Private Pages box, it lists all of the portlets that are included. If you have multiple Dashboards, the one at the top will be the default displayed Dashboard. 16. Use the Up and Down Arrows to move the Dashboards into the Default Position as desired. 17. The double arrow box in the Portlet will set the Portlet for ½ page width or full page width. Set this based on the number and type of fields displayed, and purpose and use of the Portlet. Keep in mind all of these setting can be changed as you use your Portlet. 18. The Edit Icon will take you back into the Portlet for modifications 19. Select the Save button if changes have been made, and then the Return to Dashboard arrow in the upper left corner to see your handy work at work. NOTE: To rearrange the portlets within the dashboard, simply drag them to where you wish them to appear.
