3 GlobalCapture to Xerox EIP Connector With the GlobalCapture EIP with QuickSearch connector, you can use GlobalCapture from Square 9 Softworks directly from your Xerox EIP enabled multifunction printers. Designed as part of your total enterprise content management (ECM) solution, the connector allows you to automatically release captured data and documents directly from your Xerox multifunction printer (MFP) to the power of GlobalCapture, for highly efficient document capture workflows right from your touch panel. With it, just scan in your documents to initiate your workflow that captures document images, index data, extract high-value data, and send notifications automatically. You can also search for and print out documents in GlobalSearch right from the control panel. Prerequisites To release data and documents from your Xerox EIP MFP to GlobalCapture, you will need to configure your Xerox device, configure your Import Node in a GlobalCapture Workflow (which requires administrator permissions and a Designer license), install your GlobalCapture EIP connector, and configure your GlobalCapture scanner settings. Before configuration, ensure that: You know the administrative username and password of the Xerox EIP multifunction device to be configured. The EIP multifunction device supports v3+ SDK features with a Second-Generation Browser webkitbased browser. You are using the latest version of GlobalCapture. You are logged into GlobalCapture using an administrator user account and a GlobalCapture Designer license. Tip: Design Workflows to Automate Capture. While you can access your Index Fields from the MFP touch panel, use it to perform only enough data to uniquely identify documents. Then leverage the power of GlobalCapture to dynamically extract as much information about your documents as possible for separation, classification, and indexing. Install Connector GlobalCapture EIP with QuickSearch is distributed through a download link. This link can be obtained from the Square 9 Softworks Fulfillment department by contacting them at: Phone Option 1 fulfillment@square-9.com Once the link is sent, it is valid for seven days. Download the installation media to a folder of your choice. The license file (ssfeatures.lic) and serial number should also be included in the . 4 1. Once the installation media has been downloaded, uncompress the ZIP file. 2. Copy the Square9.XeroxConnector folder to your website s base path. C:\inetpub\wwwroot\ by default. This directory contains the website and supporting files for the connector. 3. Open your Internet Information Services (IIS) Manager and do the following: a. Select the Default Web Site. b. Right-click and in the menu which appears, select Add Application. c. Enter an alias, browse to the Square9.XeroxConnector folder, and click OK. d. Click OK to create an application. Square9.XeroxConnector Application 4. Log into your browser. 5. To configure user authentication and GlobalCapture settings in the config.js file: a. Browse to the to the C:\inetpub\wwwroot\ Square9.XeroxConnector folder. b. Right-click on the config.js file, and from the menu, select Edit with Notepad++ or other text editor. c. Enter s9api: /square9api/, if you are installing the connector with GlobalSearch and GlobalCapture and it is not already present. If you are installing the connector with a standalone GlobalCapture instance, delete the line. d. Enter the static user credentials. Or, to configure the login screen to appear when capturing, delete from the comma at the end of the debug line to the end of the password line. 5 Configure Connection Configure Multi-Functional Printer After installing the Connector, the Square9.XeroxConnector website is created. You must next configure the connector setup on your Xerox MFP for the GlobalCapture server using your device s configuration interface. (Note that some options may be named differently, depending on the MFP. Please refer to Xerox documentation for details.) 1. Navigate to the Square 9 Xerox Connector Registration.exe file and run it. Found in C:\inetpub\wwwroot\Square9.XeroxConnector\Registration by default. Default data will be populated into the interface from the web.config file in the same directory. Registration Interface 2. In the Device Connection group, enter your device information: a. Enter your EIP-enabled MFP address in the DNS or IP box. b. Enter the user name and password in the User Name and Password boxes. The default username is admin and the password is c. Enter the URL for the service in the Service URL box. d. To set Secure Sockets Layer security, enable Use SSL. e. Optionally, in the Device Certification group, select one or more of the certification settings. f. To test the connection and fetch current data from your MFP, click Connect. Upon successful connection, the Register GlobalCapture buttons will no longer be greyed out. 3. In the Server Details group, enter the Connector and QuickSearch URLs: a. Enter the URL used to connect the server and the Connector website from the MFP in the XeroxConnector URL box. GlobalCapture EIP with QuickSearch Guide GlobalCapture to Xerox EIP Connector 3

6 The default value is generated by the configuration application based on the computer s active network connection and the name of the directory from which the configuration was run (presumed in most cases to be the virtual directory name). b. Enter the location of your GlobalSearch QuickSearch in the QuickSearch URL box. 4. In the Registrations group, do the following: a. Click Register GlobalCapture. Upon successful configuration, the Registrations list will be updated. If an error occurs, a message will be displayed to indicate the problem. b. Use the View, Update, and Delete buttons to modify your registrations. 5. In the Scanners group, configure the list of Xerox devices that will access your Connector: a. Select a row in the list. b. Enter a short description in the Name box. c. Enter the IP address of the device to be added in the IP box. d. To delete entries from the list, select and right click them for the delete option. There is no complex validation on the entries or testing of data, this is intended as a convenient feature so you do not have to add and edit values in XML tags to the web.config file, where the data is stored. e. Click Save Scanner List. 6. Click Close. Configure Additional Settings ViewerCache is a directory that must be shared out on the network for the connector to work properly. When the networked location of the folder gets shared out, it displays the location. This must be copied to the web.config file in the Cache key. 1. Open the ViewerCache directory and in the ViewerCache Properties dialog box, click Share. The directory is located in the C:\SmartSearch folder by default. 7 2. Open the web.config file and configure the settings in in a similar manner to the example below, copying the networked location set in step one into the ViewerCache key. The web.config file is located in the C:\inetpub\wwwroot\Square9.XeroxConnector folder by default. <appsettings> <add key="logging" value="true"/> <add key="cache" value="\\e6420-1\viewercache"/> </appsettings> <scannersettings> <scanners> <clear /> <add name="addscannernamehere" ip="addipaddresshere"/> </scanners> Web.config Settings Example Note that when changing the ViewerCache key, it will need to be shared to the network and that the SSAdministrator must have access to this folder. File Sharing Authentication settings are stored in the config.js file and include options for a username and password. If a specific user is not logged in on the Xerox MFP, these credentials will be used to authenticate and determine which Workflows are available to the user at the MFP. If the user is logged in, the username will be passed through and leverage the Square9API whitelist configuration (found in the Square9API web.config file). The administrator user and password is used to authenticate to the Xerox MFP to modify settings, register the device, and to enable features like remote scanning when required, etc. The default values are provided by Xerox. The Logging option will enable or disable writing scan events to the Windows Event Viewer (eventvwr.msc). GlobalCapture EIP with QuickSearch Guide GlobalCapture to Xerox EIP Connector 5

8 Use GlobalCapture from Control Panel With configuration and registration complete, the connector will be available on your MFPs. By default, it will be located under the Services Home button on the menu; however, it can additionally be configured on some devices with its own button on the menu. Note that all GlobalCapture and GlobalSearch settings are respected; you must have Add permissions to the Archive you are releasing to, indexing data must match the data type assigned for that Field, and supported Field must have data. List, Dynamic Lists, and Data XChange are supported. Launch GlobalCapture Connector 1. to launch the web-based interface, select GlobalCapture from the menu screen on the MFP control panel. 9 Authentication for GlobalCapture Capture from Control Panel 1. To scan and capture from your MFP, tap Capture. Start Screen for GlobalSearch with GlobalCapture and for Standalone GlobalCapture 2. 10 Destination and Scan Screen 3. Select either Scan or Scan & Preview. If you choose Scan & Preview, a PDF of the scanned document will appear on the screen for you to view before releasing the file to the Workflow. Preview is only available for PDF and TIF files. 4. Adjust your scan settings for the capture, if you wish to. The settings will be specific to your MFP. After the document capture, the file will be uploaded to the GlobalCapture server and continue to load the next screen (the preview will be displayed if it was selected, and the file type of the scanned image). The screen that appears will vary depending on the release type of the Workflow selected. 5. To clear your selections, tap Reset. 6. In the window that appears, enter the indexing data and tap Save. 7. To scan additional documents, tap Home and repeat steps 2 through 5. GlobalCapture Save and Preview Interface 8. To release to Archive with Data XChange (if you have GlobalSearch) in the indexing window that appears, enter the indexing data to be passed to your Data XChange query. 9. Tap Data XChange. 10. 11 Information to Share with Data XChange Different results will occur, depending on the number of results to the query: o No Matches A message will display stating that no data matched the query. o One Match Indexing data will be automatically populated to complete any additional Fields. o Multiple Matches Query search results will appear. Data XChange Results 11. If search results appear, select your desired results. The dialog box will appear again with the selected data copied into the indexing fields. 12. When all index data has been entered as desired, tap Save to validate the entries and release the document to the Workflow. If there are any validation errors, you will be presented with the corresponding indicators and can resave after correcting the indexing values. After saving successfully, you will be returned to the home page. Search from Control Panel If GlobalSearch is installed, QuickSearch is a simple and lightweight way to quickly search for documents in databases, preview, and print them from your MFP control panel. (Note that printing is limited to formats supported by the GlobalSearch installation.) 1. Select Search to start QuickSearch. You can return to this screen by tapping Home. 12 Start Screen for GlobalSearch with GlobalCapture 2. In the QuickSearch interface, select a GlobalSearch database from the list of databases you have been granted permissions to. Database Select 3. In <DatabaseName> interface, select an Archive. (From there you can select a sub-archive, if there are any for that Archive.) You can filter the list of Archives in the database using the search box. 4. To select a Search, click the corresponding Search ( ) icon and select one from the pop-up menu. You can return to a previous screen using the Back (arrow) icon. Select Archive 5. In the Browse <ArchiveName> interface, enter your search terms. Just like in GlobalSearch, if you do not enter any search terms, all documents available to you for the Search will be shown in the results. Also note that Pick Lists are supported. 6. 13 QuickSearch Search Screen 7. In the Results screen that appears, choose from the following: Filter Items Enter one or more search terms to reduce the list of documents in the list. Print To transfer the file as a PDF to the MFP for printing, click Print ( ). The options presented will vary based on device and may include Print, View, and Save. Select Print for print configuration options (paper size, duplex, finishing, etc.). Preview To preview the first page of the document, click Preview ( ).
