1 WorkBook V8 version: /63 Release date: Author: René Præstholm Date: Increase available storage When logging on for the first time in this release you will be prompted to increase available storage. Click Yes. Clicking No will cause the system to be non-operational. If you have clicked no by accident you can change it by right clicking on the login screen and select Silverlight/Application storage/untick Enable application storage Click OK and refresh the browser window. Then enable the application storage again.
2 2. Time out A time out has been implemented for security measures. If you are not active in the system in 1 hour, the system will log you out automatically. 3. Upload a file on expense entries It s now possible to upload a file to attach to expense entries eg. a scanned receipt or maybe a picture of the receipt taken from a smartphone. 4. New to-do list We have added a new to-do list. In this new to-do list you ll have much better overview of what tasks to do and follow the progress. Also we have improved the ability to enter time directly from within the to-do list, something that many users have asked us to do. There are different views and filters that can be applied. In that way the user can choose the best list for a given situation. Click on the setup button to change view (the system will remember your choice even if you log off). The default view is the Week view.
3 The old to-do lists are kept until next version where they will be removed. Note: another change that has been committed is that if you enter hours on a task that you wasn t allocated to do, this task will automatically appear in your to-do list. In order to enable the new to-do list please enable it in Access rights for roles: 5. Editor We have added an editor. The editor can be used much as Word would be used. Includes the option to import RTF, Doc, Docx files directly and you can edit them within WorkBook. It s possible to use the editor on tasks and jobs. Used on a task: Added on a task:

5 Used on a job: Note: in order for the editor to work, you must have enabled Document Management as well as have the Storage Provider configured. Please see your WorkBook partner if this haven t been configured. It s not the purpose to replace Word but merely to give the opportunity to do quick edits, import briefings etc. 6. Gantt zooming Enabled new functionality for zooming in the Gantt chart. Using the mouse wheel when hovering over the months enables this. 7. New completely rewritten time sheet The new time sheet is much more flexible and easy to use than the previous. We have made a lot of effort to make it easy to add new entries as well as being able to approve the entries on a much wider scale.
6 8. Time sheet approval Time entry approvals has now been moved from being a system variable to the role based system. All settings will be migrated automatically upon updating to this version. 9. Rejected time A rejected time entry will now also show the rejection comment in the time sheet:
7 10. Absence & flex Absence & flex list in time & material: a list of absence entries can now be found in the menu here: 11. Active Directory authentication A new System Variable has been added to allow Active Directory authentication. The function enables WorkBook to follow authentication directed by Active Directory instead of WorkBook. The user must enter the same username and password as provided in Active Directory. When Active Directory prompts the user to change password, the new password is then automatically checked by WorkBook too. Enabling this variable will show some new options in the Employee Settings window.

9 Also, different views has been added: 13. Pipeline reports 4 new reports have been added to the Pipeline Management system. 14. PDF invoices Clicking on the Show report button in Debtor invoice management, will now have the system generate a pdf of the invoices selected in the grid. Please allow some time for the system to produce the pdf file.
10 15. Changing currency Changing currency on price quote and invoice: has been slightly changed to be a pop-up window instead of a drop down. Price quote:
11 Invoice 16. Allow 0 as profit factor on vouchers (setting on creditor) A new setting on creditors has been added so it s possible to allow 0 as profit factor. 17. Better job no. search in Jobs list 18. Better search/filter option in Jobs list This search field will search in any data available in the jobs list grid. 19. Product dimension added as a dimension to the job dimension 20. Customer dimension has been added as a choice in Journal entry
12 21. Arrow down in grids A great new feature is the ability to hit the Arrow down key to add a new line. It has been enabled in many grids in the system for example: 22. System variable Show utilization statistics in time entry A new System Variable to enable/disable the utilization statistics has been added. It works as a system wide setting. 23. Price quote address is now generated from the customer address in Resources Book. 24. A new report has been added Report 409 Staff Utilization Report. It is available from Finance & Administration General reporting. This report will show employee utilization on a week, month and yearly basis.
13 It is also possible to export report 409 from Finance & Administration/General maintenance/data export. 25. General reporting menu has been added. The reports within this menu item are a list of management reports that previously was to be gathered from different places around in the system. They have now been collected in here. 26. System Variable 728 now controls if Internal description field is to be shown in the time sheet. 27. Sidebar graphs A new option to see various charts (see example) has been added. Once you click on a job in the jobs list, the charts will update accordingly.
14 28. Excel button in Reports sidebar A new option to click the Excel button from the reports menu has been added. It will immediately create a CSV file with the raw data from the database. Tip: Open Excel and then open the CSV file. If you open the CSV file directly it will not format as
15 shown below. 29. New option to let the system automatically add tasks based on phases. It will create tasks and name them with the phase name as default.

New option to settle directly from journal entry Once you choose a Debtor and this debtor has some open invoices, the open invoices will show in the sub-grid below where they can be settled. 31. Chart of accounts: Account statement drill down functionality In the Chart of accounts Account statement you will see the voucher/transaction details in the lower grid.
17 32. New report: Ledger postings (412) in General Ledger This report is able to print all or selected journals in one report. 33. It is now possible to delete selected lines in Journal entry from the General ledger. Just select one or more lines and click the x button. 34. It is now possible to change a creditor on an already created voucher in Creditor invoice management. Click the Creditor field and then click the small icon to the right and you can select the new creditor. 35. Follow-up sidebar is now automatically expanding upon login if you have something in the Followup required category.
18 36. Configuring price list directly on jobs You are now able to configure a specific price list directly on the job. 37. Deactivate/Reactivate a resource: you can now Deactivate/Reactivate resources within the Resources book.

20 39. Invoice layout has been added directly to an invoice so if you later on decide to change invoice layout the system will maintain old layouts on old invoices.
21 40. Single click to change job status in the jobs list 41. Report profile setup: automatically add new reports to this profile when WorkBook is updated. Select this option to load any new reports to the selected report profile. If it s not selected then new reports will need to be enabled manually. 42. Content based help system added (in English). If you need help look for the blue question mark in the upper right corner. If there is a help page available the question mark button will be enabled and clicking it will take you to the right help page. You can always browse the entire help site on
22 43. Tasks numbers are shown in a new format (1.1) in the Gantt plan. The first number will show you the phase and the secondly the task. 44. Favorite journals can now be marked In General ledger you can mark/unmark a journal as favorite. And you can filter on this to show only favorites. This is used to easily find repeating journals.
23 45. Create new journal: Create blank/create from template has been removed from the Create new journal window and is now placed in the reverse button 46. Explanation field in Move hours is now provided The explanation is added to the Correction note field on each entry.
24 47. Automatically suggest employee initials when adding a new employee. 48. It s now not allowed to allocate hours to an employee back in time 49. A search field has been added to the finance approval grid. You find it in the top right corner. 50. Price list: Employee price group Create a group of employees (Settings Price lists & activities Employee price group) to have the same sales price set up in the price list (Settings Price lists & activities Price lists). 51. Time entry: jobs that are listed (all regardless of end date and accounting periods) Previously only jobs that the user was able to enter time on, were shown in the time sheet/add job list. We have changed this so jobs that have an overdue end date are also shown. A message is raised to the user explaining that the job cannot be inserted due to an overdue end date. 52. System variable 266: Enable Inter-company. If this setting has been enabled a IC Sale column will appear in the price list grid. In this field you can type in the sale price that is used when an employee from another company is entering hours on a
25 job not belonging to the company where the employee is hired. 53. A jump to Transactions button has been added to the amount columns in the Chart of Accounts. 54. Access rights for roles The listing of sub-tabs in Resources and Jobs has been removed as it s currently not supported (and
26 never has been). 55. System variable 740: this setting will control if the user can add entirely new tasks from within the Time sheet and the To-do list.
27 56. Search function added 57. System maintenance Once every 24 hrs. a system maintenance check will need to be performed. The system is raising the window below when an Administrator logs on. 58. Safari on Mac tabbing issues. Please note that with the latest upgrade to Safari the Tab control (tabbing from one field to another) is acting strange. This is unfortunately not something that we are able to control. Also, using the back-key/delete key in a field, can trigger the Go back function in the browser.
